Supervision Received Works under the general supervision of the Logistics Manager or Fleet Director who assigns duties and reviews work for accuracy and conformance to District requirements. The supervisor provides little, if any, assistance with recurring assignments. Essential Duties: The functions listed below are characteristic of the type and level of work associated with this position. They are not all-inclusive. Individual may perform some or all, as well as other similar work. On site work and attendance is required for this position. Orders, maintains and issues vehicle and apparatus parts inventory using a personal computer and standard office software applications; in addition to any specialized software necessary for the performance of job duties. Purchases non stock/special order equipment, parts and supplies as necessary for Fleet operations. Uses basic knowledge of methods, standard practices, equipment and tools of the automotive and heavy duty truck trade as it would relate to the procurement and dispensing of equipment, parts and supplies. Researches contract and/or product/vendor information to provide purchase information and make informed decisions ensuring fiscal responsibility and conformity with the District’s Purchasing Policy and Oregon State purchasing guidelines and laws. Facilitates parts warranty claims and documentation on fleet parts. Works with district finance staff to ensure credits (warranty, returns and core) are received timely and posted correctly. 3 of 13 Meets performance and production standards as established by the District. Monitors and adjusts inventory levels to ensure cost effectiveness and availability of parts and supplies. Receives, unpacks, and stores parts and supplies. Verifies shipments using purchase orders, packing slips, and invoices; reconciles discrepancies and resolves problems. Organizes and arranges warehouse stock to ensure accessibility and orderliness. Organizes multiple tasks and schedules simultaneously with limited supervision. Tasks involve basic decisions using reasonable judgment and common sense commensurate with communicated expectations, specific direction, stated instructions and District guidelines. Organizes and cleans the fleet parts storage areas, part rooms and receiving counters. Uses phone, personal computer based programs and the internet to obtain information, correspond with vendors and customers, record work order entries, maintain databases and log time card information. Answers shop phones and assists with shop clean up. Attends and participates in shop organized functions and meetings. Responds to emergency situations, be placed on stand-by or work on an on-call basis with minimum notification, while remaining calm in emergency situations. Demonstrates a high level of customer service and courtesy. Works cohesively in a team oriented environment with high levels of internal and external contact. Maintains District standards for acceptable public image. Participates in Divisional project development outside of normal job classification and duties. Observes all safety rules and maintains the required annual certifications as set forth by the Federal Government, State of Oregon, OSHA, DEQ, NIOSH and the District. Secondary Duties: May be required to build and/or assemble shelving, racks, storage boxes and work areas as needed. May pull and package supplies for delivery to destinations throughout the District. May pick up and deliver parts from local vendors as directed. May transport vehicles and equipment throughout the Portland Metro area as needed to deliver units to and from the District maintenance facilities, outside vendor establishments and customer locations. May use hand, stationary and diagnostic tools common to the automotive and equipment maintenance trade. Use tools and operate machines and equipment normally used in an automotive repair shop, or as used in the maintenance of SCBA’s. May perform or facilitate preventative maintenance and repairs on a variety of District small equipment and tools such as, chainsaws, smoke ejector fans, shop equipment, cord reels, SCBA’s and hand tools.
