 JOB POSTING Calgary Legal Guidance Immigration Law Legal Assistant Company Overview Calgary Legal Guidance (CLG) is a charitable society established in 1972 to provide legal advice and assistance to low‐
income people with family, criminal, immigration, civil and other legal matters that are not covered by Legal Aid. CLG offers specific programs in the areas of domestic violence, homelessness, seniors’ issues, social benefits and immigration. Over 4,000 clients are assisted each year by volunteer lawyers at evening clinics, program lawyers, pro bono lawyers, articling students, our advocates and program coordinators. The Role This is a temporary, full time maternity leave position that is open for a minimum of six (6) months to a maximum of one (1) year. This position will perform Immigration Legal Assistant duties a minimum of twenty (25) hours per week. The remaining ten (10) hours will be spent on other duties including those outlined under the Administrative Assistant section. Primary Functions and Accountabilities Immigration Legal Assistant 







Performs a variety of legal and administrative duties, including verifying and recording client data electronically in CRM (Client Record Management) Respond to general inquiries received on Immigration Intake Telephone Line Determine client’s Intake eligibility for assistance under CLG Income and Asset Guidelines and Immigration Program service parameters Provides assessment of client’s needs and links together relevant legal issues in advance of client’s initial interview with either the advocate or the lawyers Provides general immigration information and referrals for immigration related services. Schedule appointments for the Immigration Lawyers Arranges interpreters for client meetings and sends out documents for translation Attend Federal Court Registry and Canada Post on request Prepare, review and proofread legal documents and correspondence for accuracy Prepare Immigration application packages for delivery to Citizenship and Immigration Canada Commission Affidavits and Statutory Declarations 




Open, Close, and Archive client files; both physical and electronic file Manage outcomes in CRM (Client Record Management) Assess and schedule client appointments in monthly Outreach Clinics Attend Genesis Outreach Clinic for triage administration support Provide intake/reception back‐up support as requested 


Administrative Assistant 


Backup to the Lawyer Referral Service/Dial‐A‐Law Operator/Reception during absences and/or to cover breaks when required. This requires answering calls from various locations in the Province from people who want to speak with a lawyer regarding a particular issue. This position requires a basic knowledge of various areas of law Ability to research applicable immigration legislation for Dial‐A‐Law topics considered an asset Maintain an organized filing system (electronic and paper copy) The Candidate The successful candidate must possess the following qualifications: 
Legal Assistant Certificate or Diploma from a recognized post‐secondary institution Minimum of 2 years related work experience in a law office or other legal setting 

Knowledge of immigration terminology 
Commissioner For Oaths in and for the Province of Alberta appointment considered an asset 
An equivalent combination of post‐secondary education and experience may be considered 
Fluency in a second language considered an asset Required Competencies 
Proficiency in windows based software and other standard office technology 
Ability to problem solve and work independently by identifying objectives and setting priorities 
Must possess strong interpersonal skills to establish and maintain effective working relationships internally and externally 
Able to express ideas clearly and effectively, orally and in writing 
Excellent organizational/time management skills and adept at multi‐tasking 
Exceptional attention to detail to ensure assignments are completed with accuracy 

Ability to work with and manage clients in vulnerable and crisis situations 
Maintain confidentiality at all times 
Excellent communication and command of English, orally and in writing 
