It has your Exhibitor Number. You MUST use this number on your papers. If you forget or lose your Exhibitor number, call Mrs. Johnson BEFORE arriving at the Museum. Read this entire bulletin, save it, and refer to it when you have questions. Show it to your parent(s) or guardian(s) and sponsoring teacher. Fill out the enclosed student information card and bring it to the Museum on your set-up day. Be sure to have a copy of your Abstract, Safety Sheet, and Endorsements (if applicable) prominently and permanently displayed on the front of your display board prior to your arrival. Prepare your research papers. The research paper must be typed on one side of the paper ONLY. All elementary and high school exhibitors must have nine (9) copies of the research summary. This is the 30-page maximum report; single sided, which includes the one page Abstract, the Safety Sheet, and Research Summary. (31-32 pages if an Endorsement is included). Duplicating service is not available at the Museum. Take care of this before you come to the Museum. a) The pages of the paper must be in the exact order as described in pages 25-30 and 57-58 of the 2015 Science Fair Handbook. b) Remove all paper clips and folders. c) Write the Exhibitor Number in the upper right-hand corner of each copy of the Abstract, Safety Sheet, Endorsement(s) and on the Title Page of each copy of the research paper (nine copies total). One copy of the Abstract, Safety Sheet and Endorsement(s) must be stapled to the front of each research paper in that order. d) Write the exhibitor’s last name and title of paper at the TOP LEFT of the Table of Contents Page and each page following. Separate the name and title with a colon. EXHIBITORS AND SYMPOSIUM PARTICIPANTS: Those projects requiring an endorsement to use Humans as Test Subjects, Use of Firearms, Vertebrate Animal Test Subjects, Microorganisms, Vertebrate Tissues or Recombinant DNA must have the endorsement request form already signed by a Scientific Review Committee member at the time of registration. NO projects will be endorsed at the time of registration. Wednesday, March 18, 2015 High School Set up Day_________ 9:30 a.m. until 1:00 p.m. Exhibitors in high school Networks will set up projects. Projects will then be inspected for safety. All Symposium participants are to attend an orientation meeting at 10:00 a.m. in the Auditorium. Students are required to deliver their projects before 1:00 p.m. on the designated day. Each exhibitor is expected to appear in person to set up his/her project at the Museum. The teacher/sponsor will not be allowed to set up the project in the student’s absence. 2. Go to Station #1. Stop at the sign that reads PROJECT LOCATION. Find where your project is located. 3. Set up your project exactly as it will be displayed during the fair. It is required that you display a copy of your Abstract, Safety Sheet, and endorsements (if applicable) on the front of your board. 4. It will NOT be necessary for you to bring electrical extension cords. These cords will be provided for you at the Museum if you indicated a need for electricity on your entry form. 5. After you set up your project the way you intend for it to be displayed, ask a safety inspector (the person with the clipboard and meter stick) to inspect your project. A Safety Compliance Approval Card will be placed with your project after you have passed the safety inspection. It should be visible at all times. The safety inspector will also give you a Safety Inspection Approval Form that you will turn in with your research papers. After you set up your project, do not leave the Museum without having the project safety inspected. Only laptop computers needed for projects and have been approved by safety inspectors may be displayed at projects. Nothing may be added to your display once it has been safety inspected. 6 Prepare your research papers. All elementary and high school exhibitors must have nine (9) copies of the research summary. Do not report to the Museum with fewer than 9 copies of the research summary. This is the 30-page maximum report, which includes the one page Abstract, the Safety Sheet and Research Summary. (31-32 pages if an Endorsement is included). Duplicating service is not available at the Museum. See page 7 of this bulletin for locations near the Museum where you may have your paper duplicated. 7. Go to Station #2. Present your Safety Inspection Approval Form, Student Information Card, and eight (8) copies of your research paper. Keep the ninth (9th) copy of the paper with you to use for display during exhibit days. The original research paper and endorsements (if applicable) with original signatures should be kept in a safe place. Exhibitor Information Bulletin - 65th Annual Student Science Fair Page 2 8. If the safety inspector informed you that you must return to the Museum the next day to correct a problem, return the safety form to the Science Fair Information Desk. Do not take the Safety Form home with you. 9. Go to Station #3. Present your Safety Inspection Approval Form. Obtain your identification badge. The badge must be worn at all times during the Science Fair. If you visit any other areas of the Museum, you must wear your identification badge. 10. Remain at Station #3 and sign for a World Book and Science Fair Family Coupon. The three (3) coupons received will be for family members and/or friends that may visit the Museum on Friday, Saturday or Sunday. Each pass admits three (3) persons to the Museum. Leave the passes with your family because they must bring them to the museum in exchange for MSI General Admission tickets. Participating Science Fair students do not need a ticket. 11. All valuable equipment should be stored in the Security Room after the safety inspection is completed on your set-up day. The Security Room will be located on the main floor across from the Auditorium. Follow the signs directing you to the Security Room. If you have a computer or other heavy equipment to move, go to the Science Fair Information Desk to request assistance. They will provide a cart and help you move your equipment to the Security Room. 12. No items such as coats, boxes, and packing materials are to be left under the tables after the project has been safety inspected. WITH THE EXCEPTION OF LAPTOP COMPUTERS, NO EQUIPMENT MAY BE REMOVED FROM THE BUILDING OR ADDED TO THE PROJECT AFTER SAFETY INSPECTION. 13. On Friday, Saturday, and Sunday, all exhibitors must remain at their projects unless otherwise directed. Any project removed before 1:00 p.m. on Sunday, March 22, 2015, may result in the exhibitor(s) being disqualified. Science Fair Time Schedule for Exhibitors Friday, March 20, 2015 Saturday, March 21, 2015 Sunday, March 22, 2015 Friday, March 20, 2015 Opening Day and Judging 8:00 a.m. until 3:15 p.m. 9:30 a.m. until 3:15 p.m. 11:00 a.m. until 3:00 p.m. 8:00 a.m. until 3:15 p.m. When you get dressed in the morning, be cognizant of your personal appearance. This is an occasion that calls for appropriate attire. This does not include jeans, sweatshirts, t-shirts, shorts or mini-skirts and/or halter-tops. This is a professional occasion. Professional attire is expected. We highly suggest that you eat a light breakfast and drink plenty of fluids prior to arriving at the Museum. Unless your laptop has been safety inspected and it is a part of your project leave it at home. The Museum will open at 7:45 a.m. for exhibitors. Enter only through the Great Hall, which is accessed through the front doors of the museum in the circle drive or through the parking garage. You will not be allowed to enter through the south doors of the West Pavilion. We will not open the door for you, and you will have to walk around to the front of the Museum! All students, whether taking public transportation or being dropped off by a parent, must use the main entrance off the circle drive at 57th Street to enter the museum. YOU MUST SHOW YOUR IDENTIFICATION BADGE TO ENTER. Follow the signage to the Students’ Coat Room in the northeast corner of the ground floor of the West Pavilion. No book bags or other items can be placed under your exhibit table. You will not be allowed to check your backpack with your coat. Leave your backpack at home. Do not check your coat in the Judges’ Coat Room or Museum coat check. A Students’ Coat Room will also be opened on Friday, Saturday and Sunday. After checking your coat, immediately report to the table(s) south of the Information Desk, sign in and then go to your project and stay at your project. Exhibitor Information Bulletin - 65th Annual Student Science Fair Page 3 Students must physically be present to participate in the City Science Fair. Please note that all judging takes place at the Museum during the designated times listed. Requests for early or late judging will not be honored. Judging of all projects will start shortly after 8:30 a.m. If you are not at your project when judging begins, your judge may mark you as a NO SHOW. Be in place on time. More than one team of judges will visit you. All judges will have an identification badge. Judging will take place for academic and special awards as well as industrial tours and Illinois Junior Academy of Science and International Science and Engineering Fair selection. The judges’ decisions are final. Parents, sponsoring teachers, and other guests will not be allowed to remain on the floor during judging. Results will be announced at the Awards Ceremony on Sunday, March 22, 2015. To avoid distractions and interruptions during the judging of projects on Friday, exhibitors are to: Turn off cell phones or set them to vibrate mode and put them away during judging. Refrain from chewing gum. Avoid playing hand-held video games, listening to iPods, and using iPads or any similar device. At 11:00 a.m. we will have the Science Fair Opening Ceremony. Judging will stop temporarily and all students and judges will be asked to assemble around the public entrance to the fair for this special event. Many civic, educational, and industrial leaders will be present. After the short ceremony, they will visit the exhibit area. If they stop by to visit your exhibit, be your natural self and speak up. Remember, you are representing your school, your network, and your entire school district. On Friday, there will be two 45 minute lunch periods (from 1:00 – 1:45 p.m. and from 1:45 to 2:30 p.m.). You will be assigned to one lunch period. We will provide you with a food voucher valued at $10.00 to use in the Museum Food Court on the lower level. If your bill exceeds $10.00, be prepared to pay the excess. Make sure that you use the entire $10.00. You will not receive change. You may not trade your food voucher for cash. Do not bring food to the Science Fair exhibit area. When you are at lunch, have your neighbor watch your exhibit. When your neighbor goes to lunch, you watch his or her exhibit. There will be hundreds of visitors viewing the exhibits. At approximately 3:10 p.m. an announcement will be made over the public address system informing you to store all valuable equipment in the Security Room. Do not go to the Student Coat Room or send someone to claim your coat before closing time, 3:15 p.m. Any exhibitor requiring an early dismissal must report to the Information Desk with a parent/guardian who must show proper identification (driver’s license or a photo ID ) and sign an early dismissal form to dismiss his/her child. Saturday, March 21, 2015 Public Viewing of the Fair 9:30 a.m. until 3:15 p.m. The Museum will open to exhibitors at 9:30 a.m. DO NOT come before 9:30 a.m. Show your badge for entry through the main entrance of the museum accessed through the circle drive. Check your coat as you did on Friday. Remember that you are not allowed to store items under the exhibit table. No backpacks will be allowed to be checked in. Leave your backpack at home. If you have materials and equipment stored in the Security Room, you may retrieve them at this time. After checking your coat, immediately report to the table(s) south of the Science Fair Information Desk and sign in. On Saturday, there will be a Sixth-Grade Regional Winners Recognition Luncheon (by invitation only). These students will visit the exhibit area. Please make them feel at home and encourage them to continue their research so that they can exhibit at the city fair next year. Finalist judges and special award judges will be visiting exhibits throughout the day. The lunch schedule will be posted at the Information Desk. Again, you will receive a food voucher valued at $10.00 to use in the Museum Food Court. Use the entire $10.00. The voucher cannot be exchanged for Exhibitor Information Bulletin - 65th Annual Student Science Fair Page 4 cash. If your bill exceeds $10.00, be prepared to pay the excess. As on Friday, make arrangements with your neighbor to cover each other’s exhibits. You must wear your identification badge in all areas of the Museum. At 1:00 p.m. the ComEd High School Science Club Ice Cream Social will be announced. This event is for students and teacher-sponsors who are participating in the 2014-2015 clubs. Admission is by invitation only. Beginning at 2:00 p.m. science fair officials will call exhibitors by number to sign for 2 tickets to the Awards Ceremony. Take these tickets home and give them to your parent or guardian. There will be no extra tickets. The auditorium has limited seating capacity. Do not hold on to these tickets. You do not need them – your invited guest will need them. Remember that all award winners will be announced on Sunday at the Awards Ceremony. If there is some compelling reason why you have to be absent on Saturday, due to a music competition, taking the SAT or ACT, or another event, please present a letter signed by parent or guardian as documentation to Mrs. Ethelene Hare at the Science Fair Information Desk. Bring this letter with you on the day you set up your project. The only students who will be excused on Saturday are those who have event conflicts that cannot be resolved any other way. Sunday, March 22, 2015 Awards Day 11:00 a.m. until 3:00 p.m. The Museum will be open at 11:00 a.m. for exhibitors. DO NOT COME EARLIER! There will be no lunch period on Sunday. Make sure that you eat a hearty breakfast before coming to the Museum. Show your badge for entry at the Main Entrance (Great Hall) of the museum. Parents may use the yellow Science Fair Family coupons (these coupons will be given to you after you complete registration on your set up day). Each coupon is good for three admissions and must be redeemed at the Science Fair table in the Great Hall. Check your coat as you have done on previous days and retrieve your property from the Security Room. Immediately report to the table(s) south of the Science Fair Information Desk and sign in. Please tell your parents NOT to line up before the auditorium is open for general seating at 12:00 noon. Only guests with an award ceremony ticket will be admitted. No arrangements will be made for parents/guests who arrive early for the awards program. They will not be allowed to line up in any area of the Museum. At 12:00 noon an announcement will be made over the public address system telling you to line up for the Awards Ceremony. Place all valuable equipment in the Security Room before you go into the Auditorium. You will be escorted to the Auditorium for the Awards Ceremony Program. You will be seated in the Auditorium according to your exhibit number. This will expedite the distribution of awards. Once everyone is seated and announcements are made, the awards program will begin promptly at 1:00 p.m. Every student will receive a packet. Students who are selected to attend the IJAS State Science Fair and the International Science and Engineering Fair MUST REMAIN in the Auditorium to fill out forms, to receive additional information about participating at the State and International science fairs, and to receive their packet. DO NOT LEAVE the Auditorium until you have completed these forms and received your packet. Failure to complete these forms may result in your exclusion from advancing. Exhibitor Information Bulletin - 65th Annual Student Science Fair Page 5 If you are not going on to further competition, at the end of the Awards Ceremony, you will be escorted to the Little Theater to receive your packet and prizes that were not presented during the Awards Ceremony. After receiving your packet and/or completing all required forms, return to your exhibit to meet your parents at your project and dismantle your project. Do not leave any equipment behind. Return all borrowed equipment to your school. After the Awards Program on Sunday, one complimentary parking voucher per exhibitor will be issued to the parent or guardian. Make sure to inform your parent/guardian not to pay for parking. Each exhibitor's parent or guardian (with the parking entry ticket) must come to tables either across from or south of the Science Fair Information Desk to sign for a paid parking voucher in exchange for the parking entry ticket. NOTE: Neither the Science Fair staff nor the Museum of Science and Industry will be responsible for any equipment or materials left at your exhibit. CHECK LIST FOR REGISTRATION PROCEDURES – SET UP DAY 1. Deliver your project to the West Pavilion. See Map on page 9 and pages 1 & 2 of this bulletin. Each exhibitor is required to set up his/her project. 2. Stop at Station 1. Floor Map of Exhibits. 3. Locate the assigned table for your exhibit and set up your project completely. 4. Remove any packing materials and other items from under the table. 5. Have your project safety inspected and receive a Safety Inspection Approval Form. You may not add anything to your project display once it has been approved by the safety inspector. 6. Make sure that these pages of the Research Paper have your Exhibitor Number typed in the upper right corner: Abstract, Safety Sheet, Endorsement(s) (if applicable) and Title Page. 7. Submit the following items to a science fair official at the Science Fair Information Desk: Eight (8) copies of your research paper (with the Abstract, Safety Sheet and Endorsement(s) – if applicable, attached to each copy) with Outline of the Physical Arrangement Check List on top The Student Information Card The Safety Inspection Approval Form. 8. Keep one (1) copy of your research paper for display at your exhibit. None of these copies should be your original. Keep the original in a safe place. 9. Pick up your I.D. Badge, A World Book, and the Science Fair Family Coupons. 10. Store all valuable equipment in the Security Room. You will not be allowed to check your backpack with your coat. Leave your backpack at home. Make prior arrangements with your parent/guardian, teacher or principal for pick-up after dismissal from the Science Fair. Inform the person picking you up of the dismissal times, and where inside or outside the Museum, you will be waiting to be picked up. The Science Fair staff is not responsible for supervising students after they are dismissed and leave the Museum’s West Pavilion. Sign in Friday, Saturday, and Sunday DO NOT LEAVE on Sunday until all awards have been distributed. If you are selected to go the State Science Fair or the International Science and Engineering Fair, you must remain in the Auditorium to fill out forms and to receive further information.
