This includes human resources management, financial management, and operations/facilities management. The Operations Manager reports to the Executive Director, is a member of the agency’s management team, and is responsible for supporting the implementation of, reporting on, and the further development of the agency’s strategic plan and work plan. Major Duties Operations Management Manage and improve operational systems, processes and policies in support of the agency’s mission to ensure effectiveness, efficiency and consistency – specifically, support enhanced management reporting, intra-agency information flows, business processes and organizational planning Manage facility operations, including workplace safety and disaster preparedness and recovery Ensure that all business machines and infrastructure is maintained in good working order and sufficient supplies are at hand to ensure smooth operations Ensure communications infrastructure is maintained, including server, website, etc. Oversee vendor selection and relationships; negotiate and manage vendor contracts Oversee contract management process Supervise and manage administrative and operational support staff, including IT personnel Ensure timely filing of all regulatory reports Play a significant support role in long-term planning, including initiatives geared toward enhancing operational excellence Finance Ensure adherence to and refinement of sound financial policies, procedures and practices throughout the organization Coordinate with CPA firm and external bookkeeper on all finance-related matters, including: o Monitoring preparation of semi-monthly payroll process o Coordinating semi-monthly check runs, with bookkeeper support o A/R and A/P monitoring Operations Manager CHOICE Regional Health N etw ork 1 1217 4 t h Ave E., Suite 200 Olympia, WA 98506 Updated 3/23/2015 Oversee the preparation and timely distribution of monthly, quarterly and annual financial statements and reports Manage the annual audit process Oversee timely preparation and filing of annual tax report (Form 990) Prepare annual budget and engage with management team in budget preparation and management Manage annual membership contracting process Submit timely reports as required by state, federal and other regulatory agencies, and grantors Human Resources Management & Development Manage and improve HR management systems, processes and policies in support of the agency’s mission Review, update and monitor adherence to personnel policies and procedures Determine staffing requirements, manage personnel hiring and discharge, new employee orientations, etc. Responsible for benefits administration Manage personnel and other HR related files Manage leave planning Support agency-wide implementation of periodic employee performance reviews Manage and mentor the professional development of direct reports Oversee personnel development, including employee training and preparing and conducting allstaff meetings Organizational Performance Monitoring Assist with the development and monitoring of the agency’s strategic plan and work plans Work with IT and program staff to develop and maintain comprehensive, data-driven organizational performance measurement systems, including dashboard reports, etc. Coordinate with management team regarding consistent reporting of key organizational performance measures and manage reporting process to ensure timely distribution of performance information to managers and organizational leadership Qualifications & Education Education Minimum of 3-5 years of operational management experience required, including personnel supervision, and HR and finance management, ideally in the nonprofit sector Bachelor’s Degree required; Master’s Degree in business administration or similar field preferred Experience in health care preferred Required Skills and Experience Strong budget development and financial management experience Proven HR management experience Ability to multi-task and effectively prioritize work; able to work independently and make sound decisions Operations Manager CHOICE Regional Health N etw ork 2 1217 4 t h Ave E., Suite 200 Olympia, WA 98506 Updated 3/23/2015 Systems thinker with excellent attention to detail Adaptive and flexible Excellent communication skills, both verbal and written Excellent interpersonal skills and collaborative management style Knowledge of compliance requirements for non-profit organizations Excels at operating in a fast-paced, team-oriented work environment Demonstrated commitment to high professional ethical standards and a diverse workplace Salary Range Regular full-time, exempt status position.
