Accounts Payable and Accounts Receivable 2. Payroll and HR Assistance 3. General Reception and Secretarial Duties 4. Quality Improvement Program Support Minimum Requirements Experience with Accounts Payable and Accounts Receivable Advanced experience with Microsoft Office Suite; Experience with Office 365 Preferred Bachelor’s degree in accounting/business administration or experience working in an office environment in a similar role. Desire to work in a supporting role to enable program and executive staff to function more efficiently. Desire to work in a fast paced environment independently and as part of a team Duties & Job Functions General Accounts Payable & Accounts Receivable Collect W9 and any required supporting documentation for all vendor invoices Collect office supplies or equipment order requests and process for Director of Finance and Operations approval Enter Accounts Payable in QuickBooks for approval by Director of Finance and Operations Log credit card transactions at least weekly; reconcile credit card statements monthly Reconcile Quality Improvement transactions weekly (QuickBooks and DECC database) Enter accounts receivable related to fee for service coaching and training fees. Enter and process thank you letters for donations and corporate sponsorships. Assist with audit preparation as needed. Payroll & HR Assistance DECC currently uses payroll services to file taxes/annual filings. Job Title: FLSA Status: Reports to: Salary Range: Office Coordinator Full Time, Non-exempt Director of Finance & Operations $28,000-$43,749 FTE Equivalent General Reception & Secretarial Duties Answer the main phone line and greet/direct visitors as they arrive in the office Support the office environment by monitoring and ordering copier supplies, office supplies, and other office necessities on an ongoing basis Assist with event/meeting scheduling for shared meeting spaces and shared technology (using Microsoft Outlook Calendar interface) Attend and take minutes for major meetings, including for DECC’s Board meetings Process incoming and outgoing mail; record payments received in the mail in our check log General data entry as needed Administrative support for Executive Director and Director of Finance as needed Other duties as assigned Quality Improvement Program Support Assist with the annual Memorandum Of Understanding (MOU) process for approximately 300 provider sites in any of our quality improvement programs including the Denver Preschool Program, School Readiness Quality Improvement Program, Infants & Toddlers Quality & Availability Program, and the Social Emotional Early Development (SEED) initiative Monitor required insurance certificates of coverage for participating childcare providers based on each policy’s expiration date and track any changes in insurance information in DECC’s database Contact insurance brokers to request new certificates of coverage as needed on an ongoing basis Monitor quality improvement accounts payable requests to ensure that appropriate documentation is attached and that each request has undergone the required approval process Desirable Qualifications Strong working knowledge of applicable software such as Microsoft Office Suite Working knowledge of QuickBooks or Nonprofit Fund Accounting Software Experience working in databases Interest in the early childhood sector and nonprofit accounting Licensure/Qualifying Standards Current, valid Colorado driver’s license, auto insurance and a good driving record are required. Physical/Environmental Characteristics Essential duties are routinely performed in a general office environment. Essential duties will sometimes require the use of a personal vehicle.
