To learn proper swimming strokes and to learn how a swim meet is conducted. To swim in friendly competition with neighboring teams. To build children’s self-esteem and confidence through swimming. Our Philosophy Gray Eagle Swim Team is designed to convey an understanding and appreciation for the fundamental skills involved in swimming, while providing a competitive atmosphere. We stress sportsmanship, respect, participation, self-discipline, and most of all…FUN and FRIENDSHIP. Eligibility June 1st is the eligibility date established by the Suburban Swim League. Therefore, whatever age your child is on June 1st that is the age group he or she will swim with this summer. For example, if “Swimmer X” turns 7 on June 2nd, he or she would swim in the 5-6 year old age group. All swimmers must be under the age of 15, on or before June 1st. There will be a swim evaluation for swimmers aged 8 and under on Monday, June 1, 2015 during the designated practice time. Swimmers who pass the swim evaluation are eligible for the team. Fees The fee is $130.00 for each child for families that are Pool Members and $160.00 for each child for Junior Pool Members. Junior Pool Memberships are for Swim Team Only. Both fees include a team t-shirt and the Invitational Swim Meet entry fee. There is a discount for three or more children. The fee for a 3 rd child and any additional children in the family will be $105.00 each for pool members and $125.00 each for Junior Pool Members. There will be a late fee of $20.00 for any registration fees received after Saturday, May 2, 2015. Swim Team Fundraiser To help cover expenses for our swim team, we asking each family to donate two cases (24/pack) of bottled water or $10 (cash or check) to be used for HOME swim meets. We are asking each family to bring their donation by Thursday, June 11, 2015. We appreciate all of your help and support for our team! Team Registration/Swimwear/Spirit Wear Day Registration: Swim Team Registration will be held Saturday, April 18h from 12:00 – 2:00 p.m. at Gray Eagle Golf Club (located on the corner of 126th Street and Brooks School Road). Team packets will be available online at www.grayeaglegolf.com click under “Pool”, click under “Swim Team Packet” / ”Swim Team Calendar” and print. Swimwear- Runners Forum representatives will be at registration to measure swimmers for team suits. Swimmers may purchase suits directly from Runners Forum retail store located at 14033 Mundy Drive Fishers, IN.(SR 37 @ 141st Street next to Uncle Bills Pet Store), phone #: 773-7108. Suits must be ordered by May 14th in order to assure their arrival prior to the first meet. Spirit Wear: Samples of Gray Eagle Spirit Wear will be available to order. All spirit wear orders must be pre-paid. The deadline for ordering spirit wear is June 3, 2015. Pre-Swim Team Clinic The Gray Eagle Swim Team Staff will review different stroke techniques: Freestyle, Breast, Back and Butterfly to help prepare swimmers to possibly be a part of the Gray Eagle Swim Team. Dates for the Clinic are on Tuesday, May 26th and Thursday May 28th from 5-5:45pm. Pre-Swim Team Clinic fees are $20 per child for pool members and $30 per child for non-members. Children must be pre-registered at least 2 days before the clinic begins. Practice Schedule All practices will take place at Gray Eagle Pool Club. Each swimmer needs to make every effort to attend at least two practices each week. NOTE: Times are subject to change if deemed necessary by the coaching staff. Morning Schedule – Monday through Thursday, unless noted otherwise on calendar Age Groups Time 9 - 14 8:00 – 9:00 a.m. 7-8 9:00 – 10:00 a.m. 5-6 9:30 – 10:00 a.m. Swim Meets All HOME swim meets will take place at Gray Eagle Pool Club. Meets will take place on Tuesday and Thursday evenings. Each swimmer must sign up for every meet he or she will be participating. All swimmers must sign up for each meet via on-line at Team Snap by the posted deadline. Information will be emailed to all members on how to sign up for each meet. Any swimmer who has not indicated their participation status for a meet will not be put in the line-up for that meet. If a swimmer who has not signed up for a meet and shows up to a meet, he/she will not swim. If, for any reason, you are not able to attend a meet that you have previously made a commitment, please call Coach Kruse as soon as possible (not showing up for meet effects the entire team line-up that has been prepared prior to that evenings meet). Please follow this procedure for every meet and it will help us to make a fair and accurate line-up. The deadline for swimmers to sign up is on the Thursday prior to the next week upcoming meet(s). Swimmers are expected to arrive at home meets by 4:00 p.m. and away meets by 4:15 p.m. for warm ups. When arriving at meets, please sign your child in and then report to the holding area to check the line-up roster. Please mark your swimmers arm with their name and any events in which they are participating. Swimmers must stay with the team and age group. No wandering! If a swimmer cannot be found when it is time to line up, they will not swim the event. Every meet starts at 5:00 p.m. with 5-6 Year Olds swimming all of their events first. Next, the older children start their events and the meets usually end by dark. Turn right on 96th Street to Windermere Boulevard. Turn right onto Windermere Boulevard. Pool is one street north on the right side. If you reach Olympia Drive you’ve gone too far. Questions to Coaches If you need to communicate with the coaches, please do so by e-mail or telephone. Tying up the time of the coaches diminishes practice time for all swimmers. Swimming Up A swimmer may swim up (1) age group in a single event. A swimmer may swim up more than (1) age group only if there is no other willing swimmer from that age group to swim that event. A swimmer may only swim in an individual event (1) time. For example “Swimmer X” may only swim 7-8 Breaststroke or 9-10 Breaststroke, not both. Disqualification For all age groups, swimmers in the first heat will be disqualified for improper strokes and starts. Disqualifications ultimately affect the final meet score, so team coaches will be made aware in order to address the issue of the disqualification(s) at future practice sessions. Swimmers will not be made aware of the disqualification, and will continue to receive ribbons. Volunteers Gray Eagles’ parents are the key to having a successful swim team! It is essential that we have plenty of volunteers at our meets, both home and away. All parents are required to work at least (3) meets. All families are required to participate in the Volunteer Deposit Program. You have the option of working three swim meets or paying a fee to have someone scheduled to work in your place. The Volunteer Deposit Program is discussed in more detail at the end of this packet. Please take a moment to look at the job descriptions listed below to get an idea of which jobs you might like to do at a meet. Those families choosing to volunteer must sign up to volunteer via “Sign Up Genius” the dates they would like to work no later than Thursday, June 4th. Working at a swim meet is a great way to watch your child swim and get to know other parents. The best part of volunteering is that you make your child feel important knowing that you are involved. Volunteer Responsibilities Finish Judge – Determines 1st, 2nd, 3rd, 4th Place and communicates to Ribbons Writers and Scorer. Stroke Judge – The stroke judge watches the first heat of every event to judge each swimmer’s technique. A Disqualification form is filled out for improper technique. Score Keeper – The score keeper sits with the score keeper from the opposing team, and together they keep a running score of the meet. Timers (2 at each Meet) – The timer sits in a chair at the end of a Gray Eagle lane. A stopwatch is used to record the swimmers time. Timer Helpers (2 at Each Meet) – When the finish judges indicate which place that lane’s swimmer has won, the Timer Helper writes down the time on the line-up sheet provided and fills out a ribbon form. Head Clerk of Course (1 at Each Meet) – Gathers the swimmers from the holding areas for upcoming heats and brings them to the lane clerks. Lane Clerk of Course (2 at Each Meet) – One Clerk is assigned to each Gray Eagle lane. They remain at the lane to maintain swimmer’s heat order. Holding Area Attendant (1 at Each Meet) – Oversees swimmers holding area. Ribbon Writers (3 at each Meet) – Ribbon Writers collect the ribbon forms from the two Gray Eagle swimmer lanes, and completes and files the ribbons. Mandatory Parent Meeting In order to review the season and to answer any parent questions, there will be a Mandatory Parent meeting on Monday, June 8th at 8:30 a.m., prior to the Inter-squad meet. All age groups (age 5-14) will report to practice at 8:30 a.m. for a meeting and then to swim the Inter-squad meet from 9-10 a.m. Picture Day Team picture day will be on Thursday, June 11th at 3:15 p.m., poolside. Individual pictures will be taken from 3:15-3:45 p.m. and a group photo at 3:45 p.m. This is prior to our home meet vs. River Glen. If you would like to purchase an individual and/or team photos, you must fill out an order form available at practice) with payment on picture day. All swimmers are expected to wear their team suit. 2015 Suburban Swim League Summer Splash Invitational Information The Invitational will take place at Hamilton Southeastern High School (13910 East 126th Street Fishers, IN) on Thursday, July 9th. This is an end of season meet with swimmers from all 7 teams in the league participating. All qualified Gray Eagle swimmers will be entered by Coach Kruse in the Invitational and expected to swim. To qualify, swimmers must compete in one (1) dual meet. Swimmers will swim each individual event as well as relays, given there are enough children in the age group to make a relay team. During Invitational, swimmers are NOT allowed to swim up an age group in individual events. Swimmers are only allowed to swim up an age group in relay events. If there is at least one swimmer of that age group willing to swim the relay event, a relay can then consist of that one swimmer and the remaining swimmers from a younger age group. Volunteers are essential to the success of this meet, therefore it is mandatory for a parent from each family to volunteer. Each team will be required to supply volunteers for each session. EXPECTATION OF PARENTS VOLUNTEERS – All volunteers must sign up to volunteer at 3 swim meets via “Sign Up Genius.” Information will be emailed to parents on how to sign up via Sign Up Genius once all forms and payment have been received. Volunteers must sign up no later than Thursday, June 4th. All families will be required to work at least three (3) meets in addition to the Invitational. The Practice meet is mandatory for all new swim families but does not count toward the 3 meet requirement. MEET SIGN-UP – Each swimmer must sign up for every meet he or she will be participating. Parents will be responsible to sign up their child for every meet he or she will be participating. All swimmers must sign up for each meet via on-line at Team Snap by the posted deadline. Information will be emailed to all members on how to sign up for each meet once all payment and forms have been received. Any swimmer who has not indicated their participation status for a meet will not be put in the line-up for that meet. If a swimmer who has not signed up for a meet and shows up to a meet, he/she will not be guaranteed to swim (Swimmers listed on the meet line-up will not be bumped or replaced with swimmers who have failed to sign-up). This will be used for sending team reminders and any important team updates. LIABILITY – It is mandatory for parents of children 12 and under to be in attendance during practice and meets due to pool liability. During practices and both home and away meets there is to be NO SWIMMING, by team members or siblings, in the baby pools or any adjoining pool structure. PRACTICES & MEETS – Having your children at both meets and practice on time is extremely important. Remember, participation makes for a better swimmer. Preferably 15 minutes prior to PRACTICE 45 minutes prior to an AWAY Meet 60 minutes prior to a HOME Meet HOME MEET – Please report to the “Check In” area by the awnings. Sign in. A meet line-up of heats will be posted. There will be markers available for you to mark your swimmers arm with their name and any events in which they are participating. This aids your swimmer in knowing what events they are swimming and will aide them in being ready prior to each event. *Swimmers are to stay in this designated area for the remainder of the swim meet.* AWAY MEET – Please find the team in our designated area. Sign in. A meet line-up of heats will be posted. There will be markers available for you to mark your swimmers arm with their name and any events in which they are participating. This aids your swimmer in knowing what events they are swimming and will aide them in being ready prior to each event. *Swimmers are to stay in this designated area for the remainder of the swim meet.* QUESTIONS TO COACHES – Please limit communication with coaches. If for any reason you need to communicate with a coach, please do so through by e-mail or telephone. Tying up the time of our coaches diminishes practice time for all swimmers. WEATHER – Inclement weather plays a large role in both our practices and meets. Practices: Coaches will determine practice cancellation. An e-mail and a text message will be sent to the team. Fridays may be used as make-up practice days. Practice may have a one hour delay and there will be an abbreviated schedule if weather is expected to clear. Meets: All swimmers are required to show up at the designated time. Any weather decision is the responsibility of the HOME/hosting team to cancel any meet. If the weather is questionable, and the teams are waiting it out, the meet will be called by 6 p.m. Swimmers are required to stay until a decision has been made. MOST IMPORTANTLY – We want this experience to be a positive one for your child. We want them to accomplish their personal best and to have FUN! Swim Team – 2015 Volunteer Deposit Our #1 goal is to provide a fun and safe experience for children and their families. To have a successful swim team, it is essential that we have plenty of volunteers at both home and away meets. Without volunteers we would be unable to conduct swim meets. All parents are required to work three (3) swim meets in addition to the Invitational. The first Inter-Squad meet is mandatory for all new swim team families, but does not count toward the three meet requirement. One parent from each family is required to volunteer at the Invitational meet. We understand that there are differing opinions concerning the need for parents to volunteer, but some actually enjoy it while others would simply prefer to watch the swim meet. We agree with both sides of thought, so with that in mind, we have come up with a plan that will give you a choice. We have implemented a Volunteer Deposit Program. The Volunteer Deposit is just that, a DEPOSIT, to which each family will have two options: (1) Volunteer to earn the entire amount back, or (2) Make payment to cover the cost of employing local teenagers to work in their place. Regardless of your choice this deposit will be required for all swim team parents. The deposit is $120 for each family. Deposit checks will be required at registration. A separate check must be written independent of the registration fee. Each family has the opportunity to earn back the full deposit by volunteering to work three swim meets in addition to the Invitational meet. The volunteer must be an adult or a teenager over the age of 15. Those families choosing to volunteer must register the dates they would like to work no later than Thursday, June 4h. All volunteers must sign up to volunteer at 3 swim meets via “Sign Up Genius.” Information will be emailed to parents on how to sign up via Sign Up Genius once all forms and payment have been received. The Invitational Meet is mandatory and will not count toward the three (3) required volunteer positions. Rainout dates will NOT be required to be rescheduled and will count as a shift worked. If you fail to work a meet that you have signed up for, your deposit will be cashed to help cover the cost for an employee to work that meet. Please call the team mom if you are unable to work a meet that you have already committed to. After you have worked three (3) swim meets and the Invitational, the family will receive their uncashed deposit check back at the Team party. Those families choosing not to work a swim meet will have their checks cashed on Friday, June 5th. This money will go to pay for a replacement. We are very excited about this program as it provides a win, win for everyone. Those who chose to volunteer pay nothing and those who would prefer not to work are no longer required to do so. This is something several other area programs have incorporated into their league(s) and all view it as a resounding success.
