Procurement/Admin Assistant
Important Note - Position open to Kenyan Nationals only
Duration: Initial contract for 6 months with possibility of renewal subject to availability of
funds.
HIAS Refugee Trust of Kenya (HRTK) is a non-profit non-governmental organization
committed to the assistance, protection and durable solutions needs for refugees at
heightened risk in Africa, through the provision of direct psychosocial, social and
resettlement services as well as through community outreach and capacity building for
partners.
HRTK seeks to recruit a qualified and well experienced Procurement/Admin Assistant. Under
the supervision of the Project accountant at the Head Office, with close oversight from the
Counselling Psychologist, the incumbent will carry out the following functions on a roving
capacity:











Dispatch all the mail- postal or hand deliveries including shipment/courier of documents
to outer stations.
Custodian of stationery and responsible for dispatch of stationery to staff.
Keep and update the inventory list.
Handle quotations and deliveries, etc
Ensure maintenance of office equipment including computers, copier, vehicle, generator,
telephone, etc
Handle the petty cash payment and custody.
Photocopying of accounting documents for headquarters reporting.
Coordinate the procurement process from enquiries, sourcing for quotations, raising
purchase orders and flowing deliveries to appropriate personnel.
Supervise the distribution of food by social workers and keep records on the same
Process requisitions into purchase orders.
Organize and maintain computerized records containing vendor and bid information.



Perform general clerical duties such as maintaining general files, typing, data entry and
completing and processing standard purchasing forms.
Correspond with vendors regarding prices, product availability, and delivery.
Perform other duties as required.
Qualifications
Education
Degree in Business Administration or related field.
Skills and Competencies
Proficiency with MS Office suite.
Excellent knowledge of book keeping
Experience
Not less than 2 years’ experience in a fast paced environment.
Languages:
Proficiency in English, Swahili
