The grant is a compensation for the student’s extra mobility expenses, i.e. insurance and travelling costs. The grant is exclusively intended for destinations outside the EEA (European Economic Area). A certain budget will be made available by HZ University of Applied Sciences, which grants the grants to the students. This means that the HZ grants are only awarded if all conditions are met and sufficient budget is available. 1. FOR WHOM? The HZ grant may be applied for if: 2. • the student is going to a non-EU/EEA country for study or an internship; • the student stays abroad for a minimum of 3 and a maximum of 6 months; • in case of an internship, if the student does not receive an internship compensation in whatever form, such as for accommodation or travelling costs. TERMS • the student must be enrolled at HZ University of Applied Sciences and follow a Bachelor’s programme that is completed with a Bachelor degree; • the student will remain enrolled at HZ University of Applied Sciences during the period abroad and continue to pay the regular tuition fees to HZ University of Applied Sciences; • • • • • • 3. the student actually lives in the host country throughout the entire HZ grant period; in case of a study abroad both HZ and the Partner institution must have signed the HZ agreement; the grant can only be granted for a fulltime study and internship/minor, for which the number of hours for the internship/minor (incl. research) should be between 36 and 40 hours per week; the study/internship/minor has a duration of minimally 3 months and maximally 6 months; the HZ grant can be applied for once only and is granted for the entire study period at HZ; Students returning to their home country cannot apply for his grant. PARTICIPATING COUNTRIES All countries outside the EEA. Procedure HZ grant 2015-2016 Versie 1 24 April 2015 2 4. AMOUNT There is a fixed daily amount; this is €5 per day. HZ has the following rule: a month is always 30 days (whether February, March or April): daily amount € 5 x 30. The period is calculated from start till end, i.e. the exact number of days including the end date. 5. DEADLINE The deadlines for submitting an application for a HZ grant for the study year 2015-2016 are: 6. Study 1 June 2015 : application for semesters 1 and 2 Internship 15 September 2015 15 February 2016 : applications for semester 1 : applications for semester 2 PROVISIONAL AND DEFINITIVE GRANT AMOUNT The provisional amount of the HZ grant that is granted is based on the planned number of days abroad as indicated by the student specified in the HZ Grant Agreement. Only at the conclusion of the period abroad, when the student has met all the administrative requirements of the study and/or internship period, the definitive grant amount is determined on the basis of the then available data by the International Office. (see Section 8). If subsequently becomes clear that incorrect information has was provided by the student, the grant may still be adapted and possibly overpaid grant amounts be recovered by HZ . 7. APPLICATION = NOT AUTOMATICALLY A GRANT! If a student applies for a HZ grant, it does not automatically lead to the awarding of a HZ grant. The International Office cannot give guarantees for the grants, even though the student has submitted the application (well) before the deadline. Students that go to their home country cannot apply for a grant. 8. PROCEDURE OF AWARDING • • • • • 9. Up to the deadline no promises can be made; After the expiry of the deadline the International Office reviews how many (complete!) applications were received; If the number of applications for the HZ grant fall within the budget, students are eligible to receive 3 months stay abroad which is € 450 in total. At the end of the academic year 2015-2016 we will decide whether there is sufficient funding to award you an extra amount related to the total stay abroad. Within 6 weeks after the deadline(s) it will be communicated who will and who will not be awarded a grant; EXTENSION PERIOD The stay abroad cannot be extended. Procedure HZ grant 2015-2016 Versie 1 24 April 2015 3 10. PAYMENT OF THE GRANT Payment of the grant takes place in two stages: 1. The first payment (advance) is 70% of the total provisional grant amount. 2. The second payment (post-payment) is in principle the remaining 30% of the definitive total grant to be paid. The aim is to pay the advance of 70% in the first month of departure. The second payment is the definitive grant amount minus the advance and possible settlements with relation to the definitive period of stay based on the submitted HZ documents. The deadline for the student to hand in all the HZ grant documents is 1 month after the end of the HZ study or internship period. 11. RECLAIMING A HZ GRANT One of the obligations the student has when submitting the HZ grants forms is that he/she has to refund the amount of paid grant fully or partially if he/she has imputably failed to fulfil the terms of the agreement. Examples of this are incorrectly filled in start and end dates of the HZ grant period, or the withholding of an internship fee. Not attributable shortcomings are also possible. It is certainly not an imputable shortcoming if there are conditions, in which it cannot reasonably be expected of the student that he/she will continue the stay abroad and if these circumstances have also been reported to the contact person at the home institution and have been accepted (in writing). 12. APPLICATION PROCEDURE Information will follow. Remarks: The International Office only takes up an application if it is complete. The forms are complete if they are fully and correctly filled in and signed by the appropriate parties. Furthermore, you need to have registered with the HZ Move-on mobility database.
