TERMS AND CONDITIONS: PROPOSALS FOR KKNK 2016
The following general terms and conditions apply to proposals for the KKNK 2016. Any enquiries can be
directed to Linda Marques at 044 203 8600 or linda@kunste.org.za.
1.
EVALUATION
Only complete proposals submitted electronically by the deadline of 31 July 2015, will be considered.
All proposals will be evaluated by Kunste Onbeperk’s Programme Team.
2.
BUDGET
Proposals for Fee and Partnership productions will require a detailed budget as part of a business
plan. This business plan will have to be submitted to the Programme Team at least two weeks prior to
a scheduled presentation of your proposal. A budget template will be supplied and can be used as
guideline.
3.
FUNDING
You are free to obtain additional funding. However, to protect the interests of the festival's existing
sponsors, all possible sponsors or funders need to be cleared by the Chief Operational Officer,
Bernard le Roux, at bernard@kunste.org.za.
4.
PERFORMANCE RIGHTS AND ROYALTIES
Permission for any performance rights from Samro or Dalro are your responsibility and the amount
payable for copyright must be part of your budget. This also applies to foreign productions and
translations. Box office productions are also responsible for the paying of royalties to Samro.
5.
PAYMENT
Kunste Onbeperk’s Creative Head will negotiate a contract type and details with you. No payment will
be made before the festival has concluded a contract with you.
For Fee and Partnership contracts, the KKNK reserves the right to audit production costs, as well as
to recover costs from you if there is a substantial deviation from the negotiated budget.
Computicket acts as a booking agent for all ticket sales. For Box Office productions, Computicket will
pay the net profit, after deductions, directly to you. The following deductions are applicable:
 A maximum of 5% of the tickets retained as complimentary, for the use of sponsors, the media and
special guests. Complimentary tickets not utilised, will be returned into the system for door sales;
 Complimentary tickets drawn by yourself at a cost of R1.14 per ticket;
 Discount of 10% for groups of 20 - 49, and 15% for groups exceeding 50 people;
 Booking fee of R4.56 payable to Computicket for every ticket sold;
 Banking fees of 2.5% payable for every ticket purchased by means of a bank card.
6.
SET TRANSPORT
For Fee and Partnership productions, return transport for the set from Gauteng and/or the Cape is
arranged by the festival, from and to the same address. If an alternative return destination is chosen,
the KKNK will consider it, if the transport costs are not increased. Box office productions are
responsible for the transport of their own sets.
7.
TECHNICAL
The festival provides technical equipment and support staff in the venues, according to the needs
indicated on your proposal. It is important that you give accurate technical details. We use this
information to determine the appropriate venue and scheduling for selected productions. Productions
are requested to immediately notify the Technical Coordinator, Pieter-Jan Kapp at
tegnies@kunste.org.za, if there are any changes to their technical requirements. The KKNK will not
guarantee that additional costs, due to late changes or extravagant requests, will be accommodated.
8.
SCHEDULING
Productions are scheduled on the basis of negotiations with producers. Scheduling refers to the
specific days and times that the production will play. Each production is expected to perform at least
once daily for the duration of the festival. It is important to indicate which company members
(including technical members and cast) are involved in other productions. The festival will do
everything possible to take your needs into account while scheduling, but other factors such as
available slots, scheduling clashes with other productions, the technical requirements of the specific
venue and production and the audience capacity for the production, play a crucial role.
9.
CAST
Any changes to your proposed cast after submission can influence the selection of your proposal.
10. VENUE OCCUPATION
The Technical Coordinator, Pieter-Jan Kapp, will determine each venue's capacity in terms of
scheduling according to the move-in and strike schedule, as well as the duration and rehearsal needs
of each production. It is important that this information is provided accurately. The final venue
schedule is confirmed before the festival and you and your team are requested to keep to this
schedule. Please bear in mind that there is a lot of pressure on the venue schedule during the festival
and any change will have serious implications for other productions.
11. PUBLICITY AND MARKETING
The marketing of productions for the festival is as important to the KKNK as it is to you. Towards this
end, the producer must undertake to market the production in the lead up to, and during the KKNK.
This includes, but is not limited to, the writing of personal blogs, utilising social media (Facebook,
Twitter etc.) at least once per week and sharing posts made by the KKNK. These posts will be made
on an on-going basis, as part of the build-up in the three months leading up to KKNK, and must
include sponsors, organisers and fellow artists in a positive way. Producers must also be available for
media interviews in the lead up to, and during the KKNK and provide the KKNK with quality
photographs and programme information upon request. Please note that the production will not
receive additional payment if TV and/or radio recordings are made for promotional, archival, publicity
or documentary purposes, unless the broadcast is more than 10 minutes long.
12. OTHER PERFORMANCES
No member of the proposed production, if selected, may take part in any other show, apart from those
on the festival programme, on any date(s) between March and April 2016 within a radius of 200 km
from Oudtshoorn.
13. KANNA AWARDS
All productions and curated art exhibitions at the festival will be evaluated by the Kanna panel (an
independent group of experts) and will be considered for the Kanna Awards. Prizes (cash and a
statuette) are awarded in various categories.
14. ACKNOWLEDGEMENT OF RECEIPT
All submissions will be acknowledged by email within a week of successfully submitting your proposal. If
you do not receive confirmation, you can accept that we have not received the proposal and should
contact Linda Marques at linda@kunste.org.za or 044 203 8600.
15. FINAL SELECTION
The results of the final selection will be communicated by 29 September 2015.
