Children
Due to the business nature of this event, children under 16 are not permitted into the
Exhibition Hall or the Conference during installation, official show days and teardown. Children
ages 16 and older will be admitted to the Exhibition Hall during official hours, provided that
they are registered, pay appropriate fees and with the understanding that they are the sole
responsibility of an accompanying adult.

Disability Access
The Miami Beach Convention Center is accessible to person with disabilities and includes the
following access accommodations:
- Elevators located on the buildings East and West sides, and the center “pod” area.
- Wheelchair ramps on the East side, and on the first floor level. Elevators provide access to the
second, third and fourth floors.
- Restrooms on each level have accessible stalls, sinks, towel dispensers and mirrors
- (1) TDD is located in the C Lobby
- Public pay phones with volume controls are located in each lobby
- Disability parking is located in the Preferred lot (Convention Center Drive), the “five story”
garage (17th Street and Convention Center Drive), the “six story” garage (18th Street and
Meridian).

Empty Containers (regardless of size)
It is prohibited to store empty containers of any kind on the stand. Storage of empty boxes,
containers, materials may be arranged with Freeman Decorating. Miami Beach Convention
Center has the right to request any exhibitor to store empties if they see any exhibitor not
abiding by this rule.
Event Attire
Business smart attire is appropriate throughout the exhibition, conference and all related
events. Be sure to pack a light sweater or jacket for the evening. (No jeans or sneakers during
official show events or show hours)
Exhibitor Badge Allotment
All exhibitors will receive the following badge allotment. Badges may be picked up onsite at the
Miami Beach Convention Center
Exhibitor Badges are unlimited - Please Note: No one will be allowed to access the exhibition
hall and/or conference sessions without registering and collecting an event badge. Booth
Personnel registration is complimentary and unlimited. (NO LUNCH INCLUDED)
Also we do not mail badges. Badges and event materials can be collected on site in the
registration area. Badge Reprints: Attendees and Exhibitors will incur a $25 fee for badge
reprints. ID will be required to receive badge reprints.

Exhibit Booth Designations
Linear (Standard In-Line) Booths: one or more booths (35m/10ft wide x 3m/10ft deep with a
maximum back wall of 2.44m/8ft) that have only one side exposed to an aisle and are generally
arranged in a series along a straight line.
Perimeter Booths: a Linear Booth that backs to an outside wall of the Exhibition Hall rather
than to another exhibit. All guidelines for Linear Booths apply except that the maximum height
of the back wall can be 3.66m/12ft.
Island Booths: exposed to aisles on all four sides. Maximum height allowance is 4.88m/16ft.
Show Management will allow an additional height allowance of up to 6.1m/20ft including
signage. Drawings must be approved by Show Management. (Contact Lydia Janow,

Double Floor Booths: floor plans must be submitted to the Miami Beach Convention Center
eight (8) weeks prior to set up. See requirements below:
Exhibits with Multiple Levels (Double Deck):
1. Covered areas over 300 square feet (92.90 sq. m) will require a Fire Watch.
2. Upper levels should support a live load of 100 lbs. per square foot (488.24 kg/sq. m).
3. Guardrails should be at least 42 inches (1.07m) in height and have intermediate rails through
which a six inch (15.24cm) sphere cannot pass.
4. Covered or roofed area should be furnished with acceptable (and tested) battery-powered
smoke detectors which emit alarms audible outside of the enclosed or covered area.
5. A clear firebreak of at least 10 ft. (3.04m) should be provided between double-deck in
covered area in excess of 1,000 sq. ft. (92.90 sq. m).
6. There should be stairways, separate and remote from each other, from the upper deck, with
an occupancy factor of twenty-five or more people, or where the upper deck size exceeds 500
square feet (46.45 sq. m).
7. Stairways should be at least 36 inches (9.15dm) wide for occupancies of less than 50 people.
Stairways should be at least 44 inches (1.12m) wide for occupancies of 50 people or more.
8. Stairways should support a live load of 75 pounds per square foot (366 kg/sq. m).
9. There should be fire extinguishers, minimum class 2A10BC*, in each enclosed area covered
by the floor above.
10. There should be a licensed structural engineer’s stamp of approval on all plans.
Note: A 2A10BC refers to a capability and capacity rating of an extinguisher able to put out a
fire 10 sq. ft. (.93 sq. m) in area of normal combustible material, flammable liquid, or electrical.
Exits: The travel distance within the exhibit booth or exhibit enclosure to an exit access aisle
shall not exceed 50 ft. (15m). No display or exhibit hall be so installed or operated as to
interfere in anyway with access to any required exit or with visibility of any required exit sign.
All required exits, including entrance/exit and lobby areas of each hall, the center exit pod and
all corridors/aisles shall be unlocked and kept free of exhibits, booths, tables, registration desks
and all other obstructions during show hours.
Exhibition Hall Passes
All exhibiting companies are provided the opportunity to invite colleagues and prospects
(unlimited) to attend the exhibition Hall on a complimentary basis provided they are registered
prior to April 6, 2015. A link to the form will be provided to all exhibitors to send this invitation
out to your colleagues and prospects.

The Miami Beach Convention Center will not accept any materials sent to them in association
with this or any event. Please ensure that any materials you are sending go through Freeman.
Erecting and/or dismantling of all booths will be carried out at the specified times.

Please note that no company is allowed to bring any type of Food & Beverage into the

Hanging Signs: (for island booths only)
Hanging signs and graphics are permitted in all Standard Island Booths. Show Management will
allow a maximum height of 20ft/6.1m including signage. Sketches and stand design must be
approved by Show Management (ljanow@aviationweek.com) and Freeman Decorating
(heather.chapman@freemanco.com).
Whether suspended from above or supported from below, the booth should comply with all
ordinary use-of-space requirements (for example, the highest point of any sign should not

all times. The Miami Beach Convention Center and Show Management provide general security
when the Hall is closed. Show Management, The Miami Beach Convention Center, TWI and
Freeman Decorating are not responsible for any loss, theft, damage, injury or destruction or
anyone’s property or the property of its agents or employees, by or from any cause
whatsoever. Each exhibitor should provide ample insurance for their booth.
Lost and Found
All lost and found articles are logged and placed in our Security Office. We attempt to identify
the owner and return all articles. To inquire about lost items contact the Security Manager at

Meeting Rooms/Hospitality Suites
Please note that Show Management requests that no meetings be held during any of the
Event’s official food & beverage periods. All hotels have been appraised of this requirement

Parking
Parking for all vehicles is available at the municipal lot on Convention Center Drive (“Preferred
Lot”), as well as at a parking garage located on 17th Street, one block from the MBCC. Attendee
parking in the preferred lost is currently $15.00/day subject to space availability. Valet parking
is also available, subject to space availability. (Disability-Accessible Parking – N/C with I.D. #)

All vehicles will be required to locate parking in the surrounding areas at cost. (No in/out

Rigging
Rigging at the MBCC is subject to approval by Show Management and Venue Management and
must meet industry standards. All rigging is done by union labor. [Please see HANGING SIGNS

Safety & Security
The Miami Beach Convention Center provides overall security as well as fire extinguishers and
emergency signage in all rooms. The Miami Beach Convention Center is also responsible for
handling exceptional emergency and/or evacuation situations, in the framework of The Miami
Beach Convention Center’s Emergency Plan.
Shipping
The Miami Beach Convention Center will not and cannot accept or store shipments in advance
of this Event. Any shipment that arrives at The Miami Beach Convention Center will be refused.

Smoking
There is no smoking inside the Miami Beach Convention Center. Smoking is permitted at
applicable areas on the outside grounds of the property.
Sound/Music
Exhibitors may use sound equipment in their booths so long as the noise level does not disrupt
the activities of neighboring exhibitors. Speakers and other sound devices should be positioned
so as to direct sound into the booth rather than into the aisle.
Rule of Thumb: Sound and noise should not exceed 8.5 decibels
Exhibitors should be aware that music played in their booths, whether live or recorded, may be
subject to laws governing the use of copyrighted compositions. ASCAP, BMI, SGAE and SESAC
are the four authorized licensing organizations that collect copyright fees on behalf of
composers and publishers of music. Under the provisions of the Performing Rights Act, Article
15, Copyright Act, permission from the Society for Musical Performance & Mechanical
Preproduction Rights (GEMA) is required for sound reproduction in any form. Any music
reproduction not registered may lead to claims for damages from GEMA under Act 97 of the
Copyright Act. An application for GEMA permission should be made in advance of the event.

The Miami Beach Convention Center is conveniently situated only minutes from the Miami
International Airport via State
Road 112 and US 195, downtown Miami and the Port of Miami via I-395, Fort Lauderdale and
the Palm Beaches via both Interstate 95 and the Florida Turnpike to the Julia Tuttle Causeway

Water, Waste, Compressed Air and Plumbing
The Miami Beach Convention Center provides this service which is comprised of laying to the
point requested on the stand. Under no circumstances does it include connection to any other
element (washbin, sink, etc.). If this service should be needed, it may be contracted in the

Work Passes
Work passes – in the form of wrist bracelets - will be made available on Sunday for contractors
to enter the exhibition hall.
Passes may be picked up at the Registration Desk located in the foyer are of The Miami Beach
Convention Center. All contractors must check-in and out through the MBCC Security located
near the dock entrance.
