EARTH 2015 EARTHPLAY 2011 EXHIBITORDAY APPLICATION AND AGREEMENT EXHIBITOR APPLICATION AND AGREEMENT An Earth Day Event · Saturday, April 18 · 11:00 a.m. - 4:00 p.m. Showcase your green organization or business! This free to the public and highly publicized Earth Day event will take place on the beautiful Oak Grove School campus located at 220 W. Lomita Avenue, Ojai. Please submit your completed application and payment as soon as possible. Exhibitor space is on a “first come, first served” basis. We will make every effort to honor your requested booth space, but reserve the right to determine final location to prevent the ‘bunching’ of similar type companies. Application deadline is Friday, April 10, 2015. Upon acceptance of your application and receipt of exhibitor fee in full, a confirmation of your registration will be sent. A final exhibitor confirmation and instructions will be emailed approximately 5 days prior to the event. General Information and Requirements The receipt of your application implies acceptance of the following “General Rules” covering the event. Exhibitors are required to have a focus on environmentally-friendly products, services or education. The Earth Day committee reserves the right to refuse booth space to any individual, group or organization whose exhibit is not family-friendly nor in keeping with the focus of the event. Note: in our experience this event is better suited for information and name exposure rather than direct sales. PLEASE contact us at 805-669-8445 if you are not sure if your organization or business is an appropriate fit. Spaces are approximately 10 feet by 10 feet. Multiple spaces can be reserved. Spaces come unfurnished. This event is held outdoors and will take place rain or shine. There will be no refunds for adverse weather conditions or other acts of nature. We highly recommend a pop-up canopy for all booths in areas marked "canopy” on map legend. For rentals (pop-ups, tables, chairs, etc.) we suggest Greg Rents in Oak View, 805-649-2590, offering a 20% discount with your Earth Day booth receipt; or Ventura Rentals at 805-644-4496, offering a 10% discount with receipt. No refunds will be given for cancellation by the exhibitor after April 10, 2015 or failure to use the reserved space. If cancelled prior to April 9th, we will refund 50% of the booth fee. All displays, exhibits, signs, products, or items shall be confined to the booth space, unless prior permission given. Electricity is available for a limited number of spaces, but we request NO gas generators. Please call to discuss. Please also note, no sound amplification is permitted without advance approval. All booths must be set up and ready for the public by 10:30 a.m. and remain staffed and operational until 4:00 p.m. Exhibitor parking area provided. All structures, improvements, property, and refuse of the exhibitor must be removed by 6:00 p.m. Please make every effort to reuse and recycle and to reduce landfill waste. As a general rule, only one organization/business is permitted per space. Two exhibitors wishing to share space should contact us prior to submitting the application. Oak Grove School, Food for Thought, Ojai Valley Green Coalition and Ojai Valley Land Conservancy are not responsible for any lost, damaged or stolen property.
