Boys & Girls Clubs of King County ~ NE and South Region Camp Manual 2015 2015: Boys and Girls Club Manual WELCOME Welcome to the Summer Adventure Camp at Boys & Girls Club! We are licensed child care programs that serve children ages 5-12 and one tween camp that serves 4th grade to 12-yearsold. Our summer programs provide a variety of safe and well-supervised activities that are entertaining and engaging for participants. Our summer camps provide nine to ten fun-filled weeks (subject to location) complete with swimming, outside activities, trips to local landmarks, museums, creative exploration, and exciting activities all over Puget Sound. Upon registering for summer camps you received a schedule of all the major field trips and activities in which your child will be involved. Please remember that we will do our best to stick to the schedule, but sometimes field trips have to change. Please feel free to contact your site’s director with any questions, ideas, concerns, or comments you may have. RED CARDS Included in this packet is a RED CARD. Please fill out this card and return to the club ASAP! The purpose of this card is so we can easily access emergency numbers. It also gives Boys & Girls Club permission to take your child on field trips. We take these cards everywhere we go. We ask returning parents to fill these out every year so we can have the most updated information. We will be discarding old cards. Thanks so much for your cooperation. SUNSCREEN Please apply sunscreen BEFORE ARRIVING at the Club. The Club will provide and apply sunscreen for each child twice a day if you sign the sunscreen release form available online or in the printed packet. If you do not want us to apply sunscreen to your child, please indicate this on the form and red card. WE MUST HAVE THE COMPLETED SUNSCREEN FORM IN BEFORE WE CAN APPLY SUNSCREEN TO YOUR CHILD. We use Coppertone Water Babies SPF 50. The active ingredients are Avobenzone, Homosalate, Octisalate, Octocrylene, Oxybenzone. If you would like to supply your own sunscreen, please indicate that on the sunscreen consent form, send your child with the sunscreen, and make sure his or her name is clearly labeled on the bottle. Staff will supervise and assist with sunscreen applications. SIGNING IN AND OUT State licensing requires that parents or authorized adults sign children in and out of care on a daily basis. A FULL LEGAL SIGNATURE MUST BE USED. In addition to signing in and out, adults must check in with a staff member before leaving the Club. Parents or authorized adults that are new or unfamiliar to staff will be asked to present a photo I.D. All sign in and out sheets are located on the table next to the main entrance. MAIL BOXES Each family enrolled will have a parent mailbox. For the families that are new, these are located on the front entrance table next to the sign in and out sheets. Please check this folder daily as you will be receiving newsletters, calendars, bills and receipts, notes from staff, etc. The folders are organized alphabetically according to children’s last names. 2 2015: Boys and Girls Club Manual ITEMS TO BRING EVERYDAY Here is what participants need to bring everyday: Backpack Lunch that does not need to be refrigerated or heated Swimsuit and towel Change of clothes Water bottle PLEASE LABEL EVERYTHING WITH YOUR CHILD’S NAME. If your child is a beginning swimmer, we STRONGLY encourage you to bring a life jacket or floating device for your child. The Boys & Girls Club is not responsible for any lost items. TOYS FROM HOME We are asking for NO OUTSIDE TOYS unless otherwise specified in the schedule. The Boys & Girls Club is not responsible for any toys that are brought from home. MESSAGES If someone is going to be picking up your child, please leave a message on the parent message board next to the sign in and out forms. Also feel free to call the Club to let us know if someone is going to be picking up your child. We cannot let your child leave if we do not have authorization. We check messages and emails throughout the day. Please feel free to use the contact information listed on the first page of this manual to get in touch with your site’s director. SNACKS AND LUNCHES We supply breakfast, a morning snack, and an afternoon snack. Breakfast will be served every morning from 7:30 - 8:30 a.m. (sorry, but no breakfast will be served after this time). Children must bring a lunch every day unless otherwise specified. We highly recommend sack lunches instead of lunch boxes with your child’s name labeled as we will be taking a lot of field trips. Please do not send lunches that need to be prepared such as Ramen, Macaroni and Cheese, etc. Also, please do not send lunches that require refrigeration. If your child does not have a lunch, we will provide them with a lunch for the cost of $5.00, but parents who habitually forget to pack lunches may be placed on probationary status as providing lunches is a hardship for staff. Lunch charges will be added to your monthly bill. Breakfast and snack menus are located in the front entrance. All menu items exceed state licensing requirements for quantity and nutrition. Snacks may vary in the summer due to field trips. REMINDER: PLEASE CHECK TO SEE IF YOUR PROGRAM IS NUT FREE. WE HAVE SEVERAL CHILDREN THAT HAVE DEADLY ALLERGIES. 3 2015: Choose Your Own Adventure CAMP T-SHIRTS Club members are required to wear a camp T-shirt. The shirts are worn on ALL field trips and outings. The Club will take responsibility for laundering the shirts daily and storing them at the Club. Shirts may be taken home at the end of the summer. FIELD TRIPS AND ACTIVITY PLANS On field trip days, we ask families to arrive no later than 9:30 a.m. If earlier arrival to a field trip destination is necessary, we will put a large announcement in the front area, along with indicating the time change in our monthly parent newsletter. Unfortunately, there is no option to stay behind on field trip days. On general field trip days, we leave by 10 a.m. and are usually back by 3 p.m. We travel via bus, Club van and metro bus. Car seats are provided for members that legally require them. SUMMER EXPECTATIONS FOR PARTICIPANTS We expect each child to behave safely, be cooperative, and to be respectful to staff and campers on all field trips, outings and activities, as well as at the Club. We make behavior expectations clear to children in advance. If children are unable to meet the expectations, they will not be able to participate in a field trip. If negative behavior continues, a meeting with parents or guardians will need to be arranged to set up a behavior plan. SWIMMING The summer is filled with a lot of swimming. Each beach or pool we attend will have lifeguards on duty. The areas will be heavily supervised and children will have to follow a set of rules in order to swim. If your child is learning to swim, we strongly encourage you to bring a life jacket they can use. FEE PAYMENT A $25 non-refundable deposit is also required for each week you are attending to save a spot. The final balance for each week of camp is due one week prior to that week’s start date (for example, the balance for week 4 is due on or before the Monday of week 3). Failure to pay bills on time may result in your child not being allowed to attend camp. CANCELLATIONS Since we base staffing on daily numbers of children attending, we must have 24 hours notice for any cancellations. If we do not get 24 hours notice, then you will be billed for that day. Your $25 deposit for that day/week will also be lost as deposits are non-refundable. If we have your child signed up for a week and they do not attend, please understand that you will be billed for that week if we are not notified by Sunday that they will not be attending.
