London Brunel International College (LBIC) is currently recruiting an Admission Officer based on campus at Brunel
University London. The Admission team offers a vital role for the overall admission and enrolment of students. The
Admission Officer is expected to work as part of the College’s Admission and Marketing Team, collaborate closely
with the College’s Academic Services, Student Services and the University’s Admission team to establish strong
links in order to expedite a seamless CAS issuance and referral process. The Admission Officer has direct line
responsibility to the Admission and Compliance Manager for purposes of quality control and non-standard
applications.
Essential









Educated to undergraduate degree level or with a minimum of two (2) years’ experience in an admission
environment
Demonstrated experience in effective student interaction systems and educational services provision
Well-developed interpersonal, presentation and negotiation skills and excellent oral and written
communication skills
Ability to work both independently and collaboratively
Demonstrated commitment to transparent quality management processes
Demonstrated understanding of the need and the ability to work closely with marketing and recruitment
imperatives and tactics and thus make a significant contribution to sustainable business growth
Understanding of entry and admission requirements and management in the UK’s Higher Education
environment
ICT literacy particularly Microsoft Office environment and database management
Experience in a multicultural learning environment
Desirable



A language in addition to English

Purpose of Position
The Admission Officer is expected to work as part of the College’s Admission and Marketing Team,
collaborate closely with the College’s Academic Services, Student Services and the University’s Admission
team to establish strong links in order to expedite a seamless CAS issuance and referral process. The
Admission Officer has direct line responsibility to the Admission and Compliance Manager for
purposes of quality control and non-standard applications.
The Admission Officer will:





Be able to research problems online or through colleagues to arrive at a timely solution that is
leading practice, secure and complies with Navitas Network and Security Policies
Demonstrate a practical, operational understanding of the Tier 4 compliance regime and the
criticality of the application verification process
Day-to-day liaison, as required and instructed by DMA, with Navitas agents and
past/present/future students through the College’s official Facebook Page and Facebook Group, in
accordance with the Navitas Guide to Administering Facebook Groups and Pages and the IT
Acceptable Usage Policy
Possess a desire to improve systems to best practice levels without adversely affecting the overall
student experience






Transfer to the Partner University’s Admissions Office those applications eligible for direct
admission and retrieve records on all ineligible students who have been referred to the College
Assist in the registration of students on the Partner University’s Student Management System
during the integrated orientation activities
Monitor the MAZE database and the upload link to the University’s database to ensure that the
College’s student data as held by the University is current and accurate at all times
Liaise with the University’s English language centre (where one exists) regarding cross-institutional
student enrolments
Develop an extensive knowledge and understanding of the Partner University and its degree
programmes and provide detailed admissions advice and guidance to prospective students to
inform their decision making

Implement the College’s cost effective, admission processes and strategies and assist the
sales/recruitment process as determined by the Strategic Marketing Plan
Deliver best practice customer service to all customers at all times by ensuring that applications
are responded to within 24 hours; queries are followed up within 24 hours and applicants with
applications requiring further investigation are informed of any delays that may occur during the
vetting process

Stay abreast of changes to international eligibility guidelines (NARIC)
Implement changes to Student Visa conditions and terms particularly the Tier 4 Regulations and
requirements related to CAS (online processing)
Undertake scrupulous Application Verification processes using the Navitas UK template to ensure
accurate and coherent responses to applicants and agents
Determine eligibility of new applications against admission requirements and make offers to
students on that basis
Processing of student fees in MAZE; dealing with student payment enquiries; communicating
payment deadlines and enforcing late payment policies where applicable
Respond to email/internet enquiries from students and agents relating to admission
Maintain regular contact with prospective students as directed by the DMA
Prepare, process and manage the activities related to the issuance of CAS and any other Visa
Support documents and confirmation of acceptance
Refer student accommodation enquiries and information requests and bookings to Student
Services Team, liaising with the Manager Student Services and Support to ensure an obstacle free
accommodation booking and referral service
Ensure compliance with the regulatory framework governing the admissions function










Reports and Reporting Function
Track and analyse application trends, and provide data analysis reports to inform the student
services and customer service provision; the strategic direction of the marketing process and, the
development of new academic offerings
Prepare monthly reports on admission issues and trends inclusive of recommendations for more
effective management of the admission and student communication process: Reports to cover –
applications, outstanding offers, withdrawals, deferrals and confirmations for each
commencement period
Assist in the preparation and analysis of statistical data and trends relating to the performance of
student academic outcomes as required and directed by Admission Manager
Contribute to reports as directed for the Home Office on those students who have successfully
taken up their place and those who have failed to materialise or have been placed on ‘terminated’
status by the College




Marketing
Assist the DMA and members of the Marketing team to develop effective relationships with
Agents and counsellors in agency offices.

