INTRODUCTION
TO
COVER LETTERS
THE PURPOSE OF A
COVER LETTER
In today’s competitive job market, where a single job posting
can attract hundreds of qualified candidates, the few people
who are chosen for an interview are the ones who make the
best first impression on paper. Therefore, you need not only an
outstanding resume, but also a persuasive cover letter that
explains to the prospective employer why you are the best
candidate—the one they should choose—instead of one of the
other applicants.
Always keep the following points in mind when composing
your cover letter:
Attract the employer’s interest and convince him or her to
grant you an interview.
Highlight specific ways in which you match the job
requirements.
Make a positive first impression about you as a person.
Show your interest in working for the company and request
an interview.
The employer will probably scan your letter initially in under ten
seconds before deciding whether to keep it and read your
resume, or just discard them both. This is why you must make
your points succinctly and quickly in a well organized fashion on
a clearly laid out single page.
Remember that employers are interested in what you can
do for them, so keep everything you write relevant to the
job requirements.

HOW TO EXTRACT
INFORMATION FROM
THE JOB POSTING
AND TARGET YOUR
LETTER TO MEET
SPECIFIC
REQUIREMENTS
When answering a job posting, read the whole advertisement
carefully so that you understand exactly what attributes the
employer is looking for in a candidate. Highlight or underline
the key requirements, skills and experience that they want
and that you possess. Write your letter emphasizing your
qualifications in the areas they mentioned. You can put
your key qualifications in point form or in paragraph form. If it
helps to strengthen your point, you can also tell a story about
your experience in this position.
If employers ask for qualifications you do not have, do not
mention them in your letter. The job posting usually lists the
attributes of their ideal candidate. So, if you match most of the
requirements, you may still be one of the best qualified
applicants!
For that reason, focus on the qualifications you have, your
experience and the reasons why you would excel in the
job if you are hired. You will probably be competing with
many other candidates, so always keep in mind that your cover
letter is there to sell your ability to do the job and get you the
interview. Always be truthful, but be as persuasive as you like.

Point Form
Convenient format to write if you are composing many
letters for different types of jobs.
Allows you to pull out points from the job requirements and
address each in one line.
Easier to write, especially if your written English is not
perfect.
Quick to read for the employer, as the points stand out.

Paragraph Form
Advantage: It enables you to express yourself clearly in a
format that flows from one idea to the next, and gives you the
opportunity to demonstrate the excellence of your written
communication style.
Disadvantage: It can be time consuming to write particularly if
you are applying for a variety of different positions and have to
completely re-write the letter each time.
Example:
Having worked in this field for more than five years as one of
the top sales people, I have achieved record success. This is
in part due to my excellent relationship-building and
interpersonal skills.
Use a format that suits your writing style and ability, and more
importantly, the format that suits the needs of the reader. In
many cases a combination of points and paragraphs will make
the letter interesting and easy to read.

LENGTH
Your letter should be one page or less in length, long enough
to make your desired point, but short enough for the reader to
easily take in. Those in higher managerial or academic
positions will usually write more because the employer needs
more information in order to make a decision.
If your letter is long, pay special attention to the layout and
make sure you divide your letter into manageable paragraphs
for optimum ease of readability.

WRITING STYLE
Standard
The easiest and most straightforward approach is the standard
style of letter. This is clear, uncomplicated and business-like. It
is a safe approach that is commonly used by most letter writers.
For this reason, it will not cause confusion or put the reader off.
Example of a standard opening:
With reference to the advertised position of sales representative,
my resume is attached for your evaluation. You will notice my
experience and skills are an excellent match for your
requirements.
Creative
In some cases, depending on the type of work for which you are
applying, you may wish to make your letter stand out from the
competition with a creative approach to catch the reader’s
attention. While this can be effective, keep in mind that the letter
must maintain professionalism and convince the reader to grant
you an interview. On the one hand, being very creative may get
your letter to the top of the pile, but on the other hand, it might
also get your letter into the waste basket! Be cautious.
Example of a creative opening:
In today’s competitive marketplace, it takes a seasoned sales
professional to cut through the competition to produce tangible
results. Because I am one of a rare breed of such professionals, I
am applying for the advertised position.

Your cover letter will be a cut above the others—if you avoid
beginning all your sentences with the word “I.” Why?
Because repeatedly starting with “I” actually puts the focus on
YOU rather than on the skills you bring. It also makes for a
rather dull letter which might cause the employer to become
disinterested to the point that your application is overlooked.

HOW TO SEND
YOUR LETTER
In person – If you deliver your letter and resume in person,
remember to dress as if you are going for an interview. You
may meet the manager while you are there, and other staff
members may remember you and talk about you after you have
left. You should always leave a positive impression.
Mail – Instead of folding your resume and letter into a small
envelope, you can pay slightly more in postage for a large
envelope to keep your papers flat. A large envelope is more
noticeable, and your application will look better if it is not folded.
Ensure that the name of the person and the company are
spelled correctly. If appropriate, use
“Re: [
] position” on the envelope to indicate that
the contents pertain to a specific job posting.
Courier – This is expensive, but gets your resume delivered
quickly and demands instant attention from the recipient.
Fax – Still used by some small companies, especially for
manual jobs. Always use a fax cover sheet. Keep the details
on the fax cover sheet to a minimum. Ensure the pages are in
this order: (1) fax cover sheet
(2) cover letter (3) resume
E-mail / Web sites – This is predominately the preferred way
for most jobs these days. Unless otherwise specified, always
send documents in MS Word or PDF format.
HOW TO E-MAIL YOUR
LETTER AND RESUME
Attach your letter and resume together in one document.
(Alternately, you could copy your letter and paste it in the
body of the e-mail and attach your resume as a separate
document.)
Open a new e-mail message to the employer.
In the subject line, type: Application for the position of
[xxxx, Competition number ……..].
In the message portion (in Word format), type: Please find
attached cover letter and resume in application for the
position of xxx.

FILE TYPES
MS Word – If you have a newer computer that saves your
Word documents in .docx format (Word 2007), it is a good idea
to save your resume in .doc, which is Word 1997 to 2003.
Why? Because many companies still use the older versions
of Word and, therefore, they may not be able to open your
.docx file.
PDF –This format is unique because it does not alter in
transmission; the recipient sees it exactly as you sent it and
cannot alter it. PDF is like sending a photograph of the text.
Therefore, it is a very reliable way to send your resume. To
convert your documents to PDF format, you will need
appropriate software, which is available online.
TXT or RTF – Often useful for applying to company websites.
How to convert your Word document to a different format:
On the top left of the tool bar, click FILE.
A box opens. In the top, click on SAVE AS.
A larger dialogue box opens. At the very bottom, look at
the part that says SAVE AS TYPE. On the right there is an
arrow - V. Click on the arrow and scroll down until you see
the file format in which you want to save your document.
Select your file format then click SAVE.
You can also save your new document under a different
name as well by typing the new name just above.

OTHER TIPS
Keep a record, preferably on your computer, of every job
you apply for and every cover letter and resume you send
out. It is useful to keep them in sequence by date or
numerical order, for easy reference.
When e-mailing a resume using Outlook, you can click the
tab for Request Received and Read Receipt. If the
recipient replies to this, you are sure the e-mail has been
received and/or read.
To find out the name of the person to whom you should
address the letter when responding to an advertised job,
you can telephone the company and ask the receptionist for
the correct spelling and job title of the intended recipient.
Most reputable job postings give company information, but
in some cases you may use Reverse Lookup online to find
information from the company’s published fax number.

excellent reference books at your local library.

RESPONSE TO
SALARY
EXPECTATION
QUESTION
Some job postings ask you to state your salary expectation in
your cover letter. Answer this with caution. If you state a
specific salary that is too high or too low, you may eliminate
yourself from the competition, or find that when you reach the
interview you should have asked for more. Some employers
will eliminate applicants who do not address this point in their
cover letters.
Here are some ways to respond to this:
With regard to salary, based on my current understanding of the
position, I would expect a salary in the range of $65-$75,000
per annum. However, once we have discussed the details of
the position in an interview, I will be able to give you a more
specific answer.
I would like to give a specific reply to your request for my salary
expectations. However, I will need to discuss many of the
details of the job with you to gain a better understanding of your
expectations for this position. To achieve this, I will gladly
attend an interview with you at your earliest convenience.
My salary expectations for this position are dependent on a
number of factors including your anticipation of my value to the
company. Based on my understanding of the position from your
job posting, a salary between $80 and $95,000 per annum may
be suitable, but an interview with you will enable me to assess a
more accurate value.
