Welcome to the first PALM Delhi Expo!
Diversified Communications India Pvt. Ltd. would like to take this opportunity to thank all our esteemed
exhibitors who have come forward to support the PALM in Delhi.
Our strive in making PALM a truly professional and a trade exhibition will be seen in Delhi. PALM has been able
to deliver a flawless exhibition with a hassle free operational and logistical experience to the exhibitors in the
Mumbai show. We work with the same dedication and commitment to ensure that the first expo in DELHI is
delivered in the same lines.
To ensure that we stay committed to our effort, we have created this tool, the EXHIBITOR MANUAL. We would
request all of you to kindly go through the important points and make sure you are aware of all the rules &
regulations of ITPO. My Operation team will guide you with the process and help you focus on your exhibit more
than anything.
The Exhibitor Manual is a valuable resource in preparing for PALM Delhi Expo 2014. Whether you’re a first
time exhibitor or an experienced exhibitor, the manual is an easy-to-use guide to help make exhibiting a smooth
process and ensure that you have a successful show. This Exhibitor Manual will assist you in all of your pre-show
planning including onsite services & ordering information, information on usage of sound and its volume level,
important deadlines and Do’s and Don’ts.
Please read and understand the manual very carefully.
Order Forms
Please make sure you refer to our IMPORTANT DEADLINES PAGE in regards to the Mandatory Forms &
Additional Order Forms on page 19. This page outlines the Exhibitor’s checklist with details of purpose and
deadline of each form. To ensure that the services required, be delivered with maximum ease, these forms must
be filled in and submitted on or before the deadlines specified. Please ensure you keep a copy of the forms for
your records.
I would personally request all Exhibitors to invest 60 Minutes of Reading Time.

Performance Bond - Stand Contractors
A welcome kit package that contains exhibitor’s
badges & other useful information can be
collected from the Organiser’s Office. Ample car
parking is available for all our Exhibitors – FREE
OF COST at the Venue. Special arrangements
have been made to ensure hassle free PARKING.
All Raw Space contractors must provide a
refundable performance bond of Rs. 50,000 in
the form of current dated cheque paid to the
organisers. This amount will be used towards any
damages caused by the contractor during the
build-up or tear-down of stands.

Completion of Stand
Sound Level

Important Note for Exhibitors
•Exhibitors who have booked shell scheme stand are allowed access in the hall from 12:00 noon of 17th September
2014. During the build-up days for the Official & Private Contractors, unloading of goods and display of exhibit must
be done during the build-up period only. To ensure smooth operations on-site, the exhibitors are requested to
follow the exhibition schedule.
•Exhibition schedule should be adhered to strictly.
•Exhibitors are allowed access to the halls two hours before the official opening for any work completion.
•Exhibition will close at the given time. Exhibitors are advised to commence packing their exhibits and belongings
as soon as the exhibition ends on the last day. Arrangements with the freight forwarders will have to be made in
advance. Dismantling of shell scheme stands will commence immediately upon exhibition closing. Exhibitors are
advised to remove any items for display from the panels in their shell scheme booth space.
Important Note for Stand Contractors
•Contractor / Labour Badges should be requested in advance.
•Laborers without proper badges will not be permitted entry into the exhibition hall.
•Please secure the badges, as the same will be required for dismantling of booth on the 21st September 2014.
•Panels / platforms and other decoration for the interiors must be brought in prefabricated condition.

Possession Of Booth
Possession of the Raw/Shell Scheme Booths will be given only to those exhibitors whose accounts have been settled in

Administration Of Exhibition
Administration of exhibition will be controlled by the Organiser (Diversified Communications India Pvt. Ltd.) from the
organiser’s office. Participants should contact Pratibha Menon – Operations Manager at the organiser’s office for
taking possession of their booth.
Vehicle Entry To Exhibition Site
Vehicle carrying display material/exhibits will be allowed to enter for bringing the exhibition goods inside the hall.
Unloading must be carried out as quickly as possible. All Entry and Exit to the Hall 12 & 12A will be from Gate 1.
Completion Of Stands
The Aisle carpet will be laid at 5:00 pm on Wednesday 17th September 2014. Booth building must therefore be completed
under all practical circumstances before the 5:00 PM DEADLINE. No more material can be brought in after that time.
Booth Cleaning
Exhibitors please note that the hall will be cleaned every day in the morning, afternoon & evening. Waste bins will be
emptied round the clock.
Break Down Schedule
Breakdown will commence on Sunday 21st September 2014 from 5:00 pm until MIDNIGHT only.
Under no circumstances must any stand fittings, machinery or equipment etc. be left in the hall.
Any items left in the hall after midnight of 21st September 2014 will be disposed of and charged to the exhibitor.
Security
We have engaged an alert and efficient security force and will do our best to ensure the safety of your exhibits.
Nevertheless, exhibitors are still requested to have their equipment’s and other precious belongings properly insured.
Organisers are not responsible for damage, pilferage or any other loss, during shipping, transportation and handling
and also at the exhibition venue. It is important that no one in your booth ever leaves wallets, purses, laptops, or other
electronic devices unattended during show hours or after the show closes. Anything that you can carry should be taken
out with you each night.
Air Condition
Pragati Maidan Exhibition Complex has air conditioning from 18th – 21st September, 2014.

Services & Facilities for Exhibitors
Company Name & Fascia
All exhibitors taking “Shell Scheme” stands must send their fascia name panel on or before the deadline. This is a
mandatory form which must be filled and returned to the organizers. Please refer to Form 4 (pg. 23).
Exhibitor Package
Exhibitors will be provided with, an exhibition package which will contain useful information such as the official show
catalogue, exhibitor car pass and exhibitor badges. Please collect your package on arrival from Organiser’s Office (Hall
12 Foyer) on 17th September 2014.
Exhibition Catalogue Entry
PALM™ Expo Delhi 2014, Official Catalogue will contain an alphabetical list of exhibiting companies and general
information about the conference and exhibition. Exhibitors are entitled to one complimentary entry, which will
include company name, address and the contact details plus a 200-words description of the company, products and
brands dealt in. Please refer to Form 1 (pg. 20).
Exhibitor Badges
Identification badges will be issued free to all stand personnel. These are non transferable.
Strict security will be maintained at the exhibition site and exhibitors without their badges will not be allowed to enter
the exhibition hall. If a badge is lost or misplaced or additional badges are required, please report the same to the
Organiser’s Office. Refer to Form 3 (pg. 22).
Contractor & Labor Badges
Contractor & Labor Badges should be requested in advance. Strict security will be maintained at the exhibition site and
contractors and laborers without their badges will not be allowed to enter the exhibition hall. Please secure the badges
for the dismantling period as well.

Travel Partner
Diversified Communications India Pvt. Ltd., organisers of the PALM™ Expo Delhi 2014 has appointed Crocus Travel
Pvt. Ltd. as a Travel Partner. Exhibitors can contact them for any travel and accommodation requirements. To avoid
non availability of rooms and to enjoy the best discount possible on the room rates, kindly send your room reservation
requirements at the earliest. Please fill Form 10 (pg. 32) and send it to the contact person mentioned on the form before
the deadline.
Invitation Letter for Overseas Exhibitors
Overseas Exhibitors need a visa to enter into India. Overseas Exhibitors and Exhibitors expecting overseas delegates to
visit the PALM™ Expo Delhi 2014 must inform the PALM™ Expo office by filling the application form, providing complete
details as stated in the form. Upon receiving the information, an invitation letter addressed to the Indian Embassy in your
region will be dispatched to you on top priority. Please refer to Form 11 (pg. 35).
Extra Furniture/Fixture Hire
Extra furniture/fixtures can be ordered by filling Form 9. Furniture can be ordered onsite as well, however it would take a
minimum of 12 hours for delivery. We advise you to order the same before the exhibition. For your requirements, kindly
fill in Form 9 (pg. 28).
Internet Connection
Internet connection can be provided at your stand on request. Kindly fill in Form 13 (pg. 37). This connection will be
provided using a USB dongle.

Raw & Shell scheme booth Exhibitors requiring extra power or heavy load for an exhibit must fill in Form 5 (pg. 24).

PALM™ Expo Delhi 2014 Exhibition and Conference is approved by India Trade Promotion Organisation (ITPO).
Participation Certificate
Kindly ensure the “Participation Letter” has been issued to you, as this document is very important, especially for
Customs and Octroi Purpose. Kindly mail Pratibha Menon at pmenon@divcom.in incase you have not received the
same. The “Participation Letter” will be issued to you on receiving the entire payment for the booth booked / reserved.
Hostesses
Hostess services can be availed in exhibitor booths, during exhibit hours.

Car Parking
Ample car parking is available for all our Exhibitors – FREE OF COST at the Venue. Special arrangements have been
made to ensure hassle free PARKING.
Parking pass will be provided in the exhibitor kit, which can be collected from the registration desk or organiser office.
Free parking facility is available only during the show days i.e. 18th – 21st September, 2014.
Audio Visual Equipment for Hire
A whole range of Audio Visual Equipment is available for hire for the show like LCD, LED, Plasma, DVD-Player, Desktop,
Printer, etc. The list and price is mentioned on Form 12 (pg.36). Please fill the form and send the request to the contact
mentioned on the form before the deadline.
Freight Forwarding
The PALM™ Expo Delhi 2014 is approved for International Carnet. Please study the guidelines provided by our
following Official Freight Forwarders:

Note: Please refer to page # 7 for contact details of the above mentioned freight forwarders.
Exhibitors can also ship material through their own regular contracted freight forwarders, however the organiser must
be provided with details of the appointed freight forwarders.
Health & Safety
Exhibitors are hereby informed that the PALM™ Expo Delhi 2014 has applied for various licenses including Building &
Factory, Pest Control, Fire Department, etc. In case of an emergency, an Ambulance on all setup days and the three
days of the expo will be stationed near the Entry of the Exhibit Hall. Medical staff too will be deployed to register first
aid if necessary. The First Aid Kit will be located and displayed prominently in the Registration Hall.

Rules & Regulations
Demo of Products
1. PALM™ Expo Delhi 2014 is a trade focused Expo. We understand that Audio Visual demos and presentations in the
booth help to attract visitor’s attention. But Exhibitors are requested to please keep the volumes low so that it
does not disturb fellow exhibitors and/or the meetings that are conducted in neighboring booths.
2. Exhibitors please note that Hall No. 12 & 12A is a Quiet Hall. Demo of electronic musical instruments like Keyboards,
Guitars, DJ mixers and consoles, etc must be conducted through headphones. Demo of Equipment that cannot be
performed through headphones must be conducted in sound proof demo rooms constructed within the booth area.
Playing on Acoustic Drum sets by demonstrators or by visitors WILL NOT BE ALLOWED.
3. Demos through laptop and desktops at the booths - must abide by the 75dB noise level and direct the sound into
the center of the booth area.
4. Demo of all Electronic Equipment can be done through headphones. Demo of Electronic Guitars connected to amps
will have to be conducted in sound proof demo rooms.
Sound Level
1. In Hall 12 & 12A, the volume level when taken at adjacent or opposite stands must not exceed 75dB. All low sound
emitting monitors and loud speakers should also be directed inwards, towards the center of the booth and not
outwards.
2. Exhibiting companies - the sound level when taken at adjacent or opposite stands must not exceed 75dB. Strict
action will be taken against exhibitors not adhering to this sound level.
3. Artist performances or demos aided with loudspeakers connected to amplifiers is strictly restricted in the Hall.
Exhibitors who desire to conduct artist performances at their booths in Hall, must do so in specially constructed sound
proof rooms located within their booth area. Also ensuring that the sound does not filter out of the demo rooms built.
Approved by ITPO & ATA Carnet
The PALM™ Expo Delhi 2014 - Exhibition and Conference is approved by The Indian Trade Promotion Organisation
(ITPO). The Facility of duty free temporary import (ATA Carnet) will be available only to foreign exhibitors/participants,
who have confirmed their participation in the above exhibition by remitting participation fee in foreign exchange.
The goods must be re-exported within a period of six months from the date of import or any other period, as may be
stipulated by the Customs Authorities in India.
Please Note: A copy of the ITPO approval has already been provided to the authorized official freight forwarders
appointed by the PALM Expo organisers.
Participation Letter
It is very important to seek the CERTIFICATE OF PARTICIPATION from the organisers, as it is a very important document,
that authenticates your participation at the PALM™ Expo Delhi 2014. The CERTIFICATE OF PARTICIPATION will be issued
to Exhibitors who have confirmed their participation and have been allotted their respective booth numbers. The
CERTIFICATE OF PARTICIPATION is very important and has to be provided to the Freight Forwarder along with the
required documentation while dispatching the goods for exhibit at the PALM™ Expo Delhi 2014.
Double Decker Booth
In order to be granted permission, to build a double decker booth, exhibitors are requested to send three copies of the
booth drawing by 10th September 2014 to the organisers, for taking the approval from the ITPO.
If the double decker booth is built without the approval, the authorities have the right to stop construction and
close the entire booth. Please refer to the guidelines mentioned on page 17 & 18.
Completion of Booth
The exhibitors must ensure that aisles are not blocked during erection of their booth, the contractor removes his
offcuts and debris from the hall from time to time and at the end of each day. Please ensure the booth construction
is completed by 5:00 pm on 17th September 2014. Anything found in the aisles after the 5:00 pm deadline, will be
considered as waste and will be disposed by the house keeping.

Live Flame
No gas stove and other implements using live flame are permitted inside the halls for any purpose.
Damage of Exhibition Area
1. The Exhibitor shall not injure, nor mar, nor in any manner deface the said premises. The Exhibitor shall be liable for
any damage caused to building floors, walls, columns, booth equipment, and any other property, and will pay to
the producer upon demand, such sum as shall be necessary to restore said premises to their present condition. The
Exhibitor hereby assumes full responsibility for the character, acts and conduct of all persons acting for on behalf of
said Exhibitor.
2. All exhibitors are advised to clear their equipment from the Exhibit Hall premises after the Expo is over. The
Organiser will not be responsible for any loss or damage to the equipment left behind and will not store any
material whatsoever.
Electric Connection
1. All electrical wiring work will be carried out only by licensed electrical contractors. No overloading of connection at
any point of electrical output than the sanctioned load is permissible.
2. Each stall should have and adequate rated switch fuse unit, MCB or cut-out to enable isolation in case of any
emergency/overloading.
Lighting
Only spotlights are to be used for stall lighting. Halogen and other floodlights are not to be used.
Important Instruction:
•The Exhibitor shall not permit the premises to be used for any improper, immoral or objectionable purpose
specifically to X-rated adult, R-rated and/ or sexually provocative pictures, posters, literature, or programming.
•Mounting of any exhibit material or promotion material on the walls of the exhibition floor are not allowed.
Please note that the above Rules will be closely monitored.

Shell Scheme
1. Booth Construction
The booth is constructed from white pifex panels of standard size of 1 mtr in width and 2.4 mtr in height.
For your booth dimensions, kindly email your request to pmenon@divcom.in and the same will be provided within 24
hours.
2. Fascia Board
Fascia is provided to shell scheme booths only.
3. Electricity
One power outlet is provided in each booth of 5/15 amps, located on the back wall of the booth.

Single Phase
24 hours Electricity Supply during the Expo days and Power Connections of higher current will be
provided on request. At an additional reasonable charge.
4. Carpet
All booths will be provided with carpet.

6. Booth Cleaning
Please note that booth cleaning charges are included in the space rental costs. All booths will be cleaned and carpet
vacuumed prior to the inaugural of the Expo. Extensive cleaning of the booth will be carried out early morning on all
three days of the Expo. Waste Bins will be emptied at regular intervals and or with permission of the Exhibitor.
We would expect all the exhibitors to ensure that their booths are well maintained and kept free of clutter at all times.
This will help you look professional & impressive.

Important Exhibition Guidelines for Booth Designing
1. DESIGN APPROVAL:
Exhibitors who wish to erect their own stand may do so, provided prior indication of the same should be made
while signing the application form.
“RAW SPACE” exhibitors must provide the layout, elevation & the perspective drawings of their proposed
design for approval, at least by 18th August 2014, i.e. 30 days before the event in order to obtain approval
from the Organisers
The drawings must also clearly show layout of exhibits, logo details, supporting stand electrical points etc. and
clearly indicate wall/panel height, exhibits, meeting rooms etc.
2.WALLS (Height & Width)
The maximum height of any wall facing the aisle cannot exceed 10 ft and a maximum length of 75% of the booth
space facing the aisle.
2A. Any stand-alone branding structure on any side of the booth, cannot exceed a height of 12 ft.
2B. Height of back wall against the periphery of the Hall will be allowed up to 14 ft only.
2C.
Booth designs using a truss, should ensure that the truss height does not exceed 14 ft.
2D. If masking cloth or cloth banner need to be suspended from the truss, minimum clearance from ground level
of 9 ft must be maintained.
2E. Booth construction should be independent of the walls, columns and roof of the halls.
3. DIVIDING WALLS
On divided sites, the maximum height for dividing walls is 12 ft. No branding is allowed on the reverse side. Such
walls overlooking adjoining stands must be clad and finished in a neutral plain colour only.
4.POWER
Raw Space is provided bare without any power connections. Please ensure that the Power supply is ordered in
advance from the official contractor by filling the form available in the Exhibitor Manual Form 5 (pg. 24) by 28th
August 2014
5. CARPETING, FURNITURE & SPOTLIGHTS
Raw Space is provided bare, without carpeting, furniture & spotlights. Any requirements must be ordered in
advance from the official contractor by filling the form available in the Exhibitor Manual Form 9 (pg.28).
6. ACCESS TO UTILITIES
Access must be given to any Fire Exit, Electrical box, Service room etc. falling within the exhibitor’s stand area.
7. EXHIBIT LIMITED TO BOOTH SPACE
No part of the booth including the fascia, signs, lighting, truss, corner posts or other fittings, shall project into or
overhang any aisle or adjacent stands or obscure any fire exit or exit signs.
8. PREFABRICATION OF BOOTH
Woodwork in the Halls is strictly prohibited. Platforms / Panels and other decorations for the interior must be
brought in prefabricated condition. Only assembly and finishing will be allowed in the Hall.

9. MEZZANINE LEVEL
The extent of area of Mezzanine construction will be governed by the following:
9A. Stalls below 108sqm – No Mezzanine
9B. Stalls above 108sqm – Mezzanine should be 10% of the booked area.
9C. All Mezzanine construction should have a clearance of 2m from the false ceiling of the Halls. The clear height available in Hall 12 & 12A is 5.5m.
9D. Booth design and plan with structural stability certificate from a qualified structural engineer of the stall for consideration of ITPO. Mezzanine construction should be taken up only on ITPO’s approval.
9E. Mezzanine level must be built at a height of 8 feet from the ground level. No build up is allowed on the
mezzanine floor. The railing design, material and construction have to be strong enough to secure from any mishap.
9F. The exhibitor shall submit the plan with structural stability certificate from a qualified structural engineer of the stall for consideration of ITPO. The responsibility of safety of structure shall lie solely on the exhibitor/
organizer.
9G. Mezzanine construction should be taken up only on ITPO’s approval.
10. PERFORMANCE BOND BY STALL CONTRACTORS
All raw-space contractors must provide a refundable performance bond of Rs. 50,000 cheque paid to Organiser Diversified Communications India Pvt. Ltd. This amount will be used towards any damages caused by the contractor
during the build-up or tear down of stands. Any costs borne by the official contractor will be deducted from the
bond without prior notice and/or approval. This includes (but is not restricted to) non-adherence to the build-up
& tear down schedule and guidelines as specified by the organiser, upaid orders and venue fees/fines. Contractors
may not commence build-up before the bond is handed over to Organiser. Please refer to Form 7 (pg. 26).
11.STORAGE
All Exhibitors must try to ensure that empty cartons & crates are stored in the designated storage space only,
provided by the organiser. Kindly avoid storage of any kind behind the display walls because it hinders the
emergency exits and thus violates the health and safety regulations of the venue.
