We have included answers to the most frequently asked questions by exhibitors. In addition to this information, an I-X SERVICE KIT has been provided by the I-X Center that details their policies and includes order forms for services you may need. PLEASE read both the EXHIBITOR MANUAL and the I-X SERVICE KIT thoroughly. There are specific deadlines that need to be met to ensure that you get everything that you need to set up and man your display. FROM THE SOUTHEAST: I- 77 North to the Ohio Turnpike. Follow turnpike west to Exit #161. Follow I-71 north (Cleveland) to Snow Road. Turn left (west) on Snow Road, follow Snow Road until it dead ends, then follow directions for Route 237 south. MAP: Not to Scale 2 SHOW SCHEDULE: The CLEVELAND OUTDOOR ADVENTURE SHOW is open to the public as follows (subject to change): th Thursday January 16 2PM to 8PM th Friday January 17 2PM to 8PM th Saturday January 18 10AM to 8PM th Sunday January 19 10AM to 5PM For security reasons, please arrive at the Center in ample to time get to your booth location before the public enters. SHOW OFFICE: th The show office is located near door 34, and will be staffed beginning at 8AM on Tuesday, January 14 and will remain open during all set up hours. On public show days, the office will open 1 hour prior to the show and ½ hour after show closing. Our staff is eager to offer any assistance you may require. Please do not hesitate to call on us. You must check in at the Show Office before bringing anything into the Center. Please DO NOT place your vehicle in line to move-in until you have visited the Show Office and received the proper Show Credentials, Drive-In and Parking Pass. EXHIBIT INSTALLATION INSTRUCTIONS: th Exhibits will be ready for installation by exhibitors on Tuesday, January 14 beginning at 8AM and ending at 4:30 th PM. Move-in will continue on Wednesday, January 15 from 8AM until 4:30PM. All set up personnel must be out of the Center by 4:30PM. There are NO exceptions to this rule. Installation of exhibits will also be permitted on th Thursday, January 16 beginning at 8AM. Drive in will not be permitted on Thursday. All exhibits must be complete th when the Show opens to the public at 2PM on Thursday, January 16 . To make move-in go as smoothly as possible, we have set up a schedule for 3 different classifications of vehicles for move-in. Please adhere to the following schedule: th 1. 4 WHEEL DRIVE & RV EXHIBITORS: Drive in will be through Door 34 on Tuesday, January 14 between 8AM and 1PM. You will be assigned a specific time for move-in 2 weeks prior to the show. Please remove all snow and dirt from your units before transporting them to the Center parking lot. A power washer will be available to rinse off any road grime. Plan on arriving at the facility in enough time to have your units washed so they can be driven into the hall at your specified move-in time. 2. EXHIBITORS USING BOX TRUCK OR ANYONE PULLING A TRAILER: Drive in will be th th Through Door 34 on Tuesday, January 14 between 1PM and 4PM and on Wednesday, January 15 From 8AM until 4:30PM. Exhibitors driving Modified Pick Ups, Cube Van Trucks, Box trucks and/or pulling trailers must have an oversized vehicle pass. (One per exhibitor will be provided at no cost to each paid exhibitor) Check in at the show office to receive your pass. If you require additional trips or need to hire some labor see the I-X Center Service Kit for details. 3. EXHIBITORS USING CARS, STATION WAGONS, PICK UP TRUCKS or REGULAR th VANS: Small exhibits will be installed on Wednesday, January 15 from 8AM until 4:30PM th and continue on Thursday, January 16 beginning at 8AM through Door 34. Drive in to your booth will be permitted all day on Wednesday. Exhibitors driving into the building must have a standard vehicle pass, (One per exhibitor will be provided at no cost to each paid exhibitor) Check in at the show office to receive your pass. If you require additional trips or need to hire some labor see the I-X Center Service Kit for details. Drive in will not be permitted on Thursday. th All exhibits must be complete when the Show opens to the public at 2PM on Thursday, January 16 . Exhibitors who choose to hand carry their displays into the Center or who use a two or four wheel permitted th th dolly may set up their booth at any time on Wednesday, January 15 or on Thursday, January 16 through Door 34. There are NO dollies available at this Center, so please bring your own. Note: Only one type of drive in pass will be given to exhibitor, either an Oversized or Standard. Exhibitor will choose at time of registration. If you have any questions concerning which one of the 3 classifications that your vehicle fits in to, please contact Tom Shearer at 814-790-5079. 3 EXHIBIT DISMANTLING INSTRUCTIONS: AS A REMINDER: For safety reasons and concern for our attendees, your display must remain completely intact th until the Show closes to the public at 5PM on Sunday, January 19 . Booth tear down will begin at 5:15PM. Everything must be out of the Center by 10PM that same night. A Dismantling Instruction Guide will be distributed to exhibitors during the show that will detail the terms of move out. All provisions in this Guide must be strictly adhered to. If you have any questions regarding the dismantling or move out of your booth, please contact our office and ask for Tom Shearer. Please remember the overhead move-out doors will not be opened until 6pm on Sunday. I-X CENTER LABOR & WORKER RULES: Exhibitors are permitted to set up their own booths under the following terms and conditions. You may use up to three of your own employees to construct, set-up, or teardown your booth. If you need more than three people to construct, set-up, or teardown your booth, the fourth worker must be an I-X Center laborer. If you need more than those four workers then the fifth, sixth and seventh worker may also be employees of the exhibitor, but the eighth worker must be an I-X Center laborer. Exhibitor employees are defined as people who have been on the exhibitors payroll form a minimum of sixty days prior to the event. There are no exceptions to these rules. RV, AUTO OR TRUCK EXHIBITORS: ALL exhibitors who will have boats, RV’s, autos or trucks on display on the show floor are subject to the following terms and conditions: Units must be free of all snow, dirt and grime before moving into the Center. Fuel tanks (where applicable) can only contain 2 gallons of fuel or 1/8 of a tank of fuel, whichever is less. Vehicles must have a locking gas cap or the gas cap must be taped over. Battery cables must be disconnected from their terminals and taped. When you check into the show you must pick up a “Vehicle Display” pass before moving into the Center. SPACE PAYMENT: Please observe terms of payment as outlined on your exhibitor contract. No goods will be permitted in your space until ALL payments have been made. EXHIBITOR PASSES: Exhibitor passes should be picked up at the Show Office when you arrive at the Center. Each exhibitor will receive 4 permanent (4-day) passes with the purchase of their exhibit space. All passes issued to the exhibitor are solely for the use of the vendor for manning their exhibit during the show and are not to be sold, transferred or given out as public admission tickets. Exhibitor passes will be accepted at Door 34 (designated exhibitor entrances) only. They will not be accepted at the Front door or any other entrance. YOU MUST HAVE YOUR PASS EACH DAY TO GET INTO THE SHOW. There are absolutely NO EXCEPTIONS to this rule. The Exhibitor Entrance, Door 34, will be accessible one hour prior to show opening daily. AS A REMINDER, you are responsible for all of your exhibitor passes. Please distribute them to your booth personnel before the Show opens. If you are unable to get them to every booth worker you may leave them at the Exhibitor Desk just inside the Door 34 Exhibitor entrance for daily pick up or return. Replacement of lost exhibitor passes will incur an additional charge and must be taken care of at the Show Office. Additional permanent (4-day) passes can be purchased in advance on the web at www.outdoorontheweb.com. Click on the Vendor Pass Order Form link or on the form included in this manual. Additional Vendor passes WILL NOT be available during show set up. These passes must be ordered and paid for by the deadline date on the Vendor Pass Order Form. EXHIBITOR DOOR: Exhibitors will enter the building daily through the designated exhibitor door, Door 34. Door 34 will be open one hour prior to the public show opening daily. You can access Door 34 during all show hours. The exhibitor door, Door 34, will remain open for ½ hour after the show closes to the public daily. Please remember the overhead move-out doors will not be opened until 6pm on Sunday. 4 EXHIBITOR PARKING: Erie Promotions & Expos, Inc. will provide each exhibitor ONE Daily Parking Pass at NO additional charge. Please pick up your FREE Parking Pass at the Show Office when you check in. The I-X Center charges $8/day or $32 for a full time (4-day) Parking Pass. If you need additional passes, please order them in advance in the I-X SERVICE KIT PLEASE BE AWARE: Parking within 20’ of any fence that borders the airport is strictly forbidden. You CANNOT park in any designated fire lane or in the loading dock areas. TRAILERS: Contact Tom at Erie Promotions at 814-790-5079 for details and parking procedures. RV HOOKUP: See the I-X Center Service Kit for details of costs and procedures. DECORATOR: The I-X Center is the designated Decorator for the CLEVELAND OUTDOOR ADVENTURE SHOW. The following furnishings are included with your booth… 8’ High Backdrape and 3’ High Siderails. All other furnishings needed for your booth must be ordered through the I-X Center (See the Decorating Services Order Form in the I-X SERVICE KIT ). Exhibitors are NOT required to order furnishings from the I-X Center. You are welcome to bring your own carpeting, tables, chairs and other decorating items, if you wish. FREIGHT & SHIPPING: Exhibitors who are shipping literature, merchandise and/or displays via common carrier are encouraged to read this section very carefully as well as the Material Handling Services Section in the I-X SERVICE KIT. ALL shipments to the I-X Center MUST BE PREPAID. All shipments should be addressed in the following manner Exhibit Name, Your Company Name, Your Booth # Cleveland Outdoor Adventure Show I-X Center 1 IX Center Drive Cleveland, Ohio 44135 th Freight cannot be accepted at the I-X Center before Tuesday, January 14 . If your shipment arrives before Tuesday, th January 14 , the I-X Center will charge you the advance storage/round trip rate quoted in the I-X SERVICE KIT. LITERATURE SHIPMENTS: If you know that the literature you are shipping will be depleted during the show, please mark the words “literature/one way rate” on the outside of your boxes to qualify for a special rate. “One Way Rate” means that you do not want the literature sent back to your company after the show. The “One Way Rate” is $16.60 per 100# (200# minimum) per shipment. To qualify for this rate your shipment must be received on or after th Friday, January 17 . Tourist Associations are encouraged to palletize your member’s literature and ship it via common carries using the “literature/one way rate”. Please see the Material Handling Services Section in the I-X SERVICE KIT for all other rates and information regarding freight and shipping. U S MAIL/ UPS/FED X SHIPMENTS: There is a minimum charge of $24.60 per 100# per cwt (200# minimum) too receive and deliver any UPS shipment. th Shipments received at the I-X Center before Tuesday, January 14 will be subject to advance rates. Small packages that are under 5# will be subject to a new “small package rate” of $19.60. No third party shipments will be accepted. 5 FOOD & BEVERAGE SERVICE: The I-X Center holds the exclusive rights to dispense ALL food and beverages within the Center. Exhibitors are strictly prohibited from bringing food and beverages into the Center. Alcohol, in any form, is NOT PERMITTED to be brought into the Center at any time. Our staff has made arrangements for the I-X Center to provide a DISCOUNTED FOOD & BEVERAGE SERVICE for Exhibitors Only. Details will be provided at check in. PLEASE NOTE: If distribution of food samples is part of your marketing strategy, please clear it in advance with Show Management, who will then get approval from I-X Food Services. I-X Food Services has the right to prohibit any vendor from sampling food products. REFUSE/BOXES: The exhibitor is responsible for the cleanup of their area as I-X Center cleaning personnel are not permitted in booth areas. Garbage that is accumulated daily should be bagged, and boxes broken down and placed in the aisle at the end of each day. At the close of the event the exhibitor is responsible for leaving the leased space in the same condition as they were immediately prior to occupancy of the space. If the exhibitor fails to comply with these conditions, they may be liable for all expenses incurred in cleaning the area and restoring it to original condition. LIABILITY INSURANCE: Each exhibitor must provide to Erie Promotions & Expos, Inc. a Certificate of Liability Insurance before moving any belongings into the Center. (Coverage amount, Additional insured) FIREPROOFING: ALL flammable materials used in the construction of your booth or used as props in your booth must be fireproofed. This includes backdrops, table covers, real or artificial trees, fabric chairs, etc. HAY or STRAW of any kind is strictly forbidden. The use of crepe paper is not allowed. Fire Inspectors will be around prior to show opening to check all exhibits. SALES TAX: An Ohio State Sales License is required for ALL Retail Booths. If you are selling any type of merchandise and do not have a Ohio Sales Tax License, please make your application as soon as possible to avoid confusion at Show set up. To obtain the correct application, please contact the Ohio Department of Taxation at 615 W. Superior Ave, Rm. 570, Cleveland, Ohio 44113 or call them TOLL FREE at 888-405-4039. Your Sales Tax License must be posted in your booth at the Show. If you did have your tax number when you signed your contract with us, please mail, fax, or email that number to our office before the show. ALL Retailers must furnish each customer with a sales receipt for items purchased during the Show. TRANSIENT VENDORS LICENSE: The Ohio Department of Taxation requires transient vendors to obtain a “one-time” Transient vendor’s license from the Ohio Department of Taxation. This Transient vendor’s license is issued “one-time” only and does not require annual renewal. Please contact the Ohio Department of Taxation, Registration Unit, PO Box 182215, Columbus, Ohio 43218-2215 and ask for “Form ST 1T” Application for Transient Vendor’s License or you can call 888-405-4039 TOLL FREE. Send a $25 check or money order payable to “Treasurer of the State” along with your completed application to the Columbus, Ohio address. 6 RELEASE SLIPS: I-X Center Security is authorized to stop anyone from leaving the building with a package, including exhibitors. Therefore, exhibitors who carry out any kind of merchandise during the show must secure a Release Slip from the Floor Managers or pick one up at the information booth. Attendees who are stopped will be asked to show a sales receipt for the purchases that they are carrying out of the show. ADVERTISING & MARKETING: Advertising and Marketing of the CLEVELAND OUTDOOR ADVENTURE SHOW has already begun with a real grass roots effort to inform the sporting clubs, sports writers and area outdoor enthusiasts of this great NEW Show at the I-X Center. Our staff is working diligently to make everyone in the Greater Cleveland area aware of the fact that this is not your same old show. Our advertising and marketing department is currently in the process of contacting sports writers as well as scheduling the promotions for this Show. This show will be advertised in all media including, but not limited to, television, radio and newspaper, as well as posters, flyers, banners, bag stuffers, etc. Posters will available for distribution about one month prior to the event. If you have a place to display them, please let us know and we’ll get them to you. If you need additional posters, please email us at katie@eriepromotions.com. If you have any fantastic photos, new and innovative products, newsworthy stories, or an updated Press Kit, please send them to our office prior to the event. PERSONALIZED GUEST PASSES: Do you have special customers or guests who you would like to give Complementary Show admission tickets to? Here’s your chance. The I-X Center controls the nuts and bolts of the building and provides many exhibitors services such as decorating, materials handling, electricity, etc. To get the Advance Discount Rate, the deadline for ordering these services from the I-X Center is January 3rd, 2014. The I-X SERVICE KIT can also be access via the following link: http://sportandtravelexpo.com/Media/Files/2014%20Cleveland%20Outdoor%20Adventure%20Show.pdf 8 GENERAL RULES & REGULATIONS As promoters of the CLEVELAND OUTDOOR ADVENTURE SHOW, we are interested in providing a show for the public that will be professional as well as one where they will enjoy themselves and be able to purchase products and gain knowledge about your services. Therefore the following rules and regulations must be strictly adhered to. 1. ADMISSIBLE EXHIBITS: Exhibitor agrees to display only new and unused products. Only those products listed on your contract can be offered for sale. Products displayed are at the discretion of the Show committee. 2. PAYMENT OF SPACE: No goods will be permitted to be placed in exhibition space until all rental payments are made. 3. SUB-LETTING: Sub-letting or donation of space partially or in its entirety is not permitted without written consent of Erie Promotions & Expos, Inc. 4. ADMISSION: YOU MUST HAVE A PASS TO GAIN ENTRANCE TO THE SHOW. There will be no exceptions at all. If you forget your pass or if it gets lost, you will be required to pay full price admission at the main entrance of the show. Exhibitor passes will be accepted at the designated exhibitor entrances only. All passes issued to the exhibitor are solely for the use of the vendor for manning their exhibit during the show and are not to be sold, transferred or given out as public admission tickets. 5. EXHIBIT CONSTRUCTION: Basic exhibits may not exceed 8’ in height on the back line nor exceed an 8’ height 4’ from the back line to the depth of the booth to the aisle unless plans have been approved by show management. No signs or any part of a display shall be set up so as to block off or otherwise interfere with any other display nor project into the aisles. NO open flames. All tables must be skirted to the floor with fireproofed skirting. All decorations must be fireproofed and pass inspection by the designated authority of the local municipality. 6. SIGNS: We encourage factory trademark signs. All signs must be a part of exhibitor’s rental space and may not be placed elsewhere in the center. Only signs of a professional quality may be used. Signage with business names other than the contracted exhibitor are NOT allowed. The judgment of this remains with the show management. 7. CHARACTER OF EXHIBITS: Printed material dealing with exhibitor’s products or services may be passed out at their own booth and may not be distributed in any other areas of the center. Materials not related to exhibitor’s products/services may not be passed out by the exhibitor. Lotteries, drawings, guessing or prize contests of any kind sponsored by individual exhibitors are subject to show management’s prior approval and must meet State of Ohio regulations regarding games of chance. No loud speakers or amplification of any kind will be permitted. We will permit the usual “tape video” production at the booth but it must be kept at a level that does not create problems for nearby exhibitors. It must be set up so as not to block off other exhibitors nearby. 8. EXHIBIT CARE: Exhibits must be in order when the show opens and must be kept that way throughout the show. Exhibits must be manned at all times. For security purposes, exhibitors must arrive a minimum of 30 minutes prior to the show opening to the public and must leave the building within 30 minutes after the show has closed to the public each night. Exhibitors must leave the space occupied during the show clean and in good condition when they leave the show on the final day. 9. PRICING PRODUCTS AND SERVICES: Exhibitors may display and promote special prices on their products and services. THE WORD “DISCOUNT” IS NOT TO BE USED. THE ONLY ACCEPTABLE WORDS TO BE USED TO REFLECT A PRICE ARE: “SPECIAL SHOW OFFER” OR “SPECIAL SHOW PRICE.” Any misuse of this arrangement can cause the exhibitor to take the sign down. We are interested in ethical merchandising and pricing policies. 10. ELECTRICITY: Electricity is provided with your booth rental contract, if ordered in advance by January 2, 2014. After this date, electricity must be ordered through the I-X Center at prevailing rates. Please refer to the section of the I-X Service Kit titled “Electrical Services” to ensure your needs are met. 11. SECURITY: 24 hour security will be provided for the duration of the Show. Erie Promotions & Expos, Inc. is not responsible for any loss or damage occurring to your exhibit from any cause. We suggest that small and valuable exhibit material be covered up or packed away at night. If you have anything that you would like to have locked up each night, please check with our onsite promotion staff for the specific location of the Security room nearest your booth location. 9 CLEVELAND OUTDOOR ADVENTURE SHOW VENDOR PASS ORDER FORM: Each exhibitor will receive 4 permanent (4-day) passes with the purchase of their exhibit space. If you will have more than 4 people working your space each day you must order passes for them on this order form. Exhibitor passes will be accepted at the designated exhibitor entrances, Door 34, only. They will not be accepted at the Public Admission Entrance. Each permanent (4-day) pass will be good for one admission per day for each of the 4 days of the show. th Additional Vendor passes. They must be ordered on this form and paid for on or before January 8 , 2014. NO passes will be sold after that date.
