PLEASE NOTE: All stands MUST remain intact until the exhibition has closed at 15.00 on Wednesday 11 June. The exhibition is
open for the full three days and breaking down or packing up early not only impinges on venue health and safety regulations, but is
detrimental to the quality of the event for other exhibitors and delegates.
Exhibitors who do breakdown early may not be permitted to exhibit at future events and could be fined.
BUILD AND BREAKDOWN – ACCESS FOR UNLOADING
On arrival at Manchester Central, drivers should report to the loading bay of Central Hall which is accessible via the rear car park on
Albion Street. The Manchester Central traffic management team will issue vehicle passes onsite. This pass must be displayed in the
vehicle window throughout the unloading and loading process.
Passes and/or wristbands, valid for the build-up and break-down periods, will be issued to all persons requiring admission to the
exhibition hall and must be worn at all times.
Vehicles must be unloaded as quickly as possible and then immediately removed from the loading area.
The admission of vehicles to the hall will be entirely at the discretion of Manchester Central authorised personnel. Vehicles are not
permitted to remain in the halls overnight or during show days.
Personnel present in Central Hall during build and breakdown, when dangerous construction and vehicle movement is taking place,
are required to wear a hi-vis waistcoat or jacket and appropriate footwear. Wearing of hard hats will be required when rigging is
taking place.
Vehicles will be parked on the venue premises as instructed by Manchester Central’s traffic management team until access is
allowed. Contractors who arrive in advance of the specified breakdown time will have to wait until the venue staff allow breakdown
to commence.

EXHIBITION PLAN
SHELL SCHEME EXHIBITORS
JNM Exhibition Services are supplying the shell scheme. Each shell scheme stand comes with the following:



Velcro compatible walling
Fascia name board
Carpet
The shell scheme is constructed of light grey loop nylon covered panels fixed in an aluminium post and rail system. Red laminate
fascia name boards with aluminium rails will be fitted to open sides.
Shell scheme panels should be carefully treated to avoid damage and care should be taken when mounting display panels. Light
material may be attached by the use of Velcro pads. If you need to fix heavy items to the walls, a pendant panel fitted with a
plywood infill should be used – this will accept most kinds of fixing.
Should you require any additional stand accessories such as alternative flooring, shelving, built-in cupboard, graphics, alternative
colour panels etc. please complete and return the Shell Scheme Order Form on page 21 by 16 May 2014.
4
FASCIA NAME BOARD
Shell scheme exhibitors must confirm the exact wording for their stand name board. Please email the text to
jessica.smith@profileproductions.co.uk Failure to do so by 2 May 2014 may result in the name board and listing in the congress
guide being incorrect.
SPACE ONLY EXHIBITORS
Space only stands must only occupy the space purchased. Materials used in the construction of stands, features and displays,
including signs and fascias must be:




not to be prejudicial to health or a nuisance and shall comply with the requirements of the Control of Substances Hazardous to
Health Regulations 2002.
Stands should be designed to ensure that it is not unreasonably difficult for a disabled person to access the stand as required by The
Equality Act.
Lockable store cupboard doors should have a small window, otherwise the door cannot be locked at any time.
Floor coverings must be secured and maintained so that they do not cause a hazard. Fixing of floor coverings to the hall floor may
only be carried out using venue approved tape. The venue will only approve exhibition tape which has a low tack bottom, high tack

mains board must be accessible at all times and, if locked in a cupboard, Electrotechnik must be given a key.
The electrical installation must be tested and recorded on test sheets supplied by Electrotechnik. The venue inspector will then
check results and test installations prior to the stand being energised. Testing is a venue requirement and, if not met, the stand will
not be energised.
Contractors requiring power for tools/testing purposes during build up should liaise with Electrotechnik to order a temporary supply
(chargeable), or ascertain the nearest supply and length of extension lead needed.
Mains power will only be energised after all work has been finished, inspected and tested by the Mains Contractor. For the
remainder of the build-up the power will be turned off at 18.00. If electrical supply is required after 18.00 please inform
Electrotechnik at the time of order. If power is required on Wednesday 11 June after 15.00 a temporary main will have to be
ordered.

EDUCATION ON THE STAND AND CPD ENDORSEMENT
Exhibitors are reminded of the unique opportunity to attract more delegates by hosting educational sessions on their stands. This
initiative is to enable exhibitors to deliver CPD in short ‘bite-size’ lectures, demonstrations or presentations from their stand. The
sessions should have some scientific content and be linked to clinical practice or techniques. CPD endorsement can greatly improve
the attractiveness of sessions to delegates.
If you received endorsement in 2012, your programme will need to be resubmitted as endorsement only lasts for two years. Reendorsement is also required if the programme has changed in any fundamental way. Members of the College of Radiographers
Industry Partnership Scheme (CoRIPS) receive CPD Now for their 'Education on the Stand' initiatives free of charge. For non-CoRIPS
partners, the cost is £200 plus VAT per programme item.
For further details please visit https://www.sor.org/learning/cpd/cpd-endorsement. Please note that a minimum of 6 weeks is
required to process applications.
‘Education on the stands’ will be promoted via email to all 24,000 members of the SCOR and also covered in the Society’s TopTalk
and Student Talk e-zones which are distributed to over 2000 radiology managers and student members. Details will also be
repeated in the May issue of Synergy News. If you would like your Education on the Stand events included, please send details to
publisher@synergymagazine.co.uk by 27 March 2014.
When submitting your programme of events please ensure you include:

When and where they are taking place, including your stand number
If you want attendees to pre-book to attend your 'Education on the Stand' events and advice on how they can do this

TRAVEL INFORMATION
By air
Manchester Airport is approximately 20 minutes from the city centre and is connected by a direct rail link to Manchester Piccadilly
Station and many other UK destinations. Low cost UK airlines operate flights to Manchester from most major UK cities. Visit
www.manchesterairport.co.uk for further information.
By rail
Manchester has direct rail connections to all major UK cities – London is just over two hours away by train. Services come into the
city at either Piccadilly or Victoria stations, both of which connect to Manchester’s Metrolink light-rail system which provides easy
access to all parts of the city centre.
By road
Manchester is at the heart of the Northwest’s motorway network, with easy access from all directions onto the M60, the city’s
orbital motorway. Once on the M60, exit at Junction 12 and join the M602 signposted city centre. Follow the A57 straight on from
the end of the M602, passing under a railway bridge before taking the left hand exit to merge onto the A56 Bridgewater Way. Turn
right onto Whitworth Street West at Deansgate station and then turn left onto Albion Street. The entrance to the Manchester
Central Car Park is through the next set of traffic lights on the left, opposite The Bridgewater Hall.
Park and Ride
Parking is free at local railway stations and Metrolink tram stops in Greater Manchester.

SUSTAINABILITY
The organisers ask you, and all exhibitors, to think about sustainability and environmental policies and how these can be
implemented in relation to your attendance at the event. Can you minimise use of fliers and handouts? Are giveaways ethically
sourced? Is your stand reusable? Can you collate emails and send details rather than distribute leaflets?
SECURITY
At the end of the day, when the exhibition areas are to be vacated, Manchester Central Security will be informed so that these areas
can be secured. Please ensure that your stand personnel take all personal belongings with them at the end of each day. The
organisers and the venue cannot accept responsibility for any damage to and/or loss of any property introduced by exhibitors or
contractors. Please ensure that all electrical equipment has been turned off before leaving the exhibition hall at the end of each day.
TIPS AND ADVICE FOR A SUCCESSFUL EXHIBITION
Now that you have booked your stand, we would like to ensure that you get the most out of your investment in the exhibition and
maximise the number of delegates you will meet, so you might like to consider some of the following points:
Pre-event
 Ensure you have clear and achievable objectives
 Ensure you have fully briefed your onsite team and drawn up a staffing rota
 Have procedures in place for measuring your success against your objectives
 Allow plenty of time for designing your stand, particularly if you need to appoint a stand designer
 Tell clients, press, colleagues and guests that you are exhibiting via your website, advertising or direct mail
 Provide your complimentary editorial as delegates will keep the congress guide for use after the event
 Put an incentive scheme in place for your onsite team as this can help encourage sales
 Consider sponsorship opportunities to increase your exposure and stand out from other exhibitors
 Literature in delegate bags or advertising in the congress guide are effective ways to highlight your products or services and
draw delegates to your stand
 Consider including an office or demonstration area for a more relaxed space to talk to delegates
 A moving exhibit attracts attention so consider including lighting or audio-visual displays on your stand
At the event
 Have free samples, branded gifts or literature on display and ensure you have enough copies
 Provide complimentary drinks or food from your stand
 Run competitions or free prize draws
 If you are launching a new product or service ensure that you label this on your stand – ‘new’ is a very powerful word for
attracting attention
 Wear name badges at all times so delegates know who they are talking to
 Ask delegates to complete an enquiry form so you can collate contact details and follow up later
 Add ‘fluffies’ to your stand such as sweets, chocolates or flowers
 Ensure you have clear and consistent branding and keep messages brief
 Use lots of bold images, photos, logos and large text
Post-event
 Collate new leads and follow up within two weeks of the show
 Draw up a report on any research carried out
 Report your experience to media, colleagues, staff and guests
 Evaluate your achievements against your objectives
 Consider booking for the following year as soon as possible as discounts will be available for early bookings
