Important information about Visa and Travel
For several nationalities, visa is available on the airport. See the fees applicable.
Visas for some nationalities require a special clearance. Please check on the latest rules with our Travel
Service Provider corresponding with you.

Passports valid for 3 months from date of entry are required of all visitors. All visitors require a Kenyan
visa except for citizens of some commonwealth countries. There are also exceptions with varying
conditions for citizens of Ethiopia, Turkey, Malaysia, and Uruguay and a few other countries. Airport visas
are available although this may result in delays upon arrival. It is advisable to obtain visa's in advance from
Kenyan Embassies and High Commissions as some airlines may require it before allowing you to board.
Visa requirements vary from time to time and you are advised to check on prevailing status well ahead of
travel.
So long as your Kenya visa remains valid you can visit either Tanzania or Uganda and return without
having to apply for another visa. This does not apply to visiting any other countries. There is, however, a
charge which may apply at the border for doing this. The cost of Kenya visas generally increase with the
distance from Kenya and so do the hassles of getting them. There have been tales from Australia where the
high commission took 1.5 months to issue a visa. All this time they hung on to the person's passport who
only got it back (with a visa) one day before departure! This is not at all typical but does indicate that you
should apply well in advance if you're flying direct. Since Nairobi is a common gateway city to East Africa
and the city centre is easy to get around, many travelers spend some time here picking up visas for other
countries which they intend to visit. If you're going to do this you need to plan ahead because some
embassies only accept visa applications in the mornings, others only on certain days of the week. Some
may take 24 hrs to issue, others 48 hrs. Some visas may have to be referred to the country's capital city
but this is rare.
Personal effects, film and cameras may be imported temporarily free of duty. However a customs bond may
be required in connection with professional video equipment, tape recorders, radios, musical instruments
and souvenirs from other countries, to ensure goods can be re-exported. Firearms need a special permit,
which must be obtained in advance. Airport departure tax is payable by the client in foreign currency only.
Excess baggage is strictly monitored and charges are very expensive. Customs officials normally inspect
baggage on arrival and departure.

Physical Location
Kenya is located in Eastern Africa, bordering the Indian Ocean, between Tanzania and Somalia. It covers an area
about twice the size of Nevada. Kenya has a tropical climate along the coast, turning increasingly arid farther inland.
Low plains rise into central highlands bisected by the Great Rift Valley, with a fertile plateau in the west. Natural
resources include gold, limestone, soda ash, salt barites, fluorspar, garnets, wildlife, hydropower, and rubies.
People
Over 31 million people live in Kenya. Both English and Swahili are official languages of Kenya, while numerous
indigenous languages are spoken as well. Ethnically, Kenya is comprised primarily of Africans (99%) including the
following groups: Kikuyu (22%) Luhya (14%) Luo (13%) Kalenjin (12%) and Kamba (11%). The country's religious
groups include Protestant (38%) Roman Catholic (28%) indigenous beliefs (8%) and others.

In December 2002, Miwai Kibaki ended the 24 year rule of Kenya’s second president, Daniel arap Moi in a landslide.

NOTES
1. Contractors are allowed to work inside the halls during build-up and breakdown.
2. Exhibitors are allowed inside the hall from 0900 to 1800 hours during exhibition days to service
their stands.
3. Contractors and exhibitors are requested to strictly observe that CARPENTRY, PAINTING AND
WELDING WORK inside the halls is NOT permitted. Only assembly of the display, and minor
finishing / touch up is allowed. Contractors violating this guideline will be prevented from
continuing work at the exhibitors stand inside the hall.

As it is impossible to provide complete protection against theft, exhibitors should ensure that their exhibits are properly insured. We do
remind you that you are responsible for your exhibits at all times and that they will be at greatest risk during buildup and breakdown. Do
not take chances with your valuables - once they are lost, it will be very difficult or impossible to recover them. The organiser will accept
no responsibility for losses or damages of any kind. Keep your passport; exhibit goods & laptop etc. under your strict supervision at all
times.
KENYA PLAST 2014 - General Information
1.
ADMISSION
Entry to Site
Entry for exhibitors is suggested from Main gate
of KICC. Visitor’s facilitation counter will be
located at entry point of Main Gate. The
exhibition will be open to business visitors from
1000 - 1800 hours. Children (under 16 years)
will not be allowed entry.
Contractors and exhibitors are requested to
strictly observe that carpentry inside the halls
during build-up is not permitted. Only
assembly of the display and minor
finishing/touching up is allowed. Contractors
violating this guideline will be prevented from
continuing work on the exhibitors stand inside
the hall.

BUSINESS CENTRE
Photocopying, fax, telephone, typing and other
business needs are provided by KICC on
Payment basis.
6.2 Completion
Installation of stands / booths should be
completed by 2100 hours on ,1 June 2014.

CAR PARKING & SERVICE PASSES
General cleaning of the exhibition hall will be carried
out immediately thereafter.
6.3 Waste
Exhibitors are advised not to throw waste
material from their stands on the aisles.
Goods vehicles will be allowed entry into KICC
only through designated Gate during build-up
(8:00 am to 8:00 pm only).
6.4 Crates and Positioning Equipment in
Relation to Aisle
Empty cases /crates should not be left in the
aisles to ensure the safety of all SHOW
participants.
Vehicles are to be parked at designated
parking area only.

CATERING
KICC has couple of options of restaurant and
food outlets.

HANDOVER OF HALLS
The halls have to be handed over to the KICC
promptly on the final day of breakdown.
Exhibitors must ensure that their exhibits and
stand materials are removed by 2100 hrs on 4
June 14.The organiser will dispose off any items
remaining in the hall beyond this time, and the
management will not accept responsibility for
any loss or damage. Costs involved will be borne
by the defaulting exhibitor.

the small shops setup at KICC main building
area.

POSSESSION OF STANDS
Bare Space only: 31 May 14 from 1300 hrs
onwards
Shell Scheme: 1 June 14 from 1000 hrs

Exhibitors using any contractor other than the
official stand construction contractor for their
stalls, will get possession, only if drawings /
designs for their stands have been approved by
the organiser (please see Form 8) in-advance.
Possession of indoor stands and outdoor space
will be given to those exhibitors who have made
FULL PAYMENT, and have provided security

deposits as applicable.

REMOVAL OF EXHIBITS
9.1 Exhibits will NOT be allowed to take out of
the exhibition halls during the exhibition
period.
9.2 Removal or delivery of exhibition stores in
or out of the exhibition hall is not
permitted during the open hours of the
exhibition. Such removal, delivery or
replenishment of stock may only be
carried out before opening hours in the
morning or after closing time in the
evening. If you wish to remove any item, a
"GOODS REMOVAL PASS" must be
obtained from the show management
office duly signed and stamped by the
organiser.
9.3 Goods removal pass: At the close of the
exhibition, in order to remove your goods
smoothly, safely and easily, the following
paperwork must be carried out:
i)
During move-in, construction of stands and
removal of exhibits, the passageways in the
exhibition halls must not be obstructed with
packing materials, construction materials or
debris. Contractors are responsible for
removing their own cuts-offs and waste on each
day of build-up and breakdown. Use of
passageways behind stalls for storage of
empties, waste or surplus material, is strictly
prohibited.
Exhibitors are requested to place their waste in
the aisle for removal by the cleaners after show
hours. The organiser reserves the right to
invoice exhibitors for excessive packing
materials and discarded crates or cartons.
11.
Make 4 copies of an itemized list
showing equipment and material
required to be exit from KICC. These
copies must be on the exhibitor
company's letterhead, duly stamped
with the company's official seal and
signed by an authorized person.
Sample of the Gate Pass form is on
page no. 47.
iv) The signing and stamping of 'Goods
Removal Passes' will commence at
1600 hrs on 4 June 2014.
TRANSPORT
11.1 Goods Vehicles
As per KICC rules, entry and exit for vehicles
carrying exhibition goods will only be allowed
through Main gate. Goods vehicles will not be
permitted inside KICC during exhibition days
and during show open hours.
11.2 Public Transport
Taxi services are available for exhibitors and
visitors. There is also an excess charge for night
service and extra luggage.
ii) Get all copies attested and stamped by
the organiser.
iii) These must be submitted to the show
management office latest by 1600
hours 4 June 14. The organiser will not
be responsible for delay to exhibitors
in removal of goods, if goods removal
passes are not received by the
organiser by the due date and time.
STORAGE AND WASTE MATERIALS
The organiser is unable to provide storage
facilities in the hall for packing cases, surplus
materials or other property of the exhibitors.
Arrangements for safekeeping of such items
must be made with the official freight
forwarder.
11.3 Rental Cars
Rented cars are available through various car
rental companies and travel agencies. Please
contact your hotel reception for this service.
12.
PERSONAL BELONGINGS
All exhibitors / participants must take care of
their personal belongings at all times. The
organiser will not be held responsible for any
damage / loss etc.

vii) Exhibitors are advised to install equipment like
voltage stabilizers/UPS for their sophisticated
exhibits. If the exhibits are sensitive to the
alignment of the floor, placement of steel plates
underneath is recommended.

The wiring work must be carried out to the
satisfaction of the official electrical contractors
and approved by them.
viii) Exhibitors are advised to exercise the highest
levels of safety precautions and engage the
services of only qualified professionals for
electrical wiring and installations.

For Bare Space, power connection from
the main distribution box (DB) inside the exhibitors’
area will be provided by the official contractor.
BARE SPACE BOOTH - PLAN
APPROVAL
1.
General Rules and Information Relating to Power
Supply
The official electrical contractor must approve all
electrical work.
ii)
Each stand will be provided with electric power at
one or more main points depending on the
requirement. Exhibitors should use distribution
boards, individual isolation switches for exhibits,
and insulated cables or metal conduits for
connecting power supply to exhibits.
iii)
Exhibitors who use power for general lighting and
running of equipment/exhibits in excess of their
specified load will attract penalties and/or
disconnection.
Plan Approval
Exhibitors who have reserved 'Bare Space' and
are using a contractor other than the official
stand construction contractor, must submit
the layout design of their stands in triplicate,
for approval by the organiser. This is to
prevent costly alterations on site being
required by the hall owner and the organiser.
Deadline is 30 April 2014.
Connection to the exhibitor’s equipment from the
distribution box (DB) inside the exhibitor's area will be
operated by the exhibitor. A work completion-cumlisting report must be provided to the official electrical
contractor after the exhibitor has completed his work
by 30 April 2014 at 1400 hrs.
i)
These plans shall include elevation drawings.
One set of the drawings duly approved or with
suggested modifications, if necessary, will be
returned to the exhibitor. Actual construction
and display in the stand must strictly conform
to the drawings approved by the organiser.

Rules & Regulations

iv) Exhibitors must install separate and independent
switch connections for each exhibit. Alternate
connections or throw-over switches are not
allowed. Power load is not allowed to be taking
from the sockets.
v)
All the main electrical supply points must be kept
easily accessible for operation and repairs in the
event of emergency. Main electrical supply points
should not be concealed or covered.

Exhibitors are responsible for their
own stand design and construction.
The Organiser would be pleased to
offer advice and guidance if required.
The following are strictly prohibited:
 Stage shows or presentations
without prior permission in writing
from the Organiser & without a
concept note on the proposed show.
 Storage of any kind, behind the
display walls.
 Suspending of display items from
the Hall ceiling or parts of it.
 Cloth banners.
The maximum height of any stand
should not exceed 2.5 mtrs unless
approved by the Organiser.
Height of side partitions will be
restricted to 2.5 mtrs from the ground.

If there is any difference in the level of
partitions of any two adjacent stands,
the exhibitor with a bigger height shall
finish properly the portion extending
above the neighboring stand.
v) Height of panel against natural back
wall along the periphery of the Hall will
be allowed up to 5.0 mtrs subject to
availability of Height.
vi) Access must be given to any Fire Exit,
Electrical Box, Service Room etc. falling
within the exhibitor’s stand area. It is
mandatory to leave minimum one
opening in the partitions against the
natural wall to provide access for
electrical fittings etc.
vii) All open or unfinished sides of the
exhibit space, which may appear
unsightly, must be covered or the
Organiser will have them covered at
the Exhibitor’s sole expenses @ USD $
40 per sqm. Any portion of the Exhibit

viii) All exhibit floor space must be fully
carpeted or covered.
ix) Woodwork in the Halls is prohibited.
Platforms/
Panels
and
other
decorations for the interior must be
brought in prefabricated condition.
Only assembly and finishing will be
allowed in the Hall. Spray painting
inside the Exhibition halls is strictly
prohibited and any exhibitor doing so
shall bear the risk of disconnection of
power supply to the stand.
x) For island / 3 side open stalls it is
mandatory for exhibitors to design
their stands in such a way that there is
no obstruction on any of the open
sides. This will ensure free movement
and give exhibitors a feel of openness
and transparency. Exhibitors are not
allowed to obstruct the view or
adversely affect the displays of other
exhibitors. For the meeting room, solid
Partitions up to 1.2 mtrs and seethrough glass / clear acrylic partitions
for the balance 1.3 mtr on top may be
used. Organiser reserves the right to
turn down approval for stands with
any of the open sides blocked.
xi) A maximum of 70% of Stand area may
be used for exhibits and the balance
30% must be left free for circulation.
The Exhibitors shall not arrange the
display of material in a way that would
obstruct the Passage area.
xii) Natural Pillars falling within stand area
may be covered to a height of 2.5 mtrs
only. Stands with over 100 sqm area
may cover pillars up to a height of 5
subject to approval and availability of
height.
xiii) The Organiser reserves the right to
change/alter/remove
any
exhibit
interfering with the aesthetics of the
exhibition or hinders the general public
in any way.
xiv) Grouting is not allowed. Any damage to
floor or structure, fittings etc will be
charged.
xv) To avoid inconvenience to other
exhibitors and to enable the Organiser
to complete repair work of passages,
cable ducts etc., before the exhibition
starts, exhibitors are requested to
move in their exhibits within stipulated
time given.
xvi) Electrical wiring and installation must
be done by Exhibitors through
registered professional technicians
using proper wiring switches etc. so as
to ensure safety. The Organiser shall
not be responsible or liable in case of
any mishap due to use of sub standard material or unskilled labour.
xvii) All wiring must be carried out in PVC,
Electrometric or other plastic sheathed
cables. No exposed means of cable
joints will be permitted.
xviii) Lamps and appliances with high
temperature surfaces should be
guarded and used well away from
combustible materials
xix) No light fitting or other appliance may
be suspended from the roof of the
exhibition hall.
xx) The Organiser reserves the right to
remove any installation, which in their
opinion is dangerous or likely to cause
annoyance to visitors or other

xxi) In order to take care of voltage
fluctuations, the Exhibitors are advised

to fix up constant voltage transformers
or insulation transformer or stabilizers.
Exhibitors are encouraged to use MCB
wherever necessary. The main supply
points and electrical installations in the
stand should be easily accessible and
should not be concealed.
xxii) The decision of the organiser as
regards the approval of the plan shall
be final and binding upon exhibitors
and the work must be carried out as
per the approved drawing only.
xxiii) Exhibitors must submit 4 copies of the
design of the stand clearly detailing the
design along with the floor plan for
approval, latest by 15 April 2014. A
penalty of USD 1000 will be levied on
drawings received after this date. The
drawings must also clearly show layout
of exhibits, logo details, supporting
stand electrical points etc. and clearly
indicate wall / panel height, exhibits,
meeting rooms etc.
xxiv) In case any pre-fabrication is done by
any Exhibitor before the approval of
the design by the Organiser, the
Exhibitor shall be bound by the
changes / modifications advised at the
time of approval of the design and to
change
the
said
pre-fabricated
structure or any other feature so as to
adhere to the basic design guidelines.
xxv) An exhibitor whose design has been
approved by the Organiser may only
commence erection on or after the due
date. No exhibitor shall be allowed to
start work on their stands without the
prior approval of the plan. The decision
of the Organiser as regards to the
approval of the plan shall be final and
binding upon exhibitors and the work
must be carried out as per the
approved drawing only.
xxvi) The exhibitors must keep one copy of
the approved drawing at the work site.
xxvii) All displays will be inspected during
the set-up days and any exhibitor
deviating from the regulations must
make modifications as suggested by the
Organiser on his own expense prior to
the show opening.
xxviii) All exhibitors stand must be
completed in all respects by 2100 Hrs
on 1st June 2014.
3.
Mezzanine Floor
Mezzanine floor maybe permitted to be
constructed inside the hall having an area of
minimum 100 sqm subject to payment of
additional space rent and on the following
conditions:
 Area of mezzanine floor shall not exceed
20% of the stand area subject to a
maximum of 100 sqm.
 Maximum height of the floor of mezzanine
shall not exceed 2.1 Mts.
 The railing on the sides of the mezzanine
shall be of transparent material in the
portion extending beyond 2.5 mts. height
from the ground level.
 A structural engineer shall duly certify the
stability of the structure of the mezzanine
and the organiser shall not be held
responsible for any mishap due to the substandard design/workmanship/material
used for the construction of the
mezzanine.
 The construction of mezzanine shall be
permitted only if, in the opinion of the
Organiser, it is not obstructing the
display/ visibility of any adjoining stands.
 The use of mezzanine floor area shall be
subject to payment of 50% of the basic
space rentals for the area used for
mezzanine floor.
4.
Guidelines: Built Up Space
1 General Information
Features: The Shell Scheme stands would
be provided with the following:
Back and sidewalls of 2.5 mts. height
Fascia with company’s name and booth
number
Floor covering with synthetic carpet.
Basic Furniture: one table, two chairs, three
spotlights, 5 amp power socket and waste
paper basket.
2 Power for Demonstration: Apart from light
fixtures, one 5 Amp Power socket (for TV,
Fridge, computers etc.) will be provided in
each booth of 9 Sqm. In case additional
power is required for demonstration or
running of machinery / exhibits, the
exhibitors must inform the Organiser.
3 No alterations may be made in the
Standard Shell Scheme structure.
 No Alternations may be made in the
standard Shell Scheme Fascia.

 Painting, coloring, wallpapering, and
sticking of thermo cole cut letters,
nailing or drilling of panels. If you
require assistance in hanging or
displaying your exhibits, please consult
the Official Shell Stand Contractor of
your Hall. Exhibitors would be charged
@ USD$ 75 per panel for any damages
to panels.
 Suspending of items from the Hall
ceiling or parts of it.
 Storage of any kind behind the display
walls.
 Digging, grouting or cutting of the floor.
 Raising the height of the back wall/
fascia for promoting the company name
/ logo.
No additional out sourced stand fitting or
display may be attached to the shell stand
structure.
All interior stand fittings must be
contained within the shell stand structure,
and must not exceed 2.5m height. No
freestanding equipment may exceed a
height of 2.5m or extend beyond the
boundaries of the site allocated.
It is mandatory for Exhibitors with 2 or 3
or 4 side open stands, to arrange display
in such a way that there is no obstruction
on any of the open sides. This will ensure
free movement and give exhibitors a feel
of openness and transparency. Exhibitors
are not allowed to obstruct the view or
adversely affect the displays of other
Exhibitors.
A minimum of 30% of Stand area must be
left for circulation. Exhibitors shall not
arrange the display of material in a way
that will obstruct passage areas.

5.
Natural pillars falling within stand area
may be covered to a height of 2.5 mtrs.
10 Exhibits of over 2.5 mtrs height must not
be placed on any raised platform.
11 There is no restriction on height and
weight of exhibits on display except
imposed by the load bearing capacity of
the floor and height of entry doors.
12 Any presentation / demonstration /
exhibit likely to interest groups of 10 or
more must be located towards the centre /
rear portion of the stand and clearly
shown on stand drawings.
STAND APPROVAL
1 Exhibitors booking over 18 sqms. of space
must submit 4 copies of the design of
stand showing elevations and plan for
approval, April 30, 2014.
2 All stands will be inspected during the setup days and any Exhibitor deviating from
the regulations must make modifications
as suggested by the organiser on his own
expense, prior to the show opening.
3 All exhibition stands must be complete in
all respects by 1200 Hrs on 1st June 2014.
BARE SPACE CONTRACTOR
1.
Exhibitors using a contractor for Form 6
stand construction and / or
interior decoration, other than the official
contractor, must get their contractors to
submit to the organiser a refundable security
use only demand draft of USD$ 1000.

Exhibitor Stand Personnel - BADGES
Exhibitors' badges will be prepared for you in
advance according to the list of names
provided by you. The Exhibitors' kit containing
the badges can be collected from the Show
Management Office two days prior to the
event.
An Exhibitor's badge is provided to you to
register those employees who will represent
your company at the show. These must not be
given to contractors or suppliers as they are

you are requested to wear your badge at all
times during the show. Late changes or
additional badge requests will be provided on
your arrival at Exhibition Venue.

Show Management Office.
SCHEME PACKAGE
Shell scheme exhibitors' names will be put on the
fascia, with Helvetica style cut-out lettering.
Depending on the length of the fascia, standard
abbreviations will be used if necessary. Fascia
lettering and booth nos. are in white on fascia.

exhibition daily. It is the responsibility of the
exhibitors to keep their own stands tidy.

responsible for coordinating the handling of
goods and exhibition material into and out of
the exhibition centre.
SECURITY
Form 13
We have engaged an alert and efficient security
force and will do our best to ensure the safety of
your exhibits. Nevertheless, you must arrange your
own insurance against all risks to cover all stages
of the event. While the organiser will maintain
security surveillance at all times throughout the
exhibition, exhibitors are reminded that goods will
be at highest risk during build-up and immediately
after the show closes on the final day. Please
ensure that your stand is not left unattended at
these times. Particular care should be taken of
small portable items, tools and instruments,
including telephones. The organiser cannot accept
responsibility for theft, loss or damage to exhibits.
Exhibitors' personnel or private security guards
are not allowed to stay in the exhibition Halls after
closing hours. Kindly arrange individual
security for your booth only with the official
security agency.
Exhibits and personal property should not be left
unattended at any time at your stand.
3. RULES AND REGULATIONS
1. AMENDMENTS TO REGULATIONS
The organiser reserves the right to issue
amendments / additions to rules & regulations.
2. ANIMALS / PETS
Not allowed entry into the exhibition halls.
3. AUTHORITY ON THE PREMISES
The organiser shall be responsible for and be
entitled to act as the owners of the premises
throughout the tenancy period. The decision of the
organiser in any problem or dispute will be final.
4. BILL, POSTERS AND BANNERS
Exhibitors are not allowed to display any Bill,
posters and banners on any place other than their
stalls
5. DANGEROUS & NOXIOUS SUBSTANCES
Substances, which in the opinion of the organiser
are dangerous, explosive or of an objectionable
nature will not be allowed within the premises of
the KICC complex.
6. DEMONSTRATION OF WORKING EXHIBITS
An Exhibitor intending to demonstrate working
equipment on his stand must:
i) Provide the Organiser with full details in
advance in writing of any working exhibits
involving moving parts, naked flame, lasers, or
other items, which could be hazardous to
visitors or other exhibitors.

ii) Give proper consideration to the safety and
conditions under which the exhibits will be
demonstrated.
iii) Cause no annoyance to visitors or other
exhibitors. Where a high level of noise or other
objectionable
factor
is
involved,
demonstrations may only take place at the
times stipulated by the Organisers, who
reserve the right to terminate a demonstration
at any time.
iv) Isolate controls so that visitors cannot operate
them.
v) Not use flashing or winking lights.
7. DAMAGES
Exhibitors are responsible for any damages or
dilapidations to the exhibition premises, whether
caused by themselves, their agents, and
contractors or by any person or persons employed
or engaged on their behalf by such agents or
contractors. Exhibitors occupying shell scheme
stands are also responsible for restoring or
renewing any damages or dilapidations to their
shell stand structures, floor coverings, light
fittings, or any part thereof, whether caused by
themselves, their agents, contractors or by any
person or persons employed or engaged on their
behalf by such agents or contractors. The damage
will be assessed by the official shell scheme
contractor and charged to the exhibitor. The
organiser, in conjunction with the KICC will inspect
the hall before build-up and after breakdown of
the exhibition.
8. FIRE PRECAUTIONS
Every hall will be provided with fire extinguishers,
which will be located at each entrance and exit
doorway to the hall.
Exhibitors, who because of the nature of their
exhibits require a special type of fire extinguisher,
must make arrangements at their own cost for the
provision of such equipment. The organiser will
assist in and advise on sourcing, if required.
Any person seeing an outbreak of fire, however
slight, must immediately sound the alarm and
make every endeavor to extinguish the outbreak or
to confine it by the use of extinguishers and/or
removal of goods in the vicinity.
9. FORCE MAJEURE
The exhibition may be postponed, shortened or
extended due to any cause whatsoever outside the
control of the organiser. The organiser shall not be
responsible for any loss sustained by the exhibitor,
directly or indirectly attributable to the elements
of nature, force majeure or orders and directives
imposed by any governmental authority. In the
event of such circumstances, the money paid by
the exhibitors shall not be refundable.
10. LIABILITIES & INSURANCE
The organiser will not accept liability for loss or
damage to any exhibit, or for injury to exhibitor
personnel at any time. Exhibitors are strongly
advised to insure their exhibits against theft, loss
or damage, including the risk of fire, and to cover
themselves against third party liability for stand
personnel and visitors on their stands. Such
insurance shall name the organiser as an
additional insured, and exhibitor shall upon
request provide the organiser with certificate so
indicating. All property of the exhibitor is
understood to remain under its custody and
control in transit to and from the confines of the
exhibit hall and during the show.
11. MANNING OF STANDS & GENERAL CONDUCT
Stands must be staffed and operational throughout
the open hours of the exhibition. Exhibitors may
not participate in any activity, which causes or is
likely to cause annoyance to visitors or other
exhibitors. In particular, audiovisual display
equipment must be positioned and sound level
adjusted to avoid inconvenience to neighbors. All
sales/attraction activities must be restricted to
limits within ones own booth and not extend to the
aisles. In the event of any disagreement, the
organizer’s decision in this field is final.
12. NOISE LEVEL
The Organizer’s rulings on sound levels will be
final and we appreciate your cooperation on this
issue.
1. Exhibitors will be permitted to demonstrate
products for a period of not longer than 10
seconds at a time, at a maximum of 80 db.
2. Live bands will not be permitted to perform on
or in any exhibit space.
Failure to comply
If the Organizer’s repeated request to keep the
volume of the equipment down is not adhered to
by the exhibitor, the Organiser reserves the right
to:
A. switch off the power supply
B. close the exhibit space

C. in the event of closure of exhibit space for non
compliance of noise levels, the Exhibitor will
not be entitled to any refunds.
13. OBSERVANCE OF RULES & REGULATIONS
All exhibitors and their personnel must observe
the rules and regulations stated in this Exhibitor
Manual under this section and on the reverse of
the exhibition participation agreement, while
working or being present in the exhibition hall.
14. RETAIL SALES PROHIBITED
Retail sales of plant, machinery, ancillary
equipment and samples are strictly prohibited.
Spot orders for the same may be booked and
delivered after the exhibition is over. However, the
sale of books, periodicals and magazines is
permitted.
15. SAFETY & BEHAVIOUR
No person present inside the exhibition hall is to
behave or act in a manner that may cause any
harm, injury or damage to other person or exhibits,
nor to exhibition hall property or fixtures.

vi) Naked lights are not allowed in the stand.
vii) Exhibitors should endeavor to maintain a high

neighboring exhibitors. Their co-operation
with the organiser in maintaining continuity
and keeping with the general aesthetics of the
show will be greatly appreciated.
viii) Any change to the type or colour of the floor
covering provided must be by prior
negotiation with the shell stand contractor.
The cost will be borne by the exhibitor.
ix) An exhibitor occupying a corner booth has the
choice to have either a wall or an additional
open side on to the aisle.
x) Organiser will not give any financial credit for
any package item not utilised.
16. STAND FITTING
For the sake of overall uniformity and harmony of
the entire exhibition, the following must be
observed:
i) No part of an exhibit should project out of, nor
anything be placed outside, the boundaries of
the stand area, by any exhibitor.
ii) There should be sufficient free space in the
stand for easy and safe movement of visitors.
Entry and exit to stands must be at least 1 m
wide.
iii) No overhead structure should adversely affect
adjacent exhibitor stands.
iv) Grouting, digging in floors or walls is not
allowed. Raised wooden platforms of not more
than 4 inches in height are allowed.
v) Painting, wallpapering or nailing (and use of
screws) on the plywood partitions supplied
under shell scheme, is prohibited. Exhibitors,
who cannot do without painting or
wallpapering of wall panels due to design
constraints, must inform the official shell
scheme contractor who will provide a
quotation for the requirement. Photographs,
charts, etc., may be fixed with adhesive tape, or
suspended with nylon thread with the help of

It is important that visitors reach all areas of the exhibition and each stand is located to its best advantage, while
ensuring that it does not restrict flow or blocks the view of other stands.
GENERAL DESIGN RULE
Designs must ensure that neighboring stands are not boxed in or blocked from view.
Outside walls must have a maximum length of 3 meters, after which an access into the stand, having a minimum
width of 2 meters must be applied. An 'open architecture' creates an environment that is attractive and inviting. If
the stand must have outside walls, then the design should confirm to the above guidelines in order to maintain
visitor flow to neighboring stands.
No part of the stand fixture or fitting must overhang or encroach the aisles, or neighboring stands. This rule also
applies to the projection of logos etc. onto the floor, which should always be kept within the stand space.
The building height of the stand should always be in proportion to the size of the rented space. High stands will
generally not be located at the entrances of the exhibition halls.
PLAN APPROVAL
1.
Exhibitors, who have taken Bare Space, must submit the plan of their booth on A3 size paper on a scale
of 1:100 indicating the floor plan, the front elevation, prospective view, and one cross section, indicating the
height and material used. The design needs prior approval by the organiser.
2.
Include the name and addresses of your contractor in your plan.
3.
Plans should be submitted in triplicate together with this form to ENTERPRISING FAIRS (I) PVT.
LTD. Construction work will not be permitted to commence unless plans are approved. One copy will be
returned to the exhibitor once it has been approved, showing modifications if these are necessary.

construction without the organizer’s approval will not be permitted.

1. There is a minimum charge of 1 day (8 hours inclusive of half an hour break for lunch). Overtime is billed at one
and a half times the normal rate. Overtime charges commence after 1800 hours.
2. Temporary staff should not be entrusted with the handling of cash or other valuables. Exhibitors will be
responsible for the safety of temporary staff whilst on their stands and Show Management Office will not be
responsible for loss or damage caused, to such personnel.
3. Temporary staff will be allocated to your booth once the payment has been received. Exhibitors are requested
not to appoint temporary staff from elsewhere, to maintain security.
