International training course

The Slovenian, Hungarian, Croatian and Lithuanian National Agencies for the Erasmus+ Youth in Action
programme in cooperation with SALTO South East Europe Resource Centre are looking for two trainers as
well as two experts on communication strategies and dissemination and exploitation of results – for the
preparation, implementation and evaluation of the international training course on dissemination and
exploitation of project results ”PROMOTE YOURSELF!”
DESCRIPTION OF THE Background and identified needs
ACTIVITY
In the past couple of years we have
witnessed a growing importance of
measuring, documenting and presenting
results of youth work. In line with this,
the importance of the dissemination and
exploitation of project results is
highlighted also in the Erasmus+: Youth in
Action programme, where it represents
quite an important share of the project
quality assessment.
On the other hand, documenting and presenting the results of your work, be it on the
local level or within international E+ YIA projects or other activities, is becoming more
and more important in general – not only for the funders, but also for the target public
and the local environment as such due to a versatile offer of different activities and
programmes all around. It is therefore crucial for the organisations to start developing
strategies for the promotion and justification of their work and efforts and the E+ YIA
programme offers a suitable polygon in this area.
Within the E+ YIA programme, it has been especially challenging to document and
present the results of the short term activities, such as Youth Exchanges, where the
often “invisible” preparation & follow-up process are crucial for the understanding of
the actual results and effects of the project on the participating individuals. We
therefore believe these activities offer a good basis for developing strategies and tools
for effective dissemination and exploitation of results.
Design and contents of the training course
This long term TC aims at supporting the beneficiaries in better planning their DEOR
strategies (strategies for the dissemination and exploitation of results). The general
idea is to design a TC in two parts, which will result in a concrete support tool to be
used by beneficiaries. The tool could be either a very practical, ready-to-use, hands-on
handbook or an online tool or some other useful tool (to be discussed by email and
then at the prep meeting). The tool is foreseen to be pre-developed during the
preparatory phase, delivered/presented to the participants during the first TC, tested
by the participants after the TC and then improved during the evaluation phase of the
project, after which the tool would be finalised and offered to the wider public:



1st part: DEOR TC for participants (with external experts)
Testing: Individual DEOR work in participants’ local environments on concrete
projects
2nd part: Evaluation meeting, sharing of practices & reshaping the DEOR tool
ALSO! The entire project as such should be an example of best practice in terms of
DEOR activities – promotion before the TC, documenting the process during the TC,
dissemination of the results after the TC, etc. For this purpose, many different ways of
promotion should be incorporated (good graphic design of the entire process and
event, good PR, use of video clips, social media channels, graphic recording of different
kinds, live streaming and/or other options).
Aim of the project
The aim of the entire project is to design, test and finalise an efficient DEOR support for
beneficiaries.
The aim of the 1st phase (preparation and implementation of the 1st TC) is therefore to
design the DEOR support tool and accordingly deliver the TC in December. (This call
refers to the 1st phase only – more information on time involvement and fees below).
Specific objectives are to be discussed at the preparatory meeting.
Format, duration, number of participants, dates and venue
The format of the project is a long-term training course, consisting of two residential
activities. 1st activity will take place in 9th – 11th of December 2015 (the arrival and
departure days being 8th and 12th) in M hotel in Ljubljana and the 2nd activity is planned
to be hosted in the Western Balkan region in late Spring 2016. Both parts are planned
for 3 full days + arrival and departure days. They will accommodate about 30
participants and up to ten guests, media experts and team members (trainers, support
staff and prep team members).
Target group
30 representatives of Youth organisations participating in the E+ YIA programme from
programme countries and Western Balkan region. (Inclusion of other possible target
groups and stakeholders to be discussed.)
Working language
The working language will be English.
TEAM
The programme of activities will be carried out by two trainers, supported by two
experts on communication strategies and dissemination and exploitation of results – in
consultation with the organisers.
TRAINER PROFILE
Two trainers will be selected by the team of organisers. Accordingly, they should have:






EXPERT PROFILES
Excellent understanding of the Erasmus+: Youth in Action programme, its aims and
measures;
Sound knowledge and experience related to the topic of dissemination and
exploitation of results, preferably in the context of the Erasmus+ Youth in Action
programme and beyond;
Overall trainer skills with regard to working with diverse groups of participants in
the frame of non-formal education;
Ability and experience in working in larger teams (up to 10 people);
Excellent English language skills;
Prior experience in working as a trainer/facilitator in the international events
organised by National Agencies and/or SALTO Resource Centres is not obligatory,
but will be considered an asset
Two experts will be selected by the team of organisers.
1. Expert on communication strategies and public relations to support the design
and implementation of the activity - Accordingly, he or she should have:


Excellent knowledge of and experience in the development and implementation of
communication strategies and management of public relations in the non-profit
sector;
Understanding of the Erasmus+ Youth in Action Programme is an asset
2. Expert on dissemination and exploitation of results to design and implement the
promotion of this project - Accordingly, he or she should have:



Excellent knowledge of and experience in the topic of dissemination and
exploitation of results, preferably in the context of the Erasmus+ Youth in Action
programme (or similar initiatives);
Understanding of the Erasmus+: Youth in Action programme, its aims and
measures;
Skills relevant in the field of dissemination and exploitation of results (working with
video, social and other media, design of promotional materials, website
management etc.)
Both experts should also have:





EXPECTATIONS
Good public presentation skills;
Ability to work with diverse groups of participants;
Ability and experience in working in larger teams (up to 10 people);
Excellent English language skills;
Prior experience in working as experts in the international events organised by
National agencies and/or SALTO Centres is not obligatory, but will be considered an
asset
Trainers are expected to:

facilitate the preparatory meeting in order to achieve the aim set for the 1st phase
of the project
lead the design of the programme of the TC together with the team as well as the
support tool
suggest methods to be used in the TC to achieve the desired results
implement the TC
write a basic report of the TC
participate in the (online) evaluation of the TC
Expert on communication strategies and public relations is expected to:

participate actively in the preparatory meeting
help design the topics and programme of the TC as well as the support tool
give some expert inputs in the TC (in the form of either workshop or presentations
or…)
participate in the (online) evaluation of the TC
Expert on dissemination and exploitation of results is expected to:

design and implement the overall strategy for dissemination and exploitation of
results of the TC (innovative communication & documentation of the whole process
before, during and after the TC)
give some expert inputs in the TC (in the form of either workshop or presentations
or…)
participate in the design of the support tool
participate in the (online) evaluation of the TC

A two day preparatory meeting is foreseen for 21-22 September 2015 in Ljubljana.

The selected trainers & experts are expected to participate in the preparatory
meeting of two working days and in the activity of three working days.
The trainers are also expected to submit a basic final report of the TC (the structure
of the report will be specified at the preparation meeting).
The experts are expected to contribute to the basic report and to design and
produce a shorter report with key results (be it written or video or …) for
dissemination after the activity. (The design/type of report is to be discussed at the
preparatory meeting).
Each trainer & expert will receive a fee of €280 per day (2 days of preparatory
meeting, 3 days of activity and 1 day for the report), which adds up to €1680 per
trainer / expert in total. (The amount represents gross amount, unless VAT is
charged on top of it.)
Travel costs will be reimbursed separately. Accommodation and food during the
preparatory meeting and during the activity will as well be covered by the
organisers.
