Reputation is your company’s most valuable asset, and it can be easily compromised by the
unintentional disclosure of sensitive information. Document metadata is one of the biggest
sources of these leaks, because it is not easily visible to the user. Metadact reduces the risk of
sharing confidential information and increases regulatory compliance by removing metadata
from Microsoft Office and PDF documents as well as providing conversion capabilities to
PDF-A when needed. This user-friendly, desktop-based utility allows users to preview metadata
in their documents, and analyzes and cleans documents before they are sent out or filed.
Metadact identifies and removes all the commonly known types of metadata such as author
and creation date, as well as many other types of hidden information such as previous revisions,
total editing time and much more. It can even clean obscure data such as Excel formulas, PPT
notes, and embedded emails. Intelligent Find & Replace capabilities can be used to ensure
sensitive data such as social security numbers or credit card information is also removed.
Each time a user sends an e-mail, Metadact will confirm cleaning and users will be alerted when
action is required, such as sending track changes or unlocking a password protected document.
Fully integrated with all major e-mail and document management systems, Metadact can batch
process folders and subfolders. Administrator tools define which metadata should be removed
and what level of user override, if any, should be available. Protect confidential and sensitive

CREATE CUSTOM POLICIES AND SETTINGS
Create custom policies and settings that allow administrators to determine which types of files
and metadata need to be cleaned. Control the individual user’s ability to change or override
corporate policies and settings. Security settings can also be controlled based on the template
used to create a document.
CLEAN AND CONVERT FILES
Clean Microsoft Office, PDF, image, and ZIP files, and convert select formats to PDF/PDF-A
files.
CHOOSE WHICH TYPES OF METADATA TO CLEAN
Remove basic metadata, as well as many other types of hidden information such as previous
revisions, who received the document, total editing time and much more. Clean data such as
Excel formulas, PowerPoint speaker notes, hidden cells, tracked changes and attachments to
embedded emails. Accept or ignore active tracked changes in a document prior to cleaning.

CLEAN METADATA FROM WITHIN MICROSOFT OUTLOOK
Clean metadata from attachments within Microsoft Outlook, including Word, Excel,
Power¬Point, and PDF files using the convenient Metadact ribbon built into Microsoft Office.
BATCH CLEAN
Select and clean multiple documents simultaneously with batch cleaning. Clean entire folders
or email attachments at one time.
VIEW DETAILED REPORTS
Review metadata detected in documents and save reports for future retrieval. See which types of
metadata and how many instances were removed, as well as the context of those instances.
SPECIFY “SAFE” E-MAIL DOMAINS
Classify select email domains as “safe” so that emails sent to such designated domains will not
be cleaned.
INTELLIGENT CONTENT CLEANING
Intelligent Find and Replace redacts text in Microsoft Word documents that matches a specific
pattern. For example, identification numbers (state ID, Social Security, or National Insurance
numbers) can be replaced with anonymous characters such as “XXX-XX-XXXX.” After
processing, you can see a detailed report of every occurrence.
