VEHICLE ACCESS (LOADING BAY)
The loading bay entrance for Exhibition Hall 2 is off Viscount Street. Please see
the address and map below. Access to the loading bay is strictly limited to
between 0800 and 1800 hours. Goods may be taken into the Hall via the sliding
single and double height doors. All vehicles must be removed from the loading
bay and there can be no deliveries made and no items removed from the Hall
outside of these times.
There are goods lifts available for Exhibitors located on the first floor.

Loading Bay – Hall 2:- From Aldersgate Street, turn into Beech Street. For the
loading bay behind Hall 2, take the first left turn into Bridgewater Street, then
turn right and the loading bay is directly in front of you.
Underground
The nearest Underground station is Barbican, on the Circle, Metropolitan and
Hammersmith & City lines. To reach Exhibition Hall 2, exit the station and cross
Aldersgate Street in front of you. Proceed through the road tunnel (Beech
Street) before taking the second turning on the left into Golden Lane. The main
entrance to Exhibition Hall 2 is on your left.
Train
The nearest rail stations are Liverpool Street, Farringdon and Blackfriars. City
Thameslink services serve Barbican, Moorgate and Cannon Street.

ACCESS to STANDS
All entrances, exits and gangways at the hall must be kept unobstructed at all
times.
All goods, exhibits and materials must be brought into or removed from the
hall by such entrances as directed. The main foyer area in the hall is only for
use by the general public.

10th ANNIVERSARY DINNER
We wanted to mark the anniversary and invite you to join in the celebration with past
and present Exhibitors and Media guests.
We have decided upon a dinner the night before the 10th Event itself and have secured
one of the Great Livery Halls in the City of London The Plaisterers Hall - A Magnificent Venue close to the Barbican
There will be wonderful food, members of the media on each table and we will have
two guest speakers.
Greenfingers Charity will receive 10% of all bookings and will benefit from other
fundraising on the night

CONGESTION CHARGING
Please be aware that congestion charges will apply to any vehicles travelling
inside the congestion zone, the Barbican Exhibition Hall is within the
congestion charge area, further information can be obtained from Transport for

CAR PARKING
There are four on-site car parks at the Barbican Centre, operated by Legion
Parking Services, open between 06.00-24.00 every day (although vehicle exit is
possible 24 hours a day). Car Parks 2 and 3 are situated off Silk Street (via the
internal roadway); car parks 4 and 5 are situated off Beech Street and closest
when exiting the Car Park to Exhibition Hall 2. Please note there is a height
restriction of 1.85m (6'1") for all car parks. For further details, see the

There is free car parking for all disabled exhibitors/visitors; vouchers can be

LORRY PARKING
Smithfield Market is closest for Van & Lorry Parking. The Smithfield
underground car park is open 24 hours a day, has 495 parking and costs £2 per
hour – up to a maximum of £28 a day. The entrance is from West Smithfield,
and if using a Sat Nav the postcode is EC1A 9PS.
There is a two metre height restriction in the car park, but there are loading
bays around the Market for larger vans and lorries. Van & Lorry parking

CLEANING
Exhibitors are responsible for stand cleaning, Hall cleaning and general rubbish

DISABLED ACCESS
The entrances to the Exhibition Hall in Golden Lane are at street level and
provide easy access for wheelchairs. A lift and an escalator are located in the
foyer of Hall 2, which allows disabled visitors access to the upper level.
Disabled toilets are also available on both levels of the Hall.

FIRE EXITS
The Barbican Exhibition Halls’ Duty Fire Marshall will carry out checks to ensure
that all fire exits are unlocked and clear, and that all fire fighting equipment is
in place and unimpeded.
FIRE
In the event of a fire or emergency, The Barbican Centre is protected by an
Automatic Fire alarm system. Intermittent sounders indicate that your area is
on alert and you should standby to evacuate. Continuous sounders indicate that
you should evacuate via the nearest fire exit.
The staff on duty will direct you out of the building and advise you when it is
safe to return. Please do not return to the building until you have been given
the all clear.
FIRST AID
If medical assistance is required at any time, please contact the organisers.

GOOD NEIGHBOUR POLICY
The halls are located in a residential area and respect should be given at all
times to neighbours and those in surrounding buildings.



Vehicle noise should be kept to a minimum.
Double parking or parking on double yellow lines is strictly forbidden at all
times.
All communication should be kept to a minimum, including the use of mobile
phones.
HEALTH AND SAFETY
Media Events Ltd Statement of Policy
The organisers are committed to the provision and maintenance of safe and
healthy working conditions, both at its own office premises and elsewhere for
staff employed by the company, and for contractors, exhibitors and visitors,
and to ensuring compliance with all statutory requirements and codes of
practice. In accordance with its duty under section 2(3) of the Health & Safety at
Work 1974, the company has produced the following statement of policy in
respect of health & safety at premises controlled by third parties.
The company has introduced procedures for working with venue operators,
independent contractors and exhibitors to ensure that they are aware of their
responsibility for the health, safety and welfare of all involved with any event
organised by Media Events Ltd.
The company will liaise with venue owners, contractors, and exhibitors as far as
is reasonably practicable, to ensure that particular attention is paid to:
1. The provision and maintenance of plant and systems of work that is safe and healthy
for all staff, contractors and exhibitors involved in an event or exhibition.
2. Arrangements for ensuring safety and absence of risks to health in connection with the
use, handling and storage and transport of articles and substances as per current
legislation.
3. The provision of information, instruction, training and supervision to ensure the
health & safety at work of employees and others.
4. Maintaining the venue in a safe condition as per guidance and regulations by the
venue.
5. The provision of a safe means of access to and exit from the venue.
6. The maintenance of a working environment that is safe, without risks to health and
provides adequate facilities and arrangements for welfare at work.
7. The provision of safety equipment and protective clothing to provide protection from
injury for those actively involved in the build and breakdown of events.
8. (All contractors must conform to his or her own company’s code of practice). To
ensure that good housekeeping is maintained in all work areas, minimising hazards
and allowing remaining hazards to be identified.
9. Working at height to be done in a safe manner, using suitable equipment in the
approved way, e.g. steps, mobile scaffold towers, powered access equipment etc.
10. All powered equipment only to be operated by fully trained and certified personnel,
e.g. cranes, forklift trucks, electric tow ropes, hydraulic access equipment.
11. Only accepted substances to be allowed on site, full compliance with the COSHH
regulations is required.
12. All portable power equipment to be used for the purpose for which it was designed

with the correct safety guards and devices fitted and used. Trailing power leads to be
kept to a minimum and not cross the gangways, unless protected at source by Residual
Current Device (RCD 30ma). Petrol powered equipment must not be used.
13. Prepare a written assessment of the health & safety risks of each event.
14. Ensure all company staff, exhibitors and contactors are made aware of this policy, first
aid arrangements, and Fire & Evacuation procedures of each specific venue.
VENUE RESTRICTIONS
You must not bring, use or store any pressurised gasses into the Exhibition hall, e.g.
propane or helium gas. The use of gas cookers is totally forbidden and approval must
be obtained from the organisers for the use of cooking with electricity.
Nothing may be attached in any way (eg nailed, screwed, taped) to the main
fabric of the building or any of the fixtures and fittings.
On-site painting or wet decoration is prohibited, except with prior permission.
The foyers are not suitable areas for heavy items. Average weight loading is
488kg/m2 (100lb/ft2). Any exhibit over this weight must be discussed in
advance.
Please contact the organisers if you wish to use any special effects, such as lasers,
smoke machines etc.
Any exhibitors who identifies that they will be involved in hazardous activities will
be required to provide the Organisers with a complete schedule and set of plans.
A RISK ASSESSMENT AND METHOD STATEMENT MUST BE COMPLETED AND
HAVE BEEN INCLUDED WITH THIS EXHIBITOR MANUAL.
THESE FORMS MUST BE COMPLETED BY ALL EXHIBITORS IN ALL CATEGORIES
AND EMAILED OR FAXED TO THE ORGANISERS BY FRIDAY 23rd JANUARY 2015
INSURANCE
The organisers cannot be held responsible for loss or damage of any goods, by any
reason during the Build, the Show or the Dismantle. This includes the use of any
equipment. The organisers require that all exhibitors have insurance to cover any loss
or damage.

INTERNET & WI-FI ACCESS
There is no WiFi access within The Barbican Exhibition Halls, however internet
connection is possible if you purchase a mobile broadband connection beforehand,

RUBBISH REMOVAL
General rubbish left in the gangway will be removed at the end of build and
breakdown.
Large items of waste material may be disposed of in the compactor at the rear
of the exhibition hall during build-up and breakdown periods, these machines
must only be operated by authorised users. However, it should be noted that
these compactors are unable to dispose of some stand fitting materials
including: chipboard, blockboard, timber, metal or composite items. A charge
will be made for the disposal of any such materials.
SMOKING
The organiser and venue operates a “NO SMOKING” policy in all areas.
STAND INSPECTIONS
Stand Inspections will be conducted by the organisers before the show opening
on Thursday 12th February 2015, to check for stability of exhibits and
conformity of any electrical goods on display.
STAND COMPETITION
In recognition of the exhibitor’s efforts in making their stands at the GARDEN
PRESS EVENT Interesting & Informative for visitors the organisers will be
presenting A SPECIAL AWARD for the BEST OVERALL STAND the award will
be based on stand presentation, visitor interaction, information and interest.
The award is named THE BOB MAKER BEST STAND AWARD in recognition of
our dear friend and colleague, who was involved with the inaugural event and
who sadly passed away very suddenly in 2006.

We will produce a SHOW BOOKLET to give out to all the attendees at the above
event, to encourage the journalists to visit your stand we would like to include
a short paragraph from each exhibitor to include in the booklet, particularly
focusing on what is NEW & EXCITING.

include a small photograph, please supply in jpeg or gif format. Please also

EXHIBITOR BADGES
Named Exhibitor Badges will be produced for each individual exhibitor / contractor
attending the Show, these must be worn at all times during Build, Show & Dismantle.
These will be available for collection from the organisers desk during build up, or
posted to exhibitors contact prior to the event, on a request basis only.
We require the names of all contractors and exhibitor personnel, please complete the
Exhibitor Badge Order Form No 5 and fax / e-mail to the organisers on 01243
837303 by FRIDAY 23rd JANUARY 2015
Badges will be available from the front reception desk for missing badges or
additional personnel.
CATERING
The organisers are pleased to provide a complimentary tea / coffee voucher for
exhibitors to use anytime during the day, and following feedback that it is often
difficult to get away from your stand so we will deliver a complimentary lunch
bag to your stand during the lunch period, these will be allocated on a pro rata
basis for the size of stand as follows:

SPACE ONLY SITES
All bookings include a shell scheme unless the exhibitor has specifically
requested space only. Any exhibitor with a ‘space only’ stand in excess of 35m 2
or more than 4m in height must submit detailed plans of their stand to Hall
Management at least one month prior to the event for approval by the
Corporation of London’s District Surveyors Office.
STAND ELECTRICS
Fluorescent strip lighting is provided to all stands as follows:
One strip on stands up to 12 square metres
Two strips on stands over 12 sq. metres
Additional Lighting and sockets can be ordered by completing the ELECTRICAL
ORDER FORM 3 included with this manual
SOCKETS:
No more than one exhibit may be connected to a 13amp plug and no more than
one plug is permitted per socket.
Adaptors are not permitted. However, system multi-points with 4 outlets may

ELECTRICAL ORDER FORM
Please be aware that these must be paid for in advance. Additional orders may
be made during the build-up period of an event to cover any last minute
requirements; however these may incur a surcharge and must be paid for prior
to the work being carried out. Please use the Form included with this manual.
SPECIAL ARRANGEMENTS:
Any special displays, such as lasers, strobes etc, must have prior approval from
the Licensing Authority and any such requests must be made through the
organisers at least one month prior to the event.
All power to exhibition stands is switched off half an hour after the close of the
show. On the final day of the event once the event has officially closed, a Public
Address announcement will be made informing exhibitors/contractors when
the power to their stands will be switched off (normally half an hour after the
official close time).

SIGNAGE OPPORTUNITIES
POSTER SITES:
There are a number of poster sites within the hall, which can be booked through the
organisers to advertise products. The numbered poster sites are Double Crown
(750mm x 500mm portrait) and the lettered poster sites are Quad Crown, (1000mm x
750mm landscape). Please e-mail guy@media-event.biz for details.
SUSPENDED SIGNAGE:
In some areas of the halls it is possible to hang signs, additional lighting or
lightweight exhibits from the unistrut suspension tracks that are fitted to the ceilings.

from the organisers
