We look forward to working with you and your child this school year as we begin the journey through middle school together. The staff at DC Virgo Preparatory is dedicated to helping every student excel academically and personally. We seek to provide students with all of the tools and knowledge necessary to demonstrate excellence and leadership in middle school, high school and college. We also know that you and your family are an integral part of your child’s growth and success, and we will strive to cultivate a school community where school staff and families work together to best meet the needs of each and every child. We will hold students to high standards and expectations in order to cultivate a school community of confident, hard-working students that follow a strong moral code. Students will be challenged to achieve academic excellence by caring, supportive teachers. Activity Students will have the opportunity to participate in unique classes such as: dance, visual arts, orchestra, stomp team and more. Students will also participate in a specially designed field trip curriculum to reinforce what they are learning in the classroom. In addition, students will be required to participate in one school sponsored activity or club to develop confidence, interpersonal and leadership skills, respect for self and others, and school connectedness. Service-based Learning Students will participate in a community service project each quarter in order to promote responsibility, empathy, and integrity. Professional and College Preparation Students will be provided opportunities to spend time in professional settings and on a college or university campus in order to increase their understanding of the world of work and the college experience. 6 D.C. We are loved, we are strong, and we are accountable for our actions, our learning, and our future. 7 After School: In order to stay after school, students must be accompanied by a DC Virgo Staff member, and be staying for a school-sponsored event or activity. Students must obtain permission from their parent or guardian prior to the end of the school day in order to stay after school. We always want parents to be aware of any after school plans or activities. SCHOOL POLICIES AND PROCEDURES SCHOOL HOURS 8:00am Classes Begin 3:30 pm Dismissal (Car & Buses) · The school building officially opens @ 7:30am. There is no adult supervision provided before this time · Students are not allowed in the building until 7:30 am and at that time only to eat breakfast. Note: Students must be in attendance at least 1/2 the school day to be counted present. Any student arriving after 11:30 am is counted absent. RELEASE OF STUDENTS · Parents who check out students must be prepared to present a photo ID. · Students being checked out by someone other than the parent must be listed in the student’s check out information and have a photo ID. · Students will not be called from class to wait for pick-up. Students will only be called to the office when parents/guardians or designees arrive to pick them up. · Students must always be signed out from the front office and need to be checked out prior to 3:00pm. NO INDIVIDUAL CHECKOUTS AFTER 3:00PM WILL BE PERMITTED. LATE ARRIVAL TO SCHOOL · Students arriving after 8:00 am to school will be considered tardy. Excessive tardies will be turned over to the Attendance Judicial Council. It is the responsibility of parents to ensure that students arrive to school on time. Students who are tardy should bring to school a note indicating the reason that they are tardy. Parents will be contacted if a student fails to bring a note. ATTENDANCE POLICY Regular school attendance is necessary for academic success. It Is also required by State Law and School Board Policy. Students are expected to be present daily unless there is a valid reason for the absence. The Law holds parents responsible for their children attending school until the age of 16. Absences are coded as excused or unexcused on a child’s permanent record. 8 LAWFUL ABSENCES 1. Illness or injury 2. Quarantine 3. Death in the immediate family 4. Medical or dental appointments (Please schedule after school) 5. Court or administrative proceedings 6. Required Religious Observance 7. Educational Opportunities (As determined by Principal) 8. Immediate demands of farm or home TARDY POLICY Our school day is from 8:00 am until 3:30 pm. Students are expected to be on time each day. Chronic tardiness (3 tardies per quarter) will be considered a truancy issue and will be handled in accordance with our attendance policy. All tardies will be unexcused unless there is a medical reason or documented appointment. Students arriving on late buses will not be considered tardy. TELEPHONE The office telephone is reserved for school business and emergency use only. Calling home to get permission from a parent to go home with a friend is not considered an emergency. Students will only be allowed to use the phone if they are sick or it is truly an emergency situation. Additionally, students will not be called out of class to speak with parents when they call. Parents should make arrangements for pickup and after school prior to the student arriving at school. CHANGE OF ADDRESS When a student’s address changes, the new address must be reported to the office the next day following the move. Proof of the new residence must be provided. If the new address is in another school district, and parents would like their child/children to continue attending Virgo Prep, a Completion of School Year form must be submitted. Acceptable documentation to demonstrate proof of residence includes: · Closing statement for a real estate transaction · Purchasing agreement for a home signed by seller and buyer · Rental agreement signed by tenant and landlord · Homeowner’s or renter’s insurance policy citing the proper address · Property tax statement 9 TRANSFER PROCEDURES Parents are to notify the teacher three (3) days in advance of an actual transfer. Upon completion of the student’s last day at school, the child will be given a transfer form to take to the receiving school for registration. Before transferring, all books are to be returned and any fines owed paid. LOST AND FOUND All items turned in to lost and found will be kept for a period of two weeks and then donated to a local charity. If your child is missing articles of clothing or other items, please check with Student Services or the custodians. PROHIBITED ITEMS There is no cell phone use permitted on campus during instructional hours. If a cell phone is detected or in use: 1st Time-Cell phone taken for the day & student may pick up; 2nd Time- Cell phone taken for three days & may only be picked up by the parent after the 3 days; 3rd-Cell phone taken for week with parent pick up. Personal items including any electronic device such as pagers, radios, CD players, tape players/recorders, videos, cameras, video cameras, cell phones, nooks, kindles, video games, trading cards, skateboards, finger boards, and other distracting items are not to be brought to school. If detected, these items will be confiscated. Since these items are not allowed at Virgo Prep the staff will not accept the responsibility for lost, damaged or stolen personal belongings and are not responsible for investigating nor returning confiscated belongings. Keep these items and other valuable possessions at home! SALE OR TRADE OF ITEMS Students are not to engage in the sale of items to other students or the trading of items with other students. The sale of candy, food, pencils, clothing and any other items is not permitted. Items and cash received will be confiscated and consequences will be administered. PROPERTY DAMAGE Students will be liable for any and all school property they damage. Defacing or purposefully damaging school property in any way will lead to disciplinary action. It is also against the law for students to vandalize school property. CHEWING GUM and SUNFLOWER SEEDS Chewing gum and sun flower seeds are not allowed at school. Teachers will insist that students adhere to this policy during the entire school year and consequences will be administered for failure to comply. IMMUNIZATIONS 10 Grade six students are required to have TDAP vaccines in order to start school. Information on other immunizations or medical issues will be sent home to parents at the start of the year. LICE If the school becomes aware that a child is infested with lice, parent/guardians will be notified to pick them up. The school will notify parents in a particular class or bus if there are several students who have been found to be infested. Students with continuous lice infestation problems will be referred to the New Hanover County Health Department. Students who return to school after treatment must be checked by the nurse before returning to class. MEDICAL AUTHORIZATION Forms are available in the office if you need to make arrangements for your child to take medicine at school. An authorization form signed by the doctor is required and all medication must be dispensed from the office. After an acute illness, physician prescribed medication (short term/two weeks or less) may be given with the medicine bottle labeled by the pharmacist, list of side effects. And a note from the parent. Medication Authorization Form is not required for short term medication. STUDENT CONDUCT ON THE SCHOOL BUS Riding the school bus to and from school is a privilege, which can be lost for inappropriate behavior. Bus stops are set with both safety of the children and energy conservation in mind. Parents can expect the consolidation of bus stops wherever possible. Middle school students may be required to walk at least a mile to their bus stop. After a student has been given a bus assignment, no changes are to be made without the permission of the principal or assistant principal. The Board of Education endorses the following rules concerning the behavior of students while riding a school bus. The school bus, including the bus stop area, is an extension of the school and all school rules and regulations that pertain to student conduct in the school are applicable to student conduct on the bus and at the bus stop. Discipline on the school bus is the responsibility of the principal where the student is assigned. The principal has authority over students on the bus and at designated bus stops. The driver has responsibility for the safe operation of the bus and will refer all students who violate regulations to the principal. 1. Students may not ride a bus for which they have not been assigned unless written permission is given by the principal. Students should remain seated at all times on the bus in their 1. assigned seats. 2. Students should not loiter or play near the bus stop. Students should move quickly away from the bus stop once they have unloaded the bus 11 3. The following bus specific behaviors are prohibited: · Putting any part of the body outside of the bus · Throwing objects about in the bus or out the window · Eating, drinking or chewing gum on the bus · Striking matches or lighting cigarette lighters · Using profane and indecent language · Using or possessing tobacco or alcoholic beverages on or at the bus stop · Taking pet or other animals on or to the bus stop · Loud or boisterous noise or distracting the drivers attention · Fighting, playing, or horseplaying on the bus · Tampering with the emergency door or any other part of the bus · Marring or defacing the bus in any way · Bullying, harassing or name calling on the bus or at the bus stop Students who fail to observe these rules are subject to immediate disciplinary action since their failure to do so may affect the safety of others. Parents/Guardians are phohibited from entering any NHCS School Bus. Any parent doing so will be reported to the NHC Sheriff’s Department. SAFE SCHOOLS ACT 1. The following offenses must be reported to the New Hanover County Law Enforcement 2. Assault Resulting in Serious Injury 3. Assault Involving Use of a Weapon 4. Assault on School Personnel 5. Death By Other Than Natural Causes 6. Possession of Controlled Substance 7. Possession of a Firearm 8. Possession of a Weapon 9. Robbery With a Dangerous Weapon 10. Robbery Without a Dangerous Weapon 11. Rape 12. Sexual Offense 13. Sexual Assault 14. Adult Taking Indecent Liberties With a Minor 15. Kidnapping 16. Communicating Threats 17. Unlawfully Setting a Fire 18. Alcohol Possession 12 19. Affray 20. Disorderly Conduct Fire Crackers/Weapons/Explosives Firecrackers, weapons and other explosive devices are not allowed at school or on the school bus. Students who violate this policy will be subject to disciplinary action. Fire causing devices (matches, cigarette lighters, etc) are not allowed at school or on the bus. This policy will be strictly enforced and will be reported to the SRO. STUDENT SUPPORT TEAM/RTI P MODEL Each school in New Hanover County has designed a variety of programs and services to provide a successful, quality education for each student. When a student is not being successful and continuously improving or needs accommodations or modifications because of a disability, one method of addressing these concerns is through the schools’ Student Support Team. Any individual (parent, student, teacher or community member) may make a Request for Intervention Assistance as a way to access this proactive, problem solving process in improving student success. Such a request will lead to the development of an Intervention Plan for Student Success through a team process of reviewing information, proposing success strategies/interventions and monitoring results. To make a Request for Intervention Assistance, contact your child’s counselor. DISABILITY INFORMATION No otherwise qualified individual with a disability, solely by reason of the disability, shall be excluded from participation in, being denied benefits of, or being subject to discrimination from any program or activity of this school. The school seeks to locate and identify every three through twenty-one year old person with a disability in the district. A free appropriate public educating will be provided to any qualified person with a disability. CHILD ABUSE AND NEGLECT School personnel are required by law to report to the North Carolina Department of Social Services any suspicion of child abuse, physical, mental and/or neglect. The Department of Social Services will decide whether or not a referral warrants investigating and whether or not to substantiate the alleged abuse. Furthermore, DSS workers are allowed to come and talk to students at school without parent notification, according to law. ATHLETIC PROGRAM The athletic program at Virgo Prep offers a variety of team sports for both boys and girls. In order to participate in the athletic program a student must have a completed Parental Consent/Athletic Participation Screening Form to be given to the coach prior to or on the first day of practice. Please contact the front office for a copy of the form. 13 PERSONAL EDUCATION PLANS Student who fail to earn Level III or higher on the NC End of Grade Test in Reading and/or Math are required to have a Personal Education Plan (PEP). Your child’s homeroom teacher will contact you during the first quarter of the school year to either revise or develop your child’s PEP with you. The PEP will be revised and reviewed quarterly with you during the school year. The purpose of the PEP is to ensure that the individual needs of students who are not being successful with the traditional education program are being met. SPECIAL EDUCATION PROGRAM Students who are identified as having a disability may be served by the Special Education Program. Students who qualify for services are provided and Individual Education Plan (IEP) that outlines specially designed services for these students. Please contact your child’s Special Education case manager if you have questions about your child’s plan. If you believe that your child has a disability and may require services in order to be successful in the traditional school program please contact your child’s counselor. TEACHER WEBSITES Classroom teachers maintain teacher web pages through TeacherWeb.com Teachers are required to update WebPages at least monthly. Many teachers utilize web pages to keep parents informed daily. Please check with your child’s teacher to find out what resources are available to you through their web page. SCHOOL IMPROVEMENT TEAM The School Improvement Team is a committee of parents, teachers, and staff committed to improving the teaching and learning of Virgo Prep. The School Improvement Team meets monthly. Please contact the front office for a meeting schedule. Elected members are the only voting members but all are welcome to attend. SCHOOL RESOURCE OFFICER The School Resource Officer (SRO) is a peace officer maintaining order on campus, with the legal authority to arrest if required. The SRO also serves a resource teacher in areas of Law Enforcement Education and can at times function as a counselor, by listening and assisting students with various problems. This approach enables the SRO to be a positive Law Enforcement role model and use proactive prevention by exposing the human qualities of law enforcement to our youth. The SRO will be responsible for diverting minor law infractions though the school disciplinary avenues and parent counseling as opposed to sending the offender into the criminal court system. 14 CRISIS INSTRUCTIONS FOR PARENTS Virgo Prep is committed to the safety of all children and staff. In the event of an emergency and the school has to be evacuated, we will evacuate to the safest possible location. For all other emergencies, students and staff will remain on site and follow established crisis procedures. We ask that you cooperate in following these procedures if you hear of an emergency at school. 1. The Crisis Response Team will be activated and appropriate steps taken to provide a safe and supportive environment for children and staff. 2. No student will be dismissed from school unless a parent (or his/her designate on the student emergency form) comes for him/her. No child will be allowed to leave without the adult responsible for his/her care providing positive identification. It is the responsibility of the parent to keep all emergency records up-to-date. 3. Students must sign out through the front office or designated dismissal site before leaving school. Students will be dismissed individually through an established dismissal station. Please do not call the school. We must have all the telephone lines open for emergency calls. If your child has been injured or needs your assistance, a crisis 1. team member will call you immediately. 2. During or immediately following an emergency, do not drive to school. The school access route and entrances must remain clear for emergency vehicles. 3. Listen to local radio and television. Information and specific directions parents are to follow will be announced. Buses will not make their runs during adverse weather conditions. Students will be supervised at school until weather permits their safe return home. Thank you for your cooperation and assistance with these procedures. Extracurricular Clubs and Activities Some DC Virgo faculty members will offer extracurricular clubs and activities that students may participate in after school, from 3:30 until 4:30pm. Opportunities to participate in these activities will be announced during Morning Assembly, and information will be sent home to parents. Students must sign up with the DC Virgo faculty member in charge of the activity and parent permission must be obtained in order to participate. 15 DC Virgo Preparatory Academy Uniform Policy and Student Supplies At DC Virgo Preparatory Academy, all students will dress professionally in their DC Virgo uniform every day. We are teaching our students to dress for success, and want all students to be able to focus on academic and personal success without the stress of what to wear or how to impress their friends. Our uniform policy is straight forward, simple and cost effective. **VIRGO PREP WILL NOT PROVIDE UNIFORM PANTS. ALL PARENTS ARE REQUIRED TO PURCHASE UNIFORM PANTS FROM A RETAILER . PLEASE SEE INFORMATION BELOW** Any student unable to afford a uniform may make an appointment to meet with administration for arrangements. DC Virgo Prep will provide new students two sets of uniform shirts and a PE uniform to start the year. Parents and Guardians will be responsible for providing black or brown DRESS SHOES and a black or brown belt. These items are part of the uniform and are required. If your child arrives to school and is not properly dressed in their uniform, (including shoes and belt) they will be asked to report to the main office to address this issue. Students will not be allowed to attend class without their uniform. Parents will be contacted to bring clothes to student out of uniform. Black, white grey or purple plain sweaters may be worn in the classrooms (no sweatshirts) and girls may where black, white, grey or purple tights with their skirts. 16 Pants Pants must be uniform Khaki pants (retailer suggestions are below) NO Skinny Pants—students dressed in inappropriate fitting pants will be asked to call home and sent to ISS NO Cargo Pants—pants with pockets on the side We recommend uniform khaki pants from the following stores: JC Penny, Sears, Walmart. PE Uniform Students will be provided with a PE uniform that consists of a DC Virgo t-shirt and athletic shorts. Students will need to bring athletic shoes for PE class, and will dress out each school day. Students not in PE uniforms will have points deducted from their final grade. Outerwear Students will be allowed to wear only PLAIN (no writing) grey, black or purple sweaters and sweatshirts in the classroom. All other outerwear will be placed in the students’ locker upon arriving at the school. NO Sweatshirts with hoods (hoodies) are permitted inside the school building or at any school sponsored event. NO Sweatshirts with writing ( i.e. aeropastel, Nike) or not an approved color will be allowed in the school building. PE Uniform Students will be provided with a PE uniform that consists of a DC Virgo t-shirt and athletic shorts. This time could be during the morning Homework Den class from 7:30-8:00, during lunch, and after school. School-wide Student Procedures Students are held to a high standard of etiquette, and there are consistent procedures and behavioral expectations for everything. We have these procedures because we believe that organization and consistency are essential to maintaining a safe, orderly learning environment for our students. Please review this section in your child’s Student Handbook for more information about what is expected of them during the school day. Homework Students are expected to complete Homework every school night. Each student will be provided with a Daily Homework Sheet (see below) to record nightly assignments for each class. They will have a section in their binder for homework. Students are expected to fill out the Homework Sheet at the end of each class period. Students are then expected to complete the assignments listed for homework, and to show their parent or guardian their work. We ask you, the parent or guardian, to sign off on this Homework Sheet each night in order to keep you informed of what your child is learning and accomplishing. In addition to any homework assigned, every student is expected to read at least 20 minutes each night and record the book and page numbers on their Homework Sheet. Students will turn their Homework Folder in to their Homeroom Teacher every morning and earn reward points for completing their homework. 22 Lockers, Bookbags, and Outerwear Students may use their locker only at designated times. Lockers are property of New Hanover County Schools and can be searched if there is concern for student safety or illegal substances. Bookbags and outerwear (jackets, coats, hats) should be kept in lockers during the school day. School Discipline Policy DC Virgo Preparatory encourages students to use Self-Discipline, in which students show self-control and make positive choices for their behavior. Students are expected to conduct themselves in an appropriate manner at school, on the bus, at school events, and in the community at all times. There will be a Positive Behavior Rewards Program to reward students for following PRIDE and behaving well; however, if a student does not abide by the school policies, consequences will be administered based on New Hanover County Schools Board Policy. Major Offense Infractions will result in immediate referral to Dean of Students or Assistant Principal for Consequence In School Suspension 23 Students admitted into the In School Suspension Program will begin with an intake process that will begin with a reflective worksheet that reviews the specific student’s incident and consequence. Students will conference one-on-one with the ISS Assistant on the alternative choices, and decisions. Students will be required to complete assigned work to completion that will be submitted to the classroom teacher by 2:00 PM. Students who have not completed daily assignment will receive an additional day of ISS. Each day will conclude with the ISS teacher group conferencing with the students in ISS on decision-making skills, and techniques that will avoid conflict. Students who have received 3 consecutive referrals for the same offense will be referred to the school counselor for evaluation. 1st Offense – 1 Day ISS 2nd Offense – 3 Days ISS 3rd Offense – 5 Days ISS In School Suspension Daily Focus Students who are assigned to the ―ISS‖ will receive various intervention strategies in order to promote positive behavior, returning to ISS, and receiving Out of School Suspension. Day 1 – Therapeutic – Students will conference with Dean or other designated staff member on decisionmaking skills. All work is to be completed by designated time. Day 2 – Reflective – Students will conference with Dean or other staff member by reflecting on their negative actions. All work is to be completed by designated time. The zone administrator gathers all 24 documents and verbal information and makes a recommendation to the Superintendent whether the student will: 1. Remain at Home School 2. Temporary transfer to Alternative School 3. Long term transfer to Alternative School 4. Removal from School District Positive Behavior Rewards Program: Students will have an opportunity to earn various rewards for showing PRIDE (Pride; Respect; Integrity; Determination; Excellence). Lion Paws: Teachers will be giving out Lion Paws daily to students who exhibit these traits to the highest level. Lion Paws will be presented to students during Morning Assembly. Students can use their Lion Paw to purchase items from the Lion’s Den School Store on Friday morning and will be entered into a weekly drawing to participate in a special activity. Bullying and Harassment Policy Bullying and Harassment is absolutely unacceptable and will not be tolerated at DC Virgo Preparatory Academy. Any students involved in a Bullying or Harassment incident will be dealt with immediately according to NHCS Board Policy and Federal & State Law. This includes any student who is involved that is deemed guilty of harming someone physically or emotionally, including bystanders who encourage or stand by to watch. Any student who witnesses or becomes aware of Bullying or Harassment involving DC Virgo students should report this immediately to a trusted adult, including a parent or guardian or school official (teacher, counselor, principal). The identity of anyone who makes a report will be kept confidential. Parents, we strongly encourage you to contact the school counselor or principal if you become aware or are suspicious of any bullying or harassment incident. We take this issue very seriously at DC Virgo, and want to make sure that all of our students are in a safe and respectful learning environment. To clarify, Bullying is repeated, intentional, aggressive behavior towards one person from another person or group of people. Bullying and Harassment include verbal aggression, physical aggression, written aggression, social aggression, intimidation, sexual harassment, and cyberbullying. Bullying includes actions such as making threats, spreading rumors, attacking someone physically or verbally, and excluding someone from a group on purpose. 25 Parent Involvement and Support The staff at DC Virgo Preparatory recognizes the importance of consistent communication with parents and families and how this correlates to student success. In addition to regular communication through the Homework Folder and teacher updates through the school website, teacher pages, emails, phone calls, and parent-teacher conferences, DC Virgo will also host several family events at school and in the community throughout the school year. We also invite parents into the school during the school day to utilize our Parent Resource room as well as the staff of the Blue Ribbon Commission’s Youth Enrichment Zone Office. Blue Ribbon Commission Youth Enrichment Zone (YEZ) DC Virgo will also house the Youth Enrichment Zone (YEZ) office in our school. YEZ is a division of the Blue Ribbon Commission under the supervision of the United Way. The purpose of the YEZ is to identify and manage community resources that can provide afterschool enrichment programs for students, mentoring and counseling services, educational classes for parents, and provide a bridge between the community and the school. The long-term objective of DC Virgo Prep is to serve as a hub of supports for the families it serves. The YEZ will also include a Parent Resource Room, as outlined below. Parent Resource Room PPD has partnered with DC Virgo to design and furnish a Parent Resource Room that will be housed in the school building. During the school day, parents are encouraged to use the Parent Resource Room to familiarize themselves with the school, meet other parents, access relevant literature on parenting and education, and receive free computer and internet access. In order to access the Parent Resource Room during the school day, simply check in the main office and someone in the office will direct you to this resource. YEZ will also use the Parent Resource Room to teach parent education classes, literacy classes, and any other needs identified by the families. Cafeteria The Cafeteria is open for breakfast from 7:30am until 8:00am. Students will not be able to eat breakfast after 8:00 am unless their bus was late to school and they receive a hall pass to do so. Students will eat lunch at approximately 12:15pm. Parents and Guardians are always encouraged to eat lunch with their students whenever possible Meal Costs Students who qualify for Free/Reduced Breakfast and/or Lunch will automatically receive this benefit at DC Virgo Preparatory if they attended a New Hanover County School last year. Technology iPads: Students will be issued an iPad at the beginning of the school year to engage in 21st century learning opportunities. This will include interactive digital textbooks, online education resources, and digital media. Students will sign a contract indicating how they will use and take care of their iPad, and parents will sign a contract indicating they understand and accept the policies relating to the iPad. 27 DC Virgo Prep Student/Parent Agreement For iPad Use I will take good care of my assigned iPad. I will never leave my iPad unattended. I will never loan out my iPad to other individuals. I will know where my iPad is at all times. I will charge my iPad’s battery daily. I will keep food and beverages away from my iPad. I will not disassemble any part of my iPad or attempt any repairs. I will protect my iPad by only carrying it while in the case provided. I will use my iPad in ways that are appropriate, educational, and meet New Hanover County Schools policies. I will not place decorations (such as stickers, markers, etc.) on the iPad. I will not deface the serial number iPad sticker on any iPad. I understand that my iPad is subject to inspection at any time without notice and remains the property of the New Hanover County Schools District. I will follow the policies outlined in the DC Virgo Preparatory Academy iPad Program – 2013-2014 Policy, Procedures, and Information Guide while at school, as well as outside the school day. Virgo Preparatory Academy’s iPad Policies and Procedures 2012-2013 OVERVIEW/INTRODUCTION The 1 to 1 Learning Initiative was created to: • Provide tools to engage our students as they access and explore relevant information, and create projects as they work with their peers in teams. • Prepare students to be successful citizens, have the skills necessary to go directly to work after high school, or continue their education at a college or university. • Bridge the gap between how students live and how they learn. • Provide tools for our teachers to use in their classrooms to enhance instruction. • Invest in the development of our teachers as they learn ways to better engage students. • Invest in education to strengthen economic development. POLICIES AND PROCEDURES 1.0 GENERAL INFORMATION The policies, procedures and information within this document apply to all student iPads used at DC Virgo Preparatory Academy, including any other device considered by the Administration to come under this policy. Teachers may set additional requirements for use in their classroom. 1.1 Receiving your iPad Parents and students must attend ―iPad Orientation.‖ Parents & students must sign and return the iPad Acceptable Use and Student Pledge document before the iPad can be issued to their child. 1.2 Returning your iPad 30 Students in grades Pre-Kindergarten through 3rd will turn in their iPad and all accessories on a daily basis to their homeroom teacher for charging and synching. Students in 4th and 5th grade will return iPads and accessories to DC Virgo Preparatory Academy during the final week of school. If a student transfers out of DC Virgo Preparatory Academy during the school year, the iPad must be returned at that time. Students who withdraw, are suspended or expelled, or terminate enrollment at DC Virgo Preparatory Academy for any other reason must return their individual school iPad with accessories on the date of termination. Failure to do so will result in criminal charges being pursued. 2.0 CARE OF THE IPAD The iPad is legal property of New Hanover County Schools. All users will follow New Hanover County policy and the DC Virgo Preparatory Academy acceptable use policy for this technology. Students are responsible for the general care of the iPad they have been issued by the school. iPads that are broken or fail to work properly must be taken as soon as possible to the DC Virgo Preparatory Academy Media Center for an evaluation of the equipment. 2.1 General Precautions • Only use a clean, soft cloth to clean the screen, no cleansers of any type. • Cords and cables must be inserted carefully into the iPad to prevent damage. • iPads must remain free of any writing, drawing, stickers, or labels that are not the property of the New Hanover County School District. • iPads must never be left in an unlocked locker, unlocked car or any unsupervised area. • Students are responsible for keeping their iPad’s battery charged for school each day. 2.2 Carrying iPads The protective cases provided with iPads have sufficient padding to protect the iPad from normal treatment and provide a suitable means for carrying the device within the school. The guidelines below should be followed: • iPads should always be within the protective case when carried. • Backpacks that hold other objects (such as folders and textbooks), should not be used to carry iPads to avoid placing too much pressure and weight on the iPad screen. 2.3 Screen Care The iPad screens can be damaged if subjected to rough treatment. The screens are particularly sensitive to damage from excessive pressure on the screen. • Do not lean on the top of the iPad when it is closed. • Do not place anything near the iPad that could put pressure on the screen. • Do not place anything in the carrying case that will press against the cover. • Clean the screen with a soft, dry cloth or anti-static cloth. • Do not ―bump‖ the iPad against lockers, walls, car doors, floors, etc as it will eventually break the screen. 3.0 USING YOUR IPAD AT SCHOOL iPads are intended for use at school each day. In addition to teacher expectations for iPad use, school messages, announcements, calendars and schedules may be accessed using the iPad. Students must be responsible to bring their iPad to all classes, unless specifically instructed not to do so by their teacher. Students understand that they are responsible for their iPad device. Therefore, they will not loan their iPad to anyone else or request to borrow an iPad from a peer or classmate. 31 3.1 iPads Left at Home If students leave their iPad at home, they are responsible for getting the course work completed as if they had their iPad present. If a student repeatedly leaves their iPad at home, they will lose at home privileges of the iPad for two weeks and will have to leave their iPads at school with their homeroom teacher. 3.2 iPad Undergoing Repair Loaner iPads may be issued to students when they leave their iPads for repair in the Media Center. There may be a delay in getting an iPad should the school not have enough to loan. 3.3 Charging your iPad’s Battery iPads must be present at school each day in a fully charged condition. Students need to charge their iPads each evening. Repeat violations (minimum of 3 days-not consecutively) of this policy will result in students losing at home privileges of the iPad for two weeks and will have to leave their iPads in school with their homeroom teacher. 3.4 Screen Savers/Background photos Inappropriate media may not be used as a screensaver or background photo. Inappropriate media includes but is not limited to the presence of guns, weapons, pornographic materials, inappropriate language, alcohol, drug, gang related symbols or pictures and will result in disciplinary actions. School-issued iPads must remain Passcode Lock free. Passcode Locks interfere with syncing. 3.5 Sound, Music, Games, or Programs Sound must be muted at all times unless permission is obtained from the teacher for instructional purposes. All software/Apps must be district provided. Data Storage will be through apps on the iPad and email to a server location. 3.6 Printing Printing will be available with the iPad on a very limited basis. Students should talk to their teachers about which printer to print to. Students will be given information and instruction on printing with the iPad at school. 3.7 Home Internet Access Students are allowed to set up wireless networks on their iPads. Printing at home would require a specific make/model printer at this time, proper settings on the iPad and the correct app. 4. MANAGING YOUR FILES & SAVING YOUR WORK 4.1 Saving to the iPad/Home Directory Students may save work directly on the iPad. It is recommended students e-mail documents to themselves and/or their teacher for storage on a flash drive or District server. Storage space will be available on the iPad—BUT it will NOT be backed up in case of re-imaging. It is the student’s responsibility to ensure that work is not lost due to mechanical failure or accidental deletion. 4.2 Network Connectivity The New Hanover County School District makes no guarantee that their network will be up and running 100% of the time. In the rare case that the network is down, the District will not be responsible for lost or missing data. 5. SOFTWARE ON IPADS 32 School issued iPads are only to be synced with designated school laptops. Syncing with any other computer will cause apps and schoolwork to be erased. 5.1 Originally Installed Software The software/Apps originally installed by New Hanover County Schools must remain on the iPad in usable condition and be easily accessible at all times. From time to time the school may add software applications for use in a particular course. Periodic checks of iPads will be made to ensure that students have not removed required apps or added apps that are not authorized by the school. 5.2 Additional Software Students are not allowed to load extra software apps on their iPads unless otherwise directed to do so by their teachers or school staff. DC Virgo Preparatory Academy will synchronize the iPads so that they contain the necessary apps. Students will not synchronize iPads or add apps to their assigned iPad, to include home synching accounts. 5.3 Inspection Students may be selected at random to provide their iPad for inspection. 5.4 Procedure for re-loading software If technical difficulties occur or illegal software, non- New Hanover County Schools installed apps are discovered, the iPad will be restored from backup. The school does not accept responsibility for the loss of any software or documents deleted due to a re-format and re-image. 5.5 Software upgrades Upgrade versions of licensed software/apps are available from time to time. Students may be required to check in their iPads for periodic updates and synching. 6. ACCEPTABLE USE 6.1 Statement of Responsibility The use of the network is a privilege. The user is responsible for what he/she says and does on the network. Communication with thousands of others is quick and easy. Therefore it is important for the user to stop and think before communicating and to show respect for other people and for their ideas. It is beneficial for all users to keep the network running efficiently. Each user must take responsibility for keeping down costs and avoiding system disruption. Network administrators will make reasonable efforts to maintain reliable service. They cannot, however, absolutely guarantee that the system will always be available or operating correctly. Student users should assume that none of their data is private or confidential. Any communication or data may be subject to review by network or school administration. Internet access is available on every computer with network access in the New Hanover County Schools. In general, the Internet is itself a complex network of regional, state, national, and international networks. This requires users to adhere to the same rules and guidelines outlined here for our network, as well as to any additional network policy procedures required, when the Internet connects them to other networks. 6.2 Parent/Guardian Responsibilities Talk to your children about values and the standards that your children should follow on the use of the Internet just as you would on the use of all media information sources such as television, telephones, movies, and radio. 33 6.3 School Responsibilities The New Hanover County Schools District reserves the right to review, monitor, and restrict information stored on or transmitted via New Hanover County Schools District owned equipment and to investigate inappropriate use of resources • Provide Internet access to its students. • Provide Internet Blocking of inappropriate materials as able. • Provide network data storage areas. • Provide staff guidance to aid students in doing research and help assure student compliance of the acceptable use policy. 6.4 Students Responsibilities: • Using computers/devices in a responsible and ethical manner. • Obeying general school rules concerning behavior and communication that apply to network use and according to the New Hanover County Schools Acceptable Use Policy – Computer Network Policy for Students. This policy is available online in the student handbooks and must be signed by students and their parents each year as part of the student handbook. • Using all technology resources in an appropriate manner so as to not damage school equipment. This ―damage‖ includes, but is not limited to, the loss of data resulting from delays, non-deliveries, mis-deliveries or service interruptions caused by the students’ own negligence, errors or omissions. Use of any information obtained via New Hanover County School District’s designated Internet System is at your own risk. New Hanover County School District specifically denies any responsibility for the accuracy or quality of information obtained through its services. • All users are expected to follow existing copyright laws. • Helping New Hanover County School District protect our computer system/device by contacting an administrator about any security problems they may encounter. • Monitoring all activity on their account(s). • Students should not eat or drink around their iPad. Liquids, food and other debris can cause damage to the device. • Students should avoid leaving their iPad in extreme temperatures or direct sunlight for extended periods of time. • Students should secure their iPad to avoid damage or theft at all times. (Including but not limited to: Before and after-school activities, cubbies, etc.) • Student iPads may be subject to individual search if there is a suspicion that policies or guidelines have been violated. • Students are expected to put away iPads during assemblies and any time they can be a distraction. Earbuds must be used or sound muted on school buses (4 th and 5th grade students only). • New Hanover County Schools is providing a content filtering system that will protect students from inappropriate content. However, parents, together with students, are still responsible for home iPad use (grades 4 & 5 only). If a student accidentally accesses inappropriate content, they must inform a teacher immediately. • The iPad is equipped with a digital camera. Students may not use the camera (1) to reproduce images of tests, (2) to take or distribute illicit photographs; or (3) to record or distribute photos or video without prior authorization from a teacher or administrator. • Students should always turn off and secure their iPad after they are done working to protect their work and information. • If a student should receive email or other electronic message containing inappropriate or abusive language or if the subject matter is questionable, he/she is asked to print a copy and turn it in to the office. 34 • Returning their iPad to the School District at the end of each school year. Students that withdraw, are suspended or expelled, or terminate enrollment at DC Virgo Preparatory Academy for any other reason must return their individual school iPad computer on the date of termination. 6.5 iPad Care • iPad batteries must be charged and ready for school each day. • Students will be held responsible for maintaining their individual iPads and keeping them in good working order. • Only labels or stickers approved by the New Hanover County Schools District may be applied to the computer. • iPad cases furnished by the school district must be returned with only normal wear and no alterations to avoid paying a replacement fee. • iPads that malfunction or are damaged must be reported to the Media Center. The school district will be responsible for repairing iPads that malfunction. IPads that have been damaged from student misuse, neglect or are accidentally damaged will be repaired with cost being borne by the student. Students will be responsible for the entire cost of repairs to iPads that are damaged intentionally. • iPad damage: Students are responsible for any and all damage. • iPads that are stolen must be reported immediately to the DC Virgo Preparatory Academy Principal’s Office and the High Point Police Department. 6.6 Student Discipline The discipline procedures in the New Hanover County Schools Student Handbook address serious and major offenses such as stealing and destruction of school or personal property. The district’s polies apply to the iPad device. Depending on the seriousness of the offense, students may lose the iPad and/or network privileges as well as receive disciplinary actions according to the district policies in the handbook. 7. PROTECTING & STORING YOUR IPAD COMPUTER 7.1 iPad Identification Student iPads will be labeled in the manner specified by the school. IPads can be identified in the following ways: • Record of serial number • DC Virgo Preparatory Academy Personalized Student Label 7.2 Storing Your iPad When students are not using their iPads, they should be stored in their locked classrooms. Nothing should be placed on top of the iPad, when stored. If a student needs a secure place to store their iPad, they may check it in for storage with their homeroom teacher. 7.3 iPads Left in Unsupervised Areas Under no circumstances should iPads be left in unsupervised areas. Unsupervised areas include the school grounds, the lunchroom, computer lab, specials classrooms, media center, unlocked classrooms, bathrooms and hallways and other supervised areas. Any iPad left in these areas is in danger of being stolen. If an iPad is found in an unsupervised area, it will be taken to the Media Center or Principal’s Office. A student will be charged $5.00 to retrieve their iPad. 8. LOSS OR DAMAGE. The iPads for this program carry a three year AppleCare protection on them. AppleCare does not 35 cover the iPad if it is lost, stolen or damaged due to neglect. A cracked case or screen will not be covered under Applecare and is considered neglect. iPad damage will be assessed on an individual basis. Severe damage that is not covered under the AppleCare protection plan will become the responsibility of the family. In cases of theft, vandalism and other criminal acts, a police report, or in the case of a fire, a fire report MUST be filed by the student or parent for the protection coverage to take place. A copy of the police/fire report must be provided to the DC Virgo Preparatory Academy Principal’s Office. If it has been determined by the school that there was intentional damage to an iPad, then the students’ parents are responsible for full payment of the intentional damage or the replacement cost of the iPad. Warranty or school district iPad protection DOES NOT cover intentional damage. Consequences of Inappropriate/Unacceptable Use Students whom inappropriately utilize their iPads will be referred to the administrative team for disciplinary action. If inappropriate usage continues, it may result in the loss of usage for an extended time period deemed appropriate by administration. Day User - A student who is allowed to use their school-issued iPad during the instructional day but must leave the device at school at the end of the day. Students can become day users by: • Repeatedly failing to bring equipment to school properly charged • Violating expectations and school board policies • Violating student discipline policies • Having 10 unexcused absences/tardies The administrative team reserves the right to determine the length of time as a day user and/or the length that a student will lose their privileges to utilize the iPad. Modification to Program New Hanover County Schools reserves the right to revoke or modify the project or its terms at any time.
