Caltech Y Office Assistant, Temporary Part-Time Position
Summary
Under general supervision, this position will provide programmatic and administrative support
to the Caltech Y and will report directly to the Office Manager.
Primary Job Duties
 Provides office administration including developing correspondence, copying, faxing,
answering phones, management of mail, handling inquiries, etc.
 Provides effective customer support for rental and ticket sales and maintaining, repairing
and replacing equipment. Acts as first point of contact for day to day activities.
 Oversees office operational services including communicating with Caltech facilities to
maintain building facilities, appliances, computers, communication devices and other office
equipment.
 Assists with all Y mailings for annual solicitation, special events and other mass mailings.
 Manages Caltech Y website calendar for programs, events, meeting and staff vacation
schedules.
 Oversees inventories and supplies to purchase, maintain, and replace office supplies,
appliances, equipment, movie tickets for resale, and rental AV/outdoor equipment.
 Organizes office facilities and maintains filing system and Y records.


Attends Caltech Y programs on evenings and weekends as needed.
Provides support to other staff as needed.
This is a part-time temporary, non-benefitted position for approximately 3 months with an
