PURPOSE OF THE POSITION: To provide secretarial assistance to WHO Medical Officer (HIV/AIDS) assigned to the project INO HIV. SUMMARY OF ASSIGNED DUTIES: Under the overall supervision of Medical Officer HIV/AIDS, the incumbent performs the following duties: Takes dictation and transcribes, ensuring that speling, punctuation and format are correct; perhaps correspondence for supervisor’s signature, checking enclosures and addresses. Types reports and correspondence in English or in Bahasa Indonesia in respect of the project work. Translate letters, reports and documents from Bahasa Indonesia into English and vice-versa and assists in interpretation, as required. Arranges appointments for supervisor, receives visitors, places and screens telephone calls, responds to routine requests for information. Types a wide variety of materials from drafts, printed text and dictating machines. Operates word processing equipment. Provides all secretarial assistance to all the consultants assigned to the projects. Makes travel arrangements for in-country filed visits for the supervisor and consultants in consultation with the national authorities concerned. Maintains office records and reference files on various matters covered by the project. Takes notes at meetings, as required. Provides secretarial/tryping assistance to the WR Office, if and when required. Performs other related duties, as assigned. EDUCATIONAL QUALIFICATIONS, EXPERINCE, ETC. 1. 2. 3. 4. Ability to take dictation at a speed of 80 words per minutes. Thorough knowledge of modern office practices and operations. Proven ability to use computer applications (MS Word, MS Excel, MS Powerpoint), and internet. Knowledge of use of other software applications an advantage.
