OLD COUNTRY FAIR Rules, Regulations and Registration Application 1 Rules and Regulations Notice to Vendors: You must initial each line for understanding, acceptance and full cooperation with the following rules and regulations of ALES 100 Old Country Fair. 1. All products must be homemade, handcrafted, or home grown. No wholesale, resale, or commercial retail business is permitted. ________ 2. ALES 100 Old Country Fair is an all-weather event. Vendors are required to operate in a variety of weather conditions including rain, snow or shine. ________ a. In the event of extreme weather (ex: severe lightening, tornado, etc.) vendors will be notified and our Weather Emergency Procedures will be activated. ________ 3. Vendors selling food must meet all Food Safety guidelines as outlined by Alberta Health Services. Please contact AHS at 780-460-4751 or www.albertahealthservices.ca for more information. Vendors are required to have: a. Farmers’ Market Home Study Course or a Food Safety course meeting section 31 of the Food Regulation: A copy of this certificate must be submitted with your application. ________ Note: If you have not yet obtained your Farmers’ Market Home Study Course, it can be obtained here: www.calgaryhealthregion.ca/publichealth/envhealth/education/documents/Farmers_Market_Home_St udy_Course_June_2012.pdf b. Food Handling Permits for concessions (units selling food to be eaten at the market) issued by Alberta Health Services must be on hand at all times. ______ c. All Food Handling Requirements including labelling, food samples, hand washing stations and sanitation. Sales of beverages and single serving food items are not permitted, except by Concession vendors. Vendors are only permitted to sell food items in quantities of two or more. ______ 5. Vendors are only permitted to sell approved items listed on their Product Approval letter. Any changes to product lines must be submitted in writing to the Centennial Manager in advance. ________ 6. Vendors are responsible for the stall they have been assigned. Vendors must provide a minimum of 48 hours notice of cancellation. In the event of an emergency and/or last minute cancellation, please phone the Centennial Manager 780-690-9236. a. No refunds will be given for cancellations. All stall payments are non-refundable. ________ 2 Rules and Regulations 7. Vendors are not permitted to loan, sublease or give away the stall(s) they are assigned. Stalls cannot be shared (only one business may operate per stall). ________ 8. ALES 100 Old Country Fair Committee reserve the right to change vendor locations within the market at any time. ________ 9. All stalls are 10 ft. by 10 ft. a. Vendors are required to provide their own tent and table. ________ b. No product, signs or stands shall be displayed outside of this area. ________ c. Tents must be placed within stall. ________ d. Vendors are responsible for bringing weights to anchor their tent in the event of inclement weather. ________ e. Vendors are responsible for any damage that occurs at or around their stall (ex: damaged trees, grass, etc.). If you are permitted to park your vehicle on the grass, lattice or other material(s) must be placed underneath your vehicle’s tires to prevent property damage. The University of Alberta will fine all vendors responsible for any damages or replacement costs incurred. ________ 10. Parking is extremely limited on site. For stalls where parking is permitted, vendors are required to submit a photo of the vehicle they wish to park, along with their application. No vehicles will be permitted to park without prior authorization. ________ 11. Vendors must be set up in their stall and ready to operate by 9:30 a.m. Stalls that are vacant after this time may be reassigned to another vendor. ________ 12. Public selling begins at 10:00 a.m. and ends at 4:00 p.m. Vendors are not permitted to sell to the public prior to/after this time. ________ a. Vendor-to-Vendor sales are permitted at any time, as long as both parties visibly display their vendor buttons. ________ b. Concession vendors are permitted to sell to the public between the hours of 7:30 a.m. and 4:15 p.m. ________ 13. Sold out vendors must display a “sold out” sign on their table and remain completely set up and present at their booth in the market until 4:00 p.m. You are not permitted to leave early. ________ 14. Set up begins at 7:30 a.m. and tear down complete by 5:00 p.m. Vendors are not permitted to set up prior to that time daily. Similarly, vendors must be completely disassembled before the end of the day two of the event. ________ 3 Rules and Regulations 15. No vehicles are permitted to drive into the Edmonton Research Park between the hours of 9:30 a.m. – 4:30 p.m. This rule is to ensure the safety of not only the public, but also other vendors when entering/exiting the farmers’ market. ________ 16. If vendors decide to keep any portion of their display set up overnight, they do so at their own risk. ALES 100 Old Country Fair Committee, the Faculty of Agricultural, Life & Environmental Sciences and the University of Alberta are not responsible to any loss or damage. __________ 17. Vendors are responsible for removing their own garbage and stall cleanup. Garbage cans provided in the fair are for customer use only. Vendors offering samples must supply garbage containers for their customers in an easily visible location. ________ 18. All ownership changes of a business require a new application for vendorship. ________ 19. The ALES 100 Old Country Fair requires all of our vendors to carry Liability Insurance. It is the vendor’s responsibility to carry their own Liability Insurance Policy. Unfortunately, we do not offer our own Liability Insurance to our vendors. The Alberta Farmers’ Market Association offers reasonable rates for vendor liability insurance. Please contact Western Financial Group at 1-855-232-2004 or at www.westernfinancialgroup.ca for more information. You may also obtain liability insurance through your current insurance provider. Proof of insurance is required with your application. ________ 20. All NSF cheques are subject to a processing fee of $50. ________ 21. Failure to comply with Old Country Fair Rules and Regulations may result in the following (not necessarily in this order): ________ a. A $50.00 charge b. Cancellation of stall and removal from the event i. No refund will be provided for loss of stall(s). 22. The ALES 100 Old Country Fair Committee reserves the right to change, interpret and enforce these Rules and Regulations as deemed necessary. ________ 4 Registration Application The ALES 100 Old Country Fair is scheduled Friday, September 25 to Saturday, September 26, 2015. Fair Hours of Operation are from 10:00 a.m. to 4:00 p.m. This is a rain or shine event. Smoking and animals are prohibited. (This does not apply to a guide dog used by a person with medical and physical disabilities). All vendors are required to supply their own tables and tents. Power is not available. Parking behind stalls is not available for all vendors. Rates for the ALES 100 Old Country Fair are: Fees are as follows: Mini Farmer’s Market Vendor& Concession (with commercial sales) Early Bird prior to May 30, 2015 $150 After May 30, 2015 $200 Exhibitor Display (with no commercial sales) Early Bird prior to May 30, 2015 $100 After May 30, 2015 $150 Applicants must include a full payment of fee with this application. Payment methods include cash, cheque, money order, or online credit card payment. Cheques must be payable to the University of Alberta. A confirmation email will sent from the Centennial Manager upon acceptance. Fees are non-refundable. Applicants must include a photo of their product line with their application as verification of the authenticity of their products We reserve the right to limit market size and reject applications with or without reason.
