Our goal is always to make the user's experience as intuitive and task oriented as possible. xTeam is a really powerful schedule management tool that is visually appealing. It helps you share information, work jointly on schedules, and use all of your available human resources as efficiently as possible: you can create daily working schedules, manage days off for each person and track holidays. xTeam is designed to automate the employee scheduling process. Manual scheduling can take hours or even days to create and maintain. xTeam can dramatically reduce this administrative expense, save time, optimize working hours, and eliminate schedule mistakes. We designed xTeam to be very user-friendly. Instead of wasting your time figuring out how to decipher complex software, you can be more productive and efficient. Schedules are available in a printer / spreadsheet friendly format so you easily print them out to post on the wall or attach them in PDF format to any email. REQUIREMENTS xTeam requires OS X 10.7, OS X 10.8, OS X 10.9 or OS X 10.10 and a Mac with 64-Bit capabilities. Click on the button at the bottom “Create a new schedule” at the bottom of the window. 4. You will be asked to use the default library or none. Select the default library for this tutorial. Schedule button in the toolbar: Allows you to define all the main settings of your planning. Working hours, days off and display options. B. Library button in the toolbar: Allows you to define the Resources and Assignments of your planning C. List of resources : Resources defined in the library will appears in this zone. D. Planning view : It’s where the assignments will be displayed in front of each resource name. You can browse the view per day, week, month or year. E. First step : Setup your schedule settings When you click on the Schedule button of the toolbar, this window will appears: On the first tab section named “Weekly Working Schedule”, you define the default working schedule of your team or your company. You will see later in the tutorial that you can create a different schedule for each resource of the team. You can define a default pause duration or even add multiple pauses with the + button located at the right of the window. At the bottom of the window, you can see the total of working hours and pause. www.xteamapp.com Made by ADNX xTeam 4.1 Documentation On the second tab section, you will define default holidays or days off. Again, it’s also possible to define these options for each member of the team. We will see that later. At the bottom of the list, you can import and export items. TIPS : export the default list and open it with a text editor to see the format to respect. See below 2 examples : 7. Second step : Setup your resources With the Library button of the toolbar, you can setup the members of the team or list of human resources.This is the left portion of the window. www.xteamapp.com Made by ADNX xTeam 4.1 Documentation With the folder icon at the bottom of the window, you can create groups. With the + button you can add new resources to a selected group. You can also drag and drop a resource from a group to another group. Assigning a resource to a group is always mandatory. When you add a new resource, this window will appears : You can add a picture for a resource but the most important is that you can setup a custom schedule for each resource. You have 3 options: - use the default settings of the schedule that you just created. Remember the schedule button. - create a “custom week” schedule for this resource only. In the image above, we decided that Patrick will only work 3 days. - create a complete custom schedule for each week of the year with the last option. www.xteamapp.com Made by ADNX xTeam 4.1 Documentation Let see how the third custom option is working. See below this image: You can see that for week 13, Patrick is working during 3 days (white areas). For each week, you can setup a different schedule. Clicking on the blue calendar zone bring a popup window where you define hours for each selected day. You can also save a week as a template to use it later for another week. Setup Assignments On the right side of the library window, you can define your list of default assignments. With the folder icon at the bottom of the library window, you can create groups. With the + button you can add new assignments to a selected group. You can also drag and drop an assignment from a group to another group. Assigning an assignment to a group is always mandatory. Each member of your team needs assignments. You can assign a color per assignment. When you are done, you can now assign a task to each member of the team on the schedule zone ! Use the button “new working time” of the toolbar. b. Draw a mission directly on the calendar zone with your mouse Note : when you need multiple tasks on the same day, just switch to the day view before to draw. c.
