FOLK ON THE ROCKS 2015 Artisan/Information Booth Application – Application Deadline: Monday June 8th 2015 Artisan Fees: 15% of sales or a minimum of $75 (Whichever is greater) due by July 26, 2015 Info/Not-for-profit Booths: $75 (Limited availability) Damage deposit: $100 (returned on successful completion of contract) due by June 8, 2015, upon confirmation of your festival booth This application does not guarantee an artisan spot at the festival. CONDITIONS • Upon confirmation of your festival booth, a refundable damage deposit of $100.00 is required no later than 5pm June 29, 2015, payable to: Folk on the Rocks. • All artisans must submit their contract with a detailed list of items they wish to sell. You must adhere to the submitted proposal and shall not sell any products not listed unless previously authorized by festival organizers. Artisans are not permitted to resell items bought elsewhere unless they are an integral part of their product. Information and not-for-profit booths must describe in detail what they will be promoting. • Artisans are charged 15% of their weekend revenue or a $75 minimum fee, whichever is greater. Please remember, your weekend revenue is the amount of money you take in over the weekend – regardless of your production costs. For example, if your revenue is $400 for the weekend and it cost $40 to make the goods, you are charged 15% of the $400 (or $60). • We offer a limited number of spots to not-for-profit groups. A flat fee of $75.00, plus a returnable damage deposit, is required to secure a spot. Proof of not-for-profit status may be required. • Folk on the Rocks is instituting a “NO PLASTICS RULE". Please help us protect the environment by greening your booth: recycle, use organic/free trade material, and reduce your amount of garbage. 1 Deposit Refund • After the festival, artisans must provide FOTR with a brief financial statement (form attached) no later than July 27, 2015. The damage deposit will be returned /destroyed provided the artisan’s area is clean and the artisan has submitted a financial report. If no financial report has been submitted, along with the required payment, by July 27, 2015, the damage deposit will not be returned. • Artisans are responsible for their own garbage control and removal and must leave no environmental damage. SET-UP 1. The festival will assign you an artisan space. You will receive an email with a map by July 3, 2015, outlining your assigned area. Should you have any specific requests, please outline them in the contract; FOTR will do their best to meet reasonable requests. 2. Artisans must have their booths assembled no earlier than 4 p.m on Friday July, 17th, 2015, and no later than 10:00 a.m. on Saturday, July 18th, 2015. Artisans must remove their stands before 12 noon, Monday, July 20th, 2015. A festival representative will be on site during these times to provide you with your information and location. 3. Vehicles will be permitted on the site: • Friday, July 17th, between 4 and 8 p.m. • Saturday, July 18th and Sunday, July 19thbetween 8:00 a.m. and 10:00 a.m. • Beginning one-half hour after the last show on July 18th & 19th for 1 hour only. • Monday, July 20th, 10:00am - noon. When accessing site all vehicles MUST display hazard lights and drive slowly. No vehicles are allowed on site during festival hours. Vehicles cannot be parked on site for easy access storage. Vehicles will be required to park in the volunteer entrance parking lot. 4. The 2015 Folk on the Rocks Music Festival will be open to the public during the following hours: • Saturday, July 18 from 12 p.m. to closing; and, • Sunday, July 19 from 12 p.m. to closing. 5. The festival will provide professional security overnight. However, the festival cannot be responsible for any items left at booths (such as fridges, generators, tents, and food). Security will cover general areas and will not extend to property inside of stands or other structures. 6. Artisans will be issued a maximum of 3 free weekend passes. Staff must check-in at registration at Volunteer Headquarters before entering the site. Passes will be issued as wristbands and are not transferable. 2 7. If more than three personnel are required to work, additional passes for staff may be acquired at a reduced rate of $60/weekend or $30/day (to a maximum of 1 weekend pass, 2 day passes, or a combination of the two). Extra passes will be available for purchase at the FOTR Office, 2nd Floor, Centre Square Mall, next to the library, June 15 – July 13, 9am – 1pm only. 8. Artisans are required to provide their own equipment as in tables, chairs, power cords. Please note, we have limited power capabilities.
