email on contact@internationalcoachguild.com. The ICG Meeting Room is open between 9am and 6pm Monday to
Friday (public holidays excluded).
Please note that the information you are submitting is a request only. To enable us to process your request, please
return this form to us fully completed and signed. Your meeting is not booked until you receive a confirmation via
email. Please check the details of your booking in your confirmation email to make sure they are correct.
At the time of confirming your booking, we will forward an invoice to you. Full payment is due 7 days prior to
the first date of room hire.

CODE OF ETHICS

The International Coach Guild is committed to maintaining and promoting
excellence in coaching practice. Therefore it expects all members to
adhere to the essential elements of ethical, competent and effective
practice as set out in this Code of Ethics.

Coaches are specifically trained in coaching through a school or
supervision by a mentor coach.

I will conduct myself in accordance with the International Coach
Guild Code of Ethics in all coach training and coach mentoring
I will truthfully identify my coaching qualifications, expertise,
experience, certifications and Guild accreditation.
I am responsible for ensuring that my clients know of and fully
understand, before and at their first session, the terms and
conditions of any coaching contract including session cost and
frequency
All claims made to my clients are honest, accurate and consistent
with maintaining the Coaching professions good reputation
As a coach I will keep myself informed of new technologies,
practices, legal requirements and standards that are relevant to the
coaching profession
As a coach I am willing to suspend or terminate current coaching
activity when I am alerted to signs of personal challenges that may
interfere with my performance as a coach with a client, and seek
professional consultation
Throughout the duration of a professional contracted coaching
relationship, as a coach I shall not initiate, develop, pursue nor
engage in a personal relationship with my client.
I will be sensitive to issues of culture, religion, gender, sexuality,
disability, race and all other aspects of diversity.
I establish clear agreements and contracts with my clients and
sponsors. I will honour all agreements and contracts made in the
context of professional coaching relationships
I will not mislead or make false claims about what my client or
sponsor will receive from me as a coach
I will make my clients aware that psychological or counselling
support is not normally delivered by a coach should it be required
by a client. If so, the client should be referred to an appropriate
specialist service provider
I will maintain, store and dispose of any client records created in my
coaching business in a manner that promotes confidentiality,
security and privacy, and complies with any applicable laws and
agreements
I will ensure that any coaching agreement contains a clause stating
that if any evidence of illegal activity or the potential harm to the
client themselves or others is disclosed, you may have to inform the
appropriate authorities and so be unable to maintain complete client
confidentiality.
I will respect the Client’s right to terminate the coaching at any
point during the coaching process
As professional I shall monitor the quality of my own work through
regular feedback from my Clients and other appropriate
professionals
If a client does not pay for the services as agreed, and I wish to use
collection agencies or legal measures to collect the fees, I will first
inform the person that such measure will be taken, and provides
that person an opportunity to make prompt payment
19.
I will complete at least 20 hours annually of ICG Certified
Professional Development in the theory and practice of coaching.
This is a requirement for those of you to continue your
International Coach Guild coach recognition when preparing for
renewal
I will maintain and keep current any insurances that are appropriate
for my coaching business as required in my country of practice
If I wilfully or knowingly condone, any act by others which
contravenes this code then I shall be as equally responsible as if I
had committed such an act myself
I will ensure that I have appropriate permission to utilise Intellectual
Property or Copyrighted material developed by others and will not
pass off such as my own. This includes but is not limited to
coaching resources and computer software licensing
As an ICG Professional Coach and member, I acknowledge and agree to
honour my ethical and legal obligations to my coaching clients and
sponsors, colleagues, and to the public at large. I pledge to comply with
the ICG Code of Ethics, and to practice these standards with those whom
I coach.
If I breach this Pledge of Ethics or any part of the ICG Code of Ethics, I
agree that the ICG in its sole discretion may hold me accountable for so
doing. I further agree that my accountability to the ICG for any breach
may include sanctions, such as loss of my ICG membership and/or my ICG
Recognition.
TERMS AND CONDITIONS
1. BOOKING REQUEST: Completed and signed Meeting Room
Booking Application Form must be received at least 7 days prior to the
date on which you wish to book the Meeting Room.
2. PAYMENT: All bookings (including catering costs) must be paid in full,
7 days prior to the first date of room hire, or, if your booking is made
within 7 days of your first date of room hire, at the time of booking. Please
note that a surcharge of 2.9% applies when using American Express
(AMEX). If booking payments are not received on time, ICG Management
reserves the right to hire out the Meeting Room to other guests.
3. REFUNDS AND CANCELLATIONS: The following cancellation
fees will apply with respect to the cancellation of all or part of the
booking:
Where catering has been ordered:

for cancellations made 7 -2 days prior to arrival, a cancellation
fee equivalent to 50% of the total hire and catering cost will
apply;

for cancellations made 48 hours prior to arrival, a cancellation
fee equivalent to 100% of the total hire and catering cost will
apply.
Where catering has not been ordered:

for cancellations made 7 -1 days prior to arrival, a cancellation
fee equivalent to 50% of the total hire cost will apply;

for cancellations made 24 hours prior to arrival, a cancellation
fee equivalent to 100% of the total hire cost will apply.
4. FINAL ATTENDANCE: For the purposes of catering, a guaranteed
number of guests attending functions is required two (2) working days
prior to the day of the event. Charges for any changes made after this time
will be applied accordingly.
5. FINAL DETAILS: To ensure your requirements are met it is
necessary to receive details of your function schedule and menu selection
upon application.
6. COMMENCEMENT AND VACATING OF ROOMS: The Client
agrees to begin the booking and vacate the designated room at the
scheduled times agreed upon. In the event that the booking should go

beyond agreed finishing time we reserve the right to charge whatever
additional costs are reasonably incurred to ensure the smooth operation
of that function.
7. SET UP AND DELIVERY OF EQUIPMENT: Clients are
responsible for costs involved in ensuring set up and break down time on
all Venue space in the room. All deliveries to the room must be advised &
agreed upon with ICG Management and sent no earlier than 48 hours
prior to the function and must be marked with the name of the function.
ICG Management does not have storage facilities other than rooms
booked by the client. Goods left in the room without prior arrangement
will be deemed abandoned and discarded by ICG Management.
8. CATERING: All catering requirements must be organised via ICG
Management (see page 2 of this Application form for further detail). The
Client is not permitted to cater for the event themselves or to arrange for
catering to be provided by a third party.
9. DISPLAYS AND SIGNAGE: Nothing is to be nailed, screwed,
stapled or adhered to any wall, door or other surface or part of the
building. Any special effect requests will be viewed on a one off basis. You
must obtain prior written permission of ICG Management to use the ICG
name and/or logo in print, audio-visual display and/or such other
multimedia display. All proposed artwork, which consists of the hotel
name and/or logo must be approved by writing by the ICG Management.
10. COMPLIANCE: It is understood that the client will conduct their
function in an orderly manner in full compliance with the ICG Management
and with all applicable laws. This will include, however not be limited to –
maintaining reasonable noise levels, adhering to the OH&S regulations of
the relevant state, etc.
11. DAMAGES: Clients are financially responsible for any damage
sustained to the Venue by the Client, Client’s guests, invitees or other
persons attending the function, whether in the room reserved or any area
or part of the Venue. This can include however is not limited to extra
cleaning charges, cost to repair damaged furniture etc.
12. RESPONSIBILITY: The ICG will not accept any responsibility for
damage or loss of merchandise left in the Venue prior, during or after the
function. Clients should arrange their own insurance and/or security.
13. SECURITY: The ICG Management reserves the right to exclude or
eject any or all objectionable persons from the function on the ICG
premises without liability. No refunds will be given in these circumstances.
14. LIABILITY: If the ICG Management has reason to believe that a
function will affect the smooth running of the ICG business, its security or
reputation, it reserves the right to cancel the function without liability.
15. EMAIL CONFIRMATION email confirmation from ICG
Management constitutes acceptance of your booking.
16. ACCEPTANCE OF TERMS AND CONDITIONS: The signing
of the Meeting Room Booking Application forms constitutes understanding
and acceptance of these terms and conditions..
