To schedule a visit to view the ballroom and grounds, please call the office at 401-253-0390. Linden Place can be shown by appointment only. In fulfillment of its primary mission, Linden Place Museum is open to the public for guided tours; therefore, parties interested in special events rental must arrange an appointment for a site visit with a member of the Linden Place staff. All visitors must be escorted while on the property unless other arrangements have been made with museum management. If no appointment is scheduled and/or the staff is unavailable (Sundays & Mondays), then interested parties may choose to purchase tour tickets and join a structured tour of the property. Rental of the Ballroom includes the use of the adjacent courtyard and our lovely gardens. The Ballroom capacity is 120-150 people for dinner and dancing. This fee allows you use of the bridal dressing room two hours prior to the ceremony and an on-site rehearsal. This decision needs to be confirmed 90 days prior to the scheduled event. An event date is not reserved until a Reservation Deposit is accepted and a Rental Agreement is signed by both the renter and Linden Place management. The Reservation Deposit is 50% of the total estimated rental which includes a 20% security deposit. The security deposit, less any applicable charges, is typically returned within two weeks after the event. The balance of the total estimated rental is due 90 days prior to the event. The Reservation Deposit is non-refundable as follows: More than ninety (90) days prior to the event, $1,500 of the deposit is non-refundable. Fewer than ninety (90) days prior to the event, the full deposit amount is non-refundable. Prior to booking an event date, fees are subject to change. A membership discount is available to current members of one year or more. Membership discounts may not be transferred to non-members. A Family Membership includes non-resident parents, sons and daughters, but otherwise does not include family members who do not reside with the Member. The Linden Place premises have been used for entertaining historically and therefore Linden Place encourages members to recreate the legendary social events hosted here so that guests can better understand the social importance of Linden Place in the annals of Bristol and Rhode Island history. Linden Place’s primary goal as a museum in leasing the premises is to provide a unique educational experience for the lessee and their guests. The lessee agrees to fully cooperate with Linden Place in its efforts to provide educational materials and tours in furtherance of this goal. Please inform the office of your choice of vendors at least thirty (90) days in advance of your event. If your vendors have not worked at Linden Place recently, a site visit is required. Caterers must be chosen from Linden Place’s list of required caterers for all events. The Linden Place mansion is open to the public for guided tours from May to October until 4:00 PM. Personal photography, food and smoking are not allowed in the mansion. Food and Beverages are not allowed. While the ballroom, courtyard and gardens are held exclusively for your event, it is understood that any use of the mansion by the renter is shared with the general public unless otherwise arranged by written agreement. The mansion may be made available for the following uses per the renter’s written Rental Agreement or subsequent letter of understanding from Linden Place. Professional Photography A professional photographer may use the mansion to photograph the bridal party at no extra charge if you have rented the ballroom at the regular daily rate. If use of the mansion for photographs falls within public tour hours, the mansion is necessarily shared. Please see the Museum Photography Policy. Group Tour Any number of your wedding guests may attend a group tour, but the tour must be arranged prior to your event date for a specific time during the reception. This is a special allowance to be discussed with management as it is necessary to make available a number of docents for the museum. If a group tour is to be used in conjunction with a rain plan, it must be decided at least two days prior to the event date. There is no additional fee for this service. The museum may be booked no more than two months in advance for this purpose unless you have rented the ballroom at the daily rate. If you have rented the ballroom at the daily rate, use of the museum and grounds for professional photography is available to you during your rental at no extra cost. Otherwise, the photography fee is $250 for one hour and fifteen minutes. If you know you will need more time, please arrange for it in advance. Each additional fifteen minutes is charged at $50 to the renter signed below if the appointment exceeds the arranged times. Payment is required in advance to secure an appointment. A security deposit equal to the photography fee is required and can be secured with a credit card or separate check. Photography fees are non-refundable. Photography is limited to professional photographers only. Personal photography and videotaping are not allowed in the mansion. LINDEN PLACE IS AN HISTORICAL TREASURE. PLEASE ASK YOUR GUESTS TO BE MINDFUL OF ITS INVALUABLE NATURE. Please do not move, sit or lean on the furniture. Please do not lean on the staircase. Folding chairs are available on request. No smoking is allowed inside any of the buildings on Linden Place. No food of any kind is allowed in the museum. Please limit the number of people inside the museum to 20 persons at any one time. If you wish to accommodate a party larger than 20 people, we must arrange for a second host or hostess; there is an additional charge for this service. We respectfully request that children of all ages be supervised at all times by someone from your party. The Linden Place driveways are narrow with tight turns. In order to avoid delays, stretch limousines should park on Hope Street or Wardwell Street. It is strongly recommended that your photographer be familiar with Linden Place prior to your appointment in order to take the best advantage of the time available to you. It is therefore necessary that the renter assume all responsibility for the service of alcoholic beverages at any function including, without limitation: the retention of trained, insured bartenders; providing transportation to anyone visibly intoxicated; upon request, providing uniformed police officers for the duration of a function. A Certificate of Alcohol Liability Insurance is required from your caterer or bartending service if alcohol will be served (not less than One Million Dollars per occurrence). In the event that alcohol is sold at a function (private or public) and upon receipt of a certificate of alcohol liability insurance coverage by renter or renter’s caterer in an amount satisfactory to Linden Place (not less than One Million Dollars per occurrence) with Linden Place as a named insured thereon and upon payment by renter of any applicable municipal license fees, Friends of Linden Place will procure and provide as a service to the renter a liquor license issued by the Town of Bristol if necessary. No alcoholic beverages may be brought on to the Linden Place property by individuals renting Linden Place or their guests at any time. Alcoholic beverages shall only be served by persons employed by the caterer and who are licensed and insured. The renter hereby agrees to indemnify and hold the Friends of Linden Place, its directors, officers, employees, successors, legal representatives and assigns harmless from any and all manner of action or actions, cause or causes of actions, suits, debts, demands, sums of money (including reasonable attorney’s fees) and all other claims and demands whatsoever, in law or in equity, arising out of a function held at Linden Place. Caterers must be chosen from Linden Place’s list of Approved Caterers. Please see the above “Local Event Services” List. Administrative 1. The caterer should view the facilities at Linden Place at least thirty (30) days prior to the scheduled event. Please contact the office at (401) 253-0390 to schedule an appointment. Walk-in appointments are not available. 2. All Caterers must provide a coordinator/hostess to organize details and festivities during the event. This person should be in the front of the house and work along with the band/DJ and kitchen on the timing of all events and formalities that take place during the function. 3. The caterer must be insured for general liability, products liability, and alcohol liability and must submit a Certificate of Insurance for a minimum of $1,000,000 per occurrence to the Linden Place office thirty (30) days prior to the event. 4. There is a caterer site fee of $100.00 per event to cover the cost of utilities involved in executing a Linden Place wedding. Caterers will be charged quarterly. 5. The standard daily rental allows two (2) hours for set up and one (1) hour for clean up. Please discuss with your client the hours for which the facility has been rented. No one will be allowed on the property any earlier than the scheduled rental hours as we must schedule event security per your client’s rental agreement. If you will need extra time to set up, please arrange for it through your client. Your client will be billed for extra time. 6. The Linden Place host or hostess is available primarily for access to and security of the buildings on Linden Place. The caterer is the renter’s primary coordinator. 7. The courtyard adjacent to the ballroom is permanently tented from April – mid-November. If heaters are required, they are the responsibility of the lessee. 8. The ballroom is heated and air-conditioned. If heat or air conditioning is in use, windows and large carriage house doors must remain closed. Site Restrictions 9. Great care must be taken with our historic ballroom floor. Chairs and tables must be carried, not dragged across the floor. 10. The standard rental is for a five (5) hour function, a two (2) hour set up, and a one (1) hour clean up. 11. Caterers and other vendors may be on site no earlier than 10:00 AM. Out of consideration for our neighbors, guests are required to be offsite no later than 11:00 PM. All food service and cleaning people must be offsite before midnight. 12. Amplified music is allowed until 10:45 PM and alcohol bars must close thirty (30) minutes prior to the end of the event. Music must end 15 minutes before the end of the event. 13. Loading and unloading of equipment can take place through the Wardwell Street entrance to the kitchen. Caterers must not block the street or park truck or vans on the sidewalk. Trucks are not allowed on the Linden Place property. 14. The large carriage house doors to the ballroom are reserved for use by wedding party only. Unloading/delivery through these doors is not allowed and they must remain closed at all times during set up for an event. 15. Smoking is not permitted in any buildings including the kitchen. 16. Bars may be set up in the following areas: 1) the ballroom courtyard; 2) the alcove of the ballroom; 3) the lawn near the courtyard. Please do not set up bars on the main floor of the ballroom. The summer house and the gazebo may not be used. Serving of alcoholic beverages must end 30 minutes prior to the end of the event. 17. The piano in the ballroom is a lovely gift from a very generous benefactor. Food and beverages are not allowed on or near the piano. It may also be used as a gift table or for a floral arrangement, but only if it is covered and if great care is taken to prevent scratches and water damage. 18. Keep buffet lines with sterno at least 2 feet from the sides of the tent and butane cook tops at least 4 feet from the sides of the tent and either setup must be at least 10 feet from an exit (to keep the exits clear in case of fire). Also, you must make sure that the buffet or food station has a 10lb fire extinguisher within 15 feet and that you have a fire extinguisher trained attendant present at all times that either the sterno or butane is lit. 19. The lessee’s caterer will ensure that an attendant will be present at all times when sterno or butane has been ignited and that said attendant will remain in close proximity until any sterno or butane is extinguished. Courtesies and Requirements 20. Rental equipment delivery and pick up, such as a tent, chairs and dishware, should be discussed with Linden Place management as the facilities may be booked before or after your event. Space is not available for overnight storage. All items must be removed at the end of the event unless otherwise discussed in advance with the Linden Place office. 22. Flowers, cakes and liquor must be delivered during the event set up hours. 23. The caterer will supply all dishware, glassware, flatware, linens, tables, chairs, tents, etc., or ensure that the renter has made arrangements for these items. This includes additional chairs for a garden ceremony, if necessary, to be paid for by the lessee. 24. The caterer will set up and break down tables and chairs and will ensure that the renter’s decorations are removed after the event. If the ceremony is to be held on the grounds, the caterer will be responsible to move or break down those chairs after the ceremony. As a courtesy, Linden Place will be responsible for the set up of chairs for a ceremony in the gardens. 25. Caterers must bring their own cleaning supplies, including a mop, and leave the kitchen clean. This includes mopping the floor, scouring the sinks, wiping down the stoves and countertops and any spills inside the ovens. In the event of an urgency, please ask the hostess. Please police the courtyard, gravel and lawns for cigarette butts, glasses and trash, especially around the Wardwell Street door and the tall ballroom doors. 27. Please double bag and remove all trash from the premises immediately after event. There is no dumpster available at Linden Place. The dumpster located in the adjacent school yard is not to be used at any time as it is owned by the Bristol School Department. Caterers who disregard this guideline and use the dumpster will be fined by Linden Place. 28. Food, beverages, smoking, and personal photography are not allowed in the mansion at any time. 29. Failure of the vendors to comply with these Catering Guidelines will result in deductions from or forfeiture of the lessee’s security deposit. All caterers must have the following on file with the Linden Place Site Administrator on an annual basis: A. Caterer’s food service license issued in the State of RI, by the RI Department of Health B. Class P liquor license issued by the RI Department of Business C. Certificate of insurance, with Friends of Linden Place listed as the additional insured, to include: a. General Liability for $1,000,000 per occurrence b. All vendors will have access to the Linden Place site for set up two (2) hours prior to the start of the event. If more time is needed, it must be arranged through the Linden Place office in advance of the event date. 33. Musicians & DJ’s who have not worked at Linden Place before are required to do a pre-arranged site visit prior to the date of the event. 34. Bands and DJ’s are allowed to load and unload on the Linden Place property. Vehicles must be unloaded and moved to the parking lot behind the Colt School or to one of the surrounding side streets. All vehicles must be removed from the property immediately after unloading. At no time can the driveways be blocked. 35. The large ballroom carriage house doors may not be used for loading in equipment. equipment via the courtyard entrances or the Wardwell St. entrance to the ballroom. Please load-in 36. Adhesive tape is strictly prohibited. Equipment must not be dragged against the ballroom/ Brazilian cherry floors. 37. All music and entertainment will cease by 11:00 PM at the latest. Noise and amplification shall be within the prescribed limits of the Town’s Noise Ordinance as determined by the event hostesses. Please take into consideration the size and acoustics of our ballroom. Failure to comply with Bristol’s noise ordinance may lead to termination of music. 38. A piano is available for use and is kept tuned. It may be moved within the ballroom. 39. The DJ/Band should coordinate with the event’s catering manager in regard to event timeline, announcements, toasts, etc. Failure of the lessee and vendors to comply with these Guidelines may result in deductions from or forfeiture of the lessee’s security deposit. Vendors who fail to comply with the listed Guidelines may be prevented from conducting further business at Linden Place Museum. Rev. 1-2013
