2015 Spring Meeting Program

MISSION POSSIBLE: You Can Get There From Here
Greetings NCURA Region I Spring Meeting Attendees,
This year’s annual Region I Spring meeting is themed Mission Possible: You can get there from here.
There is a common saying in Maine: “You can’t get there from here.” As research administrators we
make research possible, we actually can get there when we work together, use ingenuity, and think
differently about long standing issues. We are constantly faced with new missions; some missions are
overt, while others are covert. Some missions like the Uniform Guidance (a.k.a. super-circular)
implementation might feel like we need a cape and super-powers to achieve our mission. We never know
what might lie ahead, but working together we make research possible.
This year’s NCURA Spring Meeting is sure to be one of the best. Whether you want to take part in
second-to-none professional development offerings; network with new or familiar colleagues; or explore
Portland, ME, we have something for everyone. You’ll be impressed with more than 45 sessions in six
tracks, pre-conference workshops, networking and learning opportunities.
The keynote speaker, Dr. Geraldine Hamilton of Emulate, will focus her talk around the meeting theme.
We will hear how she and her team carried out their ground-breaking foundational research, engineering,
and technology translation at the Wyss Institute for Biologically Inspired Engineering at Harvard
University, which has made automated human Organs-on-Chips a reality. The mission was made possible
in part through the support of the research administration team and, there will be plenty of fun and
networking opportunities to go along with the breadth of sessions designed for all levels of research
administrators! A sampling includes: a Welcome Reception, Monday night dinner groups, Tuesday
evening dinner with improv comedy, followed by dancing; hospitality suite open Sunday and Monday
evenings, breakfast roundtables, and even a silent auction fundraiser to benefit the NCURA Educational
Scholarship Fund.
We are proud that this will be the first Region I NCURA meeting to utilize an online mobile app for up-tothe-minute program information. No more program books which are often outdated when they go to print!
You’ll know what, where, and when meeting sessions, discussion groups and networking opportunities are
happening with the new Guidebook App which will be made available to all participants.
We know you’ll have an enjoyable meeting and want to exceed your expectations. By the time you leave,
we hope that you will have gained new skills and contacts and deepened your network and involvement
with NCURA. Come with an open mind. Leave with refreshed perspectives and contacts. Are you up for
the mission? We know you can get there from here.

Keynote Speaker for 2015 Spring Meeting
Geraldine Hamilton is part of a team that has developed automated human ‘Organs-on-Chips’:
miniaturized devices created with microchip manufacturing that contain tiny hollow channels lined
by living human cells and tissues. Organs-on-Chips mimic human physiology and diseases to
provide more rapid and accurate evaluation of human responses to drugs and cosmetics, and to
create new clinical guidance tools for personalized therapies. Geraldine will focus her talk around
the theme ‘Mission Possible: You Can Get There from Here’. We will hear how she and her team
carried out their ground-breaking foundational research, engineering, and technology translation at
the Wyss Institute for Biologically Inspired Engineering at Harvard University, which has made
automated human Organs-on-Chips a reality. This research opens up entirely new possibilities to
develop products with enhanced properties, improved efficacy and safety, and personalization to
patients and consumers. It takes a team of research scientists, staff, and administrators to make
these incredible possibilities happen.
Geraldine Hamilton
Geraldine A. Hamilton serves as the President and Chief Scientific Officer of
Emulate. She has worked as Lead Staff Scientist with the Wyss Institute for

Career Evolutions: Transitioning from Managing
Grants to Managing People
New managers often struggle with the difference
between having been an excellent research
administrator and their new reality of managing new
employees and former peers. The purpose of this
workshop is to reconcile the differences between
managing grants and managing people through
leveraging known tools of grants management, while
recognizing the unique challenges facing new
managers. The discussion session will address
common misconceptions new managers have about
their roles as leaders, managers and mentors.
Participants will discuss how their current skills that
can be used in management and will be given the tools
to define their own management principles. We will
examine what it means to have a management brand
and how that philosophy is presented and received
across the institution.

Implementing the FCOI Regulations - An
Institutional Program Survey
We surveyed Research Compliance Officers at
institutions across the U.S. to get more detail on how
their Financial Conflict of Interest (FCOI) Units work.
Specifically, we asked about FCOI management plan
tools and guidance, methods for retrospective reviews,
compliance audits, investigator training formats, and
ways to ensure investigator compliance over the life
of a project. Now we’re ready to present the results
and facilitate the exchange of ideas. Best practices (or

Negotiating Challenging Terms in Agreements
This discussion will cover some of the challenges we
face negotiating particular terms in agreements with
collaborators, sponsors, subawardees, and consultants.
Publication, intellectual property, insurance, and
liability can sometimes take weeks - if not months - to
finalize between the parties. And for clinical research
the payment terms and human subject protection
language - particularly AAHRPP standards - can be
even trickier.
We will have samples of standard language with a few
possible alternatives, and discuss what has and has not

Going Paperless at a PUI: A Possible Dream?
Only in recent years, as grants.gov has been fully
adopted by Federal agencies, has a paperless research
administration office been within grasp. This
discussion is geared toward research administrators at
PUIs to discuss possibilities and potential problems in
going paperless with limited resources. Whether you
are just beginning to think about it, have already
surmounted it, or are somewhere in between, the
discussion will have something for everyone.
Learning objectives include: discussion of pros, cons
and challenges in working with 3rd-party vendors,
existing enterprise systems, and/or open-source
software; identifying skill-sets and resources needed
within your office and your institution, as well as
possible obstacles to implementation; evaluating the

Who is the Stranger Working on this Grant?
Navigating Collaborators and Consultants
Identifying someone as a collaborator, consultant, or
subcontract is a complex decision-making process that
requires an understanding of the definitions of each
category, and the exact function that a person will fill
on a specific project. Research Administrators
frequently need to make these identifications with
limited information from the Principal Investigator
while navigating sponsors guidelines and institutional
policies. The purpose of this session is to explore
common classifications for collaborators in Research
Administration by providing participants with the
tools to categorize an individual as a collaborator,
consultant, or subcontract, and recognize some of the
potential challenges that each role may present to an
organization.

Using Data and Metrics to Aid in Decision Making
and Improve Research Administration
Over the past years, research organizations have
implemented electronic systems to replace paperbased processes and improve financial management
both retrospectively and prospectively. While this
transition has mainly been recognized for improving
organizational efficiency and management, another
major benefit is the vast quantity of data now
available to better manage the research enterprise and
proactively identify risk areas. This session will focus
on how one organization is currently using their data
to monitor performance, assess financial management,
and identify compliance risk areas. We will also
discuss a vision for using this data in the future. In
addition, we will present other methods for collecting
data, such as performance surveys, that are used to
drive organizational improvement.

Interviewing Top and Bottom Enrollers
Baystate Medical Center in 2102 embarked on a
financial re-structuring for our book of business
involving externally sponsored clinical trials. Soon
thereafter, new leadership at Baystate increased the
priority for growth in commercially sponsored clinical
trials. The Sponsored Programs Administration (SPA)
needed to amass some facts and thoughts from our
research community about how to partner to achieve
that growth. This session will provide an opportunity
to discuss SPA’s “Enrollment Project” – the
methodology and the results. Among other data goals,
the project involved looking at correlating the facts
about each PI’s financial and enrollment acumen with
their impressions of what occurred in each study.
Session participants who have done similar research at

Managing Project Closeouts
Maine Research Administrators Meeting
A smooth and thorough closeout of a sponsored
project is essential as it is the last step to ensure all
award requirements have been met. This discussion
will encompass the caviate of the close out process of
federal project, foundation grants and pharmaceutical
sponsored clinical trials. The consequences of an
inaccurate closeout can be costly, both monetarily and
potentially in reputation. This discussion session will
provide an opportunity to discuss best practices when
completing a closeout. There will also be a discussion
around challenges that department and central offices
face during the closeout process. Timely
communication with other departments, like accounts
payable, patient billing and purchasing are sometime
necessary to ensure that all cost are properly allocated
and expensed.

Developing a Personalized Approach to Energy
Management for Your Demanding Role
Working longer hours to meet the demands of a job in
the research administration field won't work in the
long term--there are only 24 hours in a day, and most
of us don’t have any more hours to spare. This
interactive discussion group will help participants
assess their personal energy levels (physical, mental,
emotional, and spiritual) and then develop their own
personalized rituals to manage this renewable
resource. These rituals are simply behaviors—ones
that are first scheduled, then practiced with intention,
and eventually incorporated into our lives as
unconscious and automatic. By using rituals to renew
our personal energy, we can be more productive--and
happier too!
Elizabeth Haney, Senior Research Officer, Wyss
Institute, Harvard University.
