YOU ARE REQUIRED to read all of below and fill out this ONLINE FORM by April 3 in order to begin the process for Independent Showcasing in
the Baltimore Convention Center. You will be contacted by PAE staff for more details after April 3.









ROOMS are available for rent from PAE on Mon Sept 28, Tues Sept 29, and Wed Sept 30, in the Baltimore Convention Center. Conference hotels are 12 blocks away
INCLUDED IN PRICE: water service, theater style seating, minimal riser staging, dance floors, and one listing per night in our Program Book/ mobile
app.
NOT INCLUDED IN PRICE: South Arts/PAE will NOT provide signage, pianos or anything not listed above.
RISERS: 18” or 24” or 30” risers in 6’x 8’ sections, with carpet, are available. South Arts/PAE will provide up to a maximum of 24’ deep x 30’ wide
staging depending on room. Any additional staging or room flips must be paid by the party renting the space.
DANCE FLOORS: Dance floors are available in 4’ x 4’ sections. PAE will provide up to a maximum of 16’ deep x 20’ wide dance floors depending on
room. Any additional dance floors or room flips must be paid by the party renting the space.
GREENROOMS/BUFFERS: There are rooms designated as buffers/green rooms in between showcasing rooms.
ROOM ORIENTATION: While the staging size dictated in the suggested room setups page may be altered, the room orientation (location of stage) may
not.
TERMS: Full Payment required to hold space. Preference given to agents in good standing with South Arts and those contracting rooms 3 nights.
Payment and signed contract are due by the date specified in the contract. If the contract is more than five days late, all parts will be considered null
and void and the space will be offered to any parties on the waiting list.
SERVICES




PIANOS: Baltimore Convention Center does not have a piano. Please make your own arrangements for drop off, pick up, tuning.
SERVICES: Baltimore Convention Center is exclusive provider of catering, electricity, and telecomm/wireless.
LABOR: You are required to use IATSE for light hanging and strikes – including unloading and loading of trucks that have lighting and rigging elements.

LISTINGS: Showcases should be scheduled for 9 pm or later on Monday, 9/28, or 9:30 pm or later on Tuesday 9/29 & Wednesday 9/30.
OPENING RECEPTION: is at a location TBD. Busing will be provided to the site and back.
JURIED SHOWCASES: 6-9 p.m. Tuesday 9/29 & Wednesday 9/30, at a location TBD.
OUTSIDE VENUES: We encourage you to also explore options for showcasing in downtown Baltimore. See our listing of potential venues.
HYATT REGENCY: The Hyatt Regency Baltimore is located across the street from the street from BCC and may have available space to showcase. For
information on showcasing at the Hyatt Regency, contact Courtney Bliss, courtney.bliss@hyatt.com, 410.605.2939.
CONTRACT: The entire contract will be null and void if the deposit and signed contract are not received within five business days of specified due date.
The space will then be offered to any parties on the waiting list.
