Job description Job title: Location: Hours: Salary: Responsible to: Executive assistant to CEO Based at our office in Free Word, 60 Farringdon Rd, London EC1R 3GA Full time – 37 hours a week £26,000 to £29,000 per annum Chief executive Purpose of the job To provide first class, comprehensive support for the chief executive Main areas of responsibility Provide excellent, accurate secretarial and administrative support for the chief Pro-actively manage the chief executive’s diary, schedule, appointments and travel arrangements Monitor and action e-mails on behalf of the chief executive Manage and co-ordinate extensive, and often complex, meetings involving large groups and senior individuals including issuing papers and minute-taking Prepare and edit correspondence, communications, presentations and other support materials for the chief executive in The Reading Agency’s format and style Manage and co-ordinate The Reading Agency’s Governance: Board Meetings, AGMs and Finance Committees – issuing board papers, minute taking and managing communications to the Board of Trustees Support with events and manage guest-lists where required Work closely with other departments to ensure CEO is briefed on any internal or external developments Other responsibilities Attend occasional meetings Proof reading Research for the chief executive as required Work on other projects/programmes as required Other duties as required to ensure the smooth running of The Reading Agency Person specification Experience Recent experience as a PA at senior management level Experience of planning and working to deadlines (project management) Experience of work or responsibilities requiring initiative and proactive approach. Experience of and confidence with Windows based software – in particular Word, Excel and PowerPoint Skills/Abilities/Knowledge Excellent interpersonal and communication skills – able to quickly build relationships with busy people over the phone Ability to remain calm and work effectively under pressure, adapting and reprioritising as necessary for changing circumstances Ability to prioritise own workload and work independently Ability to take a methodical approach and pay attention to detail Ability to work at the highest level of confidentiality Excellent communicator – written and verbal Able to work successfully as a member of a team, where colleagues work in separate locations and communicate by telephone and email Ability to work with and understand databases and customer relationship management systems Ability to present a professional and welcoming image of The Reading Agency at all times and be an ambassador for the CEO Ability to work without discrimination to colleagues and users Willingness to be flexible and support the team where necessary Personal Attributes Sensitive to confidential information and able to manage confidentiality Adaptable and possessing a positive attitude to change Calm for coping with deadlines and fast moving environment Persistent – to get things done The Reading Agency is committed to openness and equality of opportunity in every activity, from the way we employ staff to the way we deliver services.
