General Information for Exhibitors
Exhibitor Schedule
Drayage and Decorating
All booth equipment must be in place in the Exhibition
Hall (located in the Regency Ballroom) by 4:00 p.m. on
Monday, April 13, 2015, and MUST NOT be dismantled
until after 3:30 p.m. on Wednesday, April 15, 2015. The
conference officially opens on April 13, 2015.

Exhibitor Booth break down
All work performed in the Exhibit Area is under Curtin
Convention & Exposition Services jurisdiction and under
safety jurisdiction. Show Management and all exhibitors
are expected to comply with the unions and with fire and
safety requirements in effect.
An exhibitor may set up an exhibit display if one person
can accomplish the task in 1/2 hour without the use of
tools.

The booth fee includes:
 One full Conference registration
 Floor passes for additional booth personnel
Handle the hanging of all signs, drape and cloth
installation and tacked fabric panels. Handle the
uncrating of exhibits and display materials,
installation and dismantle of exhibits including
cabinets, fixtures, shelving units, furniture, etc.,
laying of floor tiles and carpet and recreating of
exhibits and machinery. They handle the rigging,
hanging and removal of all hanging signs.
The carpenters also provide all material handling
services.

source of power. This includes electrical wiring,
hook-ups, interconnections, etc.

Assignment of Space
Booth assignment is based upon the date of exhibitor
registration and payment in full of booth fee, as well as
proximity to competitive or conflicting organizations.
Advertising Opportunities
We will be using a mobile app instead of a paper
conference brochure. Sponsor Banner Ads are optional
and additional cost of $1,000.
Sponsorships
CSDA is pleased to offer opportunities for corporate
sponsorship of conference events and activities.
Corporate sponsorship offers you additional on-site
visibility and has become an integral part of the California
Annual Child Support Training Conference. Sponsors &
Exhibitors receive:

Private Social Functions Policy
Social functions at which attendance is restricted to either
verbal or written invitations are not permitted to occur
during any official CSDA activity. Hospitality suites must
be approved in advance by CSDA.
CSDA reserves the right to postpone or delay any
function conflicting with an official CSDA function.
In recognition of the financial support provided to CSDA
by the Exhibitors and Sponsors, CSDA will not provide
meeting space for any private-sector entity that is not
registered as an Exhibitor or Sponsor of the CSDA
Training Conference.
Payment of Fees
Upon committing to exhibiting and/or sponsoring the
conference, you will receive an email with the total
amount owing and specific instructions for payment.

Exhibitor Registration
Registration is open. Complete the Sponsorship
Opportunity form and submit to Natalie Dillon.
Exhibitors at the Basic level must designate one
representative to receive the one "full registration," per
8’ x 10’ space reserved, which is included in the booth
fee. A full registration entitles your representative to
attend plenary and concurrent educational sessions,
lunches, as well as CSDA sponsored social events.
Exhibitors will also receive complimentary floor passes
for individuals who will be staffing your booth during
Exposition hours. Floor passes are for Exhibit Hall
identification/events only and do not entitle the badge
holder to receive any written materials or to attend
conference functions or events outside the Exhibit Hall,
including plenary and educational sessions, and lunches.
Floor passes can be obtained in advance or onsite at the
conference at no additional cost. Lunch tickets can be
purchased at time of registration for those with floor
passes only.

The Hyatt Regency San Francisco Airport will house the
2015 Annual Child Support Training Conference & Expo
attendees during their conference stay in Burlingame.

limited – so make your reservations early. The CSDA
room block will be released on Monday, March 23, 2015.

Official Annual Child Support Training Conference
Exposition Regulations
All exhibits and exhibitors are subject to the regulations below. The words "Management,"
"Association," and letters "CSDA," herein refer to the Child Support Directors Association of
California, acting through its officers, employees, or agents, in the management of the Exposition.
1. Date and Hours of Exposition

2. Exposition Sponsorship and Objectives
The CSDA Exposition is produced by, and is the property of, the California Child Support
Directors Association, herein referred to as CSDA. The Exposition is a practical, educational
adjunct to the professional meetings held during CSDA’s Annual Training Conference. The
Exposition is meant to supplement the professional meetings by providing a forum where child
support enforcement professionals can learn about the various types of products, services, and
information available to them. Exhibitors are expected to display their products and/or discuss
their services with awareness of the professional and practical needs of CSDA members. CSDA
reserves the right to refuse space to any applicant who, in the opinion of CSDA, is unlikely to
contribute to the overall objectives of the Annual Training Conference.
3. Exhibitor Representative Responsibilities
Each Exhibitor must name at least one person to be identified as the official representative and
responsible party. The official representative will receive the conference registration and all
relevant materials relating to the CSDA Exposition. The representative shall be authorized to
enter into such contracts as may be necessary for fulfillment of obligations to CSDA, and to other
contractors and subcontractors.
Each paid exhibiting company is entitled to a minimum of one complimentary conference
registration based on level of sponsorship, and floor passes for admittance to the Exhibit Hall
only. Exhibitor personnel may purchase additional conference registrations (full or daily) to attend
educational and plenary sessions and/or conference social activities and/or lunch.
4. Contract for Space
The registration for exhibit space, notice of space assignment by CSDA, and full payment of
booth fees, together constitute a contract for a right to use space. No fees will be refunded on
cancellations made after March 27, 2015.
5. Installation and Dismantling
Exhibits must be installed between 1:00 p.m. and 4:00 p.m. on Monday, April 13. Any space
unclaimed by 4:00 p.m. on Monday, April 13 (without prior arrangement with CSDA) will be
reassigned without refund of fees paid, and CSDA will not be liable for any incurred expenses.
The 2015 CSDA Exhibit Hall officially closes on Wednesday, April 15, 2015, at 3:30 p.m.
Exhibitors may not dismantle or disturb their exhibits until after the official closing. All
exhibitors and accompanying supplies must be dismantled and removed from the Exhibit Hall by
6:00 p.m. Wednesday, April 15.

6. Use of Exhibit Space
No exhibitor shall assign, sublet, or share the whole or any part of the space allocated without the
consent of Management and approval of the terms thereof. No exhibitor is permitted to show
goods other than those manufactured or handled in its regular course of business. A firm,
organization or individual not registered as a sponsor or exhibitor for the conference will not be
permitted to solicit business, in any manner, within the Exhibit Hall.
7. Care of Buildings/Regulations
Exhibitors or their agents shall not injure or deface walls or floors of the building, booths, and/or
equipment or furnishings in a booth. Exhibitor will be held liable for any such damage caused by
its agents or employees. Exhibitor assumes full responsibility for complying with union
regulations; local, city and/or state laws regarding sales taxes; and regulations concerning fire,
safety, electrical wiring and health. Hotel does not have storage space for crates.
8. Location of Exhibits
Management reserves the right to alter the location of exhibits or booths shown on the official
floor plan as it deems advisable and in the best interest of the Exposition.
9. Liability and Insurance
Exhibitors and Child Support Directors Association of California shall indemnify and hold
harmless the Hyatt Regency and its servicing agents from all liability (damage or accident) which
might ensue from any cause resulting or connected with transportation, placing, removal or
display of exhibits. You agree to indemnify the Hyatt Regency for any damage caused to any
hotel property as a result of damage related to your event, whether caused by you, your agents,
employees, contractors, or agents.
Management and the Hyatt Regency will take reasonable precautions to safeguard the Exhibitor's
property; however, Management and Hyatt Regency will not be liable for loss or damage to
property of the Exhibitor or its representatives or employees from theft, fire, accident, or any other
cause beyond its control. Exhibitor hereby assumes entire responsibility and hereby agrees to
protect, defend, indemnify and save the Hotel, its owners, its operator, and each of their
respective parents, subsidiaries, affiliates, employees, officers, directors, and agents harmless
against all claims, losses or damages to persons or property, governmental charges or fines and
attorney's fees arising out of or caused by its installation, removal, maintenance, occupancy or
use of the exhibition premises or a part thereof, excluding any such liability caused by the sole
gross negligence of the Hotel and its employees and agents.
The Exhibitor understands that neither Management nor the Hyatt Regency maintains insurance
covering the exhibitor’s property, and it is the sole responsibility of the Exhibitor to obtain and
keep in force during the term of the installation and use of the exhibit premises, policies of
Comprehensive General Liability Insurance and Contractual Liability Insurance.
10. Failure to Open Exposition
In case the premises of the Hyatt Regency Hotel Exhibit Hall area therein shall be destroyed or
damaged, or if the CSDA Exposition fails to take place as scheduled or is interrupted and/or
discontinued, or access to the premises is prevented or interfered with by reason of any strike,
lockout, injunction, act of God, emergency declared by any government agency, or for any other
reason, this contract may be terminated by CSDA. In the event of such termination the Exhibitor
waives any and all damages and claims for damages and agrees that the sole liability of CSDA
shall be to return to each exhibitor its space payments, less a pro rata of all costs and expenses
incurred and committed by CSDA.

12. Regulations and Contract
These regulations have been formulated in the best interest of all concerned and become part of
the contract between the Exhibitor and CSDA. All matters and questions not covered by these
regulations are subject to the decisions of Management.
