How to record your HESA personal details
HESA expects the University to supply an annual staff return containing several items of personal data
about you that only you can divulge. Some of this data is collected through Employee Self-Service using
iTrent. iTrent is the University’s HR and Payroll system for storing personal and employment details.
To record your HESA personal details in iTrent please:
Step 1
Log onto iTrent Employee Self Service system from
the University Home page or use this link: Link to
ESS
Step 2
Once you have logged onto Employee Self Service
there is a menu at the top of the page.
Click on the link marked Job Details, then click on
the HESA details link.
Step 3
This is the main screen for updating your HESA
personal details. Please complete as many of the
details requested by HESA as you can (please use
scroll bar on right hand side to view further HESA
fields).
The data will be returned to HESA in an
anonymous format i.e. without your name.
The HESA Staff Identifier field is unique for HESA
purposes and can only be changed on request by
contacting the Department of Human Resources.

Nature of Disability
HESA has asked for the nature of any disability
you have, based on self-assessment. It is required
to monitor equal opportunities issues in the higher
education sector and support higher education
institutions (HEIs) in meeting their obligations

Highest Qualification Held
This field identifies your highest qualification held.
It will be used to provide information about the
highest qualifications of the Higher Education
workforce. For more information from HESA about
this data please refer to this LINK.

Academic Teaching Qualification
This records whether you hold higher education or
other relevant teaching qualifications, or have been
recognised in other ways for your teaching
expertise. Up to six academic teaching
qualifications can be recorded.
It will be used to monitor the number of staff
working in higher education institutions with a
relevant higher education teaching qualification
and what that is. For more information from HESA
