Employment is with The Research Foundation for The State University of New York, a private, nonprofit,
educational corporation that administers sponsored program activity for The University at Albany.
Description of Duties:
The Electronic Research Administration Coordinator (ERAC) will support the technology
infrastructure and systems that serve faculty, administrators and services across the University at
Albany’s research enterprise. The ERAC will serve as the lead administrator for the campus Research
Foundation (RF) pre-award business processes and systems. Incumbent will oversee use of the current
electronic system (COEUS) and lead the technical implementation of the system replacing it; develop
a solid understanding of the current system and replacement system from both technical and functional
perspectives; perform activities necessary to complete implementation; and provide training and
technical support as necessary.
The ERAC will:

Provide oversight and coordination of and administration of the current campus electronic preaward system. UAlbany currently uses COEUS as its pre-award submission tool and the
Coordinator will also be responsible for oversight of this system and play a lead role in
implementation of the new system.

The ERAC will assist with Training and Development initiatives developed to support campus
researchers. Training activities will include grant workshops for faculty/staff, electronic
research system user training, faculty orientation, preparation of manuals and training
materials.

The Coordinator will be expected to have superior communication skills, interact effectively
with staff, faculty, deans, directors and external sponsors.
Electronic Research Administration (ERA) system IT support:
System maintenance for UAlbany campus to include the following:




Rates Maintenance, Unit hierarchy maintenance, Business rules and maps, Questionnaires,
Person data uploads.
Testing of changes and upgrades made to the system (e.g. implementation of new modules on
campus).
Preparation of user guides and update manuals as needed.
Monitor the Coeus helpdesk (via email) and provide support as needed.






Work with related campus administrative offices and academic departments to identify
opportunities to leverage the capabilities of the ERA system and any other electronic tools to
support research/externally sponsored activities.
Coordinate the review and implementation of software systems best suited to meet the needs
of the pre-award and post-award research compliance offices with the Division of Research
and RF SUNY.
As necessary, troubleshoot issues with electronic submission systems such as Grants.Gov,
NSF Fastlane and NIH eRA Commons.
Troubleshoot ERA system issues for the University at Albany campus and as needed with
other SUNY campuses.
Attend staff meetings and participate in discussions of research administration management,
improvements in office procedures and training opportunities.
Participate in RF meetings, conference calls and keep campus staff and the Division for
Research updated. Conduct regular ERA meetings with staff.
Minimum Qualifications:
Bachelor’s degree from a college or university accredited by a U.S. Department of Education
or internationally recognized accrediting organization. At least 3-years sponsored programs or
research administration or closely related experience working in sponsored funds
administration or higher education, or the equivalent combination of education and
experience.
Computer proficiency in database creation/maintenance, word and spreadsheet applications
mandatory. Ability to navigate sponsor’s administrative websites for proposal guidelines and
other pre-award related requirements.
Ability to interact effectively with staff, faculty and external sponsors; able to present
information in a clear, non-technical, useful manner and develop concise educational
materials.
Strong organizational management; administrative and supervisory skills.
Demonstrated ability to work under pressure in a deadline oriented environment and multitask. Self-starter and able to work independently.
Excellent communication skill oral and written; the successful candidate must have experience
working with cultural diverse groups of people.
Preferred Qualifications:
Master’s degree in Business, Public Administration, Computer Science or a related field.
Understanding of FARs, CFRs, OMB Circulars including A-21, A-110 and A-133, as well as NIH and
NSF pre and post award guidelines. Familiarity with compliance issues such as cost-sharing, effort
reporting, conflict of interest, salary cap.
Experience with Oracle based systems. Ability to trouble-shoot web applications and work effectively
with system users who have varying degrees of technical knowledge, in order to resolve problems.
