Dear FENS Exhibitor,
This Exhibitor Services Manual contains important information and is designed to assist you in preparing for
the FENS Exhibition.
The Exhibition will be held in conjunction with the 9th FENS Forum of Neuroscience - FENS 2014, to be held
in Italy, Milan from July 5-9, 2014.
Please read all the information in this manual. It will take you very little time now and could save you a
great deal of time later.
The floor plan has been designed to maximize the exhibitor’s exposure to the delegates with posters and
cash bar located in the exhibition area.

Please note:
Please note that all exhibitors should be in their booth 30 minutes before the official opening hour.
Empty crates and packaging material must be removed after set-up and no later than
Saturday, July 5, 2014 at 18:00.
All aisles must be clear of exhibits and packaging materials to enable cleaning.
Any equipment, display aid or other material left behind on Wednesday, July 9, 2014 after 22:00 will be
considered discarded and abandoned.
Off Exhibition Information
Please note that participants will be walking through the Exhibition area to reach the Posters area
which will be active before and after the Exhibition Opening Hours.
Therefore, you may either man your booth during those times or consider hiring extra security for
your valuables.
Please note:
It is the exhibitor’s responsibility to dispose of all materials after dismantling. Any charges incurred for
waste removal will be sent to the exhibitor.
Smoking
Smoking is prohibited at all times in the meeting halls, exhibit and restrooms.

Exhibitor Registration/Badges
All exhibitors are required to be registered and will receive a badge displaying the personal name and the
exhibiting company’s name. Four exhibitor badges will be provided for every 9 sqm booked.

the scientific sessions.

Exhibitor badges may be collected from the pre-paid registration stations located in the Registration area from
Saturday, July 5 from 09:30. Badges will not be mailed in advance.
Service Passes
Stand contractors and staff must wear service passes during the entire set-up and dismantling period.
Service Passes are free of charge and exhibitors will receive an email from Fiera Milano Congressi logistics
department which will detail the process you need to follow in order to receive your passes.
Onsite Exhibition Manager Desk
The Exhibition Manager Desk will be open throughout the Exhibition set-up, opening and dismantling
period. The desk will be located within the Exhibition area.

Section 4: TECHNICAL INFORMATION
Stands Design
Exhibitors who build their own stands are required to submit a scale drawing of their booth, including
elevation view and dimensions, to Ms. Elianne Baran Ganot by, Monday, June 2, 2014.
Please send it via e-mail to: eganach@kenes.com
All exhibits are to be displayed to avoid blocking aisles, obstructing adjoining booths, or damaging
the premises. Exhibitors are kindly requested to allow sufficient see-through areas that ensure
clear views of surrounding exhibits.
The Organizers will not approve stands that do not comply with the accepted standards until the
necessary changes have been made.
Work cannot commence until the exhibitor layout is approved by the Organizers.
Multi level structures are not permitted.
Each exhibiting company should let us know the name and details of their construction company.

Build-Up Height
The maximum building height for the top of all elements is total of 4.5 meters.
Any part facing neighboring stands that is above 2.50 m in height needs to be designed with neutral
surfaces (white).
Exhibitors who will have stands higher than the maximum permitted height will not be allowed to set-up
their stands.
Please note that if your booth has a platform higher than 4.5 cm, you are required to provide a ramp for
handicapped access.
Ceiling Hangings
Ceiling hanging is permitted. Hangings will be evaluated case by case depending on the position of the
booth and by the project. Along with the project, Exhibitors must send the hangings application forms with
every technical specifications and a clear and detailed design with every height.
Stand builders cannot hang any item directly to the venue ceiling \hanging points.
The Fiera Milano Congressi has to build pre-rigging in order to provide a hanging point.
Please be sure to read thoroughly all of the “Rules and Regulations” found at the end of this manual.
The Order Form for Rigging is also at the end of this manual.
APP/SUSP Forms: Exhibitors have to fill in these forms and return to Mico Exhibitors technical
assistance, to the email: fens2014expo@fieramilanocongressi.it
Kindly note that the hanging points are spread randomly throughout the Exhibition hall and may not be
available above your booth location.
Electricity and Electrical Installations
According to the regulations, the electrical installations for the Exhibition will only be connected to the
power supply after being checked and approved by the Mico Exhibitors Services website.
Exhibition Area
The Exhibition is being held in Pavilion 4.
The carriage entrance for download goods during building up and break down days is: GATE 9 Viale
Teodorico.
Whereas, the official entrances for Events Days are:
Gate 2 – Viale Eginardo and
Gate 17 Piazzale Carlo Magno.
Floor
Floor finish: The floor in the Exhibition hall is gray plain concrete.
It is recommended to place a carpet or other floor covering.
Maximum Floor Load: 600 Kg / sqm.

website along with an access code. This manual will include all order forms for contractor services such as
stands and additional materials, furniture, electricity for shell scheme only booths, multimedia, plants and

Security
The organizers will provide security guard services in the Exhibition Hall during closing hours.
Neither the organizers nor the Fiera Milano Congressi –can accept responsibility for security of the stands
and their contents or damage to and theft of any goods. Exhibitors are responsible for the security of their
stand and equipment.

The catering in the Fiera Milano Congressi is exclusive and needs to be requested in advance.

Stand Cleaning
The Organizers will arrange for general cleaning of the Exhibition premises (excluding exhibits and displays)
prior to the opening of Exhibition and daily prior to opening thereafter.

Parking
There are no parking facilities for exhibitors at the venue.
Waste Removal
Exhibitors are responsible for the removal of all refuse/waste from the Exhibition area.
Any discarded waste, including promotional material, left behind will be removed by the organizers at the
expense of the exhibitor concerned.
RULES AND REGULATIONS
These rules are binding for all exhibitors and their subcontractors.
Promotional Activities
All demonstrations or instructional activities must be confined to the limits of the exhibition stand.
Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands.
Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits.
Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is
deemed objectionable.
Special Effects
Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will
be given for projection in the aisles or on the walls of the hall.
General Fire Regulations
Stand material and fittings must be of non-inflammable materials or impregnated with fire-retardant chemicals.
As a general rule, easily flammable synthetic substances, foam polyester, and non-fireproof straw and reeds are
prohibited.
Damage to the Premises
Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and
dismantling periods. No adhesive stickers and fixtures of any kind are allowed on floors, walls and pillars.
Disposal of Material
It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When
the dismantling period is over, the exhibitor loses any right to claim for losses or damage to property left behind
and any costs incurred by the venue in removing this property will be charged to the exhibitor.
Hanging of Posters, Banners etc.
Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings or columns within or
outside the installations of the venue are not allowed without a prior written authorization.
Insurance (compulsory)
Exhibitors are required to take out appropriate Insurance. Additional information about Insurance will be
communicated to the exhibitors by the Venue (MiCo / Fiera Milano Congressi SpA) through our Exhibitor
Services Website. Third part liability insurance is obligatory. It remains the Exhibitors full responsibility to
insure themselves appropriately.
Note: All exhibitors must complete the compulsory INS application Form which is available for download
from the Exhibitor Services Website. The Form INS should be returned to fiera.milano@marsh.com 30 days
prior to the build-up starting time.
ALL EXHIBITORS must be insured according to the following points:
A) Through their own Insurance Policy to be submitted and approved by Fiera Milano Insurance Broker
(MARSH). These policies will be considered valid, ONLY if they are “Property All Risks Policies”, and contain
a clause waiving the right to claim compensation from third parties, including Fiera Milano Congressi SpA,
Fondazione Fiera Milano, Fiera Milano SpA, its affiliates, the Organizers of the Event and any third-parties
in
any way involved in the Organisation of the Event. For policies that do not include the above-mentioned
clause or that are considered inadequate, Fiera Milano Congressi will ask the Companies to revise the
causes concerned. Alternatively, the Companies can choose the following point B).
B) For those Exhibitors who do not own an Insurance Policy or do not have an adequate Insurance
Policy – see point A), they have to adhere to the coverage included into the Fiera Milano Congressi service.
The Exhibitors can get this “service” at the amount of € 95.00 + VAT (22%) through the Exhibitor Services
Website. This "service" includes:
a. All Risks Cover up to 25,000.00 Euros
b. Theft of personal properties
The organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his
property and person and for the property and persons of his employees through full and comprehensive
insurance, and shall hold harmless the organizers for any and all damage claims arising from theft and those
perils usually covered by a fire and extended-coverage policy. Therefore, you are obliged to have a public
liability insurance that covers all injuries to persons and damages that might cover in connection with the
exhibition.
We also recommended that you have additional coverage against loss or damage to exhibition material during
transport and during exhibition times. Please make arrangements for insurance coverage through your
company’s insurer.
Fire Insurance (compulsory)
Exhibitors must be insured against fire.
Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions stated
herein.
Music
Please note that if some your company would like to play music inside their own booth, shall undertake
the following instructions:
S.I.A.E.
The Exhibitor undertakes to apply for – if needed – prior “authorization for shows” issued by S.I.A.E (Italian
Author’s and Publisher’s Association) for any screening of slides or films, i.e. sound transmission or
background music during the Exhibition Area time as well as to provide for advance payment of the
royalties due.
If the Exhibitor intends to reproduce and distribute musical recordings on any medium (DVD, Audio and
Videocassettes, Hard Disk, Server. Etc…) will be required to fulfill the rights under articles 72 and 73 Law n°
633/1941, of performing artists and producers of phonograms, rightholders on the recordings, to the
phonograms producer to SCF (Società Consortile Foniografici S.p.A. – Via Leone XIII, n.14 – 20145 Milan –
Tel. 800429060 – Fax. 0039/02/46.54.75.00) 13

stand surely for and hold the Venue (MiCo/Fiera Milano Congressi SpA) armless from any claim for
payment they may receive from S.I.A.E. and/or SCF.

Hermes/Merkur Ltd. has been appointed the official forwarding agent and clearance
agent for this Congress and offers the following services: customs clearance, delivery to the stand, freight
forwarding, manpower & trolleys for un-loading/loading during build-up and dismantling, storage of empty
crates, transportation to and from the Exhibition hall.
For security, insurance, and efficiency reasons, Hermes/Merkur is the sole official agent to handle cargo
inside the venue.
Stand builders are prohibited from using trolleys during set-up and dismantling periods.
Kindly note that the official agent is the exclusive agent for move in and move out of the venue.
Exhibitors and stand builders are free to deliver their goods or to pick their goods up from outside the
venue. Those who use their own facilities up to the venue are requested to coordinate their time schedule
and unloading of their cargo into the venue with the official logistics agent.
Insurance of Goods
All cargo should be insured from point of origin.

Please note that all materials entering the venue incur a handling charge. This includes materials for inserts
to the Congress bags and display.
In order to receive a price quote for handling and to assure arrival of your materials, please be sure to
complete the “Pre-Advise” form included in the shipping instructions.
Please Note: All advanced shipments and deliveries to the Hermes/Merkur warehouse, including by
courier, must be coordinated with Hermes.
In order to assure receipt of sent materials, Hermes, must receive the Pre-Advise form found at the end
of this manual.

Hermes-Merkur is the official handling agent for KENES congresses in 2014. We are a full door to door service company, and sole on site
logistics contractor. As such, we are pleased to update you regarding the services and guidance as how we dispatch shipments to the event.
Onsite Handling
Due to security, insurance and organizer policy, Hermes-Merkur is the exclusive handler inside the venue. No other company is permitted to
handle cargo within the venue.
Please note that companies, stand builders & PR companies may make their own arrangements to deliver and retrieve goods directly to the
warehouse/venue entrance.

Courier Shipments
It is not recommended to use a courier service for shipping your goods to the congress venue. In case of sending a courier shipment, please be
sure to send us a pre-advise with the full details of the shipment: courier company, number of pieces and tracking number.
Shipments will be accepted in the show site by our representative starting from the first move in date. Shipments arriving before that time
will not be accepted.
Dangerous Cargo
Exhibitors need to complete a special form for dangerous goods. These forms will be provided upon request and the completed forms should
reach us before shipment is dispatched. There will be surcharge of 100% for handling this kind of shipment.
Insurance
All goods must be fully insured with all risk coverage. Insurance can be provided upon request. We regret that we can take no responsibility for
goods after delivery to the exhibitors stand regardless if the exhibitor is present or not.
Heavy & Oversized Shipments
A heavy and oversized shipment applies to any single exhibit in excess of 1000 kg and 5 CBM that requires the use of a forklift mobile crane for
installation.
Exhibitors with heavy and oversized exhibits must inform us at least seven days prior to delivery. A detailed layout should also be provided to
better assist our onsite operations.
Payment Terms
In order to ensure move in/out of your shipment/s, please complete and sign the attached Material Handling form/payment confirmation and
return it to our attention.
Please note that your signature will be used as payment guarantee based on the general tariff.
Please notify “Hermes - Merkur” immediately about any requirements relating to invoices. All invoices must be settled by
exhibitors/contractors and agents in advance of the congress. In case of non-payment of invoices, shipments will be held in storage until the
invoices are paid in full.
Please note that all payments should be made in EUR.
Any services not outlined in the attached tariff will be quoted on an individual basis.

APPLICATION FOR FEASIBILITY
To be returned 30 days before the event starts
The undersigned company, having taken note of the rules provided in the Technical Regulations
and Instructions on the back of this form, would ask to have the contents of the Documentation
submitted by said company to Fiera Milano Congressi verified for feasibility, as from now agreeing
to be charged for suspension structures required to complete said suspension.

The suspension structures form attached to the formulary, a layout of own area in DWG or PDF
format, floor plan and eventual rendering or perspective pictures of the stand are required to
provide the requested service, to compile and forward to the FMC Exhibitors’ Assistance Office.
Applications must be received within 30 days from the start of the exhibition.
Fiera Milano Congressi will not take into consideration this application without the aforesaid
documentation and relative signature.
FMC will forward a complete proposal of suspension costs to the exhibitor for acceptance and
signature.
The exhibitor is obliged to submit the static calculation and static compliance report signed by two
different professionals, entered into the Italian Register, to the FMC Exhibitor’s Assistance Office
before the eve of the event. The FMC Exhibitor’s Assistance Office may be asked to provide this
service and include it in the proposal. In default of the above term Fiera Milano Congressi will
instruct one of their own professionals to draw up the required declaration, charging the exhibitor
with the relative cost.

INSTRUCTIONS FOR SUSPENDING LOADS FROM CEILING
1. REQUIRED DOCUMENTATION:
The suspension data sheet (annex 1), table of loads to be suspended (annex 2) attached to this formulary and the
project of what is planned to be suspended from the ceiling must be submitted at least 30 days before the exhibition
starts. The project must include the following compulsory documents:
a) Graphic printouts in quota comprising the ground plan, lateral and axonometric views of the product to be
suspended. The drawings must include the position and values of the estimated loads on the truss system to be
suspended. The points where the truss system will be connected to the Fiera Milano Congressi suspensions must
also be specified;
b) Technical report drawn up by a trusted professional containing:
- description of the suspended structures;
- details of materials to be used (eyebolts, steel cables or jack chains, truss systems, etc.)
- indication of effective weights of materials to be used (truss systems, spotlights, wiring, lifting systems, etc.)
- estimate of load on the product’s structure and tests on the relevant induced stress;
- indication of the product’s suspension points and relevant loads at each point, taking into account that the loads
given in the table attached to this formulary must not be exceeded;
- for the suspended structures’ stability sake it must anyhow be guaranteed that should any anchorage to the
suspension cables supplied by Fiera Milano Congressi collapse (structural connection, Halfen bolts, lifting mechanism,
etc.) this will not entail the risk of collapse and/or overload exceeding the tolerated threshold at each anchorage point,
endangering the entire structure;
c) It is compulsory for the exhibitor to submit a correct assembly declaration; static calculation and static
compliance report, signed by two different professionals, of the suspension s to Fiera Milano Congressi S.p.A.,
certifying, to all lawful purposes that said suspensions conform to the relevant safety preventive measures. The
deadline for submitting the correct assembly and project conformity declaration is 24 hours before the exhibition starts.
N.B. Should the exhibitor take advantage of FMC trusted professionals or should said deadline not be kept, as said
deadline cannot be extended due to the imminent opening of the exhibition, Fiera Milano Congressi S.p.A. will instruct
one of their own professionals to draw up the required declaration, charging the exhibitor with the relative cost. Should
any obstacles or problems arise for any reason to hinder the aforesaid controls ordered by Fiera Milano Congressi
S.p.A. then the utilities provided by Fiera Milano Congressi S.p.A. to the stand (power, water, compressed air, etc.)
will be cut off and the stand closed to visitors.
ATTENTION:
- It is important to keep to the above terms as Fiera Milano Congressi S.p.A. must have the documentation examined
by engineers to control compatibility between the programmed structures and the permanent structures in the hall.
Fiera Milano Congressi S.p.A. reserves the right to confirm whether the structure is compatible or not with the area
assigned to the exhibitor, save for exhibition regulations.
2. IN GENERAL
2.1. The “suspension” service is available in all the halls at the Quartiere Fieramilano City with suspension structures
provided as per attached table;
2.2. The “Suspension” service consists in supplying special cables hooked to the ceiling, used to suspend stand
fittings and lighting belonging to the exhibitor or to a trusted firm or hired from Fiera Milano Congressi itself;
2.3. Special cables hooked to the ceiling will be supplied by Fiera Milano Congressi only, whilst the exhibitor or a
trusted firm will be responsible for fixing the structures not provided by Fiera Milano Congressi.
It is compulsory for the exhibitor to hook up all the suspension cables including the safety cables installed and booked
through Fiera Milano Congressi, to own suspended structures.
To the contrary Fiera Milano Congressi Spa reserves the right to do this alone, charging relative costs.
2.4. Fiera Milano Congressi will establish the position and number of cables to be supplied by the latter, based on
specifications in the technical project submitted by the Exhibitor and on the location of the structures from which said
cables would then be suspended, quantifying the additional safety cables required;
2.5. The free end of the cable supplied by Fiera Milano Congressi will be fitted with a special certified fixed thimble;
2.6. Cables will be placed at a height of 150/200 cm exceeding the maximum allowed by Exhibition Regulations;
2.7. The height of suspended structures from the ground must conform to General Exhibition Regulations, unless
derogation is allowed by the Organizer, Operational Secretary’s Office dept.;
2.8. See the load table attached to this formulary for the maximum load bearing capacity at each hook-up point
supplied by Fiera Milano Congressi;
2.9. Cables supplied by Fiera Milano Congressi will be hooked up to the specially prepared structures only: said
structures are distributed in the following way:
Halifax rails on the ceiling will be used in Quartiere Fieramilano City. Said rails will be distributed differently depending
on the areas in the halls. It is possible to check whether there are Halifix rails above the area assigned to each
exhibitor by contacting the Fiera Milano Congressi Exhibitor’s Assistance Office;
2.10. If the zone above the area assigned to the exhibitor does not have any of the special structures described in the
above points, special supplementary anchorage systems can be hired after reaching an agreement case by case with
the Fiera Milano Congressi technical office;
2.11. The exhibitor or a trusted firm shall use appropriate systems for fixing the structures to guarantee perfect
anchorage. Any steel cables used must have a diameter of no less than 5 mm and the diameter of the rods used for
any jack chains must be no less than 6 mm;
2.12. Suspension cables supplied by Fiera Milano Congressi must not be pulled diagonally by the exhibitor or by the
trusted firm.
2.13. Suspensions with lifting equipment (hoists, lever block rigs, etc.) must be fitted with safety cables;
2.14. Loads applied to the truss system (lighting fixtures, speakers, etc.) must be fixed to the latter by own specific
anchorages as well as other anchorage systems (wire ropes, jack chains) to guarantee safety in case their own
anchorage systems collapse;
2.15. For obvious safety reasons, mixed suspension systems (suspension from ceiling + floor-mounted) will only be
allowed if the items solidly mounted to the floor are adequately protected against accidental blows;
2.16. Safety hooks for guaranteeing the stability of floor-mounted fittings will only be allowed if they conform to these
instructions, including submission of required documentation;
2.17. Suspensions from the ceiling must not interfere with the smoke detection system in the halls at Quartiere
Fieramilano City. This system comprises a network of sensors, placed at two levels in the higher part of the hall and
connected together by infrared rays;
WARNING: the hall’s fire fighting system will be activated if a ray is interrupted;
2.18. Suspensions from the ceiling must not interfere with the hall lighting installations;
2.19. Any electrical equipment installed on the suspended structures must be plugged into the sockets inside the
assigned area. Cables hanging from suspended structures must be anchored to specific supports (e.g. steel cables or
floor-mounted columns);
The sum must be paid at Fiera Milano Congressi request only, against invoice or final statement of account.

Access to the Congress Area of MICO of authorized people for booths build-up and break down
is limited to those who are in possession and wear their own permit, the badge. Each badge must be
filled in completely (art. 4 Technical Regulations).
In particular may we draw your attention to the fundamental need to strictly observe all employment rules,
none excepted, for all type of contracted workers. In particular, in regard to occupational health and safety,
reference should be made to Legislative Decree 81/2008 and the entire regulatory system in force protecting
the health and safety of workers.
Concerning national contributions, your attention is drawn to the observance of the “Biagi” Law, as
amended, the “Bersani” Law and the 2007 Governement Budget Law.
To be deemed valid, all personal access documents must indicate the name of the company and the name and
surname of the bearer. If inspectors so request, they must be produced together with a valid identity document.
Unauthorized people and under 15 years old children are NOT allowed to enter the Fieramilanocity Congress Area
during build-up and break down operations.
As per the Technical Regulations , Art. 5, the Official Freight Forwarder available for shifting heavy loads is:

Rules about vehicles circulating are listed in Article 4.2 Technical Regulations and subject to the Highway Code.
In particular, traffic signs and the 30 kph speed limit must be scrupulously observed.
Inside the Congress Area of MICO, when permitted by security officers, vehicles may only proceed at walking pace.
It is absolutely forbidden for vehicles to park in front of side roads, fire hydrants, emergency exits, near crossroads or
in front of public emergency services (First Aid, Fire Brigade, etc…)
Inside these Areas, night parking is never allowed, even in case of engine failure. The deadline for parking is the
halls closing time. Failure to observe regulations will be subject to a charge of € 250.00 for each night or part
thereof.
The NON observance of vehicular traffic regulations will result in penalties and fines as mentioned in the
Technical Regulations.
Fiera Milano Congressi / Fiera Milano will remove any vehicles parked causing obstruction and/or blocking
the traffic.
We would like to inform you that the competent Authorities for Public Security might carry out some checks on
vehicles and goods at the gates when leaving the Congress Area of MICO.
To prevent air pollution, a no-go traffic may be designated in the center or in the outer part of the city. We suggest to
check the websites of “Comune Milano” and “Regione Lombardia” for updated information about the rules:

Because of a specific city ordinance (n.50605 February 28 , 2002) the entering and parking of articulated lorries and
semitrailers is forbidden from 7.30 am to 9.00 pm. The MICO Centre is inside this area, therefore drivers subject to
these categories must arrive no later than 7.30 am. It is forbidden to park in the streets next to the MICO Centre.
All vehicles must move with the provided documentation.
