High-speed data connections, whether for business or private purposes, are already taken for granted in today’s world. Mobile data access with notebooks or mobile telephones via hotspots (WLAN) or UMTS are already every day realities. An up-to-date and synchronised data inventory is indispensable in this area. This fact makes the Webland Xchange servers the centre of attention as central data storage for e-mails and PIM data (Personal Information Management- calendars, contacts, tasks). So that these data are available and up to date everywhere and at all times, they must be constantly synchronised with the central server and mobile end-devices and stationary computers (PC’s). These data can be subject to shared use and exchange in a team, company or even a family. To this end, the individual data categories (calendars, contacts, tasks, etc.) and/or the individual folders (sub-folders) are assigned specific access rights by the user so that only authorised persons have access. The solutions SmartSync® and Hosted-Xchange are optimally adapted for these needs so that your data are always up-to-date both on the mobile phone/smart phone, local PC’s/notebooks and on the internet and so that you can use them together with other persons. You can find more information about the services of Webland AG on the website: www.webland.ch. 4 SmartSync® SmartSync® Basics What is SmartSync® ? SmartSync® by Webland enables "over-the-air" (OTA) synchronisation of your mobile telephone with the central server. This provides you with constant access to your e-mails, calendar, contacts and tasks everywhere you go, even when you work "offline". Microsoft Exchange ActiveSync Protocol Webland SmartSync® is based on the Exchange Active Sync (EAS) data synchronisation protocol by Microsoft. This protocol was developed by Microsoft in order to synchronise mobile devices (e.g. mobile telephones) with a central server. The EAS protocol that we developed now allows real "over-the-air" synchronisation of iPhones and Windowsdriven mobile devices without needing to install any additional software. The EAS protocol has been used in the Microsoft environment thousands of times over for years now and is considered extremely reliable. Microsoft DirectPush SmartSync® by Webland includes the so-called DirectPush function by Microsoft. The DirectPush function allows automatic presentation of incoming e-mails on your mobile telephone. The mobile telephone maintains a connection with the Webland Xchange Server and it sends new incoming e-mails to your mobile in real time over the mobile network. The data traffic generated with active DirectPush can be kept very low so that marginal fees accumulate due to this function. Along with e-mail synchronisation, SmartSync® also has the ability to synchronise your events, tasks and contacts. If an employee has access to your event calendar, he can enter a new meeting and you will be informed in real time. Our solution Hosted-Xchange offers many additional options for joint use of event calendars, central administration of contacts, etc. You can find more information about this under Hosted-Xchange. Encrypted Data Transfer via SSL With SmartSync® you are always up-to-date wherever you may be. So that no unwanted third parties can surreptitiously intercept your data during data transfer, SmartSync® uses a secured connection via SSL (Secure Socket Layer). You can learn more about this in the chapter "Configuring Mobile Telephones". 5 SmartSync® Data Synchronisation with SmartSync® SmartSync® allows you to synchronise the following elements "over-the-air" automatically using your mobile telephone: ✔ E-Mails ✔ Event calendar ✔ Contacts ✔ Tasks ✔ Journals ✔ Notes Note that it is possible that your end-device does not support all synchronisation elements. Important Notice: Please keep in mind that additional costs can be incurred for data transfer, depending on the contract you concluded with your telecommunications provider. For additional information, contact your telecommunications provider. 6 SmartSync® Mobile Telephones Supported Mobile Telephones/Operating Systems SmartSync® by Webland can be used with many of the mobile telephones on the market. Basically, you need to make sure the device supports the Microsoft Exchange ActiveSync protocol. Many devices can also be retrofitted with ActiveSync Plug-Ins supplied by the manufacturer or third-party companies. If you are not certain whether your device supports ActiveSync, contact your mobile phone’s manufacturer. A (non-exhaustive) list of compatible end-devices appears below. iPhone & iPad All generations of the iPhone and iPad from Apple support Microsoft Exchange ActiveSync. Version 4.0 or higher of the software must be installed as a prerequisite, though. See also the "Function / Compatibility Overview". Windows Phone 7 & 7.5 Devices from manufacturers who use the Windows Phone 7 operating system generally support Microsoft Exchange ActiveSync. These include for example Samsung, Sony Ericsson, HTC or Motorola. Please note that not all devices offered by these manufacturers necessarily use the Windows operating system. See also the "Function / Compatibility Overview". Windows Mobile 5 or higher, Pocket PC, SmartPhone Devices from manufacturers who use the operating system Windows Mobile 5 or higher, Pocket PC or SmartPhone generally support Microsoft Exchange ActiveSync. These include for example Samsung, Sony Ericsson, HTC or Motorola. Please note that not all devices offered by these manufacturers necessarily use the Windows operating system. See also the "Function / Compatibility Overview". Nokia N Series, Nokia E Series The newer devices of the Nokia N and E Series generally support Microsoft Exchange Active Sync. In certain Nokia devices, you may need to install Nokia’s ActiveSync Client. You can get it from the Nokia website free of charge. See also the "Function / Compatibility Overview". Blackberry All Blackberry devices require additional ActiveSync software. See also the "Function / Compatibility Overview". 7 SmartSync® Android 2.x & 4.x Devices using the Android 2.x and 4.x operating system support Microsoft Exchange ActiveSync. See also the "Function / Compatibility Overview". 8 SmartSync® Function / Compatibility Overview Windows Phone 7 iPhone & iPad Nokia N Series Android 2.x / 4.x Nokia E Series E-Mail Events calendar Contacts Tasks Notes DirectPush Global o o addressbook SmartSync® Secure (Remote Wipe)* *This function is not yet available. 9 SmartSync® Configuring Mobile Telephones It is quite easy to configure mobile telephones for the use of Webland’s SmartSync® solution. Basically you only need 3 pieces of information to configure your mobile: ✔ Username (matching the e-mail address) ✔ Password ✔ Xchange server name (which you receive automatically once your order is received) Configuration will be completed in just a few minutes and you will have access to your current data, everywhere and at all times. Below you will find instructions for configuring the most common types of mobile telephones. 10 SmartSync® Xchange Server Address Find out the Xchange server address for your SmartSync® account. Proceed as follows: 1 Login to the System Configurator on the Webland start page under www.webland.ch using your customer and domain data: 2 Select "Xchange (e-mail)": 3 Note the URL under "Server Information SSL" -> "Xchange Server (ActiveSync)" 11 SmartSync® iPhone & iPad The iPhone by Apple automatically supports SmartSync® starting with software version 3.x since an ActiveSync client is provided with it. SmartSync® 3 Select Add Account. 4 5 Enter the following information: E-Mail: Enter the e-mail address you want to synchronise. Domain: Leave this field empty. Username: Enter the complete e-mail address again (as above). Password: Enter the password for this e-mail account. Select next. 13 Select Microsoft Exchange. Attention: If you select delete, the data will be irretrievably lost from your phone! The configuration is now complete. It will begin the first synchronisation immediately. It can take several minutes. You will now find your synchronised data in the corresponding applications Mail, Contacts and Calendar. 15 SmartSync® Windows Phone 7 & 7.5 Devices driven by Windows Phone 7 automatically support SmartSync® since an ActiveSync client is already provided. Attention: Before you begin configuring the device, be sure to back-up all of your data on your PC. Webland AG accepts no liability of any kind for lost data! Directions for Configuration: 1 From the start page more to the right to the list of applications. Tap on Settings and then on E-mailaccounts & other. 2 Tap on Add account. 3 Tap on Advanced set-up. 4 Tap on the field E-mail-address. Enter your E-mail-address and under Password the matching password. 5 Click on Next and select Exchange Active Sync. 6 The fields E-mail address, password and username are now automatically filled. Leave the information unchanged. 7 Enter your domain name in the form "yourdomain.ch"in the field Domain name. 8 Enter the Xchange server address as given under "Xchange Server Address" under Server. Activate the control box at Server requires encrypted connection (SSL). 9 You can select whether mail, contacts and/or calendars are synchronised under Synchronise content. 10 Click on Login. Configuration is now complete. It will begin the first synchronisation immediately. You will now find your synchronised data in the corresponding applications Mail, Contacts and Calendar. 16 SmartSync® Windows Mobile 5 or higher, Pocket PC, SmartPhone Windows Mobile-driven devices automatically support SmartSync® starting with version 5.x, since an Active Sync client is already supplied. Attention: Before you begin configuring the device, be sure to back-up all of your data on your PC. Webland AG accepts no liability of any kind for lost data! Instructions for configuration: 1 Select Start -> Programs 2 17 Select ActiveSync SmartSync® 3 Click on Set up device to synchronise with 4 this server. Enter the matching E-mail address. Username: Enter the entire e-mail address again (as above). Activate the control box SSL in order to enable secure data transfer. Password: Enter the password for this e-mail account. Domain: Leave this field empty. 19 SmartSync® 7 Select which data you want to synchronise. 8 Your device is synchronising for the first time. You can chose: Contacts Be patient. This process can take a few Calendar minutes. E-mail Tasks 9 Configuration is now finished. Your synchronised data are now in the corresponding applications. 20 SmartSync® Nokia N Series, Nokia E Series Not all Nokia devices are delivered with a standard ActiveSync client. First make sure that you have installed the most recent version of the Plug-In "Mail for Exchange". It can be downloaded free of charge from the Nokia homepage: -> Download Attention: Before you begin configuring the device, be sure to back-up all of your data on your PC. Instructions for Configuration: 1 Select the Messages symbol in the menu. 2 Select New mailbox. 21 SmartSync® 3 Select Yes. 4 Select Start. 5 Select Mail for Exchange. 22 SmartSync® 6 E-Mail-Address: Enter your e-mail-address. Password: Enter the password for this e-mail account. Username: Enter the whole e-mail address again (as above). Domain: Leave this field empty. Select Next. 7 Enter the Xchange Server address under Mail for Exchange-Server as given under "Xchange Server Address" 8 Select which data you want to synchronise. You can chose: Calendar Contacts Tasks Achtung: If you decide not to keep existing data (calendars, contacts) will be irretrievably lost! Select Next. Your device will begin synchronising! Be patient. This can take a few minutes. 23 SmartSync® Blackberry Blackberry devices are not equipped with a standard ActiveSync client. Several third-party providers offer commercial software. We recommend the ActiveSync client from AstraSync. The instructions describe how you can configure the ActiveSync client (Test Version 7 days) from AstraSync on your Blackberry. Register on the AstraSync website under: http://www.astrasync.com Enter your Blackberry telephone number during registration. The download link will then be sent to this telephone number. 1 After you have received the link on your BB, the link Download will appear: Download. 2 Select Yes. 3 Astrasync will install. 24 SmartSync® 4 Select OK. 5 Start AstraSync. Confirm the message with YES. 6 Confirm the message with OK. 7 Confirm the message with Accept. 25 SmartSync® 8 Select Next. 9 Select Detect Network. 10 Server Configuration Email address: Enter your E-mail-address. Domain: Leave this field empty. Username: Enter the complete E-mail address (as above). Password: Enter the password for this E-mail address. Select Next. 11 Now enter the Xchange server address as given under "Xchange Server Address" under Mail for Exchange-Server . 26 SmartSync® 12 Confirm each message with Next. 13 Select which data you want to synchronise: E-mail Contacts Calendar Confirm with Next. 14 Attention: Note the exact message on your Blackberry and confirm with Continue anyway if necessary. Configuration is complete. 27 SmartSync® Android 2.x 1 Select Settings on the Menu screen. 2 Select Accounts & Sync. 28 SmartSync® 3 Select Add account. 4 Select Corporate. 29 SmartSync® 5 "You can configure an Exchange account in a few steps." Under E-mail address, enter the e-mail address you want to configure in the following form: felix.muster@yourdomain.ch Under Password, enter the password assigned to this e-mail address. Leave send E-mails to this account as default account deactivated or activate it to set this account as your default. Select Next. 30 SmartSync® 6 Under Domain-/Username, enter the e-mail address you want to configure in the form: felix.muster@yourdomain.ch Under Password enter the password assigned to this e-mail account. Under Exchange-Server enter the Xchange Server address as given under "Xchange Server Address" (form: ms??xas.webland.ch). Some versions of Android will automatically recognise this server information. Leave Use secure connection (SSL) activated. Leave Accept all SSL-connections de-activated. Select Next. 31 SmartSync® 7 You can now define various settings: Retrieval frequency automatic (Push) Sync options one Day Send e-mails from this account as default Incoming mail notification Sync contacts for this account Sync calendar Select Next. 32 SmartSync® 8 "Your account is configured." You can now enter your account and your name: "Name account (optional)" Test "Your name (displayed on outgoing messages)" Felix Muster Select Finished. Configuration is complete. 33 SmartSync® Android 4.x 1 Select Settings on the menu screen. 2 Select Accounts and Sync. 34 SmartSync® 3 Select Add account. 4 Select Microsoft Exchange ActiveSync. 35 SmartSync® 5 "Configure Exchange-account in a few easy steps" Enter the e-mail address you want to set-up in the form: felix.muster@yourdomain.ch Enter the password that you assigned the e-mail account. Leave e-mails send from this default account de-activated or activate the function, in order to define this account as the default-account. You can activate show password. Select Next. 36 SmartSync® 6 Confirm the security warning and select Next. 7 Select Install manually. 37 SmartSync® 8 Select Edit Details. 38 SmartSync® 9 Under Domain\User name enter your domain and the e-mail address you want to set up in this form: yourdomain.ch\felix.muster@yourdomain.ch Under Password enter the password that you assigned the e-mail account. Under Exchange Server enter the Xchange Server address as described under "Xchange Server Address" (Form: ms??xas.webland.ch). In some versions of Android this server information is automatically recognised. Leave the secure connection (SSL) activated. Leave use client certificate de-activated. Select Next. 39 SmartSync® 10 Confirm activation of the application and leave Unhide active. Select Ok. 40 SmartSync® 11 You can now set the data types you want to sync and change them at any time: Tasks E-mail Calendar Contacts Select Sync now.
