EXHIBITOR ENTITLEMENTS

Art Stage Singapore is not appointing an official shipper, freight forwarding agent or art handling company for the 2014 edition of the
Fair. This enhances transparency and gives Exhibitors the flexibility to choose whom they wish to work with.
To enable your smooth participation, Exhibitors and their appointed contractors are to comply with the following guidelines of Art
Stage Singapore and Marina Bay Sands.
Appointing Your Shipper
Exhibitors should share the following important points with their potential or appointed contractor(s):
• Only shippers/freight forwarding agents who possess a Security Bond with Marina Bay Sands may enter the exhibition halls, and to
operate the forklift and crane machines.
• Agents who do not hold a Security Bond may enter the exhibition halls in cooperation with companies already in possession of one.
Alternatively, they may apply for a Security Bond directly with Marina Bay Sands.
Art Stage Singapore will contact all participating shippers, freight forwarding agents and art handlers to coordinate the delivery
schedule to and from Marina Bay Sands.
Please complete Service Order Form 1: Appointed Shipper and send it to us by 18 October 2013.
Delivery To/From Marina Bay Sands
• All shippers, freight forwarding agents and art handlers require an Onsite Contractor Pass to work within the exhibition halls. The
pass must be displayed at all times.
• All goods vehicles entering the Loading Dock of the Sands Expo & Convention Centre must possess a valid Vehicle Access Pass. It
must be clearly displayed on the vehicle windscreen at all times.
• The speed limit within the loading dock is 15km/hour.
• Parking or waiting within the Loading Dock is strictly not allowed. All vehicles must leave immediately after loading/unloading.
• Passenger vehicles are prohibited from entering the Loading Dock.
SHIPPING

• To request for the Vehicle Access Pass and Onsite Contractor Pass, your shipper, freight forwarding agent and art handler must
contact Mr Isrudy Shaik, Back-of-House Coordinator, with the following details:
o Exhibitor name
o Company name of shipper, freight forwarding agent and/or art handler
o Vehicle number(s), type and size
o Description of goods
o Name of driver(s) and all crew
• Exhibitors must be present to receive and inspect each delivery. Art Stage Singapore will not be able to sign for deliveries on an
Exhibitor’s behalf.
Forklift & Crane Operations
Forklift and crane machines must be hired from MBS—no external machinery is allowed. Art Stage Singapore must be informed of all
forklift and crane operations prior to move-in.
Storage
During installation and de-installation, Exhibitors and their appointed contractors may gather all general rubbish along the aisle in front
of the booth for removal.
All cartons, crates, containers, packing materials, etc., which are necessary for repacking exhibits should be labelled “Empty” and removed
from the booth by your appointed art handler or shipper. At no time should anything of value be stored in these items.
Exhibitors should liaise directly with their appointed contractors regarding storage of artworks and empty crates. Art Stage Singapore will
not be liable for any damage or loss whilst in storage.
Hand-Carried Items
For exhibits hand-carried into Singapore, the Exhibitor’s Singapore-based shipper must fax a copy of the Customs In-Non-Payment
(Temporary Consignment) Permit to the Exhibitor. The Permit and the exhibits must be presented to Customs for verification and
endorsement at the entry point e.g. Singapore Changi International Airport.
For exhibits hand-carried out of Singapore, the Singapore-based shipper must provide the Exhibitor with a copy of the Customs OUT
(Temporary Consignment) Permit at the end of the exhibition. The Exhibitor or the Singapore-based shipper must then produce the OUT
(Temporary Consignment) Permit and the artworks/goods for Customs verification and endorsement at the exit border point.
Upon arrival or departure from Singapore, all packages may need to be opened and checked against the packing list and declared value.
Please be adequately prepared and bring along any extra material required e.g. gloves, adhesive tape, etc.
Exhibitors are encouraged to declare the true market value of their artworks/goods. A fine may be imposed in the event of an undervaluation,
non-declaration or an erroneous declaration.

Logistics Planning
The appointed contractor is to liase with Art Stage Singapore
on the Vehicle Access Pass, delivery schedule and regulations
by Marina Bay Sands.
Exhibitor is to provide their contractor and Art Stage
Singapore with full details of the freight, in particular any
fragile, heavy or bulky exhibits.
Delivery to Marina Bay Sands
Contractor may only enter the exhibition halls at the scheduled
delivery time with a Vehicle Access and Onsite Contractor Pass.
Exhibitor must be present to receive and inspect the shipment.

SHIPPING
7 | INSURANCE
Exhibitors should have adequate insurance coverage for their participation in Art Stage Singapore 2014. This may include, but is not
limited, to:
• Transit to and from Marina Bay Sands
• Installation and de-installation
• Exhibition, in particular during Fair opening hours
• Off-site storage
Exhibitors are advised to consider the following types of coverage:
• “All Risks”: Cover against loss/damage of exhibits, including transit to/from the Fair.
• “Personal Accident”: Covers bodily injury/illness to insured and his/her staff; may be extended to employees of appointed contractors.
• “Public Liability”: Cover against liabilities to third parties for bodily injury/illness, and loss/damage to their property.
Please examine the terms and conditions of your existing coverage, and seek advice from your insurance provider—in sufficient advance
time—prior the Fair. If you require new or additional coverage, or have queries on insurance matters relating to exhibiting in Singapore,
you may also wish to contact the Singapore office of AXA Art:

Submission of Exhibitor Information
Exhibitors are required to provide the necessary and accurate information to be used in the Art Stage Singapore 2014 catalogue, booth
name board, website and other collaterals. The information may also be used for other marketing and public relations purposes.
Art Stage Singapore will not be liable for any information provided by Exhibitors.
Art Stage Singapore may, upon request, incorporate information submitted by Exhibitors in the aforementioned elements, as well as resize
and adapt them for promotional and publicity purposes.

Marketing Kit
A marketing kit has been produced for exhibitors’ use. It includes generic banner advertisements for websites and social media pages,

The standard booth does not include additional walls/name boards, as well as furniture, carpeting, painting, vinyl sticker, AV equipment,
curtains and storage space etc. Please study carefully the information below on how you can order these items from our vendors and
suppliers.
Wall Elements
Exhibitors may order additional walls/partitions from our Official Show Builder, Kingsmen Exhibits. They are available up to the standard height of 4m; and can be built at different depths (the standard depth is 50mm).
All additional wall elements must be stably supported. This can be achieved through various ways described below.
(1) Metal/Wooden Beams
Wall elements, if placed approximately within 1m from the nearest truss or wall, can be supported by adding metal or wooden beams.

Electrical Power
Light-based artwork
Exhibitors may order additional electrical supply from Kingsmen Exhibits.
Each electrical supply point is intended for one piece of equipment only. Multiple connections are not permitted as it may cause an
overload, leading to power failure in your booth and adjacent ones.
All electrical connections must be compatible with the infrastructure of Marina Bay Sands, and adhere to Singapore electrical standards.
Exhibits requiring high voltage and with complicated wiring require prior approval. You are advised to provide precise specifications and
allow additional costs for rewiring, higher electrical supply etc.
Late and/or incorrect orders may cause delays in the electrical supply to your booth, and equipment malfunction.

Exhibitors may order a carpet, painted plywood floor or a floor vinyl sticker from Kingsmen Exhibits. These must be removed after the
Fair without damaging the concrete floor. In your booth design, please highlight the specific floor section and indicate either the Pantone
Colour Code (for paint and vinyl sticker) or carpet swatch code—see below.

Ceiling
Exhibitors may order a ceiling, from Kingsmen Exhibits, for their booth. For example, a darkroom can be built with the following
additional orders:
• One additional wall to enclose the booth
• Painting the four interior walls in black or dark colours
• Black fire-retardant fabric ceiling and entrance(s)
Fire safety requirement: all drapes, curtains and fabrics must be certified flame-retardant.
• One fire extinguisher for every 12m2 of ceiling space.
This is a fire safety requirement.
Furniture
Exhibitors may rent furniture from Kingsmen Exhibits. Please refer to the catalogue found in Service Order Form 6: Furniture. Some
items have limited stock—you are encouraged to order in advance.
Alternatively, you may bring your own furniture. All deliveries to the booth must comply with the guidelines described under Shipping
(Section 6).

Video work
Exhibitors may rent AV & IT equipment from Ascend Com. You are advised to provide the precise technical requirements, in

Artworks Installation
Hanging Your Artworks
The skeleton of the standard wall is made up of vertical and horizontal spines. Its load capacity is 50kg per linear metre run.
When installing artworks, Exhibitors are advised to fix the screws, as close as possible, into the wall’s spines—please see the diagrams
below.
Extreme weight will cause the wall to warp, and possibly destabilize the whole booth. Artworks which exceed the wall’s load capacity
require reinforcement at an additional cost.

Once the artworks for a booth have all been hung or installed, Exhibitors should contact Kingsmen Exhibits for lighting adjustments—
conducted on a first-come-first-serve basis.

Exhibitor Appointed Builder
Exhibitors may hire an external builder to realize their booth design.
The appointed builder must adhere to all rules and regulations described in this manual and/or otherwise specified by Art Stage Singapore,
Marina Bay Sands and the Official Builder, Kingsmen Exhibits.
The external builder must also pay a refundable Performance Bond to Kingsmen Exhibits, charged at S$150/m2 up to a maximum of
S$10,000. Kingsmen Exhibits will refund the Bond when the booth is reinstated to its original condition.
This procedure applies for any work which may cause damage to the standard booth provision, including:

10 | LICENCES & PERMITS
Whilst the Singapore authorities are generally very supportive of the Fair, there are particular local laws and regulations, which need to
be respected in order to ensure your successful participation at Art Stage Singapore 2014.
Live Performances & Videos
Both live performances and videos in any form, unless exempted, require a licence by the Media Development Authority (MDA).
Art Stage Singapore will make individual applications for live performances and videos featured at the Fair on behalf of Exhibitors. MDA
will evaluate each application based on certain criteria, for instance its relationship with race relations, religion, violence, nudity, sexual
content and coarse language. If necessary, MDA may assign an appropriate restricted view condition, age rating and/or audience advisory.
The licensing cost will be billed to you separately.
Artworks
Artworks exhibited for sale during the Fair normally do not require a licence. However, if an artwork contains mature/graphic content,
MDA may recommend a suitable audience advisory to be displayed, a restricted view condition or age rating.
Exhibitors should submit comprehensive information on all live performances, videos and artworks of mature/graphic content that they
wish to present at the Fair.

Talks
Public talks normally require a permit from the Singapore Police Force (SPF).
If necessary, Art Stage Singapore will make individual applications for public talks held during the Fair at Marina Bay Sands.
Exhibitors who wish to organise any public talks, dialogue sessions, lectures or presentations in their booth, or within Marina Bay Sands
in conjunction with the Fair, must submit full details to Art Stage Singapore.

Intellectual Property - Music
Exhibitors must guarantee the authenticity and legal provenance of their artworks presented at the Fair. An artwork must not constitute
an infringement of Intellectual Property Rights of third parties.
Use of copyrighted music at the Fair require a Copyright Music Permit from the Composers and Authors Society of Singapore (COMPASS),
unless exempted otherwise. Art Stage Singapore will submit an application for the entire Fair. Exhibitors will be therefore permitted to
play copyrighted music in their booths during the Fair.

Art Stage Singapore reserves the right to change the booth content, remove exhibits from a booth or limit admittance to a booth or
parts hereof in accordance with any conditions stipulated by the authorities.
Exhibitors are liable for any expenses, damages or losses which may result from the application and fulfillment of the aforementioned
licences, as well as any legal liability in relation to their booth content, and are to indemnify Art Stage Singapore for any costs incurred.

Fair Access
Front of ‘Exhibitor’ pass
For security reasons and to ensure smooth operations, access to the Fair is controlled and managed by Art Stage Singapore, together with
Marina Bay Sands.
Access to exhibition halls D, E and F of the Sands Expo and Convention Centre will only be granted to those with a valid pass/ticket. The
staff of Art Stage Singapore, Marina Bay Sands and any appointed security guards are empowered to conduct verification at all exits/
entrances.
Each booth is entitled a maximum of five Exhibitor Passes. They are intended only for the Exhibitor’s staff, artists and any hired
photographer/videographer. All passes are non-transferable and must be displayed at all times.
Personnel who do not possess a valid pass/ticket will be denied prompt entry to the Fair.

Together with our partners, Art Stage Singapore will be offering various services for the convenience of Exhibitors. Please read through
the following information, and complete the relevant Service Order Forms, if required. The forms should be returned by the stated deadline; surcharges may apply for late and/or on-site orders.
Temporary Staff
Art Stage Singapore 2013 registered 40,500 visitors during five days, and we are expecting a similar large turnout for the 2014 edition.
To maintain the professional image of the Fair and your gallery, it is important that booths are not left unattended during opening hours.
If you need to hire temporary staff, you may contact our staffing contractor, Kelly Services. They have a ready pool of candidates as gallery
sitters and interpreters in the main Asian/European languages. All staffing requirements are to be worked out between Kelly Services and
yourself.

Security
Art Stage Singapore will implement measures to provide general 24-hour security for the Fair, including hiring security personnel,
verification checks, and manning the Fair’s public areas. However, due to the scale of the Fair, we seek your understanding that it is not
possible to ensure seamless surveillance of each booth.
Exhibitors must ensure that their booth are permanently attended during installation/de-installation and opening hours.
Art Stage Singapore cannot accept liability for property that are lost, stolen or damaged.
For additional booth security, Exhibitors may either install their own CCTV system or order one from our security contractor, WiSOL.
The company has experience in installing temporary CCTV systems at Marina Bay Sands.

Marina Bay Sands offers a range of office and courier facilities for Exhibitors.
Mail, parcels and consignments can be sent directly to the Mail & Package Centre, where they will be stored until they are collected, or
Marina Bay Sands can arrange delivery to the exhibition halls or meeting rooms. Exhibitors can also send out mail and parcels.

Cleaning
Art Stage Singapore will arrange for MBS staff to clean the Fair’s common areas on a regular basis.
During installation/de-installation, Exhibitors may place general rubbish along the aisle in front of their booth for removal. However, all
bulky cartons, crates, containers, packing materials, etc., which are necessary for repacking artworks should be removed from the booth
by your appointed art handler or shipper.
Exhibitors are encouraged to check the condition of their booth daily, before the opening of each Fair day.

Catering
Marina Bay Sands is the exclusive provider of food and beverage for the Fair, and would be able to assist in all your catering needs, including last-minute orders. External orders may be subjected to a corkage fee and other costs.

Sale of Artwork(s)
Good & Services Tax (GST)
The 7% Goods & Services Tax applies for all imported artworks sold, transferred, disposed of locally or not re-exported. The GST
payable is based on the artwork’s selling price.
No GST is payable on artworks re-exported or sold for export out of Singapore.
Procedure
Exhibitors are to print three copies of each sales receipt for:
• Exhibitor’s own copy
• Collectors/Buyers
• Freight forwarders
Should the selling price of an artwork imported under Bonded Status or the Temporary Import Scheme be lower than the declared import
price, a letter addressed to Singapore Customs is required to explain the discrepancy.
Credit Card
Exhibitors may make use of a card transaction machine, available at the Art Stage Singapore service counter. Additional charges will apply.
Hand-Carried Artworks
All sold artworks that are hand-carried out of the Fair will be subject to verification by security personnel.
Exhibitors must provide the collector/buyer with a sales receipt and an endorsed Artwork Exit Form, available from the Art Stage
Singapore service counter.

PHOTOGRAPHY/VIDEOGRAPHY
Access to the Fair is controlled and managed by Art Stage Singapore, together with Marina Bay Sands. This is to ensure the Fair’s security
and smooth operations for all Exhibitors.
Exhibitors who wish to invite the media to attend the Fair and/or arrange photography/videography/audio-visual services to document
their participation need to inform Art Stage Singapore in advance.
Art Stage Singapore will only issue passes to accredited personnel. Without our approved consent, we reserve the right to deny prompt

13 | FAIR RULES
For your successful participation at the Fair, we kindly ask you to adhere to the rules and regulations described below.
Admission to the Fair is by a valid pass/ticket only. Art Stage Singapore will refuse prompt entry to anyone who fails to provide proof
of entry, is intoxicated, or in any way likely to cause a disturbance or disruption to the Fair. All passes/tickets are non-transferable.
Advertising and promotional activities must only be conducted within your booth. Unless approved in writing in advance by Art
Stage Singapore, Exhibitors may not use the Fair’s common areas, including aisles and front-of-house areas, for such purposes.
Audio-visual presentations must be designed in such a way that the audience is contained within the booth, and do not impede human traffic flow in the Fair’s common areas e.g. aisles.

Electricals
• Installation of power mains to the booth can only be conducted by the Official Show Builder, Kingsmen Exhibits.
• All electrical connections must be compatible with the infrastructure of Marina Bay Sands, and adhere to Singapore electrical
standards.
• The Exhibitor, or his appointed technician, may connect the artworks within the booth, but Kingsmen Exhibits must inspect the
wiring before they are switched on.
• Each electrical supply provided is intended for one piece of equipment only. Multi-point sockets are not permitted.
• Art Stage Singapore and Kingsmen Exhibits reserve the right to disconnect electrical supply to any artwork which may cause power
failure or discomfort to visitors and other Exhibitors.

Fire Safety
Access to all fire hosereels and extinguishers must not be obstructed.
• Booth build-up must not obstruct access to all emergency exits, as well as fire protection (fireman access points, fire extinguishers,
hose reels, shutters, etc) and security systems (public announcement speakers, CCTV cameras, etc). The minimum clearance from
fire extinguishers and hose reels is 1.5m.
• All drapes, curtains and fabrics used for the booth build-up must possess an authentic certificate proving the material is flame-retardant. Exhibitors must provide this in advance to Art Stage Singapore.
• The design of your booth must make provision for adequate clear space away from all entrance/exit doors.
• Liquefied petroleum gas, flammable liquids/gases and naked flames are not permitted.
• Freestanding racks, shelves, boards and signs may be used but only within the booth. They must not obstruct visibility of adjacent
booths.
• Enclosed booths with a ceiling require a fire extinguisher for every 12m2 of ceiling space.
A First Aid Kit is available at the Art Stage Singapore service counter.
Floral arrangements may only be displayed within your booth, and not on the aisle.
Hazardous items must be reported in advance to Art Stage Singapore. This includes, but is not limited to:
• Kinetic and mechanical parts
• Sharp objects and/or edges
• Poisonous fluids, chemicals or substances
• Artworks with hot surfaces including low hanging lights
• High voltage exhibits
Lost property, damages and accidents should be documented and duly reported to Art Stage Singapore.

Operations
Before the Fair
• Any changes to the booth content must be communicated to Art Stage Singapore at least three weeks before the Fair’s opening.
Such changes shall not be effective unless approved in writing.
• Exhibitors must provide accurate measurements, weights and other technical specifications for their artworks, and ensure the
booth design complies with all guidelines described in this manual.
During Installation/De-installation
• Please supervise the installation/de-installation of your artworks at all times.
• Exhibitors are to adhere to the daily schedule provided by Art Stage Singapore and/or Kingsmen Exhibits.
• All cartons, crates, containers, packing materials, etc, which are necessary for repacking should be labelled “Empty” and be removed from the exhibition area. No valuable item should stored in empty boxes meant for removal or safekeeping.
• Exhibitors are not allowed entry into site offices, the catwalk, and any mechanical, electrical or plumbing rooms.
During Opening Hours
• Do inspect your booth at the start and end of each day.
• Please ensure that your staff is aware of the opening hours and the booth is ready for visitors at least 15 minutes before opening
time.
• All booths must be open and manned with adequate staff until Art Stage Singapore announces the closing of each Fair day.
Security is of utmost importance at the Fair. Do not leave artworks, bags, mobile phones, laptops and other valuables unattended
at your booth.
Smoking is prohibited in Marina Bay Sands except for designated outdoor areas e.g. level 1 entrance of the Sands Expo &
Convention Centre.
Sound, music and vocals, either amplified or acoustic, is permitted but the volume must not cause disturbance to adjacent booths
and visitors.

Structural Safety

• A protective cover must be laid before placing any materials/structures/equipment on walls/doors/carpet/pillars of the exhibition
hall.
• Taping, nailing, or otherwise fastening or affixing objects to the permanent walls, ceilings, columns and fabrics of the exhibition
hall is strictly prohibited.
• Adhesive tape or other materials applied onto the concrete floor must be removed after use without causing damage to the
surface.
• Suspension from the hall ceiling is exclusively done by Marina Bay Sands. Except for PVC banners, any item to be suspended
must endorsed by a Professional Engineer in advance, this at an additional cost.

Exhibitors will be held responsible for any damage caused to the booth build-up or Marina Bay Sands. Art Stage Singapore also reserves

Exhibitors should ensure that all staff, artists and invited guests have a valid passport with at least six months validity, a booked return
air ticket, a visa or entry permit (if required), accommodation and sufficient funds for their stay in Singapore.

Airport Transfer
Singapore Changi Airport is located on the northeastern tip of the island, approximately 26km away from the city centre.
Taxi
Taxis are available at the arrival hall of each Terminal. The journey to the city centre costs between S$23 - S$44 and takes approximately
30 minutes. Fares are metered; no tipping is required.
Airport Shuttle
The airport shuttle service offers transport from Changi Airport to hotels in the city. The counter is open 24-hours daily. Please approach
the Ground Transport Desk at the arrival hall for booking. The rates below are applicable for a single trip from Changi Airport to a hotel
in the city.

Bus
Public bus service 36 goes to the city. The first bus leaves around 6.00am and the last at approximately 10:50pm. A single fare costs below

Airport. Please prepare exact fare as no change will be given.
Train
The Changi Airport MRT Station is located at the basement of Terminals 2 and 3. A standard one-way ticket from Changi Airport
MRT Station to the city centre costs approximately S$2.10. The journey takes about 55 minutes.

• As stocks are limited, late orders cannot be guaranteed and a 30% surcharge will be levied for on-site orders.
• Cancellation: One (1) day rental charge will be incur after confirmation of order and 100% total cost will be charged for any
cancellation at least one (1) week before the show date.
• The above rates will be subjected to the prevailing 7% GST, which will be reflected in the final invoice.
• All items ordered are on a rental basis and Exhibitors will be held responsible for any loss or damage.
• Force Majeure: Ascend Com shall not be liable for the cancellation or part opening of the Fair, or any failure to perform or
delay in performance of our obligators in relation to the Fair caused by an act of God, an outbreak of hostilities riot, civil
disturbance, acts of terrorism, acts of any government or authority, fire, explosion, flood, fog or bad weather, strike, lock out or
industrial act of any kind or cause or circumstances beyond its reasonable control.

General Conditions
• The rates are package prices, for working during the exhibition hours only, 1100 – 1900, and inclusive of a one (01) hour
lunch break, with a minimum of 6 hours per day. Overtime charges will be applicable at the rate of 1.5 times for work
performed in excess of 6 hours per day, Mon – Sun. For work completed after 2200 hrs, transport allowance will be
charged at S$20.00 per personnel. Temporary staff will be paid the same quoted rates for any training/briefing session
conducted by the client.
• Minimum period of engagement is 6 hours per day. A cancellation fee of one (01) full day of hire per personnel will be
levied for cancellation received after 8 January 2014.
• Any request for temporary staff after 1 January 2014 will depend on availability of candidates.
• There will be a surcharge of 30% on the hourly charge for any onsite request.
• Temporary staff should not be entrusted with the handling of cash and valuables. Exhibitors will be responsible for the
safety of temporary staff whilst at their booths and Art Stage Singapore will not be responsible for any losses or damages
caused by such personnel.
• Orders are valid only accompanied by full remittance. Payment can be made via cash, telegraphic bank transfer or the
following credit cards: MasterCard, Visa or Amex.
• The submission of this form is considered as an official application, where billing is applicable. Requests for all categories
must be submitted via this form.
• All required manpower will be escorted to your respective booth by Kelly Services (Singapore) Pte Ltd on the reporting
day/time.
• Prices quoted are subject to the prevailing 7% Goods & Services Tax and applicable for all Exhibitors exhibiting in

• As stocks are limited, late orders cannot be guaranteed and a 30% surcharge will be levied for on-site
orders.
• Cancellation: 1 day rental charge will apply after confirmation of order and 100% total cost will be charged
for any cancellation after 8 January 2014.
• The above rates will be subjected to the prevailing 7% GST, which will be reflected in the final invoice.
• All items ordered are on a rental basis and Exhibitors will be held responsible for any loss or damage.
• Force Majeure: WiSOL shall not be liable for the cancellation or part opening of the Fair, or any failure to

TELECOMMUNICATIONS
Internet Services General Information
The network connection provided by Sands Event Services may be used only by the contracted corporation, its directors, officers, and
employees, or guests when performing service for the company. This service cannot be resold or distributed to any other
company. Users of the Sands Event Services network will put forth every effort to avoid unnecessary network traffic and interference
with the usage of others. Users of the network shall not transmit any communication which violates any local law or regulation or is
likely to offend other users on the network. All devices on the Sands Event Services network will be charged an access fee in the form of
an additional IP address or a network package.
Sands Event Services makes no guarantee of the performance, routing, or throughput of any data circuit connected to the Internet
outside the facility’s own backbone. Please call +65 6688-3888 for assistance in planning your network.
Sands Event Services requires all devices using the network to be protected by updated virus software, Windows security updates, and
any other technological precautions deemed necessary to protect yourself and other users from viruses, malicious programs, pop-ups,
pop under, and other disruptive applications.
Any device which adversely impacts the Sands Event Services network will result in service interruption with or without prior notice to
the user at the discretion of Sands Event Services. The device in question will remain disconnected until Sands Event Services personnel
deem that all issues have been resolved. No discount or refund will be issued in these circumstances. Additional fee for problem
diagnosis and resolution will apply.
LIMITATIONS
VPN (Virtual Private Networks) may not work at lower-speed connections. VPN should work with dedicated Ethernet line, which is not
behind a firewall and will require protection on the devices being connected to it. Sands Event Services does not support VPN software
or VPN concentrator issues and does not guarantee its success.
Labour includes configuration of devices and any changes made to Sands Event Services equipment to enhance the exhibitor’s network,
running cable, tipping cable, or observing as the exhibitor makes changes to his own devices. No drivers or software will be loaded onto
an exhibitor’s device, and no hardware changes will be made to an exhibitor’s device by a Sands Event Services Internet technician. If a
hub is rented, it may be picked up at the service desk. Sands Event Services Internet will not deliver the hub to your booth. It is the
customer’s responsibility to be familiar with and understand their equipment if they chose to bring their own hub or switch. Technical
assistance beyond the initial installation will be charged a labour rate. No refunds will be given if technical problems were encountered
due to the use of customer-provided equipment, or customer’s own computer settings in general.
Due to the unpredictable nature of the World Wide Web, Sands Event Services does not warrant that the services provided will meet
the user’s requirements or that the user’s access to and use of the services will be uninterrupted. Sands Event Services cannot and does
not guarantee the privacy, security, authenticity, or non-corruption of any information transmitted through the system from the
Internet. If a situation occurs involving non-performance of services furnished by Sands Event Services, user’s sole remedy shall be a
refund of a pro-rata portion of the price paid for services which were not provided. No credit will be issued for periods of lost service
for duration of less than eight hours.

The Sands Expo & Convention Centre and Sands Event Services shall not be liable for, and hereby released from, any special,
indirect, incidental, or consequential damage; including without limitation, the following: lost profits, damage to business
reputation, lost opportunity or commercial loss of any kind to the customer which results from the use (or the inability to use) any
of the services or equipment which is contemplated herein, or from the breach by the SECC, Sands Event Services, or any of their
employees, agents or contractors.
Cancellation: All orders are subject to a 50% cancellation fee if cancelled within 21 calendar days prior to show opening date.
All charges are subject to change without prior notice.
Additional Charges/Fees
• Call Detail Charges – Local call, operator-assisted, and 800 calls will be charged a minimum of $1.00 per call. All long-distance
and international calls are charged based on the prevailing rates.
• Instruments – Instruments with attachment line must be returned to the MICE Customer Service Desk within one hour following
the close of the event. Exhibitors who do not return their instruments will be charged: $300 for single-line instruments
and $1000 for multi-line and polycom instruments.
• Labour Charges – Labour between the hours of 8:00 AM and 10:00 PM Monday – Sunday, including holidays (minimum 1 hour
work) will be at the Straight Time labour rate. After 8 hours of work, Overtime labour rate applies. Any work from 10:01 PM –
07:59 AM, will be at the Midnight labour rate.
LABOR RATES: Straight Time = $100/hour
Overtime = $150/hour

In general, orders for the following services and equipment hire for exhibitions must be submitted to the Centre before the
deadline, otherwise a surcharge of 15% will be imposed on the basic rates. In addition, on-site orders are subject to a surcharge of
30% of the basic rates. However, the Centre reserves the right not to accept any orders received and in such cases, the users will
be notified.

o Deadline for ordering services are as follows: 14 days before 1 day of tenancy.
All equipment provided by the Centre should only be utilized within licensed venues, exclusively for the specified event.
Provision of any services / equipment by the Centre is subject to current stock availability at the time of ordering. Orders will be
accepted on a “first come, first served” basis. However, the Centre reserves the right not to accept any order received and in such
cases, the users will be notified accordingly.
If by reason of force majeure, labour difficulties, inventory or any other cause outside the control of the Centre, the Centre is
unable to provide all or any of the services or equipment ordered during the whole or any part of the duration of the event, the
hirer’s right shall be limited to refund on a pro-rata basis of the charges paid for the services or equipment.
Hall and booth cleaning services include the following:
o Empty and clean wastepaper bins.
o Wipe clean counter / desk tops etc (not exhibits)
o Vacuum / sweep and mop stand floors and gangways
Complete cleaning services will be carried out once daily either before opening or after closing of the exhibition during show open
days with stand-by cleaners.
Booth cleaning does not include removal of oil spillage, paints and other liquid deposited on the floors, walls, and any other
surfaces.
Removal of abandoned stand materials, empty crates, discarded displays/exhibits, hazardous wastes is primarily the responsibility
of contractors / exhibitors.
Hall / booth cleaning and rubbish disposal services are provided to event organizers but not individual contractors / exhibitors.
Organizers are responsible for settling the charges.
In the event where abandoned materials are not cleared by the contractors/exhibitors, the Venue will forward the cleaning and
waste management charges to the event organizer.
Insurance Liability – The Centre will not be responsible for any damages to freight/equipment, pilferages or theft of items whilst
in storage or handled by the Centre
Credit card information stipulated above will be used to guarantee the service request on this order form. If for any reason, this
service is not settled at the end of the event, the credit card member whose credit card is noted on this form authorizes the Centre
to charge the entire amount without any prior notification.
All orders must be submitted with full payment, together with the required deposit in SGD. Please make check on bank draft

CATERING
Catering General Information
Our Catering Department is here to help making sure you have a very successful show. Our knowledgeable and helpful staff will assist
you in planning all your food and beverage functions. From Show Management Offices, to Exhibit Booth deliveries, and cocktail
receptions and special events, with your input we can develop custom menus to accommodate any specific theme.
ðOur Catering Department is the exclusive caterer for all patrons of the Sands Expo & Convention Centre and we retain
the exclusive rights for all food and beverage services therein.
It is not permissible to bring any food or beverage into the facility. This includes items for personal consumption. Any
exception must be approved in writing. Failure to comply with this policy will result in a corkage fee in addition to any
other damages to which the SECC may be entitled.
Guarantees
The SECC Catering Department must be notified on the confirmed catering orders no later than 12 Noon two (2) business days (48
hours) prior to the first day of the scheduled function. Late orders will not be given a guaranteed delivery time.
Payment / Cancellations
The SECC Catering Department requires full payment on all food and beverage orders by 5PM UTC 21 days prior to the date of the
function. For all orders prepaid by wire transfer, client will pay for all transaction charges for remittances imposed by the agent bank
and the receiving bank.
Cancellation policy is as follows:
• Less than 21 days but more than 10 days* - 50% of total order refunded
• 10 days but more than 3 days* - 25% of total refunded
• 3 days or less* - No refund
*All days referred to will be business days.
Taxes and Gratuity
Please note that all food and beverage orders are subject to an additional 10% service charge and current 7% GST.
Distribution of Samples
Catering is the exclusive catering contractor, with exclusive food and beverage distribution rights. Show Management and/or their
exhibitors may distribute sample food and/or beverages only upon written authorization.
General Conditions
• Items dispensed are limited to products manufactured, processed, or distributed by exhibiting company.
• Food and beverage items used as traffic promoters (i.e., popcorn, coffee, bar service, ice cream) MUST be
purchased from the SECC Catering Department.
• Product liability insurance is required when sample food is distributed in the Sands Expo & Convention Centre. For
alcohol dispensing, $2,000,000.00 in host liability insurance is required and must comply with Singapore liquor
laws.
• All items are limited to sample size:
o Beverages are limited to two ounces
o Food items are limited to one ounce
• All food service specifications by the Singapore Health Department must be adhered to by the exhibitor and/or their contractor.
• Alcoholic beverages served must be purchased from a licensed Singapore distributor and dispensed by a person over the age of 21.
• Disposal of food items and cleaning of food service equipment must be arranged through the Sands Expo Convention Centre.
• The Sands Expo & Convention Centre will institute a charge for any rental equipment, storage of items, or cleaning of equipment
associated with the distribution of samples.
• All sampling booths are required to have a hand-washing station that complies with Ministry of Health guidelines; those individuals
who are distributing samples must wear latex gloves.

No photography, videography or audio recording is permitted within the Fair without the prior consent of Art Stage
Singapore. Without approved consent, we reserve the right to deny entry and/or confiscate any media devices used for
documentation within the Fair.
The intended photography/videography must be supervised by the Exhibitor, and should not cause any inconvenience or
disruption to the Fair’s operations.
Please fill in all personal details clearly as it will be used to prepare the Exhibitor Pass.
Exhibitor Passes are valid from 13-20 Jan 2014, and grants the pass holder access to the Fair’s public areas, as well as
the VIP and Press Lounges.
