Dear Exhibitor,
This EANS 2014 Exhibitor Technical Manual is designed to assist you in preparing for a successful event and contains important information.
Please read the information in this manual. It will take you very little time now and could save you a great deal of time later.
We recommend exhibitors using independent booth contractors to include a site visit in the planning process to assure a smooth and well planned
set up. Please contact Mr. Daniel Schenk of the PCC at: daniel.schenk@kcp.cz to coordinate a visit.
The Exhibition will be held in conjunction with the 2014 European Congress of Neurosurgery held on October 12 – 17, at the PCC – The Prague
Congress Centre in Prague, Czech Republic. Please note that the Exhibition will not be held on October 17.
The Exhibition floor plan has been designed to maximize the Exhibitor’s exposure to the delegates.

E-Poster stations. Participants will begin sessions early in the
morning, and will need to walk via the exhibition area.

arrange for additional security.

SECTION 4: Exhibition Stands
To ensure the smooth and efficient installation and dismantling of your booth, an official Stand Builder has been appointed
(See SECTION 1: Contact Information). Booth furniture and accessories are available for rent (please refer to the enclosed catalog and order
forms at the end of this manual).
Shell Scheme Booth, booked via Kenes, includes the following:
• Basic stand construction: white panels & ceiling with spotlights
Actual panel size: Height: 2500mm X width: 1000mm
Visual panel size: 2255mm (H) X 950 mm (W)
• Company name on the fascia board (Max. 20 characters)
• Basic lighting on ceiling (one 100W spotlight for each 3 sq. m.)
• Exhibition badges
• Cleaning of public areas and gangways
• Tea/coffee/lunch during official breaks
• Welcome Reception for registered exhibitors
Please note:
• Supply of electricity, furniture and stand cleaning is not included.
• Corner stands are provided with two open sides. The company name will be
printed on the 2 fascia boards.
• 20 characters, including Spaces, may be written on your fascia board.

Designer/Independent Contractor Stands
•
Exhibitors using independent contractors are required to submit A scaled drawing (including elevation views) of the proposed booth to
be built for approval to hsafier@kenes.com no later than Friday, September 19.
•
All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, or damaging the premises.
•
Any part facing neighboring stands that is above 2.50 m in height needs to be designed with neutral surfaces (white).
•
Please note that if your booth has a platform higher than 4.5 cm, you are required to provide a ramp for handicapped access.
•
Exhibitors are kindly requested to allow sufficient see-through areas that ensure clear views of surrounding exhibits.
•
The Organizers will not approve stands that do not comply with the accepted standards until the necessary changes have been made.
•
Exhibitors are required to submit the name and contact details of their respective construction company to Hanna Safier at:
hsafier@kenes.com.

SECTION 5: Exhibition Technical Information
Hall Specs
•
Exhibition Area: the exhibition is held in the following areas: Congress Hall Foyer 2A-2C, North Hall, Terrace 1+2, Forum Hall, and Forum
Hall Foyer. All halls located on the 2nd level of the PCC.

Maximum Build-up Height: The maximum allowed build-up height for stands is 2.75 meter.
•
Please note that if your booth has a floor platform higher than 4.5 cm, you are required to provide a ramp for handicapped access.
•
Rigging Options: Suspension of banners/signage from the ceiling is not allowed.
•
Floor Finish: white/light grey marble, except for the Forum Hall Foyer where it is wooden. Maximum Floor Load: 400 Kg/m²
•
Power supplies and other utilities will be supplied via the ceiling or via the floor.
•
Internet: Free Wi-Fi: EANS will provide Free Wi-Fi access to all visitors, suitable for basic web browsing. Should you require an internet
connection for any product demonstrations on your exhibition stand, we would recommend ordering a wireless or wired connection to
guarantee a high quality service inclusive of technical support.
•
Wired Internet may be reserved at an extra cost. To place an order please contact Triumf Exhibitions s.r.o.

Electricity - Voltage: 230/400/415V AC, 50 Hz (which is 50 cycles). All electrical connections must be made under the supervision of
authorised venue electrician. Important: Supplies will be switched on 30 minutes before opening during the duration of the meeting and
switched off 15 minutes after Exhibition closed every day. A 24-hour supplies are available upon request.
•
Electricity Plugs, Sockets and Adapters - Czech sockets for 230V/16A are not compatible with the Schuko (basic European sockets).
•
Adapters (for 1 phase up to 16A) are required. For other types of plugs (other than basic European), please make sure to bring adapters
because these will not be available on-site). Adapters for 3-phase connections are not available and should be brought by exhibitors.
•
Voltage Transformers - For equipment from USA or elsewhere with 110/120V, a transformer is required to be able to connect to 230V.
Transformers are not available and should be brought by exhibitors.
•
Storage - As the PCC has no storage facilities, no deliveries will be accepted prior to the Congress. It is strictly forbidden to store anything
behind the stand.
•
Smoking Policy – The PCC operates a NO SMOKING policy in all halls.
•
Stand Cleaning – stand cleaning is not included for all stands.
•
Stand Catering - The catering is exclusive to Zatisi catering and needs to be requested in advance. For all enquiries, please contact Ms.
Linda Reitingerova at: linda@zatisicatering.cz
•
Driving prohibitions during weekends - Trucks of a total gross weight of more than 7500 kg. are allowed to drive in the Czech Republic
on Saturday. But on Sunday they are not allowed to drive from 13:00 to 22:00.

Unloading and Parking
Unloading – unloading is via Gate #3. Trucks driving into the basement of the PCC through gate number 3 to the passage leading to the lifts
may not exceed the following measurements and weight. For vehicles with dimensions up to the limits stated below, unloading point TIR A is
possible. Please see basement map for details.

Trucks with measurements exceeding the above stated measurements need to park temporarily and unload at the truck point in front of the
loading bay – point TIR B. Please see basement plan in the next page.

Parking during unloading is limited for short time only. Private cars may be parked at the PCC at an hourly rate of CZK 50 (cash payment at the
parking lot, no pre-ordering of tickets).
No truck parking is available in the Prague Congress Centre. The parking of trucks can be arranged by Mr. Pavel Beck at: beck.pavel@volny.cz

SECTION 6: Exhibitor Badges
•

All Exhibitors are required to be registered and will receive a badge displaying the exhibiting company’s name. Individual
participant names will not appear on badges and may be used interchangeably between staff members.
•
Two exhibitor badges will be given for the first 9 sqm booked and one additional badge for each 9 sqm thereafter. Any additional staff
members will be charged an exhibitor registration fee of €120 (including VAT).
•
Companies can purchase a maximum number of exhibitor registrations as follows:
Booths of up to 60 sqm – 15 exhibitor registrations
Booths larger than 60 sqm – 25 exhibitor registrations
•

•
Exhibitors’ badges give free access to the exhibition area, Lunch, coffee breaks and welcome reception.

Exhibitors’ badges will not be mailed in advance and may be collected at the Exhibition Manager Desk on arrival.

SECTION 8: Rules & Regulations and General Information
Binding for all Exhibitors and their subcontractors
Security
• The Organizers will provide security guard service in the exhibition hall during off-show hours.
• Neither The PCC nor the Organizers can accept responsibility for the security of the stands and their contents and for damage to, or theft
of any goods. Exhibitors are fully responsible for the security of their stand and equipment.
• For ordering additional security, please contact The official contractor.
Stand Cleaning
• The Organizers will arrange for general cleaning of the exhibition premises (excluding exhibits and displays) prior to the opening of
exhibition and daily prior to opening thereafter.
• For ordering daily stand cleaning, please refer to the relevant order form or contact details provided in SECTION 1: Contact Information.
Waste Removal
• Exhibitors are responsible for the removal of all refuse/waste from the exhibition area.
• Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor
concerned.
Smoking
• The EANS 2014 Congress is a non-smoking Congress.

Disposal of Material
• It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is
over, the exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing
this property will be charged to the exhibitor.
Damage to the Premises
• Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and dismantling periods. No
adhesive stickers and fixtures of any kind are allowed on floors, walls and pillars.
Fire Insurance (compulsory)
• Exhibitors must be insured against fire. Fire Regulations (General).
• Stand material and fittings must be of non-inflammable materials or impregnated with fire-retardant chemicals. As a general rule, easily
inflammable synthetic substances, foam polyester, and non-fireproof straw and reeds are prohibited.
Poster Hanging, Banners etc.
• Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings or columns within or outside the installations
of The PCC is not allowed without prior written authorization.
Liability Insurance
• You are obliged to have a public liability insurance that covers all injuries to persons and damages which might cover in connection with
the exhibition.
• We also recommend that you have additional coverage against loss or damage to exhibition material during transport and during
exhibition times. Please make arrangements for insurance coverage through your company’s insurer.

Insurance (Compulsory)
• Neither the Organizers nor The PCC, their representatives or agents will be held responsible for any loss or damage to exhibitor’s
property. Exhibitors must take precautions to protect their property against pilferage.
• The Organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for
the property and persons of his employees through full and comprehensive insurance, and shall hold harmless the Organizers for any and
all damage claims arising from theft and those perils usually covered by a fire and extended-coverage policy.
• Exhibitors are personally liable for all expenses incurred by the organizer or by third parties in regard to technical services provide
Promotional Activities
• All demonstrations or instructional activities must be confined to the limits of the exhibition stand.
• Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands.
• Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits.
• The Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed
objectionable.
Special Effects
• Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in
the aisles or on the walls of the hall. Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions
stated herein.

Hermes- Merkur is the official handling agent for KENES congresses in 2014. We are a full door to door service company, and sole on site
logistics contractor. As such, we are pleased to update you regarding the services and guidance as how we dispatch shipments to the event.
Onsite Handling
Due to security, insurance and organizer policy, Hermes-Merkur is the exclusive handler inside the venue. No other company is permitted to
handle cargo within the venue.
Please note that companies, stand builders & PR companies may make their own arrangements to deliver and retrieve goods directly to the
warehouse/venue entrance.

Courier Shipments
It is not recommended to use a courier service for shipping your goods to the congress venue. In case of sending a courier shipment, please be
sure to send us a pre-advise with the full details of the shipment: courier company, number of pieces and tracking number.
All courier shipment must be send on DDP terms.
Shipments will be accepted in the show site by our representative starting from the first move in date. Shipments arriving before that time
will not be accepted.

Dangerous Cargo
Exhibitors need to complete a special form for dangerous goods. These forms will be provided upon request and the completed forms should
reach us before shipment is dispatched. There will be surcharge of 100% for handling this kind of shipment.
Insurance
All goods must be fully insured with all risk coverage. Insurance can be provided upon request. We regret that we can take no responsibility for
goods after delivery to the exhibitors stand regardless if the exhibitor is present or not.
Heavy & Oversized Shipments
A heavy and oversized shipment applies to any single exhibit in excess of 1000 kg and 5 CBM that requires the use of a forklift mobile crane for
installation. Exhibitors with heavy and oversized exhibits must inform us at least seven days prior to delivery. A detailed layout should also be
provided to better assist our onsite operations.
Payment Terms
In order to ensure move in/out of your shipment/s, please complete and sign the attached Material Handling form/payment confirmation and
return it to our attention. Please note that your signature will be used as payment guarantee based on the general tariff.
Please notify “Hermes - Merkur” immediately about any requirements relating to invoices. All invoices must be settled by
exhibitors/contractors and agents in advance of the congress. In case of non-payment of invoices, shipments will be held in storage until the
invoices are paid in full.
Please note that all payments should be made in EUR.
Any services not outlined in the attached tariff will be quoted on an individual basis.

LATE ORDERS, ON-SITE ORDERS
Orders made after the deadline cannot be guaranteed.
Late orders received after deadlines or during the set-up period will be fulfilled in accordance with
time and capacity and will be subjected to the following surcharges:
+10% if orders are received after September 19, 2014
+50% if orders are received after October 8, 2014 and on-site
The date of the surcharge is the date the order is received by the Triumf Exhibitions.
As stated in the General Conditions, if the exhibitor fails to coverall the fees related to participation at
the congress as well as all other outstanding payments to Triumf Exhibitions, no work will be done. No
exceptions from these rules will be made.

On-Site Orders
Services ordered during the set-up period, exhibition itself or when the event is over, will be provided
only according to the availability of the respective work persons and/or materials. The exhibitor will be
asked to make complete payment for required services in advance. Only then the service will be
provided. No copies of payment confirmations or similar documents will be accepted. Actualisation of
requirements made after the deadline and on-site orders can take longer than normal orders.
We therefore recommend to place all orders in time.
Payment Conditions
After receiving orders Triumf Exhibitions will send an invoice to the exhibitor and it must be paid by
bank transfer in time. On-site payments can be made in cash or by a credit card. For payments in
cash, CZK or EUR currency will be accepted. For payments by a credit card, Triumf Exhibitions accepts
Visa, Eurocard-Mastercard, Amex and Diner Club. Cheques are not accepted.
Claims
Claims can be made only by the end of the event. Claims must be made in writing and will only be
accepted at the Exhibition Management desk. Claims submitted later will not be taken into
consideration.
