THE POSITION The Executive Assistant, Human Resources will provide support to the Vice President, Human Resources and Administration, as well as the Human Resources team. The Executive Assistant, Human Resources will maintain the integrity and image of the corporate office plus various administrative and support duties as they relate to the area of responsibility. KEY ACCOUNTABILITIES The successful candidate will be able to perform the following: 






Report directly to the Vice President, Human Resources and Administration, you will be responsible for upholding confidentiality for all employee related matters; Supervise a small team of administrative professionals; Manage administrative needs of Vice President, Human Resources including calendar management, travel arrangements, expense reporting, draft correspondences and document management; Manage administrative needs of the Human Resources team such as invoicing, payment processing, expense reporting, draft correspondence, and other administrative tasks; Coordinate all travel schedules for the Human Resources team to ensure that travel is scheduled with the least interruption to the work schedules; Schedule, coordinate logistics, and assist in preparing the agenda for meetings, including managing off‐site and virtual meetings arrangements; Coordinate and/or complete HR administrative activities, including preparation of offer letters and employee change letters, creation of new hire packages, recruitment support activities including scheduling interviews and completing reference checks, and coordination of employee L&D initiatives; 





Assist with new employee orientation activities; Responsible for maintaining the employee and payroll files; Responsible for supporting the Occupational Health and Wellness Business Partner by sending out STD and LTD information / packages and pre‐placement medical assessments and providing assistance with access to medical records; Comply with internal/external audit requests; Lead and/or support special projects; and Other duties as assigned. QUALIFICATIONS The successful candidate will have the following: 










A minimum of 8 years of administrative support experience, with previous human resources experience in an Executive Assistant capacity; University/College degree or diploma preferred; Excellent written and verbal communication skills; Excellent telephone manner and the ability to deal with all levels of personnel both inside and outside the organization; Experience in managing diverse and time‐sensitive priorities is required, including the ability to organize workflow, identify urgent work, multi‐task, and set priorities; Proven ability to work independently, exercise judgment and discretion, take initiative, and function as a key part of a team; Must have initiative and motivation in organizing and planning daily activities to ensure tasks are completed on time; Software skills must include advanced competency with the following applications: MS Outlook, Excel, Word, and PowerPoint; Excellent time management and prioritizing skills; Attention to detail and the ability to work independently to accomplish goals; Inspires a commitment to excellence by demonstrating passionate personal commitment to getting things done.
