The purpose of this Outreach Notice is to determine the potential applicant pool for this position and to establish the appropriate recruitment method and area of consideration for the advertisement (i.e. local, service-wide, government-wide). POSITION DESCRIPTION: This position serves as the Conference Coordinator for Grey Towers National Historic Site. The duty station for this position is at Grey Towers National Historic Site in Milford, Pennsylvania. Primary responsibilities involve providing a full range of logistical support work for conferences, workshops, meetings, and special events involving a wide variety of Grey Towers, Forest Service, interagency, partner and community programs of which some may be high profile. This includes planning, coordinating and executing tasks such as scheduling events, meeting and dining room set up, audio visual setup and operation, meal planning and caterer communications, conducting orientation briefings, and coordinating tours and programs for event attendees. The position also holds a government credit card with purchasing authority for food supplies and services and serves as a Unit Collection Officer and assists with arranging travel and lodging plans for on and off site event attendees as well as conducts market research to find selection of vendors and venues for catering options and provides administrative support for conference meeting management through the Center of Learning. The position works closely with program liaisons and other Grey Towers staff to ensure well executed meetings/events within safety guidelines and requires good organization and attention to detail, as well as strong communication, computer and customer service skills. Position requires dexterity, ability to work with minimal supervision and to follow safety procedures as well as some physical exertion such as prolonged standing, bending, crouching, stooping, stretching, and handling lightweight tools and equipment in setting up for various events. Incumbent must be able to lift and carry items up to 40 pounds with assistance, utilize step ladders and navigate stairways and uneven walkways and terrain. A valid state driver’s license is required as the position will be operating government vehicles and equipment. Work is performed both in and out of doors. Most indoor spaces are heated/air-conditioned. Some events, meetings and dining services take place outdoors in tents and open spaces on the historic grounds of Grey Towers which may require exposure to the elements, uneven slippery steps and walkways as well as minor dust, spiders, bats, insects, snakes, etc. This position is occasionally required to work long hours, evenings, and weekends depending on the event. Wear of the Forest Service uniform is required (government provided).
