Job Description: Volunteer Coordinator Position Overview The San Antonio Children’s Museum seeks a service minded, detail oriented, and passionate individual to oversee its Volunteer program. The Museum is in a rapid expansion phase, with plans to open a state-of-theart new facility in Summer 2015. SACM is committed to being a city-wide resource in early childhood education. The volunteer program has always been an essential component of our museum; volunteers support every area of the museum. We will grow our volunteer program to meet the demands of our expansion, and we will create opportunities for skills-based volunteering, including a specialized volunteer programming for education, exhibit, event, office and workshop support. The Volunteer Coordinator will oversee the day-to-day communication and management of SACM’s volunteer program. The position will report to the Public Programming and Community Partnership Manager, together they will develop new volunteer opportunities and new processes to continue the development of the volunteer program. Specifically, s/he will be responsible for the following functions and activities: Day to day oversight of Volunteer Program: Manage current volunteer program as well as develop new initiatives, including a volunteer council, an educationally focused cadre of volunteers, and student career ladder programs. Data entry into, reporting from, and maintenance of Volgistics volunteer database and Raptor background check system; accuracy is key. Create and maintain volunteer schedules, opportunity calendar, and promotional materials in conjunction with appropriate staff. Contribute to the development and growth of the volunteer program with new ideas and initiatives. Recruitment and Training: Recruit, train, schedule, and assign volunteers. Consistently model the highest standards of guest service and visitor interaction. Supervise large groups of volunteers for special events and weekends. Work with staff to observe and evaluate volunteers. Survey volunteers for feedback. Work with staff to recognize and reward volunteers for outstanding service achievements. Communication of SACM’s volunteer initiatives with staff, volunteers and the San Antonio community: Communicate with staff, volunteers (and their parents) and community volunteer resources for recruitment and management purposes. Contact potential volunteers in response to inquiries. Attend volunteer fairs and other off-site recruitment events. Send out regular notification to volunteers and potential volunteers with current volunteer opportunities, certificates of recognition, gifts, and invitations to volunteer events and meetings. Standardize processes and communications with museum staff in order to identify and recruit volunteers that meet staff needs. Receive and complete school (and other organizational) service verification forms and send back to student or school/organization. Ideal Candidate Attributes and Key Qualifications The candidate should have a passion for play, discovery and creativity, work very well with people, and be inspired to contribute to the growth and development of our museum and San Antonio. As a prerequisite, the successful candidate must believe in SACM’s core values and be driven by the mission. The ideal candidate will be a team player and an effective leader who demonstrates excellent verbal and written communication skills and will be highly organized and detail oriented. Above all, the Volunteer Coordinator must be a fit within a museum culture that is creative and playful, nimble and entrepreneurial, values collaboration and fairness, clarity of decision-making and a level of selflessness that places the good of the institution first. Job Requirements 2-3 years of experience as a personnel and/ or project manager; Strong organizational skills, detail-oriented, ability to prioritize work and resources; Self-starter with strong work ethic, professional demeanor, sense of urgency, a clear set of priorities, and strong work ethic and the ability to adapt to change; Demonstrated ability to work with diverse audiences, including individuals from different background, ages, and abilities; Demonstrated ability to manage and resolve conflicts between individuals or groups of individuals; Able to work a flexible schedule, including weekends, holidays and occasional evenings; Excellent organizational, interpersonal, written and oral communication skills; Volunteer administrative certification is a plus. Must have a creative approach to problem solving, embraces emerging opportunities, has a “can-do” attitude, embraces learning and uses humor appropriately; Appreciation of the role children’s museums can play in our audiences’ lives; Mac and PC proficiency; Fluency with MS Office Suite; experience with computer database management.
