Limited registration and auditions are now open for Meredith Willson’s The Music Man!
Registration/auditions will be held on:

Thursday, March 19th from 6:30-9:00pm, and

Saturday, March 21st from 9:30am-11:00am

Location: The Westchester Townhouse, 8501 Emerson Avenue, Westchester, CA, 90045

Invitational callbacks will be held on Saturday, March 21st, at 11:30am, if needed

Participants need to attend only one session – either Thursday or Saturday (plus
callbacks if requested). Parents (of all minors) must accompany their children to their
initial registration/audition time.

Great roles are available for all ages – from 9 years through adult, and all who register
will be cast in the show (up to the maximum number of registration slots). Auditions
are simply to determine the role(s) each cast member will play in the show.

We encourage family participation – many parents, children/siblings and extended
family members have been in shows together!
Music West, Inc., a local nonprofit, family musical entertainment group, has brought the
community shows such as The Sound of Music, A Christmas Story, Guys and Dolls, A
Christmas Carol, Anything Goes, Annie, Oklahoma!, Singin’ in the Rain, and more.
Featuring full-scale sets and multi-piece live musical accompaniment by the renowned MK
Music Services (led by Michael and Kathy Kramer), six performances are scheduled for:



Fridays, July 17th and 24th, and Saturdays, July 18th and 25th (7:00PM shows)
Thursday, July 23rd (7:00PM show)
Sunday, July 19th (4:00PM show)
The Music Man will be directed by Hannah Sornborger, with musical direction by Arielle Phan,
and produced by Jeff and Laura Remington.

Summer 2015 Show: The Music Man
Welcome to Music West! We are very pleased that you are interested in joining us for this exciting
and enjoying production. All who register will be offered a role in this production; however spaces
are limited so we encourage you to sign up early! The audition process allows the Production Team
to determine which specific role(s) you will play in the show. This cast is open to ages 9 through
adult with numerous roles available for both children and adults.
Register via the email sent with the audition information, and complete the online registration form

Please read over these items carefully and return all completed forms (one per family, except for
the “Audition Form”, which should be one per auditioner), at your registration/audition day.
GENERAL PRODUCTION INFORMATION
REGISTRATION/AUDITIONS:

Please arrive on time to your selected session (Thurs. at 6:30pm or Sat. at 9:30am) for a brief
orientation prior to the actual audition. Auditioners under 18 must bring a parent/guardian.

All who register and attend auditions will be offered a role, up to the maximum number of
available registration slots. The audition process allows the Production Team to determine
the best role(s) for each participant.

Everyone will be offered the opportunity to read/sing from the attached “Music Man”
selections, either with the group or alone, although lead roles will likely be selected from
those who express interest in the solo options.

Auditioners will be evaluated on volume/projection, stage presence and appearance (dressed
appropriately, hair out of face, etc.), & a general feel for how the performers interact with each
other (expression, movement, eye contact, etc.)

You do not need prior experience to register for this production and come to auditions. We
only ask that you come dedicated and ready to enjoy a fun and fulfilling show experience!
EXPECTATIONS:
Mandatory Cast and Parent Meetings
Cast Members and at least one parent/guardian of all minors are required to attend two mandatory
meetings:

Brief introduction session before your audition: March 19th at 6:30pm or March 21st at 9:30am
•
Saturday, May 30th at 10:00am
Rehearsals/Attendance
Music West is very flexible with regard to accommodating the schedules of cast members who are
involved in other activities; however, it is expected that a balance be maintained – show rehearsals
should not always be the “first” activity to be missed. All known conflicts must be listed in advance
on the audition form! Too many conflicts or missed rehearsals that arise later in the schedule may
result in a reduced role.
Rehearsals are generally held Mondays and Thursdays from 6:30-8:30PM, and Saturdays from 10AM1PM, at The Westchester Townhouse (or occasional alternate locations in the Westchester area). Not
all cast members may be called to every rehearsal; scenes/numbers to be run will be posted on the
rehearsal calendar. Cast members must note any known conflicts with rehearsals, tech week, and
performances on the audition form.
Volunteering
Every family is responsible for volunteering for a minimum of:

Two “support” areas OR
•
One “lead” job
•
Donating baked goods or refreshments/bottled water for the concession area
Buyouts: We understand that sometimes situations are present that prevent a cast member’s family
from volunteering extra time, therefore we offer the option to “buyout” of volunteering for a $125 fee.
Participation Fee
In order to cover some of our production/facility costs, materials and insurance, it is necessary to
charge a participation fee of $300 per cast member (due by the first rehearsal). However:
 If you make your full payment at your audition or callbacks (no later than 3/21) you will
receive a discount of $50.
 Additionally, there is a $50 discount for each additional family member after the first
participant.
 Alternate financial arrangements, and a selected number of need-based scholarships, may be
available on an individual basis if requested.
Program Tribute Requirement
As one of our primary fundraising avenues, every family is required to obtain a minimum of one, $25
program business card tribute (or this can be a personal tribute for your cast member(s) as well).
Program tribute packets will be distributed to every family within the first month of rehearsals.

Calendar
All cast members should plan to be at the first rehearsal to obtain scripts. Be sure to bring a pencil to
rehearsals. Please remember the importance of attending rehearsals! It is only by interacting with
each other at rehearsals that we are able to produce the best show possible. The rehearsal calendar is
posted on our website, and will be updated frequently. Log in and check the calendar at least
weekly, and check for the location of rehearsals as well as the specific times you are called! If you
ever have a question about whether you are needed for rehearsal or not, please email the Production
Team at info@musicwest.org or call us at 310-641-9408.
Casting
We will strive to complete the show’s casting as soon as possible after auditions have concluded –
please be patient (though we know it is hard!) When completed, the cast list will be emailed to all
registered participants via the email(s) you will provide on your registration forms. You must reply
to the email or call Music West at (310) 641-9408 to confirm acceptance of your part (or with any
questions you have). Non-respondents may have their parts re-cast within three days of the initial
email notification.

Music West, Inc. Etiquette and Policy Agreement
This agreement applies to all cast members and parents:

Encourage each other at all times and treat each other with kindness. Please keep
all “negative” critical comments to yourself, and refrain from making comments that
cast members may interpret as rude or hurtful. Volunteers should also be treated
with the utmost respect at all times.

Respect the authority of the Music West Staff. Do not question their decisions in
front of cast members. They are responsible for the outcome of the show, and they
have the big picture in mind at all times. Sometimes you have to trust in their
judgment and experience. However, please feel free to bring ideas, suggestions or
topics for discussion to the Staff in a respectful manner at any time.

Absolutely NO GOSSIP will be tolerated. If you have a concern, either about the
show, the staff, or a cast member or parent, bring it to the attention of a Music West
staff member immediately. Gossip destroys the unity of any organization.

If you give your child permission to spend time with a Music West staff member
outside of specified rehearsal times, Music West is not liable for any potential
damages or injuries should any arise.

Music West has a standard of excellence that is expected of our members both on
and off the stage. This includes not only the choice of language we choose to use,
but our behavior, attitude, and life choices as well. Music West members who do not
conduct themselves under this standard of excellence will have to face consequences
which may result in their expulsion from the group. Music West strongly maintains
a complete family-focused atmosphere, and discussion topics and behaviors are
expected to be family-friendly (for any age), at all times.
Rules and Procedures for Each Rehearsal

Please adhere to dress code at all times (see below).

Be on time, and please do not leave early. Try not to arrive more than 15 minutes
early nor stay more than 15 minutes past rehearsal unless prior arrangements have
been made. Late pick-ups are very difficult for the Music West volunteers.

Read all emails and please, BE FLEXIBLE! Sometimes the needs of the show dictate
that rehearsal times need to be adjusted at the last minute.

If you are ill and must miss rehearsal, please email info@musicwest.org or call (310)
641-9408 to inform the Music West staff.
Dress Code
We encourage the older participants to be mindful that younger children are watching, and
to set a good example, particularly with regard to how one dresses for rehearsals. It’s
better to err on the side of modesty. If you question it at all, wear something else! If

necessary, the director or other staff members will request that anyone dressed
inappropriately go home and change or cover up with something more appropriate.

Wear closed-toe shoes at all times. Absolutely no flip flops, open sandals or “heelies”.

Do not wear clothing with questionable or offensive pictures or phrases.

Wear comfortable clothing that allows you to move freely. Skirts or dresses only
acceptable if shorts or dance pants are worn underneath.
Policies Agreement

Participation Fee Policy – The Participation fee must be paid by the first rehearsal
unless alternate arrangements are made directly with a Music West staff member.

Volunteer Policy - Each family is responsible for at least two jobs as listed on the
Volunteer Opportunities sheet or for paying the buyout fee of $125.

Program Ad Requirement - Each family is responsible for obtaining at least one $25
business or personal program tribute.

Returned Check Policy - There will be a $25 fee for all checks returned by the bank
for nonpayment.

Refund Policy - Music West has a no refund policy.

Conflict/Attendance Policy - Attendance at all scheduled rehearsals is mandatory.
All conflicts and potential conflicts must be listed on the audition form. Failure to list
conflicts and/or missing rehearsals not listed on your conflict sheet may result in
your being removed from a lead part or not placed in scenes that were staged during
an absence.

Behavior/Dress Code Policy - All cast members are required to adhere to the Music
West Etiquette and to the Dress Code. Any cast member not in compliance is subject
to dismissal from the production with no refunds given.

Video Policy - Absolutely no videography is allowed during the performances. This
is due to strict copyright laws.
Please pay close attention to our policies. We take these policies very seriously and we

Lead Positions
Rehearsal Assistant – Monitor cast members’
arrivals and departures, collect any items due and
notify families of any missing items. Assist with
keeping cast members attentive and in the right place;
may assist with “running lines” during rehearsals.
Must be willing to attend several rehearsals.
*Costume Lead – Lead the costume team with the
acquisition/assignment of costumes required to
complete the cast members’ costuming in accordance
with the requests and images determined by the show
Directors. Utilize costumes contained in the costume
collection prior to purchasing new pieces. Ensure
borrowed costumes are checked in upon the close of
the show. May be asked to assist cast members with
costume changes or fixes backstage during Tech
Week and Performances.
Costume Assistants – Assist the Costume Lead to
identify and fit costumes from the library on costume
fitting days. Assist with obtaining items from
secondhand stores, or requesting items from cast
members themselves. Ensure costumes are labeled,
organized and packed upon close of show. May be
asked to assist with costume laundering or dropping
off/picking up from dry cleaners (expenses will be
covered by MW).
*Properties Lead - Help acquire and/or make any
props as requested by the Directors. Willing to work
during tech week and most performances to assist
cast members with props during the shows.
*Stage Run Crew - Work backstage during tech
week and performances; assist cast members during
scene changes with props, etc. Help move sets on and
off stage.
Backstage Assistants/Dressing Room - Help keep
the dressing rooms and backstage areas organized/in
good repair during Dress/Tech Rehearsals and
performances. Supervise the backstage areas. Escort
younger cast members from dressing rooms to stage
when needed. Help keep volume level low backstage
during shows and tech rehearsals. (Must be available
for all Tech Rehearsals, and at least 3 performances.)
*Tech Week Meal Coordinators - Plans meals,
takes orders and collects money or arranges for
donations, places orders/arranges for food to be
picked up and served to cast members during dinner
break throughout Tech Week (3 rehearsals).
Set Painting/Decorating - Help to paint and
decorate the sets after load-in and initial construction.
Involves painting and working with fabric material
and hardware.
*Box Office Manager – Lead for ticket sales. Fills
pre-orders, prepares/supervises box office prior to all
performances. Must be reasonably comfortable with
electronic ticket sales (or willing to be trained).
Load In/Out and Set Construction - Help load
props and sets from the trailer into the theater on
load-in day and from the theater into the trailer on
load-out day. Assist with constructing the actual set
pieces and platforms/walls on load-in day, and on
subsequent days prior to tech week. Work will begin
on load-in day, tentatively scheduled for June 6th, and
can occur during evenings and/or weekends. Some
experience with hand/cordless tools and building
materials preferred, but not necessary.
*Refreshments/Stage Grams Lead – Arrange for
donations for refreshments/water and Stage Grams to
be sold and coordinate volunteers to assist with sales
and set up/clean up during shows.

Theater House Management - Several people
needed to handle ticket sales at the door, distribute
programs and help people find seats, work
concession stand during pre-show and intermission.

Permissions and Authorization to Consent to Medical Treatment
