Job Announcement Position Title: Administrative Assistant Organization: Amazon Watch Location: Oakland Founded in 1996, Amazon Watch is a dynamic nonprofit organization that protects the rainforest and advances the rights of indigenous peoples in the Amazon Basin. We partner with indigenous and environmental organizations in campaigns for human rights, corporate accountability and the preservation of the Amazon's ecological systems. Amazon Watch has successfully led the way in a number of groundbreaking victories for indigenous peoples’ rights, the Amazon and our global climate through long-­‐term partnerships and capacity building with indigenous communities, and effective advocacy and communications campaigns. Position Description: We are looking for a full-­‐time, experienced administrative assistant who excels in scheduling, travel logistics, database management, document processing, and office management, to join our very passionate, hard-­‐working and fun team. We are looking for someone who can jump right in and provide support to the team. Attention to detail, ability to create and maintain organized and efficient systems, priority management and multi-­‐tasking skills are critical for this position. They will be responsible for providing the strong administrative backbone needed to support the achievement of daily tasks and organizational goals. The ideal candidate shares the organization’s values and is a positive team player in support of Amazon Watch’s mission. Job Responsibilities Include: -­‐ Provide administrative support to Executive Director (ED), including managing ED's travel logistics and busy calendar.
-­‐ Provide support for ED communications with Board of Directors and donors, materials preparation, and document editing and distributions (by mail and email), and orderly filing. -­‐ Have primary responsibility for all aspects of Board/committee meetings, including scheduling and logistics. -­‐ Coordinate with development team to schedule donor and foundation meetings involving ED and board members. -­‐ Provide support for organizational meetings, including scheduling and all logistics, as necessary.
-­‐ As directed by ED, update databases with new contacts and maintain board and organizational records and files. -­‐ Greet visitors and answer phones during regular office hours (M-­‐F 9-­‐5). Regularly check general voicemail box. -­‐ Review and answer or forward general email inquiries. -­‐ Process and route mail. -­‐ Interface with public by answering general inquiries about Amazon Watch and routing specific inquiries to appropriate personnel -­‐ Maintain reception area and general office appearance,, and create and implement office systems and procedures as necessary; coordinate with Director of Finance and Operations and building manager when improvements are needed. -­‐ Maintain office equipment and supplies, including orderly storage and inventory. Required skills and experience: -­‐ Outstanding attention to detail and organizational skills. -­‐ Excellent verbal and written communication skills. -­‐ Proficiency in Microsoft and Google office systems (email, document editing, calendar, etc.). Salesforce, Excel, and Powerpoint skills a plus.
