Acceptance of your application will be decided based on the information from the Application Form and the Application File and will be communicated to applicants through a written notification. The Application Form and the Application File as accepted by the letter of acceptance, together, represent the exhibition contract and are all governed by ART SAFARI BUCHAREST Terms and Conditions. The rental fee covers, besides the rent for the stand space throughout the fair, including stand assembly and dismantling, exhibition walls painted white, general lighting, power supply, booth sign, one entry in the Art Safari official catalogue (double page, one photo), free Wi-fi, a number of VIP packages, exhibitor passes and artist passes (depending on the stand size, detailed in the Annex). Application Dossier The applicant is required to submit this Application Form and a Participation File (electronic or hardcopy) containing the following information: 1. Galleries applying for the Contemporary Art section must provide additional information, for each exhibited artist within ART SAFARI: § CV § Min. 5 images (submitted in digital format; tiff or psd format, CMYK, one layer or jpeg, CMYK, min. 300 dpi) of works belonging to the artist to be exhibited and which will be present in the stand, and technical details thereof – author, title, technique, size, weight if applicable, year. 3. Galleries applying for the Modern Art (Museums and Cultural Institutions) section must provide additional information, for each item intended to be exhibited: § For each item to be exhibited: a) minimum one image; b) technical details – author, name, technique, dimensions, weight, if applicable, year, conservation status, restoration interventions occurred, if applicable and significant, etc. Important notes 1. 2. 3. Application File requirements need to be filled out in word format and submitted in a single pdf document (when submitted via email). The Application File cannot be replaced by exhibition or artist catalogues; however it is not forbidden to add important catalogues, if relevant. Applications will be evaluated only if all the above requirements are fulfilled. Summarized Conditions 1. The Application file is subject to evaluation by the Selection and Organization Committee (SOC). The objects/artists nominated are considered as being accepted only based on the letter of acceptance of SOC. The exhibitor will not add or remove objects/artists to those enlisted in the accepted application file, without previous notification, by an addendum to the Application File, and SOC acceptance. In case of deviations resulted from unforeseen events regarding the artist or the exhibitor, SOC will be informed in due time. 2. After admission, the exhibitor will pay a rental fee as follows: § A single instalment: The exhibitor shall pay the amount specified on the invoice representing the rental fee and additional services, if applicable, within 7 (seven) weekdays of receipt of the invoice. If paid immediately upon receipt of the invoice, the exhibitor will receive a 2% discount. § Two instalments: A down payment of 50% within 7 calendar days of receipt of the invoice, the remaining th 50% being paid no later than May 4 , 2015 In case of payment delays of more than 5 days, a 10% penalty fee will be charged on the full amount or part of the full amount. Payments will be made by bank transfer to the account specified by ART SAFARI in the invoice. VIP package offers several benefits, such as: unlimited access to Art Safari, invitation to Preview, invitation to opening and closing party, unlimited access to VIP Lounge, one Art Safari catalogue, free visit to partner museums and institutions, access to all VIP events (by reservation only). One VIP package is valid for two persons and is nontransferable. 2. Only Contemporary Art galleries will receive artist passes. 3. One invitation for Preview is valid for two persons and is non-transferable. 4. Several additional services (additional lighting/walls, furniture rental, special design for the booth, deposit services before/after the art fair, additional catalogue pages, additional VIP packages, access passes etc.) can be contracted from the Organiser. A list of additional services and fees will be available with at least two months before the event. 5. For stand assembly/dismantling, exhibitors may request temporary passes for their technical staff with at least one month before the event.
