 BIGMUN 2016 – 6th ANNUAL SESSION Administrative Handbook FEBRUARY 17th – FEBRUARY 21st BIGMUN 2016 Administration Handbook Countdown to participation:
June
In June schools will receive invitations from the Headmaster of Birkerød Gymnasium and
the Secretary General. These will be sent by email. Schools will be invited to send in a
Request Form. Schools not sent invitations are also welcome to send in Request Forms.
These can be found on our website www.bigmun.dk.
October
Upon arrival of the Request Forms the Board of Directors will read through the forms and
contact you as soon as possible. The Request Form for participation at BIGMUN 2016
must be sent to registration@bigmun.dk by Friday, October 2nd. The sooner the better, as
places fill up quickly. Upon acceptance at BIGMUN 2016 we will ask for a Pre-Payment of
€150 to confirm participation. This secures your place until we receive the Final Payment
and Final Registration Form (see below). The Pre-Payment is to be deducted from the
final payment. If we do not receive your Pre-Payment we may offer your place to another
school on our waiting list. Please refer to our Deadlines and Cancellations section for more
details.
November
By Friday November 13th schools must submit the Final Registration Form. This form
requires the exact number and names of students, MUN directors and chaperones
attending the conference. These forms will be sent to you by email. The Final Payment is
also due by Friday November 13th. Details of committees/councils and topics will be on
the website. In the Final Registration Form schools must state the country/countries which
they wish to represent at BIGMUN 2016. We will try our best to accommodate your
wishes. Schools will be informed on the November 27th which country/countries they will
be representing.
December
Schools will be asked to fill in the Delegate Allocation Form by December 20th to
allocate students to the various committees/councils. The deadline for Student Officer
application and host accommodation forms is December 4th.
January
Schools will receive the Student Handbook. The Topic Handbooks will be online and
delegates will hand in their position papers and draft resolutions to their Student Officers.
Please fill in all forms electronically, so we can read them. Sign and scan them, so
they can then be sent to us by email.

Thursday, 18 February
Canal Tour of Copenhagen. Be at Nyhavn by 9:30 – we meet at the
canal boats. Those staying with host families can take a bus from
09:30 - 10:45 Birkerød Gymnasium to Nyhavn, which leaves at 8:30. Buses will bring
all delegates back to Birkerød Gymnasium from Nyhavn.

4 BIGMUN 2016 Administration Handbook Conference fees and deadlines:
Pre-Payment
€150 pre-payment secures your place at the conference until the final payment is made
(see below). Failure to pay the Pre-Payment fee may lead to us offering your place to a
school on our waiting list. The Pre-Payment is deducted from the final payment.
Final Payment
Final payment guarantees your place at the conference.
For delegations with no host accommodation, the participation fee per delegate is €50.
Your final payment is therefore: number of delegates x €50 - €150
For delegations with host accommodation, the participation fee per delegate is €80.
Your final payment is therefore: number of delegates x €80 - €150
The final payment is to be paid by Friday 13th November.
Please note that MUN directors and chaperones do not pay a fee. Student officers do
however pay the delegate fee.
Deadlines and cancellations
Substitutions for students unable to attend are permitted, but we cannot guarantee that we
can change the badge in time for the conference.
BIGMUN will not refund the Pre-Payment fee if a school cancels their participation in
BIGMUN 2016, whatever the reason for the cancellation.
BIGMUN will refund the Final Payment fee if a school cancels their participation in
BIGMUN 2016 before the date of Friday 13th November, whatever the reason for the
cancellation. The same applies if a school reduces the number of delegates. After this
date, there is no refund of the Final Payment.
All payments to be made by bank transfer in Euros and with bank charges paid for by the
attending school. On your bank transfer please indicate clearly the name of the school.
