HOW TO ENROL After your course enrolment information session, you can enrol in your course via StudentConnect. There will be staff available in computer labs, or you can contact Customer Service to help you use StudentConnect if you feel you need it. At the top of each page within StudentConnect, there are links to frequently asked questions. Anything underlined on the system displays a screen containing relevant information or abbreviations when you click on the underlined section. Below are the main abbreviations used in StudentConnect: G Geelong Campus at Waurn Ponds S Geelong Waterfront Campus W Warrnambool Campus B Melbourne Campus at Burwood D on-campus, day unit X off-campus unit CBD community based delivery (for students of the Institute of Koorie Education only) unit ONLINE-D online, day unit ONLINE-X online, off-campus unit X-CBD community based delivery, off campus (for students of the Institute of Koorie Education only) unit 2010/1 indicates the course/unit is available in Trimester 1 2010 2010/2 indicates the course/unit is available in Trimester 2 2010. 18 ENROLLING ONLINE INSTRUCTIONS 1. Before you can enrol online you must have a Deakin University username and password. > You can create an account at <www.deakin.edu.au/password>. This gives you access to Deakin’s online environment. It may take up to 2 hours to become fully active. > Some Deakin online systems use pop-up messages. Check your web browser settings to allow pop-up’s to be displayed from Deakin sites. 2. Visit the online handbook <www.deakin.edu.au/handbook>. > Search for your course and find the course structure and unit information for both Trimester 1 and 2. > Make sure that the units you choose match the unit mode and campus you have enrolled into. A Course Advisor can help you choose your units for the year and plan your course structure. You can contact your Course Advisor using the list provided at <http://www.deakin.edu.au/current-students/study-information/enrolment/enrolment-officers.php>. > You must enrol in all units you intend to study during 2010, so ensure you choose units for both trimesters 1 and 2. 3. Once your username is active, go to <www.deakin.edu.au/studentconnect>. 4. Click on the Enrol in unit/course option on the sidebar menu. (See Figure 1.) FIGURE 1 19 ENROLLING ONLINE INSTRUCTIONS > Note: If you have applied for Credit for Prior Learning, check the View credit for prior learning option. > Select View credit for prior learning option if applicable. > Select the Enrol in unit/course option on the sidebar menu. 5. Enter your username and password, then click Login. 6. If you have more than one offer, all of these will be displayed and you will need to click on the course code of the course that you wish to enrol in. (See Figure 2.) FIGURE 2 If applicable, select the course you wish to enrol in. 7. Your details and course of offer will now be displayed. Read through the online process and steps and then select the click here button. (See Figure 3.) FIGURE 3 Click here to start. 20 8. Step 1 of 5 – Read through the Declaration and click on the Accept button. If you do not agree with the statements, you cannot proceed with your enrolment and you should click on the Do Not Accept button. (See Figure 4.) FIGURE 4 > If you agree with the terms and conditions, click on Accept to continue. 21 ENROLLING ONLINE INSTRUCTIONS 9. Step 2i of 5 – This screen displays your personal profile and details of the course you are being offered. Click Submit. (See Figure 5.) FIGURE 5 > 22 Tick the Enrol in Course button and hit Submit. Your course should show a status of ‘Unconfirm’ until you click this button. 10. Once you have clicked Submit, the page will display again, but the course status will have changed from UNCONFIRM to INACTIVE or ENROLLED (depending on when you are enrolling). (See Figure 6.) FIGURE 6 > Check that your personal profile is correct. If not, contact Customer Service. > Click here to view your course completion details. > Click Confirm to continue. 23 ENROLLING ONLINE INSTRUCTIONS 11. Step 2ii of 5 – The next screen displays the addresses recorded by the University. If an address is incorrect, click Update and amend it. If an address is not recorded, click Add and record it. If no primary emergency contact is recorded, click Add and supply this. Once all information is correct and recorded, click Continue. (See Figure 7.) FIGURE 7 > Click the Update if you wish to change your address details. > Click Add if you do not have an address recorded. > Click Continue to move to the next step. 24 12 . Step 2iii of 5 – You must complete your Government Statistics. Please answer all questions in this step. (See Figure 8.) FIGURE 8 25 ENROLLING ONLINE INSTRUCTIONS 13. Step 2iv of 5 – electronic Commonwealth Assistance Form (eCAF). (See Figure 9.) You must complete an eCAF if you are accepting: > a Commonwealth supported place and wish to pay your student contributions upfront or you want to access HECS-HELP For detailed information about HECS-HELP visit <www.goingtouni.edu.au> and page 11. FIGURE 9 Once you have successfully submitted your eCAF, you can view your selection and then click on the Continue button. 26 14. Step 3 of 5 – Now you can select your units. (See Figures 10A to 10B.) NOTE: You must select all the units you intend to study for the entire year. You can enter in a partial or full unit code in the ‘Search for a Unit Code’ facility. A list detailing the availability of the unit, (e.g. which trimester it is offered, whether it is offered off-campus, and which campuses it is offered at) will then be displayed. To enrol in these units, click the Confirm button and either continue adding other units or, once you have selected all your units for the entire year, click on the Submit button. Some courses have units that are already listed for you to select. You will have to click on the Confirm box to add these units. (See Figure 10A.). Some courses do not have units already listed, so you may have to add units by following the instructions for Adding New Units. If you already know the unit code, enter it in the ‘search for a unit code’. (See Figure 10B.) FIGURE 10A > Click Confirm to add units. 27 ENROLLING ONLINE INSTRUCTIONS FIGURE 10B > 28 Enter the unit code you wish to add, eg SIT105. Refer to <www.deakin.edu.au/handbook> for unit code details. 15. Adding new units You can use the ‘Advanced Unit Search’ option or, if you know the unit code, use the ‘Search for a Unit Code’ facility. Instructions for ‘Unit Selection’ can be found under the FAQ link at the top of the screen. Below is an example of the unit availability for all the units SIT105. Units should be selected depending on your mode (e.g. on- or off-campus). (See Figure 11.) This student has chosen the on-campus unit SIT105, Period (2010/1), Campus (G) and Class (D) by ticking the Add box in the ACTION column. This indicates Trimester 1 2010, Campus (Geelong), Class (Day). Once the unit is ticked, it will be added to the enrolment by scrolling down to the bottom of the page and clicking the Add button. FIGURE 11 > Click on Add to select the unit. > Select the unit code/s with the correct trimester, mode and campus. > D = on campus, X = off campus, E = evening 29 ENROLLING ONLINE INSTRUCTIONS 16. The unit selected is now shown. You can remove, delete, or change the mode. Continue in this manner until all units are selected. Click the Submit button once complete. (See Figure 12.) FIGURE 12 > The unit you have selected will appear here with an orange coloured background. Check that you have added the correct units. > Repeat the search process to add more units. > Use Reset & clear selection to remove all the units you have just selected. 30 17. Step 4 of 5 – This screen lists all the units you have chosen to enrol in. If you are happy with your choices, click on the Confirm button. If you do not agree click the Back button to return to Step 3 of 5 for unit selection. (See Figure 13.) FIGURE 13 > If your selections meet course and unit rules, they will appear here with an ENROLLED status. > If you are happy with these units, click on Confirm. To add more units, click on Back. 31 ENROLLING ONLINE INSTRUCTIONS 18. Step 5 of 5 – This page confirms all the units you have enrolled in. It is important to take note of your receipt number and print this page for future reference. If you wish to change your unit selection or add further units, you can click on the Return to Unit Selection button and follow the unit selection process. Please note that you will receive a new receipt number only for the changes you have made. (See Figure 14.) FIGURE 14 32 19. Once you are satisfied with your selection and you have recorded your receipt number/s, click the Finish button. > Your enrolment is now complete and you will receive your receipt number. Take note or print out this information for your records. Hit the Finish button. > Click on Finish/Logout to log out or Return to Unit Selection to add more units. 20. Evidence/confirmation of enrolment If you require proof of your enrolment for Centrelink, click on Print evidence of enrolment option on the left hand side menu. (See Figure 15.) FIGURE 15 > Click here to print evidence of enrolment for Centrelink. > Click Current Invoice to view your online invoice. 21. Examination locations Off-campus students need to select an examination location once enrolled. Choose your required location from the Assessments website at: <www.deakin.edu.au/current-students/study-information/exams-assessment/off-campus-exam-locations.php> and email your Student ID and requested exam venue to <ext-exam@deakin.edu.au>. 22. Logout For your own security, you are advised to select Logout when you have finished, particularly if you do not wish to close your web browser. (See Figure 16.) 33
