If you opt in to use this service, qualified telesales agents will call your event attendees on your behalf when the event is over and return the leads back to you for your nurture and closure 5 Part 2 Setup access to Microsoft Ready-to-Go Marketing Events 6 First things first Before you can create an event with us, you need to 1. Be a member of an organization that is enrolled in the Microsoft Partner Network* 2. Have a Windows Live ID (Microsoft Account) that is associated to your Partner Organization on the Microsoft Partner Network 3. Have completed a Privacy Statement for your organization filed on Microsoft Ready-to-Go Marketing 4. Be a U.S. partner – or if you are a Global partner, you must be logged on to the U.S. site (note that only U.S. event/campaign content is accessible). *With the exception of honorary partners 7 Enroll your organization in the Microsoft Partner Network If your organization is not yet a member of the Microsoft Partner Network you will need to enroll your organization. To learn more and enroll please visit: https://mspartner.microsoft.com/en/us/pages/membership/overview.aspx Note that it is strongly recommended that you use Internet Explorer to register as some features may not work in other browsers. 8 Your Windows Live ID (Microsoft Account) You must have a Windows Live ID (Microsoft Account) that is associated to your Partner Organization on the Microsoft Partner Network (MPN). To obtain a Windows Live ID (Microsoft Account) please visit https://signup.live.com/signup.aspx?lic=1 9 Your Windows Live ID (Microsoft Account) Do you already have a Windows Live ID (Microsoft Account) but aren’t sure if it is associated to your Partner Organization on MPN? 1. To check to see if your Windows Live ID (Microsoft Account) is associated to your Partner Organization on MPN please visit: https://mspartner.microsoft.com/en/us/Pages/index.aspx and try to log on using your Windows Live ID (Microsoft Account). 2. If your Windows Live ID (Microsoft Account) is not associated, please visit https://mspartner.microsoft.com/en/us/Pages/Membership/Simplified-association-process.aspx 10 Your Windows Live ID (Microsoft Account) Once you have associated your Windows Live ID (Microsoft Account) to your Partner Organization, you will receive an email from MPN confirming the association is established and asking that you log onto the MPN site to complete your profile. You must take this step before you will be able to log on and use the Microsoft Ready-to-Go Events tool. 11 Your Organization’s privacy statement People registering for your event need to understand who is collecting their personally identifiable information and what will be done with that information. Because it's a co-branded site (Microsoft and you, the partner), all partners who use the event-registration service are required to supply a privacy statement that will appear as part of their event listings, alongside the privacy statement supplied by Microsoft. For more information on creating a privacy statement, you're encouraged to consult your attorney and/or use the following resource: Business Privacy Resources at TRUSTe sample privacy statement http://inforoom.truste.com/#G 12 Your Organization’s privacy statement To enter privacy statement at readytogo.microsoft.com please take the following steps: 1. Go to readytogo.microsoft.com and log in to your account 2. Select My Account from the top hand right navigation bar 3. Select My Profile 4. On the profile page, you will be able to update your privacy statement 5. Once you’ve entered your privacy statement, select Save at the bottom of the page 13 Part 3 Create an event using the Microsoft Ready-to-Go Marketing Events tool 14 Open up the Microsoft Ready-to-Go Marketing Events tool Go to the Microsoft Ready-to-Go Marketing homepage and select the green Events button underneath the banner, or Events link in the top ribbon. Please note, we recommend that you use Internet Explorer when creating your event as some features of the tool are not available in other browsers. 15 Select your event setup option You have four options to select from when creating your event. You can create an event via From Campaigns, From Scratch, For Microsoft Community Connections or Direct from Microsoft Events. 16 Select your event setup option 1. From Campaigns – You will have a selection of product-focused, pre-worded, customizable campaign content that ties into Microsoft’s corporate messaging available for your use 2. From Scratch – Use this method if you do not find a product campaign that fits your needs 3. For Microsoft Community Connections (MCC) – Select this option if you are presenting to a business organization (i.e. Chambers of Commerce, or Rotary). For more information about MCC, or instructions on how to create an MCC event via the Microsoft Community Connections site, please call 1.888.834.8564 or email mcchelp@microsoft.com 4. Direct from Microsoft Events – Use this option if you want to create your own co-branded registration page to drive your customers to an event organized and presented by Microsoft. For more information about creating a Microsoft Led Event, email rtgmktg@microsoft.com or visit https://readytogo.microsoft.com/en-us/Pages/MicrosoftLedEvents/default.aspx Select the setup option you prefer. If you haven’t already logged on, you will be prompted to do so here. When logging in, use your Windows Live ID (Microsoft Account) that is associated to your Partner Organization on MPN. (Note, this is the same ID you use to access your partner profile on MPN) 17 Select your event setup option If you choose to create an event From Campaigns you’ll be brought to the Campaigns page where you can choose the campaign topic that you wish to use. Hover your mouse over the bottom of the campaign icon and select Create an Event. You will then be brought to the first step required to create your event. If you choose to create an event From Scratch or from Microsoft Community Connections, you will immediately be brought to the first step required to create your event. 18 Create your event in four steps There are four basic steps to setting up your event. You must complete each step and select Save Changes or Save & Continue to the Next Step before proceeding. If you make a mistake or want to make a change, you can select the back page arrow at the top left of your monitor to return to the previous screen. You will also have a chance to preview and modify the event at the end before you activate it. If you created your event From Campaigns or From Scratch, please proceed to page 20. If you created a Microsoft Community Connections event, please proceed directly to page 21. 19 Step 1 - Create your event Customizable Event Title and Event Description fields make this easy. If you have created a From Campaigns event, these fields will be pre-filled for you, but are completely customizable. You have the option to rebrand your event by uploading your logo so that it appears on your event registration page and event reminder emails. Note: The logo you upload here will only be used for this event and will override any existing logo in your profile. Please skip forward to page 24. 20 Step 1 for MCC events - Create your community event Fill in the Event Title and Event Description fields. Select from the list of MCC event topics or choose I Have My Own Topic. Select Learn more to view the event assets associated with your chosen topic. 21 Step 1 for MCC events - Create your community event Fill in the Community Event and Event Kit Shipping Information fields. 22 Step 1 for MCC events - Create your community event You have the option to rebrand your event by uploading your logo so that it appears on the event registration page and event reminder emails. Note: The logo you upload here will only be used for this event and will override any existing logo in your profile. 23 Step 2 - Select a place Place refers either to a physical location for an In-Person event or to a URL for a Webcast or OnDemand Webcast event. Make your selection here. If you chose In-Person, fill out the location details and note that you have the option to host your event in a Microsoft store. To do this, click on the hyperlink, find your store and email the given contact. If you choose to host a Webcast or On-Demand Webcast, you are responsible for providing the webcast Attendees URL, Meeting ID and Passcode made available to you through your webcast service. 24 Step 2 - Select a place You have the option within Step 2 to limit the number of registrants and also to create a waitlist. De-select Allow Guest Registration if you want to allow only guests with a Windows Live ID to join your event. 25 Step 2 - Select a place Remember to scroll back up and select the option to Save Changes or Save & Continue to the Next Step before continuing on to Step 3. Also within Step 2 is the option to Participate in Microsoft’s Lead Qualification Offer. Microsoft Lead Qualification is a free service offered to partners hosting events in the United States. This service helps you manage post event follow-up conversations with your registrants. Your registration list will be automatically sent to qualified telesales agents who will call people on this list on your behalf. The conversation will be tailored to your event and leads will be qualified based on budget, authority, need and timeline. All qualified opportunities will be sent to you via email. 26 Step 3 - Set the date All you need to do is click on the calendars, the times, and set your time zone. Please note: For MCC events, a minimum of one week lead time is strongly suggested. 27 Step 4 - Add the bells and whistles You have the ability to include event details such as Product Areas, Featured Products and Target Audiences. This provides registrants with more information about your event, and can also be used in search on Click-to-Attend. If you created an event From Campaigns or from MCC Event Topics, the Event Details option and search fields are preselected for you. If you created an event From Scratch or with the MCC I Have My Own Topic feature, the Event Details option will not be pre-selected. To include, select Event Details then scroll through your screen to view and select from the lists of event details options. 28 Step 4 - Add the bells and whistles Share hosting with another Microsoft Partner or Honorary Partner. You can have up to five co-hosts for your event. A cohost has access to the event registration list, can add or remove registrants, but cannot modify the event. Your co-host must have a Microsoft Ready-to-Go Marketing account and a privacy statement for the co-host’s company on file. Select Add Co-Hosts(s) and scroll down on your screen to the Add CoHost(s) section and select from a past co-host list or key-in the email that your co-host uses to access Microsoft Ready-to-Go Marketing. 29 Step 4 - Add the bells and whistles Need your event to be invitation-only? Select Hide Event From Search. 30 Step 4 - Add the bells and whistles In Step 4 you can manage your event reminder emails. By default, your registrants will receive an email confirmation upon registering for your event. This is automatically generated and cannot be changed. In addition, an event reminder is sent to your registrants one week prior to the event and a second reminder is sent two days prior to the event. Select Manage Event Emails to change the default dates for event reminders, enter your custom message or elect not to send reminders. 31 Step 4 - Add the bells and whistles After selecting Manage Event Emails, scroll down your screen to the Manage Event Emails section and modify as you wish. Now you can select Save Changes or Preview & Activate. 32 Check your work After you’ve completed Step 4, select Preview & Activate. On the next screen, preview a draft of the page that your guests will see when they go to register for your event. Activate your event or select Edit to make revisions. It’s a good idea to copy your Event Code and save it for reference. Or if you prefer, you can always access your code later via Manage your events (see page 48). 33 Check your work After you select Activate a popup screen will appear asking if you are sure you want to activate your event. Click yes or else close if you have changes. 34 Check your work The next screen offers you one last preview of your registration page. Note that you are still on the Ready-to-Go Marketing site, so you can still modify your event if you choose, before the event is live. Select Close Preview if you do not have changes. 35 Check your work After you have activated your event, you can see your final guest registration page on Click-to-Attend by clicking on the Register for this event button, or go to https://clicktoattend.microsoft.com/enus/Pages/Home.aspx and enter in your Event Code where indicated. You can also access your registration page via Manage your events (see page 48). 36 View your registration page on Click-to-Attend You will now be viewing your event registration page on Click-to-Attend. This Click-to-Attend address is the URL you will provide to your customers who want to register for your event. We recommend that you copy and save this address. If you choose not to copy the address now, you can find this information again via Manage your events (see page 48). 37 Part 4 Invite your guests 38 Invitation Process When you create your event using Microsoft Ready-to-Go Marketing, a registration page for your event is created on Click-to-Attend. This registration page on Click-to-Attend is where your guests will go to sign up for your event. You will need to inform your would-be registrants about your event and tell them where to register. You can give them your event code and tell them to enter it on the Click-to-Attend site or better yet, you can give them direct access to your registration page on Click-to-Attend. The most common way to do this is via an emailed event invitation that includes a hyperlink to your actual event registration page on Click-to-Attend. Microsoft Ready-to-Go Marketing provides campaign-related event invitation email templates that you can use, as well as a generic invitation template. 39 Navigate to your event invitation template via the homepage If you created your event From Campaigns, one way to obtain your invitation template is to go to the Microsoft Ready-to-Go Marketing homepage, select the green Campaigns button and on the next page find the campaign topic you used to setup your event. Hover over the campaign thumbnail image and select Download. If you created your event From Scratch, scroll down on the Campaigns page to the Event Marketing 101 Campaign and follow the same steps. You can also access your invitation via Manage your Events/View Resources (see page 50). 40 Navigate to your event invitation template via the homepage Alternatively, if you created a Microsoft Community Connections event, go to the Microsoft Ready-to-Go Marketing homepage, and select the Community Connections tab in the top ribbon. On the next screen, select the Event Topics button and then select the campaign topic you used to setup your event and then select View Assets. You can also access your invitation via Manage your Events/View Resources (see page 50). 41 Navigate to your event invitation template via the homepage You will be brought to a page where you can view all the assets available for that particular campaign. Expand the Event Resources category to find your event invitation template. Download the template. 42 Customize your invitation Now you can customize the .oft template before you send it out to your customers. Where indicated, add your customer’s name, include your logo, your company information, details about the event location, etc. Some of our invitations are available in html format as well. Consult your web team for assistance with customization. 43 Customize your invitation The registration URL you hyperlink to in your document should be the URL for the Click-to-Attend registration page and NOT the URL for the Microsoft Ready-to-Go Marketing preview page. Your correct URL will start with https://clicktoattend... If you didn’t copy the Click-to-Attend URL for your event when you first set up your event, you can go to https://clicktoattend.microsoft.com/en-us/Pages/Home.aspx enter in your event code, and then once you are brought to your event registration page, you can copy the URL from the address bar. Or you can access via Manage your Events/View Resources (see page 48). hyperlink hyperlink 44 Customize your invitation Note, if you have more than a few guests to invite and would like to do a mass mailing in Word: • • • • • • • Open a blank Word document Open the oft invitation template Select the icon in the top left corner of the document body to select the entire document Copy Go back to your blank Word document and select Paste/Keep Source Formatting Select View from the top ribbon and then select Web Layout Proceed with customizing and then use the tools under the Mailings tab in the top ribbon Please note that some of our email templates are available as html files which are more suitable for mass mailings. Consult your web team or check out the resources available on our Services page if you need help with your mass mailing needs. 45 Part 5 Manage your event 46 Navigate to your event Go to the Events page on the Microsoft Ready-to-Go Marketing site and select the option to Manage your events in the lower left corner. When prompted, sign in using your Windows Live ID (Microsoft Account) that is associated to your Partner Organization on MPN. 47 Navigate to your event In the Narrow your search column at the far left, filter on Active. Your event will appear in the Event column. Selecting the hyperlink for the Event code will bring you to your registration page on Click-toAttend (this is the URL you provide to your customers who want to register for your event) Selecting the hyperlink for the title will bring you to your event preview page on RTG. 48 Modify your event You can modify your event using the links in the Actions column. If you need to update your event, select Edit. Once in edit you will go through steps 1-4, make any needed modifications and select Save Changes. 49 Modify your event Select Copy to use an existing event as a starting point for setting up your next event. Select Cancel to cancel your event. You will be required to send out a cancellation message to your registrants. Once your event is completed, you can Delete it. If you select Manage Emails, you will be brought directly to step 4 in the event setup. Here you can choose to send or not send out event reminders, modify the reminder message and the dates that the reminders are sent. Hit Save Changes when done. 50 Modify your event You can verify that you have activated your event by looking at the Status column. The MCC? column will say Yes if you created your event via Microsoft Community Connections. 51 Find Resources Select View Resources to find a list of event-related resources you may find useful for your event. . 52 Manage your registration list You can register someone for your event by selecting the Add button in the Registrants column. If you have multiple registrants you would like to add at the same time, select Upload. Download the multiple registrants template when prompted. Fill the required fields into the template. Once done, save it to your computer and then select Upload. Browse for your document and then select Upload. 53 Manage your registration list To view your registration list, click on the number in the Registrants column. 54 Manage your registration list This on-screen view provides a quick reference for who has registered for your event. You can Edit a registrant’s information, or Cancel their registration by selecting that option in the Action column. You can add registrants here too, by selecting one of the Add links to the top right of the list. To view full contact details, select Export List to Excel. 55 Manage your registration list When you open your exported registration list, you can see the same information you viewed on-screen, plus your registrant’s ID number, address, phone and website (if registrant entered this information when registering). This list will be a helpful marketing tool for your future use. 56 Part 6 Resources 57 Resources 1.
