INFORMATION FOR PROSPECTIVE TRADERS AT CHALKE VALLEY HISTORY FESTIVAL The Festival takes place in the stunning setting of Manor Farm, Ebbesbourne Wake, Wiltshire SP5 5JH, on the Wiltshire/Dorset border. This is a working farm and all services have to be brought in. Each application is assessed on its own merit. The presentation and appearance of your stall is important, as are the goods you are proposing to sell so please give as much information as possible including photographs of your pitch and products. Although we try to have some uniformity, each food stall is priced individually, based on the location, the number of staff, the size of stall, the products being sold and if the organisation is sponsoring an event. See the price guide below. VISITOR NUMBERS The Schools Festival runs from Monday to Wednesday during normal school hours. Schools are invited to visit for activities, demonstrations and talks. During this time there are generally around 800 children on site daily. Public Opening Times are Monday to Friday evenings when around 2,000 visitors arrive to attend talks. This means that during the talks, timed at around an hour, there will be a hiatus in trading, however during the intervals, trade will be lively. There is a restaurant that holds up to 400 diners, but fast food is required for those who have not had the foresight to pre-book. Thursday and Friday are the quietest visitor days; however there will be between 10,000 and 15,000 visitors on site during Saturday and Sunday. For 2015 we will be celebrating in 1940’s style and would encourage all stall holders to dress the part. There will also be a Victory Ball on Saturday evening with air shows on Friday evening and during the weekend. It promises to be a fun, thrilling and fitting party weekend in which we remember both the Battle of the Britain and the end of the Second World War. There are four available applications, one for food vendors, one for non-food traders inside a marquee, one for non-food traders providing their own stand the last is for historical stall holders. See the price guide below. IS THERE ANYTHING I AM NOT ALLOWED TO SELL? Any form of alcohol cannot be sold without prior authorisation. The operation of the bar and sales of all alcohol or liquor is the sole responsibility of CVHF. Anyone found breaching the licensing laws will be removed from the site. CAN I APPLY FOR A STALL ON BEHALF OF A NON RETAIL, MARKETING, OR CHARITABLE ORGANISATION? All our efforts are devoted to Chalke Valley History Trust, of which Chalke Valley History Festivals Limited is a subsidiary. Any other charitable organisations who would like to take part can show their work, or sell products, but strictly no collection boxes are allowed. If you are interested in taking part at a nominal fee, please email carolcross@cvhf.org.uk There are just a few pitches available for non-retail or marketing organisations at a cost of £500 for the weekend, or £800 for the whole week but discount maybe considered if this was arranged in conjunction with sponsorship of an event. FOOD VENDORS Of course, we would prefer you to book for the duration of the Festival which is Monday 22nd to Sunday 28th June 2015. However, under some circumstances, there are opportunities for you to trade just on certain days, as below. All prices exclude VAT. These pitches are for non-food stall holders, within a shopping marquee that will be open for trading from 9am to 6pm on Saturday 27th June to Sunday 28th June 2015 and will be charge at £100 per meter frontage excluding VAT. There is a standard 2meter depth throughout. Outside Stall Holders will be charged £60 per metre frontage, excluding VAT. These pitches are for non-food traders who provide their own tent, stall and everything else required to trade. Please ensure sufficient space is booked to accommodate the entire exhibit, including product demonstration space, ground plates, guy ropes etc. Generally a 3m frontage will need at least an additional metre for guy ropes. These stalls are welcome to trade for the duration of the Festival, however generators are not permitted. Historical Stall Holders are those that trade from an historical setting and are dressed in period costume. Please contact regarding current rates. Please ensure stall and pitch sizes are correct. We use the information you give us to plan our market areas and are unable to make changes once space has been allocated. All applications to carolcross@cvhf.org.uk WI-FI For those traders who need to take payments via a mobile device, we can make the necessary arrangements for a small fee, however this needs to be organised in advance. CAMPING Camping will be available at a small fee, to be confirmed.
